What Gmail’s “large attachment” search actually finds
Gmail does not provide a simple inbox button that sorts every message by the size of one attachment. Its documented method is a message search. The larger: and size: operators filter by the size of the message, which can include the message text, headers and one or more attachments. Therefore, a result returned by larger:10M is a message larger than about 10 megabytes; it is not a guarantee that one individual attachment is exactly 10 MB.

That distinction matters when deciding what to keep. A message with several medium-sized files can appear in the results, while a message containing a single file just below your threshold may not. Open the message and inspect its attachments before deleting it.

Prepare before deleting anything
Deleting a message moves it to Trash first, but emptying Trash removes it permanently. Use this short check before running a broad search:

- Decide what “large” means for this cleanup. Ten megabytes is Google’s example, but a 5 MB, 20 MB or other threshold may suit your account.
- Identify records you may need later, such as invoices, contracts, tax documents, family photos or work correspondence.
- Download or save files you need before deleting the message. If the message is part of a legal, business or school record, follow the relevant retention policy.
- Make sure you are in the intended Gmail account, especially if several personal and Workspace accounts are open in the same browser.
- Plan to review results in batches rather than selecting every result immediately.
A useful way to set the threshold is to start at 10 MB, note how many results appear, and then adjust. If the list is unmanageably long, try 20 MB. If you need to recover smaller amounts from a crowded account, try 5 MB. The threshold is a screening choice, not a promise about the exact space each deletion will recover.
Find messages with large attachments
Use Google’s 10 MB search
- Open Gmail in a browser or in the Gmail app’s search interface.
- Click or tap the search field and enter
has:attachment larger:10M. - Run the search and wait for the results to load.
- Open representative messages from the results. Check the sender, subject, date, attachment names and whether the files still exist somewhere else.
The query combines two conditions: has:attachment limits results to messages containing attachments, and larger:10M applies the message-size threshold. Gmail search operators can be combined, so you can refine the result without searching manually through every folder.
Google’s exact example is has:attachment larger:10M. Enter the operators together in the search bar rather than searching for the words as ordinary text. The colon and the unit are part of the syntax.
Change the size threshold
Replace 10M with the threshold you need. A lower threshold finds more candidates; a higher threshold produces a shorter list of messages likely to recover more space per deletion. For example, has:attachment larger:20M focuses on messages above approximately 20 MB.
Because the filter is based on message size, treat the number as a screening threshold rather than an exact attachment measurement. The message view is the authoritative place to see the files attached to that conversation.
You can also combine a lower and upper boundary when you want a narrower review range. For example, pairing a larger: condition with smaller: lets you investigate messages in a particular size band instead of mixing very large and barely-over-threshold messages. The search operators remain filters; they do not rank the result by the size of an individual file.
Search for a particular file type
To target PDFs larger than 5 MB, use Google’s example query:

filename:.pdf larger:5M
The filename: operator matches the file name or extension, while larger: limits the message size. You can adapt the extension for another format, such as filename:.zip larger:10M, while remembering that the size condition still concerns the message as a whole.
File-type filtering is especially useful when you know which category is consuming space. A PDF-focused pass can find reports and forms without forcing you to inspect every photo or spreadsheet. It is still important to open the conversation: a matching filename does not tell you whether the document is a duplicate, an obsolete version or a record that must be retained.

Operators are most useful when combined. Start with a broad query, then add a file type or adjust the threshold after you understand how many results it returns. Keep a note of the query that produced a useful batch so the same review can be repeated later.
Review results safely
Check the entire conversation
Gmail may group several messages into one conversation. Before deleting, expand earlier or later messages in the thread and check whether another message contains a file you need. The visible message may not be the only item represented by the conversation.
Conversation view can also make a thread look like one candidate when it contains multiple messages with different senders or dates. Treat the thread as a record: read enough of it to understand which message carries the attachment and whether later replies rely on it.
Confirm what the attachment is
- Read the sender and subject rather than relying only on the file name.
- Check the date; an old attachment may still be needed for a warranty, reimbursement or record.
- Open or download the file only when you trust the sender and your security software permits it.
- Look for duplicate copies in Drive or another approved location before removing the email.
- For shared work, confirm with the owner or administrator before deleting a message that belongs to a team mailbox.
If you need the attachment but not the correspondence, save the file in the approved location first and then decide whether the original message must remain. Do not assume that a file visible in Gmail is safely preserved elsewhere; verify that the copy opens and is stored where your team or household expects it.
Delete selectively
Select individual messages or a small, reviewed batch, then click the Delete button. Avoid selecting all search results merely because they exceed the threshold. Search results are a candidate list, not a recommendation that every message is disposable.
A staged workflow is safer than one large deletion: review a page or a clearly identified group, delete it, and then move to the next group. This gives you a chance to notice an important sender, a recurring invoice or a file that appears in more than one conversation before permanent deletion.
Empty Trash and Spam to reclaim quota
Moving a message to Trash does not immediately return its storage to your account. Google’s cleanup guidance says that messages in Trash and Spam continue counting against the storage limit until those folders are cleared.
- Open the Trash folder and review any messages you may have deleted accidentally.
- Use the folder’s permanent-delete or empty-Trash control only after that review.
- Open Spam and remove messages you are certain are unwanted, or use the folder’s control to clear it.
- Allow Gmail to finish processing the deletion before checking the account total again.
Permanent deletion cannot be undone through Gmail. If you are uncertain about a message, leave it in Trash until you have confirmed that you no longer need it. Emptying both folders is the step that turns a cautious, reversible deletion into a quota-reclaiming cleanup.
Search Spam and Trash separately
Standard Gmail searches exclude Spam and Trash by default. If you expect a large message but the normal query does not show it, open Spam or Trash from the left-hand folder list and run the query there. Review each folder separately because a message in either location can still contribute to the account’s storage use.

Gmail also provides search-scope controls in its search interface. Use those controls when available, but do not assume a normal inbox search covers every folder. A separate pass through Spam and Trash is a reliable way to check the places omitted from the default scope.

Wait for the storage total to update
Do not judge the result immediately after deleting a large batch. Google states that, after deleting many files, its systems can take 48–72 hours to update the storage figure accurately. The delay is a back-end accounting issue, not evidence that the Gmail search failed.
During that window, keep Trash and Spam empty and avoid repeatedly deleting the same messages. Check the storage indicator again after the update period. If the total remains high, continue with the other services that share the account’s storage pool. A delayed total does not mean you should delete newer or more important mail simply to force the number down.
Understand which storage you are freeing
For a personal Google account, Google describes 15 GB of shared storage across Gmail, Drive and Photos. Gmail cleanup is therefore only one possible way to reduce usage. Large Drive files, video or photo backups and other stored data can consume the same pool.

Buying additional storage is an optional longer-term choice; it is not required to run the Gmail search-and-delete workflow.
Shared storage also explains why a successful Gmail cleanup may produce a smaller-than-expected change. If Drive or Photos already uses most of the 15 GB, removing several messages can make Gmail lighter without moving the account far from its overall limit. Measure the account total after the update period, then decide which service deserves the next review.
Do not confuse the search threshold with Gmail’s sending limit
Google states that personal Gmail accounts can send attachments up to 25 MB. When a message’s combined attachments exceed that sending limit, Gmail replaces them with a Google Drive link. Work and school accounts can have different limits set by their administrator.
The 25 MB figure describes sending, not the maximum message size that Gmail’s search can find. A message returned by larger:10M is not capped at 25 MB, and an attachment received through a Drive link may not behave like a conventional attached file in your search results.

In practical terms, do not choose 25 MB as though it were Gmail’s cleanup boundary. Use the threshold that fits your storage goal, and inspect the message to determine whether it contains a conventional attachment, several files or a link to content stored in Drive.

Personal accounts
The 15 GB shared-storage figure applies to the personal-account situation described by Google. Your actual usage can include Gmail, Drive and Photos, so the amount recovered by deleting messages depends on how much of the pool those messages occupied.
Work and school accounts
Workspace organizations can impose administrator-controlled storage and attachment policies. A school or employer may provide a quota different from the personal-account figure, restrict permanent deletion, retain mail for compliance, or manage shared mailboxes. If a message is subject to an organizational hold, use the administrator’s procedure instead of emptying folders independently.
The same search syntax can still help you identify candidates, but the authority to delete them may belong to the organization. Ask whether retention, legal-hold or shared-mailbox rules apply before permanently clearing a folder.
Troubleshoot an unexpected result
The search returns too many messages
Increase the threshold, add a file extension with filename:, or process the results in smaller reviewed batches. A query such as filename:.pdf larger:5M is narrower than a general attachment search.
The search returns nothing
- Check the spelling and punctuation of the operator, including the colon.
- Lower the threshold temporarily to test whether the query is working.
- Open Spam and Trash and repeat the search there because they are excluded from standard searches.
- Consider whether the item was sent as a Drive link rather than a conventional attachment.
The storage number has not fallen
Confirm that the messages were permanently removed from Trash and Spam, then wait the full 48–72-hour update window Google describes for large deletions. If the total is still high afterward, inspect Drive and Photos because they share the personal account’s storage pool.
A message you need was deleted
Look in Trash before emptying it and restore the message if it is still available. Once Trash has been emptied, Gmail’s normal recovery path is no longer available, so review carefully before permanent deletion.
The result seems larger than the file you expected
Remember that larger: and size: describe the message, not one attachment. Multiple files, message content and headers can contribute to the measured size. Open the conversation and inspect every attachment before deciding that the result is unexpected or disposable.

has:attachment larger:10M. - Sort your attention by business importance and age, not by size alone.
- Save required files in the approved location and remove duplicate messages only after checking the conversation.
- Empty Trash and Spam when you are confident the deletions are final.
- Check the shared storage total after the system has had time to recalculate it.
- If Gmail is no longer the main consumer, review Drive and Photos rather than deleting increasingly recent mail.
For a more targeted cycle, alternate broad and narrow searches: use the 10 MB query for an account-wide review, then use filename: for a document type that tends to accumulate. Keep the review batches small enough that you can verify each deletion, especially when several people use the account.
This approach preserves useful correspondence while targeting messages that are most likely to make a meaningful difference to quota usage.
