A regular taxpayer generally reports outward supplies in GSTR-1 and declares tax liability, adjustments and payment in GSTR-3B. Sign in to the GST Portal, open Services → Returns → Returns Dashboard, choose the financial year and tax period, prepare the applicable return, review the system-generated figures, pay any amount due and complete filing. Keep the acknowledgement and verify the next period’s date.
Do not rely on a generic calendar alone. Monthly and quarterly routes have different deadlines, QRMP taxpayers still make monthly tax payments, and government notifications can extend a due date. The date shown on the return tile for your selected period, together with the latest applicable notification, is the operational deadline.

What filing a GST return actually involves
A GST return is a prescribed statement submitted electronically for a GSTIN and tax period. The form you file depends on facts such as whether the registration is regular, casual or under a special scheme; whether the taxpayer has opted for QRMP; the nature of supplies; turnover; and the state or Union territory linked to the principal place of business.
For an ordinary registered business, compliance has two connected parts:
#1 Best Overall
- GSTR-1: the monthly or quarterly statement of outward supplies. It captures transaction-level and summary information that can affect recipients’ input-tax-credit records.
- GSTR-3B: the summary return in which the taxpayer reports relevant supplies, eligible credits, tax liability and payment. The portal uses the information entered or auto-populated to calculate the amount that must be discharged.
Saving data in a return, generating a preview or submitting a payment does not by itself mean that the return has been filed. Filing is complete only after the portal accepts the final submission and generates an acknowledgement.
The GST Portal’s Form GSTR-1 FAQ states: “Form GSTR-1 needs to be filed even if there is no business activity (Nil Return) in the tax period.” A nil period therefore requires a deliberate check of the applicable return tiles rather than an assumption that nothing needs to be done.
Decide which GST route applies before opening a return
Regular and casual taxpayers
The general GSTR-1 guidance covers applicable normal and casual registered taxpayers. A casual registration is temporary and is not treated as a regular registration merely because the business files through the same portal. Confirm the forms and frequency attached to the specific GSTIN before preparing data.

Composition taxpayers do not use the general GSTR-1 obligation described in the portal FAQ. Input service distributors are another category excluded from that general obligation. These registrations have their own statements or returns and should not be forced into a regular-taxpayer workflow.
Other registrations and special obligations
Registrations involving specialised activities, non-resident status, e-commerce responsibilities or other special roles may have additional forms. The Returns Dashboard is the first practical check: it displays the return tiles applicable to the GSTIN and period. If the tile set is unexpected, stop and confirm the registration profile or obtain professional advice before filing.
Monthly filing or QRMP
Eligible taxpayers can choose the Quarterly Return Monthly Payment (QRMP) scheme. Portal guidance describes a PAN-based aggregate annual-turnover ceiling of ₹5 crore and other prerequisites, including having filed the latest due GSTR-3B. Eligibility and selection windows are controlled by the current portal interface, so a taxpayer should not assume that crossing or falling below the threshold automatically changes the frequency in an already selected period.
QRMP reduces the number of return submissions, but it does not eliminate monthly cash management. Tax is generally paid each month for the first two months of a quarter through a challan, while GSTR-1 and GSTR-3B are filed quarterly. Some QRMP taxpayers also use the optional Invoice Furnishing Facility (IFF) to report selected business-to-business documents during the quarter.

Know what each return contains
| Return or facility | Purpose | Typical information or action | Who should pay particular attention |
|---|---|---|---|
| GSTR-1 | Statement of outward supplies | Invoice-level supplies, credit and debit notes, exports, advances and adjustments, amendments, exempt or nil-rated supplies, and an HSN/SAC summary | Applicable normal and casual registered taxpayers, including QRMP taxpayers filing their quarterly statement |
| GSTR-3B | Summary declaration of liability and payment | Taxable supplies, eligible input-tax-credit figures, tax payable, payments, interest and late-fee information shown by the portal | Taxpayers with a GSTR-3B tile, including QRMP taxpayers |
| IFF | Optional QRMP reporting window | Specified B2B invoices and related documents for the first two months of a quarter | QRMP taxpayers whose recipients need earlier visibility of eligible invoice details |
| PMT-06 challan | QRMP monthly tax payment mechanism | Monthly payment for the first two months of a quarter, using the schedule and balance requirements shown by the portal | QRMP taxpayers making payments before the quarterly GSTR-3B |
GSTR-1 details that are easy to miss
Do not limit GSTR-1 preparation to sales invoices. Reconcile credit notes, debit notes, export documents, advances and their adjustments, amendments to earlier records, exempt and nil-rated supplies, and the relevant HSN or SAC summary. A correction that changes a recipient’s invoice data can affect that recipient’s credit records, so source documents and invoice numbering should be checked before submission.
GSTR-3B is a liability and payment return
Use the records needed to establish the taxpayer’s outward liability, eligible credits and other values requested in the form. Compare the draft with the books and with data auto-populated by the portal. If tax is payable, create or use the appropriate challan and ensure that the electronic ledgers show sufficient balance before final filing.
Reconcile records before you log in
A return is easier to correct before filing than after it is accepted. Prepare a period-wise reconciliation that ties the following to the GSTIN and tax period:
- Sales invoices, amendments and cancelled documents.
- Credit and debit notes, including the invoice references they change.
- Exports, advances and subsequent adjustments.
- Exempt, nil-rated and non-taxable outward supplies where the form requests them.
- HSN or SAC totals that agree with the underlying invoices.
- Inward-supply and input-tax-credit information needed for the GSTR-3B figures.
- Tax payments, challans, ledger balances and any earlier interest or late-fee amounts.
The official guidance explains the return content and portal steps but does not prescribe one bookkeeping method for every business. Use the accounting system, spreadsheet or adviser-controlled process that preserves an audit trail from each reported figure to its source document.

Checks for multi-state or multi-registration businesses
GST compliance is registration-specific. Separate the records for each GSTIN, confirm the principal place of business attached to each registration, and do not combine turnover or tax figures merely because the legal entity has one PAN. QRMP eligibility is assessed on a PAN-based aggregate annual-turnover basis, while the return itself is filed for an individual GSTIN.
GST return deadline guide
The following are general patterns in official portal guidance, not guaranteed dates for every period. Extensions, waivers and special notifications can change the date. Always select the period in the Returns Dashboard and read the due date printed on that tile.
| Filing route | General pattern | What to verify |
|---|---|---|
| GSTR-1, monthly | Generally the 11th day of the succeeding month | That period’s dashboard tile, filing frequency and any extension notification |
| GSTR-1, quarterly | Generally the 13th day of the month after the quarter | Whether the GSTIN is on quarterly filing and whether a notification changed the date |
| QRMP GSTR-3B, quarterly | Generally the 22nd or 24th of the following month, depending on the principal-place-of-business location group | The location group shown for the GSTIN and the current portal notification |
| QRMP monthly tax payment | Monthly challan payment for the first two months of the quarter | The portal’s current PMT-06 schedule, required amount and available ledger balance |
| IFF for QRMP months one and two | Generally the 13th of the following month; optional | Whether the reporting window is still open and whether the documents qualify |
These patterns are useful for planning, but the period-specific portal date controls your operational calendar. Put a reminder several days before the displayed deadline so that reconciliation, payment and a failed upload do not push filing past the due date.

How to file a GST return on the GST Portal
- Confirm the registration profile. Have the GSTIN, legal name, taxpayer type, scheme, filing frequency and principal place of business available. Check whether the return tile is monthly, quarterly or a QRMP obligation.
- Open the correct period. Sign in to the GST Portal and choose Services → Returns → Returns Dashboard. Select the financial year and return period, then select Search. Read the applicable return tiles and their due dates.
- Prepare GSTR-1. Choose the GSTR-1 tile and enter data on the portal, or use the portal’s offline utility or a compatible ASP/GSP application. Upload or enter invoice details, notes, exports, advances, amendments, exempt or nil-rated supplies and the HSN/SAC summary as applicable.
- Validate the draft. Resolve validation errors, compare invoice counts and taxable values with the records, and inspect the preview or system-generated summary. Check that amendments point to the correct original document and that credit or debit notes are not duplicated.
- Prepare GSTR-3B. Open its tile when applicable, review auto-populated information, enter the required liability and credit figures, and compare the result with the reconciled records. A nil filing is available only when the portal’s conditions are satisfied.
- Pay amounts due. If GSTR-3B shows tax, interest or late fee, use the payment and ledger functions indicated by the portal. For QRMP, make the monthly challan payment for the applicable month rather than waiting for the quarterly return.
- File and retain proof. Complete the portal’s verification and filing action, then download the acknowledgement and filed-return PDF. Record the filing date, acknowledgement reference, payment challan and the next period’s deadline.
Online entry, offline utility or ASP/GSP
GSTR-1 can be prepared directly on the portal or through the official offline tool or a third-party ASP/GSP application supported by the portal. An offline or assisted workflow can reduce repetitive entry for large invoice volumes, but the taxpayer remains responsible for the uploaded data. Validate totals and sample invoices after every upload; do not treat a successful file import as proof that the values are correct.

How the cadence works
After choosing QRMP, the taxpayer generally files GSTR-1 and GSTR-3B once for the quarter. The first two months still require tax-payment action through a challan. The final month is accounted for in the quarterly returns, subject to the scheme’s calculation and payment rules shown on the portal.
The 22nd or 24th quarterly GSTR-3B pattern is tied to the principal place of business, not to the taxpayer’s preference. Confirm the applicable location group in the current schedule rather than copying another state’s date.
When IFF is useful
IFF is optional and is designed for specified B2B invoices and related documents from the first two months of a quarter. Its general reporting window is short. If the window closes, those documents cannot be furnished through IFF for that month; remaining details can be reported in a later IFF or in the quarterly GSTR-1, as applicable. Use IFF when earlier invoice visibility for recipients matters, and skip it when the cost of monthly document preparation outweighs that benefit.
QRMP selection and eligibility checks
Before selecting QRMP, verify the PAN-based aggregate annual turnover threshold, that the latest due GSTR-3B has been filed, and any other preconditions displayed by the portal. A change in turnover, a newly created registration or a missed return can affect eligibility. The portal’s selection window and status are authoritative for the relevant quarter.

Nil returns still require a filing decision
GSTR-1 must be filed even when there was no business activity for the period, according to the GST Portal FAQ. “No sales” is therefore not a reason to ignore the GSTR-1 tile.
A nil GSTR-3B is more restricted. The portal allows the nil option only when its conditions are met, including no relevant auto-populated data, no manual entries and no outstanding interest or late fee. If any of those conditions fails, the return must be completed through the applicable non-nil route or the outstanding amount must be addressed first.
Before selecting “Nil,” inspect the draft for auto-populated values, reverse-charge or other liability indicators, credit data and prior-period amounts. Keep a record of the checks that led to the nil filing, especially when the business was inactive but the registration remained live.
Late filing, interest and portal calculations
Late fees under the law
Section 47 of the Central Goods and Services Tax Act text hosted by the Central Board of Indirect Taxes and Customs contains late-fee provisions for specified supply details and returns, including statutory caps. The amount actually payable for a period can be affected by later amendments, notifications and waivers. Do not apply one universal late-fee number to every GSTIN or every form; use the liability displayed for the specific return and check the current legal notification.
GSTR-3B interest calculation from January 2026 periods
GSTN’s January 2026 advisory describes a portal change for GSTR-3B interest calculations from the January 2026 tax period onward. The calculation takes account of the minimum balance maintained in the Electronic Cash Ledger from the return due date until tax payment, in line with the cited proviso to Rule 88B(1). The resulting system calculation is populated in a subsequent period’s GSTR-3B.
If the figure seems unexpected, open the system-generated GSTR-3B PDF and compare it with the electronic-cash-ledger history, the payment date and the liability breakup supplied in the return. Treat the portal computation as period-specific and investigate discrepancies against the current rule and notification rather than overwriting a value without support.
What to do after missing a deadline
- File the outstanding return as soon as the portal permits.
- Review the system-generated late fee and interest before payment.
- Check whether a government waiver or extension applies to that period.
- Confirm that the next return does not carry an unresolved interest or fee that prevents a nil filing.
- Save the acknowledgement, payment reference and a note explaining the delay for internal records.
Corrections, amendments and financial-year cutoffs
Review the filed return against the source records before the correction window closes. GSTR-1 amendments can change invoice data, recipient visibility and tax totals, and a correction may be limited by a financial-year cutoff. The portal’s amendment fields and current instructions determine what can still be changed.
When correcting a document, identify the original invoice or note, record the reason for the amendment, and check whether the change affects GSTR-3B liability, the recipient’s credit or a later period. Do not create a second document when an amendment to the original is required.

The expected return tile is missing
Recheck the financial year, tax period, GSTIN and filing frequency. A composition or specialised registration may not have the regular GSTR-1 tile. If the profile is wrong, resolve the registration issue before attempting a substitute form.
Best Value
Uploaded data does not match the draft
Download the portal’s error report, correct the source file and re-upload only the affected records where the utility allows it. Compare invoice counts, taxable values, tax rates and note references after processing. Keep a copy of the accepted file and the error report.
A nil option is unavailable
Look for auto-populated data, manual entries, outstanding interest or late fee. Clear or settle the relevant issue only after confirming that the underlying transaction or liability is genuinely absent; do not delete a real liability to obtain a nil status.
The due date appears different from a calendar
Use the date on the selected-period tile. General dates can be extended or replaced by a notification, and QRMP quarterly dates differ by location group.
Interest is higher than expected
Review the liability breakup, payment date, cash-ledger minimum balance and the system-generated PDF. For periods from January 2026 onward, the portal’s revised calculation may account for the minimum electronic cash-ledger balance described in GSTN’s advisory.
Payment succeeded but filing is incomplete
Check whether the challan created balance in the correct electronic ledger and whether the final verification and filing action was completed. Download the acknowledgement only after the portal shows the return as filed.
A practical compliance calendar
Use a recurring process rather than waiting for the due-date week:
- Immediately after period close: lock the sales register, notes, exports, advances and HSN/SAC totals for each GSTIN.
- During reconciliation: compare outward-supply records with GSTR-1 requirements and prepare the GSTR-3B liability and credit figures.
- Before the portal deadline: open the Returns Dashboard, verify the tile and date, prepare drafts and resolve validation errors.
- For QRMP months one and two: decide whether IFF is needed and complete the monthly challan payment on the portal’s schedule.
- After filing: download acknowledgements and PDFs, update the compliance register and set the next reminder.
- At quarter or financial-year close: review amendments, unresolved notices, ledger balances and any cutoff affecting corrections.
For businesses with several registrations, assign an owner to each GSTIN and maintain a central list of period, form, due date, filing status, acknowledgement and payment reference. This prevents a filed return for one state from being mistaken for compliance across the whole entity.
When professional help is sensible
Electronic filing itself does not require a particular product or device. A business can use the GST Portal, its offline utilities or a compatible ASP/GSP application. Professional assistance is sensible when the registration has multiple states, exports, complex credit adjustments, large amendments, reverse-charge questions, a notice, a disputed interest calculation or uncertainty about scheme eligibility.
If engaging a practitioner, verify qualifications, scope, data-access controls, filing responsibility, review procedures and fees. The taxpayer should still retain source records and the final acknowledgement; outsourcing data entry does not transfer the legal responsibility to keep the return accurate.
The rule that prevents most GST deadline mistakes
Classify the GSTIN first, reconcile the records second, and use the period-specific Returns Dashboard date as the controlling deadline. File every required nil return, keep QRMP payments on a monthly routine, use IFF only when its short window serves a real recipient need, and inspect the portal’s fee and interest computation before final submission. If the registration, scheme or correction is not straightforward, check the current notification and obtain advice suited to that GSTIN and tax period.
