Use Search to retrieve photos already in your library; use albums, folders, favourites, and pinned collections to curate or quickly revisit chosen groups. The steps below focus on Apple’s current iPhone Photos guidance, including its iOS 26 Collections layout. Mac and iPad labels and menus can differ by software version.
Find a photo with the best clue you have
In Photos on iPhone, open Search and enter a specific clue. Apple says you can search using a date, place, business name, category, event, person or pet, text visible in an image, caption, or media type. Examples include searching for a beach, a sunset, a phone number, or “Video.” Search can be used from Library or Collections, and within an individual album or collection. Apple’s iPhone Photos search guide lists the supported kinds of searches.

- Find photos by date: enter a date or time period you remember, then browse the matching results. Sort by date added or captured if that makes the target easier to spot.
- Find pictures of a person or pet: search for the name Photos recognizes, if one is assigned. You can also search by a visible subject or event.
- Search photos by location: try a place or business name associated with the image.
- Find a screenshot: search for “Screenshot” or look under the relevant media-type collection.
- Find a receipt or search photos for text: try a distinctive word, email address, or phone number visible in the image. Results depend on Photos being able to recognize the text.
After searching, browse the full result set. Filters such as Favorites or Edited can narrow it further when they fit what you remember.

Search within an album when you know where the photo belongs
If you expect a picture in a particular album, open that album and search there instead of searching the whole library. This is useful for a large trip or project album, and Apple also documents album searches for a person, object, or place. On Mac, consult the current Photos User Guide search instructions for its interface.

Use Apple Intelligence only if your device supports it
On compatible devices in supported languages and regions, Apple Intelligence can accept a natural-language description, such as “Maya skateboarding in a tie-dye shirt,” and can search video clips for described moments, such as “Sadie cartwheeling on the grass.” This is an optional capability, not a requirement for ordinary Photos search. Apple’s Apple Intelligence availability and requirements explains that device, language, and region restrictions apply; its Photos guidance currently refers to iOS 27 or later and compatible iPhone models, so check the latest requirements for your device before relying on the feature.
Use Collections for browsing, not just searching
On iPhone, Apple’s iOS 26 instructions place Favourites under Collections > Pinned, media types such as Videos and Selfies under Media Types, and Recently Deleted and Hidden under Utilities. Collections group library items and provide alternate routes to them; they are not the same thing as albums you create yourself.

For the version-specific iPhone layout, see Apple’s guide to finding albums and collections in iOS 26 Photos. Mac Photos also supports browsing by media type, people, and places, though its controls are different; Apple’s Photos User Guide identifies itself as the macOS 27 guide.
Create albums for groups you want to keep together
Search is convenient for a one-off retrieval. Create an album when you want a deliberate, persistent set—such as the best pictures from a trip, a project, or a family event. In Photos, select the items you want to group, create a new album, and give it a clear name. Albums can be sorted, reordered, updated, and placed inside folders; folders help organize albums when you have many. Apple’s iPhone album guide covers the current iPhone controls.

With iCloud Photos turned on, Apple says albums are stored in iCloud and are available on devices signed in to the same Apple Account. This syncs album organization; it is separate from using a search term to find a photo.
Know the difference between removing and deleting
Removing a photo from an album changes that album’s contents; deleting a photo from the library is a different action. Deleting an album also does not erase its photos from the library or from other albums. Apple states: “When you delete an album, the photos and videos within it remain in your photo library and any other albums they were added to.” Check the action label before confirming if you intend to keep the images.

Choose the right route for the job
| What you need | Best starting point | Why |
|---|---|---|
| You remember a date, person, place, subject, event, text, caption, or media type | Search | Retrieves matching items from the library, or from a selected album or collection. |
| You want to revisit a hand-picked set | Album or Favourite | An album deliberately groups selected items; marking a photo as a favourite makes it easier to find in Favourites. |
| You want a built-in route to a class of items | Collections | Sections such as Media Types and Utilities group content by type or state. |
| You want frequent sections near the top | Pinned collections | Pinning customizes navigation; it does not replace the underlying library or albums. |
| You want to group and manage multiple albums | Folders | Folders provide a higher-level organization structure. |
On Mac, address storage only if space is the problem
Searching and making albums do not require an external drive. If your specific goal is to free internal Mac disk space, Apple documents two different approaches: use Optimize Mac Storage with iCloud Photos so full-resolution photos and videos can be stored in iCloud, or move the Photos library to an external drive. These choices affect where the library is stored, so check Apple’s current setup directions and your backup arrangements before changing the library location.

- Optimize Mac Storage: keeps the library connected to iCloud while allowing macOS to manage local storage. See Apple’s Photos library storage guidance.
- Move the library to an external drive: a conditional option when freeing Mac disk space is the goal; it is not a general requirement for Photos organization. Follow Apple’s current instructions and confirm the drive’s specifications and backup plan before moving the library.
