The reliable way to find dirty data is to start with the decision or process the database supports, not with a blanket scan of every column. Identify the tables and fields that matter, define measurable quality rules for that use, profile them to establish a baseline, rank failures by business consequence and measured severity, fix causes rather than only symptoms, and rerun the same checks.
“Dirty data” is a useful shorthand, not a universal technical category. A value is a defect when it fails a rule required for a specific use. An empty field may be an error in one workflow and an appropriate “not applicable” value in another; a populated value may still be false. The UK Government Data Quality Framework puts the principle plainly: “The importance of fields or tables will vary depending on how the data is used.”

Define what dirty means for your database
Data quality is fitness for a stated purpose. A customer identifier used for billing has different requirements from a marketing preference, and a timestamp used for real-time operations has a different freshness requirement from one used in an annual report. Write the intended use before writing checks.

The UK guidance also warns: “You should only be measuring things that have been identified as critical and that are tied to a specific data use.” That keeps profiling effort focused and reduces false alarms from harmless exceptions.
Step 1: Map the use case to critical tables and fields
Start with a small, defensible scope. Trace the data path for the process you care about: source or collection point, operational tables, transformations, reference tables, and the final report or application. Mark the columns whose quality could change an outcome, calculation, eligibility decision, legal obligation, or customer communication.
Questions that identify critical data
- Which fields are required for the process to complete?
- Which identifiers join records or determine whether two rows describe the same entity?
- Which dates control deadlines, service-level calculations, or “current” status?
- Which codes, amounts, classifications, or statuses drive rules and decisions?
- Which relationships must agree across tables?
- Which downstream users would be harmed by a wrong value, not merely an absent one?
Document the boundary. A profile of a complete table may look impressive while missing the field that actually determines a decision. Conversely, scanning every optional attribute can produce a long defect list with little practical value.
Step 2: Turn expectations into measurable quality rules
Do not label values dirty until data users, owners, and stewards agree on the rule. Each rule should name the population it applies to, the measurement, the target, and any permitted exceptions. Include the reason the rule matters so that a later priority decision is evidence-based.
Rules worth defining
- Requiredness: a value must be present when the record or business condition requires it.
- Uniqueness: an identifier or entity should not occur more than once unless the data model explicitly permits repeats.
- Validity: values conform to an approved format, domain, type, or range.
- Consistency: related fields and records do not contradict one another.
- Timeliness: a value or record is no older than the freshness needed for the use.
- Accuracy: the value corresponds to the real-world entity or event, as verified by authoritative evidence.
Set a realistic target for each rule. A rare exception may not make a dataset unfit for purpose, while a small number of errors in a safety-critical or financial field may be unacceptable. Record structural or expected missingness separately from accidental omission; otherwise a legitimate “not applicable” state will be counted as a defect.
Why there is no universal dimension list
The UK implementation guide uses six core dimensions: completeness, uniqueness, consistency, timeliness, validity, and accuracy. The Government of Canada guidance describes nine: access, accuracy, coherence, completeness, consistency, interpretability, relevance, reliability, and timeliness. The difference is useful: dimensions are vocabulary, not a compulsory checklist. Relevance, balance, access, and interpretability depend on the users and the data lifecycle. Choose the dimensions that can be expressed as rules for your particular use.

Step 3: Profile the critical data to establish a baseline
Profiling is a measurement snapshot, not a declaration of truth. Run the checks against the selected columns, keys, and relationships, and save the result with the date, population, rule version, and any filters or exclusions. A baseline lets you distinguish a newly introduced problem from a long-standing condition and compare later runs fairly.

| Quality concern | Baseline measure | Interpretation to confirm |
|---|---|---|
| Completeness | Count and percentage of null, blank, or absent values in fields required by the rule | Separate expected or structural missingness from an error; state the denominator |
| Uniqueness | Duplicate counts for keys and likely duplicate entities | Confirm whether repeated rows are invalid or are legitimate events in the data model |
| Validity | Values outside allowed formats, enumerations, types, or ranges | Check the current business definition and units before rejecting an exception |
| Consistency | Contradictory combinations within a record or across linked tables | Verify relationship logic, effective dates, and authoritative sources |
| Timeliness | Age of records or timestamps compared with the agreed freshness rule | Use the freshness requirement for the actual process, not an arbitrary age |
| Accuracy | Agreement with trusted reference data, provenance, or domain review | Plausibility or a populated field alone does not establish that a value is true |
These checks are adaptations of the dimensions and rule examples in the official frameworks, not a universal SQL recipe. The precise query syntax, indexes, sampling plan, transaction isolation, and execution schedule depend on the database engine, schema, workload, and production controls. Work with the database owner before running expensive scans or extracting sensitive data.
Use a statistical profile as a repeatable snapshot
A column profile commonly records statistics such as null and distinct-value counts, distributions, and detected patterns. Microsoft’s documented Configure and Run Data Profiling in Unified Catalog workflow lets an operator select columns and create a statistical snapshot. It is an example of a profiling workflow, not evidence that one product is best for every database. Whether you use a catalog, database-native checks, a pipeline test, or a separate quality service, preserve the same rule definitions and comparable outputs for each run.
Step 4: Prioritize by consequence and measured performance
A defect list is not a priority list. Rank each issue using both the importance of the affected data and how harmful the failure is, then account for how far the measured result falls below its target. This prevents raw defect counts from dominating the decision.
A practical scoring model
The UK Data Quality Issues Framework, updated 16 April 2026, offers one way to make the trade-offs explicit. It combines an importance-impact score with a performance band. In its worked method, the resulting priority score is calculated as:
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Repair Windows errors before they cause bigger problems3Scan for outdated or missing drivers - takes under a minutepriority score = importance × impact × performance-band score

- [Dont Hesite to Order] 24 hours customer services and professional technology team are standing by
The framework publishes these example bands:
| Score | Priority band | Use of the band |
|---|---|---|
| 1–7 | Low | Track and address through normal improvement work when appropriate |
| 8–16 | Medium | Assign attention and a planned corrective action |
| 17–32 | High | Commit resources and monitor progress closely |
| 33–64 | Critical | Escalate urgently because the consequence and performance failure are both severe |
These ranges are a proposed framework, not a mandatory cross-industry standard or a benchmark for how dirty databases usually are. Adapt the scales, evidence, and governance to your organization, and preserve the reason for every rating.
The published completeness example
The framework’s example sets a 95% completeness target and observes 94.2%. It assigns importance 2 and impact 2, giving a combined score of 4. Because 94.2% is only slightly below the target, the example assigns a performance-band score of 1; the final result is 2 × 2 × 1 = 4, classified as Low priority under that method. The numbers illustrate the calculation, not a universal definition of acceptable completeness.
Why count alone is a poor ranking
A large number of harmless exceptions in an optional field can be less urgent than a few wrong values in a field that controls payment, access, safety, or regulatory reporting. The reverse can also occur: a dramatic failure in a low-impact field may remain below a modest failure in a critical one. Make the consequence visible alongside the measurement by recording affected process, population, target, current result, and confidence in the measurement.
Step 5: Investigate causes and choose the corrective action
Once an issue is ranked, follow the failing values upstream. Determine whether the cause is a collection form, an integration, a transformation, a reference table, a manual edit, a mapping change, or a legitimate business exception that was never encoded in the rule.
Maintain an issue record
For every accepted issue, capture:
- the table, field, relationship, and rule that failed;
- the use case and business consequence;
- the target, measured result, denominator, run date, and affected records or percentage;
- the suspected and confirmed root cause;
- an accountable owner and due date;
- the immediate containment, permanent correction, and verification check;
- privacy, access, and operational limitations affecting the analysis.
Correct the source whenever possible. A one-time update can remove today’s bad values while leaving the collection or transformation that recreates them tomorrow. Source fixes may include tightening an input rule, correcting a mapping, repairing an interface, revising a reference list, or clarifying a business definition. Retain an auditable record of changes and of values that were intentionally left unchanged.
Handle accuracy differently from structural defects
Null rates, duplicate counts, and format checks can expose patterns directly in the database. Accuracy often cannot. A plausible-looking address, classification, amount, or status may still be wrong. Compare with an authoritative source, provenance records, or informed domain review where available. The Statistics Canada process quality guidelines emphasize that quality assessment must consider how information is produced, not only the final values.

Step 6: Rerun comparable checks and communicate the result
After a correction, rerun the same rule against a comparable population. Keep the original target, definition, denominator, and exclusions visible so an apparent improvement is not merely a change in measurement. If the population or rule changed, report that change rather than presenting the result as a clean before-and-after comparison.

A useful status report names the rule, target, current result, affected data, owner, action, next review point, and known limitations. Report trends when repeated measurements are available, and distinguish a real quality change from a change in volume, source coverage, or business process. Close an issue only when the verification run shows the agreed result and the underlying cause has been addressed or consciously accepted.
Choose a profiling and monitoring approach
The right method depends on database types, scale, sensitivity, and how often quality must be measured. Compare approaches on the same operational criteria rather than choosing by feature count alone.
| Decision criterion | Questions to ask |
|---|---|
| Source support | Can it connect to the database and other sources that participate in the use case? |
| Rules and dimensions | Can it express requiredness, uniqueness, validity, consistency, timeliness, accuracy, and any domain-specific rules? |
| Scope control | Can it profile selected critical columns and relationships instead of forcing an indiscriminate full scan? |
| Cross-table logic | Can it test joins, referential relationships, and business rules that span assets? |
| Repeatability | Can it schedule checks, retain history, and show trends using the same definitions? |
| Permissions and handling | What access is required, where are results stored, and how are sensitive values protected? |
| Performance impact | What load, locking, extraction, or network cost will a run impose on production? |
| Explainability | Can an owner see which rule failed, which records or populations were affected, and why the result matters? |
| Operational cost | What continuing work is needed for rule maintenance, triage, remediation, and reporting? |
For a small, stable scope, database-native checks may be sufficient. A recurring, multi-source program may benefit from a catalog or quality platform with history and ownership. In either case, the quality program—not the tool—supplies the definitions, thresholds, accountability, and decisions.
Common mistakes and their fixes
Scanning every column first
Problem: the result is a noisy inventory of anomalies with no connection to a decision. Fix: begin with the use case and critical fields, then expand only when evidence shows a dependency.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Treating every null as an error
Problem: optional or structurally inapplicable fields inflate the defect rate. Fix: define the applicable population and distinguish expected missingness from omission.
Best Value
Confusing completeness with accuracy
Problem: a filled field is assumed to be correct. Fix: use reference data, provenance, or domain validation for accuracy; report it as a separate dimension.
Ranking by defect count
Problem: volume hides consequence and criticality. Fix: score importance, impact, and performance together, and document the reasoning.
Using thresholds without a purpose
Problem: a universal percentage is imposed on every table. Fix: set a target with the users of the data and state the use, population, and acceptable exceptions.

One free scan finds every outdated or missing driver and matches the right update for your exact hardware.Free scan · exact hardware matchFixing rows without fixing the source
Problem: the same defect returns after the next load or manual entry. Fix: trace the production path and add a preventive control where the error originates.
Running expensive or sensitive profiles carelessly
Problem: profiling affects production performance or exposes data unnecessarily. Fix: agree on execution windows, access, retention, sampling where justified, and safe handling with the database owner. The appropriate query plan and sampling strategy are engine-specific.
Changing the measurement after a failed result
Problem: a new denominator or rule makes improvement impossible to assess. Fix: version rule changes and report them beside, not instead of, the prior measurement.
A concise operating pattern
- Write the business use and consequence of failure.
- List the critical tables, fields, keys, relationships, and freshness needs.
- Agree on rule definitions, targets, exceptions, and denominators.
- Capture a dated baseline with selected-column and relationship profiles.
- Score issues using consequence and measured performance; record why.
- Assign owners, trace causes, contain immediate risk, and correct the source.
- Rerun unchanged checks, report comparable results, and maintain the history.
This pattern scales from a single high-value table to a wider data-quality program because every measurement remains tied to a use, an accountable owner, and an action.
