Start by defining the exact food item, quantity, delivery location and latest acceptable arrival time. Then use the International Foodservice Distributors Association (IFDA) member directory and the USDA Agricultural Marketing Service (AMS) Local Food Directories to find potential distributors, regional suppliers and food hubs. Treat every listing as a lead—not proof of live inventory—and call to confirm stock, substitutions, delivery timing and total delivered cost before ordering.
Define the shortage before searching
A backup is useful only if it can supply a product your operation can use, in the required quantity, at the right place and time. Write down the item’s name and SKU, if available, pack size, grade or cut, brand requirements, ingredient and allergen restrictions, and whether it must arrive fresh, frozen or shelf-stable.

Separate non-negotiable requirements from preferences. Record the quantity needed, delivery address and latest acceptable arrival time, then list acceptable substitutions. This gives each candidate the same specification to quote against and makes it easier to reject a product that looks similar but fails an operational requirement.

Foodservice distributors in the IFDA directory
Search the IFDA member directory for distributor candidates. IFDA describes its members as broadline, custom, convenience and specialty distributors serving food-away-from-home operations, including restaurants and institutions. A broadline candidate may be able to cover more of an order; a specialty distributor may be a better fit for a narrowly defined item. Check each company’s own product and service-area information, then confirm directly that it serves your location and handles the required product.

The directory is a way to discover businesses, not an endorsement, guarantee of coverage or live inventory feed.
Regional suppliers and food hubs in USDA directories
The USDA AMS Local Food Directories can help identify local food businesses, wholesale outlets and food hubs. USDA defines a food hub as a business or organization that actively manages the aggregation, distribution and marketing of source-identified products from multiple producers to multiple buyers, primarily in local and regional markets. Ask whether a hub handles the product, order size and delivery arrangement you need; a listing alone does not establish that it can fulfill your order.

Referrals from your existing network
Ask your current distributor’s representative, nearby foodservice operators, purchasing group or the product’s manufacturer representative for leads. These referrals can point you toward relevant suppliers, but they do not establish stock or service terms; verify those with the candidate.
What to confirm before placing an order
Call or email each candidate with the same item specification and questions. Do not assume an online catalog entry reflects inventory that is available for your order.

- Product: Is the exact item available? If not, what substitute is being offered, and what are its brand, pack size, grade or cut, ingredients and allergen details?
- Quantity: How much is physically available or allocated to your order?
- Timing: What is the order cutoff, and on what date can it arrive?
- Coverage: Does the supplier deliver to your address, and are there route or delivery-day limits?
- Order terms: What minimum order, delivery fees or other charges apply?
- Cost: What is the total delivered cost for the requested quantity, including applicable fees?
- Documentation: What product, lot, handling or traceability information can the supplier provide for your operation?
- Quote validity: How long will the price and availability confirmation remain valid?
Compare candidates on product fit, verified quantity, delivery date and territory, minimum order, total delivered cost, and the handling or traceability information your operation needs. The directories do not provide comparable live prices, inventory or service levels, so obtain those details from suppliers directly.
Approve substitutions and keep purchasing records
Before accepting a substitute, have the responsible buyer or food-safety lead check it against the recipe, allergen controls, labeling, customer commitments, contracts and applicable food-safety requirements. A product that is functionally similar may still be unsuitable because of an ingredient, pack-size or specification difference.

Keep the supplier’s confirmation and relevant product and lot information with your purchasing records. USDA FSIS provides food-defense resources for transporters, warehouses, distributors, retailers and restaurants; those resources are relevant to food moving through the supply chain, but they do not prescribe a universal supplier-approval checklist. Why public shortage notices are not enough
The U.S. Food and Drug Administration says that manufacturers of most food products generally are not required to notify the agency about supply disruptions in most cases. As a result, public shortage information may be incomplete; the absence of a public notice is not evidence that a product is readily available. Check with suppliers directly. Make the next stockout easier to handle
After the immediate order is resolved, tell the original supplier whether the backup purchase is temporary or could affect future volume. Save the backup supplier’s contact details, item mapping, last verified delivery area and date checked. On a later shortage, reconfirm stock, terms and delivery capacity rather than relying on an earlier quote or directory entry.
