To rename an AI product safely in Salesforce, first inventory the objects, fields, articles, and external documents that may contain the old name. Use Global Search, object list views, and reports to find candidates, but do not treat an empty Global Search result as proof that the name is gone: Salesforce indexes only selected fields by default. For a controlled bulk change, export the target records with their Salesforce IDs, keep an untouched backup, update only the intended columns, test a small subset, and inspect both success and error logs.
Salesforce Knowledge needs a separate procedure. Data Loader can update draft articles, while a published article must be moved to Draft individually before it can be changed. After the update, search the fields and documentation stores you actually checked and record exceptions such as translations, archived content, hidden fields, or documents outside Salesforce.

What “everywhere” means in a Salesforce rename
A product-name replacement is a data-governance task, not a single find-and-replace command. The old name can occur in structured fields, free-text notes, rich-text content, article metadata, URLs, images, integrations, or documents that Salesforce does not store. Define the boundary before editing so that “complete” means all agreed locations, not an unsupported claim about your entire technology stack.
Write the old and new values down
- Record the exact old string, including capitalization, punctuation, spacing, and trademark symbols.
- Record the exact replacement string and any approved shortened form.
- List variants that need a decision: abbreviations, former spellings, URL slugs, image filenames, alt text, and internal code names.
- Decide whether the change covers only exact text or also embedded images, metadata, translations, archived material, and external documentation.
Salesforce’s documented tools establish ways to find and update Salesforce data; they do not establish what custom objects, fields, permissions, retention rules, or non-Salesforce document repositories exist in your org. Treat your inventory as an explicit scope and maintain an exceptions list.

Map likely Salesforce locations
Start with the objects and fields where a product name would logically appear: account or opportunity descriptions, case comments, task and event subjects, custom text fields, email templates, flow text, and Knowledge article content. Include custom objects used by support, implementation, or product teams. Ask each owning team whether the old name is also present in reports, dashboards, formula outputs, or integration payloads; a formula may display a name without storing editable text on the record.
How to find candidate records
Use Global Search for a first pass
- In Salesforce, open Global Search and enter the exact old product name.
- Review the returned object types and open representative records to identify the fields containing the match.
- Repeat with approved variants, abbreviations, and distinctive words from the old name.
- Note which objects return no results; an empty result is only a discovery signal, not a completeness check.
Salesforce says Global Search indexes a limited set of fields by default. Picklists, lookup fields, formula fields, and currency fields are typically not indexed. A value in a non-indexed field can therefore be present even when Global Search returns nothing.
Check object list views and reports
For each likely object, open a list view that exposes the relevant text column and apply filters that narrow the candidate set. Where a report type includes the field, build a report with the record ID, object name, owner, last-modified date, and the suspected text field. Reports and list views can expose records that Global Search does not index, but their available filters depend on field type, object configuration, and your permissions.
Use a searchable shadow field when future discovery matters
An administrator can create a custom text field and use Flow to copy a source value into it for new or edited records. That can make future searches easier when the original field is not indexed. It does not retroactively populate old records: existing data needs a separate backfill or update job before the shadow field is useful for historical searches.
Export or query when field coverage is broader than the UI
When the name may be in several fields or a large custom object, select the records through an export, query, or report that includes every field you are authorized to inspect. Preserve the record ID and enough context to distinguish similar records. Do not export an unbounded dataset merely because it is technically possible; define filters and have the data owner approve the candidate population first.

Choose the update method
The right method depends on object support, permissions, field editability, and volume. Salesforce publishes overlapping volume guidance on different Help pages, so the figures below are operational guidance rather than universal limits.

Salesforce’s Help article “Mass update records in Salesforce,” published August 10, 2026, emphasizes that the most important part of either file-based method is properly preparing the update file with matching criteria or data. Do not choose a tool from a record count alone.
Prepare a safe bulk update
Back up before changing anything
- Export the intended records before editing, including the Salesforce record ID and every field that might be affected.
- Store the untouched export in an access-controlled location with the export date, object, filters, and operator recorded.
- Document the old value and the approved new value so a rollback can restore the original field content.
- Check whether automations, validation rules, flows, triggers, integrations, or approval processes will run when the records are saved.
A backup is useful only if it is complete enough to restore the fields you will change and if the team knows how to use it. Follow your organization’s retention and privacy rules when storing exports.
Build a minimal update CSV
Use one row per target record. Include the stable Salesforce record ID and only the fields that should change. Keeping unrelated columns out of the file reduces the chance of overwriting valid data with blanks or stale exports.

Test a small subset
Choose a few records that represent the different field values, record owners, automations, and object types in the job. Run the update on that subset first. Confirm the old text changed only where intended, that validation and automation behaved as expected, and that no unrelated field was modified. A successful test is not permission to skip the production backup or log review.

Update a small set with inline editing
- Open the object’s list view and select a view containing only approved candidate records.
- Choose the list-view edit action or click the supported field value directly.
- Replace the old name with the approved new value, preserving any required capitalization or punctuation.
- Save the change and wait for Salesforce to report completion.
- Open representative records to verify the stored value rather than relying only on the grid display.
Inline editing is unsuitable when the field is not editable, the object or view does not support the feature, the records span many pages, or the change must be repeatable and auditable as a file-based operation.

Update existing records with Data Import Wizard or Data Loader
Data Import Wizard
Salesforce says to consider Data Import Wizard for fewer than 50,000 records when the object is supported. Select the update operation, choose the correct object, identify the matching record ID or other supported matching criteria, and map the replacement column to the target field. Review the wizard’s preview and validation messages before starting the job. Retain the result information and verify records after completion.
Data Loader
Use Data Loader when the object is not supported by the wizard, when the job requires its file and logging controls, or when your administrator has approved a larger operation.
- Open Data Loader and select the object’s Update operation.
- Choose the prepared CSV and confirm that its object matches the IDs in the file.
- Map the Salesforce ID column explicitly to the ID field used for matching.
- Map only the target field or fields. Check that the replacement column is not mapped to a different field with a similar label.
- Review the operation summary and start with the tested subset if the tool or process supports a staged run.
- Save the success and error CSV files. Do not overwrite them with a later run.
- Open several successful records in Salesforce and investigate every error before processing a corrected file.
Common error causes include an ID from the wrong object, insufficient field permissions, validation-rule failures, required values omitted from the file, malformed text, and values rejected by picklist or length restrictions. Correct only the failed rows, preserve the original error file, and rerun after the cause is understood.
Replace the name in Salesforce Knowledge
Knowledge articles require a publishing-state workflow in addition to ordinary record updates.

Identify the Knowledge object and article state
For Lightning Knowledge, Salesforce documents the article object as Knowledge__kav. Classic Knowledge uses an article-type-specific object such as ArticleType__kav. Confirm the actual object and fields in your org before building an export. Include article ID, title, URL name or slug if in scope, language, version, publication status, and the rich-text fields that may contain the old name.
Export and edit article content
- Export the target article records and retain the original export as a backup.
- Edit the exported content outside Salesforce, changing only the approved text.
- Preserve valid HTML in rich-text fields. Do not paste plain text over tags, links, lists, or image elements unintentionally.
- Keep article IDs and the fields to be updated in the upload file.
- Run a small draft-article test and inspect the rendered article, not only the raw HTML.
Handle published articles individually
Data Loader can update draft articles. A published article must first be moved to Draft one at a time. Salesforce’s Help guidance states there is no standard supported mass-update operation for setting published articles to Draft. Third-party or custom approaches described there are not out-of-the-box Salesforce solutions, so obtain the required governance and support approval before considering them.
After moving an article to Draft, update it with the prepared file and republish it through your normal editorial process. Check translated versions, archived versions, and audience-specific versions separately; changing one article version does not establish that every language or historical version changed.

Review operation outputs
- Open the Data Import Wizard or Data Loader success output and compare its row count with the approved candidate count.
- Open the error output, classify each failure, and keep a record of corrective actions.
- Check for partial completion; a job can succeed for some rows and fail for others.
Search the fields you actually changed
- Repeat Global Search with the old name and its approved variants.
- Re-run the object list views, reports, exports, or queries used to identify the candidates.
- Inspect representative records from each object, owner group, and field type.
- For Knowledge, open the rendered article and check its title, body, links, images, language, and publication state.
If Global Search still finds an old value, determine whether it is in an intentionally excluded field, a failed row, an archived or translated version, or a document outside Salesforce. If it finds nothing, that result is meaningful only for the indexed fields and objects it covers.

Review email templates, flows, formulas, reports, dashboards, integrations, help-center exports, file attachments, and external documentation according to the scope you approved. Salesforce record updates do not automatically rewrite a copied value in another system, an image that contains the old name, or a URL whose slug is controlled elsewhere.
Troubleshoot common failure modes
“Global Search found nothing”
Check whether the suspected field is indexed, whether the search term is exact, and whether your permissions expose the object. Use a report, list view, export, or query for non-indexed fields. A Flow-populated custom text field can improve future discoverability, but old records still need a backfill.
“The upload changed the wrong records”
Stop subsequent runs, compare the uploaded IDs with the backup, and notify the data owner. Wrong-object IDs, copied IDs from a filtered export, or an incorrectly mapped matching field are typical causes. Restore from the untouched backup only after confirming the rollback columns and validation behavior.
“Some rows failed”
Use the error CSV to separate permission, validation, formatting, and matching problems. Correct the failed rows without changing successful records, then rerun only the corrected set. If a validation rule is intentional, route the exception to the record owner or administrator rather than disabling controls casually.

Confirm that the article is Draft, that you used the correct Knowledge object and article type, and that rich-text HTML remains valid. Published articles must be moved to Draft individually before Data Loader can update them.
Plan for large or exceptional jobs
Salesforce’s published guidance is not fully uniform: one 2026 Help page describes Data Import Wizard for fewer than 50,000 records and Data Loader for approximately 50,000–100,000; another FAQ recommends Data Loader above 50,000 and below 5 million; the Data Loader overview states support for files up to 5 million records. These statements come from different pages and contexts. Verify current API limits, object support, file size, automation load, and maintenance windows with your administrator before applying any number to production.
For more than 5 million records, Salesforce’s mass-update FAQ recommends working with a Salesforce partner or visiting AppExchange. Large jobs also need a rollback plan, staged batches, monitoring for automation side effects, and a communication plan for users who may edit the same records concurrently.
Rename completion checklist
- Exact old and new strings, variants, and exclusions are documented.
- Objects, fields, Knowledge versions, and external stores in scope have owners.
- Candidate records were found through Global Search plus field-appropriate list views, reports, exports, or queries.
- Original records were backed up with IDs and export details.
- The update CSV contains only approved target fields and correctly mapped IDs.
- A representative subset was tested before the production run.
- Success and error files were saved and reviewed.
- Published Knowledge articles were moved to Draft individually before updating.
- Rich-text HTML, translations, archived content, URLs, images, and external documentation were checked where included in scope.
- Post-update searches and record inspections were completed, with unresolved exceptions recorded.
The Bottom Line
A reliable Salesforce product rename combines scoped discovery, an ID-based backup and update file, a tested tool choice, special handling for Knowledge publication states, and verification in every field and documentation store you actually included.
