District attorneys prosecute cases, but courts maintain their dockets and filed pleadings. The right portal and access rules depend on the state, county, and court.
1. Identify the court that handled the prosecution
Start with the state and county where the case was filed. If you know the case is federal, identify the federal district if possible. A prosecutor’s news release or case-information page may provide useful leads—such as a defendant’s name, charge, case number, or hearing date—but confirm those details against the court’s record. A district attorney’s office is not necessarily the custodian of court-filed documents.

If you have a case number, keep it handy; it is usually the most direct way to locate a docket. Otherwise, note the defendant’s name and any other identifying details the court’s search system accepts.
2. Search the official court docket
For a federal prosecution: use PACER
PACER is the federal judiciary’s online system for case information, dockets, and filed documents in U.S. district, bankruptcy, and appellate courts. A PACER account is required to search online, according to its March 2026 informational brochure. Search by the court and case number when available, or use the name-search options the system provides. Document access may involve fees; consult PACER’s current pricing information for applicable charges and waivers rather than relying on an amount that may have changed.

For a state prosecution: use the state or county court’s official search
Look for the state judiciary’s official case-search portal or the official website of the county court clerk. Coverage varies: a statewide portal may include several court levels, while a county portal may cover only that county or selected case types. Read the portal’s coverage and access notes before treating an empty result as proof that no case exists.
Pennsylvania’s Unified Judicial System (UJS) portal provides free individual case information for appellate courts, criminal Courts of Common Pleas, and magisterial district courts. Search with the information you have
- Open the official court portal for the state or county where the prosecution was filed, or PACER for a federal case.
- Enter the case number first if you have it. If not, search by the defendant’s name and try another identifier only if the portal offers that field.
- Confirm that the result matches the correct court and case. Record the case number, court, filing date, docket-entry label, and clerk’s office.
3. Use the docket to find the filing itself
A docket is the court’s index and history of a case. It can show that a document was filed and when, but a docket entry does not always include a viewable or downloadable copy. Look for the filing by its docket-entry name and date; if there is no document link, the court clerk is the next point of contact.

Pennsylvania’s courts explain that the docket lists documents, while copies of filings may need to be requested from the county clerk or prothonotary. In San Diego County, the District Attorney’s media guide says: “The District Attorney’s Office generally does not release copies of court filings such as criminal complaints.” That describes the San Diego County office’s practice; it is not a nationwide rule.
Request a document from the clerk
Contact the clerk for the court where the filing was made. Provide the case number and the document’s docket-entry name or filing date. Ask whether the record can be viewed online, inspected in person, or copied by mail, and ask what forms, fees, redactions, and processing times apply. Follow that court’s current instructions.

Kentucky’s Court of Justice directs requesters to begin with the clerk of the court that heard the case. The clerk can advise whether a record remains in the court office, has moved to an archive, or is unavailable under retention rules. If it is archived, ask what locator number or other details you need to request it.
4. If the search returns nothing
A missing online result does not by itself establish that no case exists. Check spelling and alternate names, try another identifier supported by the portal, and consider whether a related early proceeding appears under a different court level. If you still cannot locate it, contact the clerk for the likely court and provide the details you have.

- Restricted case or document: Sealed, confidential, juvenile, expunged, or otherwise restricted records may not appear or may be withheld. Arizona eAccess also notes that some restricted matters and sensitive documents are unavailable online. Ask the clerk what access process applies; do not try to bypass restrictions. Access may be limited to authorized parties or require a court petition or order.
- Older case: Records may have moved to storage or an archive, or may no longer exist under the court’s retention schedule. Ask the clerk about the record’s status and retrieval process.
5. Check what the search result does—and does not—prove
An online docket lookup is not the same as a certified criminal-history check. For example, Pennsylvania directs people seeking a criminal history check to the state police rather than treating the UJS docket search as that check. Follow the relevant state’s instructions for background or criminal-history records.
Online access is also not a guarantee that every public filing is available digitally. The court’s jurisdiction, case type, filing date, access restrictions, retention schedule, and document-copy fees can all affect what you can find. Use the portal to locate and identify the case; use the clerk’s current instructions to determine how to inspect or obtain a specific filing.
