How to File a GST Refund Application and Track Its Status in India

File the claim in FORM GST RFD-01 on the GST Portal, save the generated ARN, and track the application under Services > Refunds > Track Application Status. That GST Portal view covers the claim and officer workflow. Bank-account validation and actual payment follow a separate path in the Public Financial Management System (PFMS), where you check GST-registered and payment-processing statuses. A payment order (RFD-05) does not by itself prove that money has reached your bank account.

The labels and eligibility checks can change. This guide reflects official GSTN material checked on 13 October 2026; follow the live portal prompts and the instructions for your specific refund category.

What the GST refund workflow includes

A refund claim normally starts when the taxpayer submits FORM GST RFD-01, the GSTN application for refund. The officer-side workflow can then generate one or more of these forms:

Form Purpose in the workflow
RFD-01 Taxpayer’s refund application
RFD-02 Acknowledgement of the application
RFD-03 Deficiency memo when the application has a deficiency
RFD-04 Provisional refund order, where applicable
RFD-05 Payment order issued by the officer
RFD-06 Final refund order

Not every claim passes through every form. The route depends on the refund category, the documents and calculations submitted, and the officer’s action. A show-cause notice and a reply can also arise in some cases. GSTN’s refund-tracking advisory describes the overall sequence.

Think of the process as two linked tracks rather than one status bar. The GST Portal records the legal claim, notices, replies and orders. PFMS handles account validation and the movement of an authorized payment toward the bank. A claim can therefore be complete on one track while still waiting on the other.

Before you file: confirm the category and prerequisites

Refund categories have different claim periods, calculations and supporting evidence. Select the category that actually describes the underlying transaction or tax payment, then read the current instructions shown by the portal. A document list for one category should not be assumed to apply to another.

Check whether your filing period is allowed

GSTN functionality notes describe QRMP taxpayers as restricted to quarterly refund claims. Treat that as a category and taxpayer-specific check, not as a universal rule for every refund. Confirm the eligible period in the live portal before preparing the application. If the portal does not offer the period you expected, do not force a different period or create a second claim without first checking the applicable instructions.

Check authentication requirements

GSTN’s January–March 2022 functionality compilation describes Aadhaar authentication or e-KYC requirements for specified refund filing and export-refund workflows. The note is dated and does not establish a single requirement for every claimant. If the portal requests Aadhaar authentication or e-KYC, complete the prompted process before submission; if it does not, follow the current requirement for your claim type.

Prepare the bank account and PAN details

The bank account used for refund disbursement must pass validation. GST Portal guidance explains that the bank-held PAN is compared with the PAN maintained for the GSTIN. Before filing, verify the account number, IFSC and account holder information in the GST registration records and with the bank. An account can show successful, failed or in-progress validation, and validation can carry a remark such as an account being inactive or suspended. Read the exact status instead of treating every non-success message as the same problem. The GSTN bank-account guidance explains these indicators.

Make the application internally consistent

Use the same GSTIN, legal name, period and bank details throughout the application and attachments. Reconcile the amount entered in RFD-01 with the schedules or records uploaded for that category. Check that files open, are legible and relate to the claim period. These are practical quality controls, not a substitute for the category-specific rules, but they make it easier to answer a deficiency memo and to identify whether a later status belongs to the intended claim.

How to submit FORM GST RFD-01

  1. Sign in to the official GST Portal. Use the taxpayer account associated with the GSTIN that will receive the refund.
  2. Open the refund service. Use the live portal’s Services menu and the Refunds option. Choose the refund category and period requested by the portal.
  3. Enter the claim details. Provide the figures and transaction information required for that category. Do not reuse a calculation or attachment list from a different category.
  4. Attach the evidence requested on screen. Include the records the selected category requires and ensure that the uploaded files support the amounts entered.
  5. Complete any prompted authentication. If Aadhaar authentication, e-KYC or another verification is required for this workflow, finish it before submission.
  6. Submit and authenticate the application. Follow the portal’s electronic verification/signature prompt and wait for the submission confirmation.
  7. Save the ARN and acknowledgement. The Application Reference Number (ARN) is the key identifier for GST Portal tracking. Keep the acknowledgement, submitted form and uploaded evidence with the ARN.

GSTN identifies RFD-01 as the taxpayer’s refund application and RFD-02 as the acknowledgement. The portal may instead issue a deficiency memo (RFD-03) if the application is deficient. The GST forms reference lists these forms.

Record the filing year along with the ARN. The tracking page can ask for either value, and keeping both avoids confusion where several claims have similar dates or categories. Save a PDF or screenshot of the submitted application, the acknowledgement and the uploaded evidence in a folder named with the ARN. This is especially useful if a notice or correction is issued later.

Track the application on the GST Portal

Logged-in route

  1. Sign in to the GST Portal.
  2. Open Services > Refunds > Track Application Status.
  3. Select the relevant filing year or enter the ARN, as the page allows.
  4. Search and open the matching application.

This view tells you where the refund claim is in the officer/taxpayer workflow and whether an action is pending with the officer or with you. It is the correct place to check an application acknowledgement, deficiency or order stage.

Pre-login ARN route

GSTN functionality notes also describe tracking without signing in: open Services > Track Application Status, choose Refund, enter the ARN and search. The portal’s labels can change, so use the current Refund tracking option displayed on the live site. If the pre-login route does not expose a particular detail, sign in and use the logged-in route.

What to record when you check

  • ARN and filing year used for the search.
  • Displayed application stage and the date of the latest update.
  • Whether the next action is assigned to the officer or to the taxpayer.
  • Any deficiency memo, notice, reply requirement or order reference shown by the portal.
  • The form number associated with an order, such as RFD-04, RFD-05 or RFD-06.

A status that says the officer must act is not a request to upload the same application again. A status that identifies a taxpayer action should be opened and read carefully: the required response, supporting documents and deadline are tied to that particular record. Keep the original ARN in every response or communication.

Track bank validation and payment in PFMS

GST Portal tracking and PFMS tracking answer different questions. GST Portal status follows the refund claim and officer processing. PFMS follows the bank-account validation and the movement of a payment toward disbursement.

First PFMS check: after RFD-01

After the refund application is filed, PFMS performs a bank-account validation. In PFMS, use the GST Registered option and search with the GSTIN or account number, as described in GSTN’s official refund-tracking advisory. This check concerns whether the registered account can be validated; it is not a confirmation that a refund has been paid.

If the first check returns no record immediately, confirm that you used the correct GSTIN or account number and allow for the record to move through the workflow. Do not interpret an empty result as proof that the GST Portal application failed. Use the ARN on the GST Portal to confirm that RFD-01 was submitted, then use PFMS for the separate account-validation question.

Second PFMS check: after RFD-05

Once the officer issues the payment order (RFD-05), PFMS validates the account again and continues its internal payment and bank-disbursement processing. Select GST Successfully Processed to look for the post-payment-order record. If no record appears, check GST Under Process, where PFMS displays validation-error descriptions when available. A status of successfully processed or under process still describes PFMS processing, not necessarily a credit already visible in the bank account.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Check the bank statement separately for the actual credit. PFMS status and the bank’s customer-facing balance can update at different points. If PFMS shows an error, preserve the wording or screenshot because the error description identifies what must be corrected. If the issue is incorrect bank details, follow the refund-specific correction path rather than changing unrelated registration data and assuming the existing payment order will update automatically.

GST Portal versus PFMS: use the right status for the question

What you see or need to know What it represents Where to check
Application pending with officer or taxpayer Processing of the refund claim GST Portal refund tracking
Bank validation after filing RFD-01 Initial PFMS account-validation stage PFMS, GST Registered, using GSTIN or account number
RFD-05/payment order issued The officer has ordered payment; PFMS validation and disbursement still follow GST Portal for the order, then PFMS
GST Successfully Processed PFMS has a post-payment-order record in its processing flow PFMS
GST Under Process PFMS is still processing or has displayed a validation error PFMS

The practical rule is simple: do not treat a GST Portal order as a bank credit, and do not use PFMS to infer that the officer has finished examining the claim. Check both systems when the claim has reached the payment stage.

Fix common bank-account validation problems

Bank PAN does not match the GSTIN PAN

GST Portal guidance says validation depends on the PAN maintained by the bank matching the PAN supplied for the GSTIN. If PFMS reports a mismatch, compare the PAN in the bank’s customer records with the PAN linked to the GST registration. Correct the record with the responsible institution, then follow the portal’s instructions for updating the refund application or account details.

Validation is failed or remains in progress

Failed and in-progress indicators are different states. Read the accompanying remark and PFMS error description, if displayed. Confirm the account number, IFSC, account status and PAN before changing anything. Avoid opening a duplicate refund claim merely because validation is delayed; first resolve the displayed issue and monitor the existing ARN.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The account is marked inactive or suspended

GSTN guidance says validation can complete with remarks, including an account that is not in use or has been suspended, and that such an account may still be usable for refunds. Because the treatment depends on the exact status and current portal behavior, inspect the remark and confirm the account’s usability with the bank rather than assuming that a remark always means rejection.

PFMS has incorrect bank details after RFD-05

GSTN’s tracking advisory states that, when bank details are incorrect, the taxpayer must update them in the refund application and the officer must re-issue RFD-05. Updating a bank account elsewhere without following this refund-specific correction path will not by itself replace the payment order already issued. After the officer re-issues the order, repeat the PFMS post-payment-order checks instead of relying on the earlier result.

How to handle a deficiency or a requested taxpayer action

If the GST Portal shows a deficiency memo (RFD-03), notice or another taxpayer action, open the item from the application record and follow the current response instructions. Check the deadline and the documents or explanation requested, then submit the response through the specified portal function. Keep the response acknowledgement with the original ARN. A deficiency stage is part of the officer/taxpayer claim workflow; PFMS cannot replace a response on the GST Portal.

Do not assume that a deficiency memo is the same as a payment rejection. It identifies a problem in the application that must be addressed through the GST Portal workflow. Likewise, a show-cause notice and its reply are part of the claim examination; they do not become visible merely by checking PFMS. Keep a dated copy of every response and any revised attachment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What each form means for your next action

  • RFD-02: retain the acknowledgement and use its reference when checking the claim.
  • RFD-03: read the deficiency, correct or explain what is requested, and submit the response in the stated manner.
  • RFD-04: treat a provisional order as an officer order within the claim workflow; continue monitoring the final and payment stages shown for the application.
  • RFD-05: move your attention to PFMS for the second validation and disbursement-processing checks, while keeping the order with the claim records.
  • RFD-06: retain the final order and compare its outcome with the payment information shown in PFMS and your bank account.

These descriptions explain the usual relationship between the forms; the portal may not display every form for every category or claim.

A practical tracking checklist

  • Confirm the refund category, claim period and any category-specific calculation or evidence requirement.
  • Check whether your taxpayer type, including QRMP status, affects the filing period shown by the portal.
  • Complete any Aadhaar authentication or e-KYC prompt that applies to your workflow.
  • Verify the bank account, IFSC and PAN alignment before submission.
  • Submit RFD-01 and save the ARN, acknowledgement and a copy of the application.
  • Use GST Portal tracking with the filing year or ARN to monitor officer/taxpayer actions.
  • Use PFMS GST Registered for the initial post-filing account check.
  • After RFD-05, check PFMS GST Successfully Processed; if nothing appears, check GST Under Process and read any error description.
  • If details are wrong, update the refund application as instructed and ensure the officer re-issues RFD-05.
  • Retain screenshots or downloaded acknowledgements for each material status change.

Common mistakes that slow tracking

  • Searching PFMS when the question is whether the officer has acknowledged or examined the claim.
  • Searching only the GST Portal after RFD-05 and assuming the order means the bank has been credited.
  • Using a GSTIN or account number with a typing error, or omitting the filing year when the GST Portal requires it.
  • Submitting a new claim because a PFMS record is not yet visible, creating avoidable confusion around the original ARN.
  • Ignoring a remark attached to a failed, in-progress, inactive or suspended account status.
  • Changing bank details without ensuring that the officer re-issues RFD-05 when the advisory requires it.
  • Applying a QRMP timing assumption or an Aadhaar/e-KYC note to a category for which the current portal gives different instructions.

What the official material does not establish

GSTN’s published workflow material does not provide a universal processing-time promise, success rate or refund-volume statistic for all categories. Processing can depend on the claim type, documents, officer action, validation results and bank processing. Do not rely on an online average as a deadline for your own claim; rely on the status and response dates shown for your ARN.

Likewise, QRMP timing and Aadhaar/e-KYC references come from dated functionality notes. They are useful checks, not a complete current eligibility rulebook. The live GST Portal instructions and the applicable GST rules for your category control the filing.

When professional help is sensible

Most taxpayers can follow the portal workflow themselves when the category, figures and records are straightforward. Optional assistance from a qualified Indian GST practitioner or chartered accountant may be sensible when the calculation is complex, several tax periods are involved, a deficiency memo requires a detailed response, or the portal and PFMS show conflicting information. You remain responsible for reviewing the category, figures, bank details and the response submitted in your name.

Frequently Asked Questions

What form starts a GST refund application?

The taxpayer starts the process with FORM GST RFD-01 on the GST Portal. Save the ARN generated after submission and retain the acknowledgement.

Where do I track a submitted GST refund?

On the GST Portal, use Services > Refunds > Track Application Status, then search with the filing year or ARN. GSTN functionality notes also describe a pre-login Services > Track Application Status route where you choose Refund and enter the ARN.

What does the GST Portal track, and what does PFMS track?

The GST Portal tracks the refund claim, officer examination, taxpayer actions, notices and orders. PFMS tracks bank-account validation and payment/disbursement processing. They are complementary, not interchangeable.

Does RFD-05 mean the refund is already in my bank account?

No. RFD-05 is the officer’s payment order. PFMS must validate the account again and process the payment, and the bank must post the credit. Check PFMS and your bank statement.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Which PFMS options should I use?

For the post-RFD-01 account check, use GST Registered and search with the GSTIN or account number. After RFD-05, look under GST Successfully Processed; if no record appears, check GST Under Process and read any validation-error description.

Why can bank validation fail even when the GSTIN is correct?

GSTN says validation compares the PAN maintained by the bank with the PAN supplied for the GSTIN. Check the bank’s PAN record, account number, IFSC and account status, then follow the correction instructions shown for the refund.

What should I do if PFMS has incorrect bank details after RFD-05?

Update the details in the refund application as instructed by GSTN and ensure the officer re-issues RFD-05. A separate bank-account update does not automatically replace an already issued payment order.

Are QRMP and Aadhaar requirements the same for every refund claimant?

No. GSTN notes describe quarterly claims for QRMP taxpayers and Aadhaar authentication or e-KYC for specified workflows. These are taxpayer- and category-specific checks; follow the current portal prompt and applicable instructions.

How long will a GST refund take?

The cited GSTN workflow material does not establish one universal processing time or success rate. Timing can depend on the category, documents, officer action, validation and bank processing, so monitor the dates and actions shown for your ARN.

The Bottom Line

Submit the correct category in RFD-01, preserve the ARN and acknowledgement, and use the GST Portal for claim-stage actions. After filing, use PFMS for bank validation; after RFD-05, check GST Successfully Processed and GST Under Process, then confirm the actual credit with your bank. Correct mismatched details through the refund application and re-issued payment order process rather than opening a duplicate claim.
