Keep the contract, proof of purchase, and a dated record of every step. There is no single claim process or filing deadline for every plan.
First, identify the coverage and the company handling it
An “extended warranty” usually means a service contract purchased separately from the appliance. It is different from the written warranty included with the appliance; the terms and applicable rules may differ. The Federal Trade Commission (FTC) advises consumers to find out who provides the coverage and how to make a claim. Read the FTC’s guide to extended warranties and service contracts.

Find the plan certificate, full terms, confirmation email, or retailer-account record. Identify the administrator or obligor and the precise phone number, website, or other claim channel the plan specifies. The retailer, appliance maker, insurer, and company administering the plan may be different entities, so do not assume that contacting the manufacturer is the right first step.

Read the contract for the coverage period, appliance identification, covered failures, exclusions, service fee or deductible, reimbursement limits, and any maintenance or use conditions. Do not assume a breakdown is covered simply because the appliance stopped working: the FTC advises checking what the contract actually covers, along with its fees, limits, and exclusions.

Also look for the prescribed repair route. The plan may arrange a technician, direct you to an authorized service provider, require the appliance to be returned to the seller, or permit reimbursement after an approved repair. Ask what must be approved before work begins. Paying for a repair first could conflict with the plan’s requirements.
Deadlines, fees, and reimbursement periods depend on the individual plan. Check the contract for when and how to submit a claim, any per-service charge or shipping cost, reimbursement caps, and what happens if repair is not possible. California’s Bureau of Household Goods and Services provides California-specific protection-plan guidance, including questions to ask about claim timing and repair outcomes; it is not a nationwide regulator.

Gather the records that will help you file
Have the plan certificate and appliance purchase receipt available. The FTC specifically recommends keeping the warranty and product receipt. Depending on the plan’s instructions, it may also help to have the appliance’s make, model, and serial number, a concise description of the failure, and dated notes about when the problem began.

Keep copies of claim submissions and provider messages. Estimates or invoices are useful if the plan requests them or has authorized the work; they are not universal requirements. Follow the document list and submission instructions in your own contract.

Submit the claim through the plan’s stated channel
- Use the contact route in the contract. Submit online, by phone, or by another method only if the plan identifies it as an accepted claim channel.
- Describe the problem clearly. Give the appliance details and symptoms requested by the provider. Stick to what you observed and when.
- Ask what happens next. Confirm whether the provider will dispatch a technician, name an authorized servicer, require a return to the seller, or consider reimbursement for approved work. As the FTC puts it: “Find out how to make a claim, who takes care of repairs, and if you’ll need to return the item to the store where you bought it.”
- Confirm approval and costs before authorizing work. Ask whether the repair must be approved in advance, what service fee or deductible applies, and whether you need to submit any additional records.
- Save the confirmation. Record the submission date, claim or confirmation number, instructions, and the next promised step.
Track the claim and keep communications together
Maintain a simple dated log of calls, messages, and service visits. Note the name or department you spoke with, what you were told, and any deadline or next step the provider gave you. Save copies of receipts, forms, estimates, and written decisions. This recordkeeping can make follow-up clearer; the contract remains the authority for formal notice and submission requirements.

Ask the provider to explain the decision and identify the specific contract language it relied on. Keep the denial and related communications, then use the provider’s complaint or appeal process if one is available. For unresolved problems, the FTC says consumers can report an issue at ReportFraud.ftc.gov and contact their state attorney general. Check your state’s consumer-protection office or relevant regulator for local options.
