Open the file in Preview, click an interactive field and type, or place a text box over the printed line when the form is not interactive. To add a signature, open the Markup toolbar, choose Sign, create or select a signature, then drag and resize it. Save the completed PDF and send it using the recipient’s requested method.
The important distinction is the kind of form and signature the recipient requires. A fillable PDF has programmed fields; a flat or scanned PDF is only a page image or fixed text. Preview handles ordinary entry and a visual signature mark. A certificate-based digital signature uses a Digital ID and follows a different process.

What you need before filling the PDF
Have the PDF saved locally or open it from Mail, Messages, Safari, or another app. Preview is included with macOS, so ordinary form completion does not require a separate purchase. Keep the original file unchanged if you may need to start over, and decide whether the recipient wants a visual signature or a certificate-based digital signature before you sign.

- A copy of the PDF: Save an attachment to a known folder if you need to find the finished file later.
- Your information: Have names, addresses, dates, identification numbers, and any supporting details ready.
- The recipient’s instructions: Some organizations accept a signature mark placed on the page; others require a Digital ID signature, a specific portal, or an unflattened form.
- Optional Apple device: Preview can capture a signature from the Mac trackpad, the built-in camera, or a nearby iPhone or iPad. You do not need to buy a dedicated signature pad.
Menu names can vary slightly between macOS releases, but the Preview workflow is substantially the same. If another application opens the file, Control-click it in Finder, choose Open With, and select Preview.

Identify whether the PDF is fillable
Click a field near the top of the form. If you see a text cursor, a highlighted field, or a control such as a checkbox or pop-up menu, the document is interactive. You can enter information directly and move from field to field.
If clicking does nothing, the file may be a flat form. A scan is normally just an image, while a digitally exported flat form may contain selectable text but no form controls. A flat PDF can still be completed by placing text boxes and a signature on top of the page. It cannot be made interactive merely by clicking it in Preview.
Security settings can also prevent editing. A document may display fields but refuse entry, copying, or saving. In that case, check the form creator’s instructions and request an unrestricted version if filling is intentionally disabled.

- Open the file in Preview. If it opened elsewhere, close that window and use Finder’s Open With > Preview.
- Click the first form field. Type the requested information. Use the field’s own formatting when it supplies a date selector, checkbox, or menu.
- Move through the form deliberately. Check that each value appears in the correct field rather than assuming the Tab order is logical. Long names or addresses may be clipped if the field has a fixed size.
- Complete checkboxes and menus. Click once to select a checkbox or open a menu, then verify that the selected state is visible before continuing.
- Review every page. Look for required fields, separate initials boxes, attachment references, and places where a second date or signature is requested.
Preview’s text entry changes the PDF itself, so do not close the window until you have saved a copy. If the form asks for a date, use the format shown beside the field rather than assuming that month-day-year is accepted.
Add text when the PDF is not fillable
When direct typing does not work, use Preview’s form-filling controls to overlay text on the page. This method is useful for a scanned application, a printed form that was saved as a PDF, or a document whose fields are missing.

- Show the form-filling or Markup toolbar. In Preview, choose the toolbar control that exposes annotation and text tools. The exact icon can differ by macOS version.
- Choose the Text Box tool. Click the tool, then click near the printed line or box where the answer belongs.
- Type the answer. Keep the text short enough to remain inside the intended area. If the box is too small, select the text box and adjust its size or text formatting.
- Position the box precisely. Drag its border until the baseline lines up with the printed form. Zoom in when placing small fields, initials, or dates.
- Repeat for each printed field. Create separate text boxes rather than one large box covering several questions; separate boxes are easier to move and review.
Overlay text is an annotation placed above the page, not a newly programmed field. If the recipient needs to edit the answers later, ask for a true fillable form instead of sending an overlay-only copy.
Use contact AutoFill when it is available
Preview can use contact information to populate supported forms. Apple documents the enhanced AutoFill feature for macOS 14.2 or later, and not every PDF supports it.

- Select the matching name from the menu.
- Inspect every inserted value, including apartment numbers, middle names, phone numbers, and email addresses.
- Type any missing information manually and correct fields that do not match the form’s requested format.
If the AutoFill control is absent, the Mac may be running an earlier macOS release, or the PDF may not expose compatible fields. Manual entry is the fallback; the feature’s absence does not mean the PDF cannot be completed.
Create and place your signature in Preview
Preview’s Sign tool creates a visual signature mark that you place on the document. You can capture it with the trackpad, built-in camera, or a nearby iPhone or iPad, or reuse a saved signature.
- Open the Markup toolbar. Click the Markup button in Preview’s toolbar if it is hidden.
- Choose Sign. Select the signature icon, then choose an existing signature or select the option to create one.
- Choose a capture method. Draw your signature on the trackpad, write it on white paper and show it to the Mac’s camera, or use a nearby iPhone or iPad when Preview offers that option.
- Confirm the signature. Preview stores the captured mark for later use on that Mac. If the result is unclear, delete it and capture a cleaner version.
- Insert it into the form. Select the signature thumbnail, click the document where it belongs, and drag it into the signature area.
- Resize and align it. Drag a corner handle to change its size without distorting it. Keep the mark inside the printed box and away from nearby text.
Add initials separately if the form requires them; a full signature in one location does not automatically satisfy an initials field. Use the same date format and placement requested by the form.

Visual signature marks and Digital ID signatures are different
A signature inserted with Preview is a visible mark. It shows a representation of your signature but does not by itself provide the certificate-based validation associated with a Digital ID.
A certificate-based digital signature uses a digital certificate to bind your identity to the document and can show whether the file changed after signing. Adobe documents a workflow that uses a Digital ID and can optionally lock the document after signing. The exact setup depends on the certificate provider and the recipient’s requirements.
Ask the receiving organization which type it accepts before placing a signature. If its instructions mention a certificate, Digital ID, digital certificate, document locking, or a required signing portal, do not assume that a Preview signature mark is sufficient. Conversely, for an ordinary form that simply asks you to sign and return a PDF, a placed signature may be the intended method.
Save the completed PDF correctly
- Review before saving. Read each page at normal zoom and then zoom in on signatures, dates, amounts, and small text boxes.
- Save a new copy when possible. Use File > Save and choose a new filename or destination so the untouched original remains available.
- Confirm the file type. Keep the document as a PDF. Do not export it to an image format unless the recipient explicitly asks for one.
- Close and reopen the saved copy. Verify that text, annotations, and the signature remain visible after reopening.
- Send the correct file. Attach the saved copy rather than the original blank form. Follow any naming, password, portal, or email instructions from the recipient.
For a PDF opened as an attachment from Mail, Apple documents using File > Save, then replying to the sender or starting a new message with the completed PDF attached. Saving first helps prevent accidentally sending the unedited attachment.
Complete a flat form with another Adobe workflow
If Preview’s text boxes are awkward or the recipient needs a cleaner flat-form workflow, Adobe documents Fill & Sign in Acrobat or Reader for adding text and a signature to non-interactive forms. The result is still a completed document rather than a form with newly programmed fields.

Creating a reusable fillable form is a separate job. Adobe says Acrobat Pro’s Prepare a form tool can convert a flat PDF into a fillable form by adding fields. That is useful when you are distributing a form to many people, not merely completing one copy for yourself.

Troubleshoot common problems
There is no typing cursor
Test another area of the form. If no field responds, treat the PDF as flat and use a Text Box annotation. If some fields work and others do not, the creator may have left certain areas as printed text; overlay text is appropriate for those areas.
The fields are visible but unavailable
A security restriction may block editing, or the form may be designed for a particular application or portal. Look for a permissions warning in the PDF’s information or security details, then contact the form creator for an unrestricted or compatible version. Do not try to bypass a restriction without authorization.
The text box is misaligned
Zoom in before dragging it. Resize the box from a corner, reduce the text size if the line is crowded, and leave a small margin so letters do not overlap the printed border. Separate boxes are easier to align than one box containing several answers.
The signature is too large or blurry
Select the signature and resize it from a corner. If the captured image is unclear, remove that saved signature and create a new one with darker writing, better lighting, or a steadier trackpad stroke. A camera capture should show the complete signature against a plain background.
The signature option is missing
Show the Markup toolbar first. If Sign still does not appear, the window may not be a Preview document, the toolbar may be customized, or the PDF may be open in another application. Reopen the file with Finder’s Open With > Preview and check the toolbar again.
AutoFill does not appear or fills the wrong details
Enhanced contact AutoFill requires macOS 14.2 or later and supported PDF fields. When it is unavailable, type the information manually. Always verify inserted contact data; AutoFill is a convenience, not a substitute for reviewing the form.
The recipient says the signature is invalid
Ask what they require. They may need a certificate-based Digital ID signature rather than a visible signature mark, or they may require signing in a specific service. Re-sign the document using the requested method instead of repeatedly moving the Preview signature.
The saved PDF looks unchanged
Make sure you saved the edited copy, not the original attachment. Close and reopen the saved file in Preview. If the recipient’s system hides annotations, ask whether it expects a flattened PDF or a certificate-based signature and follow its instructions.
Protect personal information while completing forms
PDF forms often contain addresses, account numbers, medical details, or government identifiers. Work from a trusted copy, avoid uploading sensitive files to an unapproved service, and send the finished document only through the channel specified by the recipient.
Keep the blank original and the completed copy in clearly named locations. If you must correct an answer, edit the saved working copy before signing. Changing content after a certificate-based signature can invalidate it; the recipient’s signing instructions should explain whether the document is locked after signing.
Final review checklist
- Every required field contains the intended information.
- Dates, amounts, names, and identification numbers match your source records.
- Checkboxes and menu selections show the correct state.
- Text boxes sit inside the printed fields and do not cover instructions.
- The signature is in every required signature location, with initials added where requested.
- The signature method matches the recipient’s requirement.
- The completed file was saved under a new, recognizable name.
- The saved PDF was closed and reopened to confirm that edits remain visible.
- The attachment or upload is the completed copy, not the blank original.
Which method should you use?
For a normal fillable PDF, Preview is the shortest path: open, click each field, type, sign with Markup, and save. For a flat or scanned page, stay in Preview and add text boxes if you are completing one copy. Use a form-preparation tool only when you need to create fields for other people. If the recipient specifies a Digital ID or certificate, use that signing workflow instead of treating a visual signature as equivalent.
