How to Extract Text from Images: OCR Methods for Photos, Screenshots, and Scanned PDFs

To extract text from an image, use optical character recognition (OCR): software reads the visible characters and turns them into text you can copy, search, or edit. For a quick one-off, OneNote desktop can copy text from a picture. For a searchable scanned PDF, use Acrobat’s Scan & OCR workflow. For recurring or structured extraction, choose an OCR API or desktop automation based on the output you need. Always compare important results with the original image.

Choose an OCR method for the job

The right method depends less on which product is “best” than on what you have and what you need back. A screenshot of a few lines, a camera photo of a receipt, and a 200-page scanned form are different OCR tasks.

These are workflow distinctions, not a shared accuracy ranking. There is no supported universal accuracy percentage or winner across these options. If accuracy matters for a recurring task, compare results on representative images in the languages and conditions you actually use.

Copy text from a picture with OneNote desktop

Microsoft documents a right-click workflow in desktop OneNote. The feature is useful when you already have a picture or printout and want text you can paste elsewhere; it does not turn the source image into a formatted, searchable PDF.

  1. Open OneNote desktop and insert the picture, or insert a printout of the document.
  2. Right-click the picture or the relevant printout page.
  3. Choose Copy Text from Picture.
  4. Paste into a note, document, spreadsheet, or other destination, then proofread against the image.

For a multi-page printout, Microsoft describes copying text from the selected page or from all pages. The command may take time to appear depending on complexity, legibility, and the amount of text. Microsoft Support says some results may take 24–48 hours to become available; treat that as a possible delay for this OneNote feature, not a normal OCR processing-time estimate. Microsoft’s OneNote for the web guidance says this picture-text-copy function is not available in the web app and points users to desktop OneNote: OneNote picture and printout OCR and OneNote for the web.

When this method is a poor fit

  • You need the extracted text to preserve document layout or become an editable PDF.
  • The source has handwriting, tiny type, strong skew, glare, or decorative fonts.
  • You need predictable immediate processing for a deadline; Microsoft notes some results can be delayed.

Make a scanned PDF searchable with Acrobat

Use Acrobat when the goal is a document that can be searched and whose recognized text can be edited, rather than just a clipboard copy. Adobe’s guide, updated April 23, 2026, describes opening an image or scanned document, enhancing the image and page borders if needed, and running text recognition. The web flow is labeled Convert > Recognize text with OCR.

  1. Open the photo or scanned document in Acrobat. You can also capture a document with a connected scanner or Adobe Scan.
  2. Choose Scan & OCR and use the image-enhancement or page-straightening options when the capture is crooked or unclear.
  3. Choose Recognize text.
  4. Search for a word or select text to confirm recognition. Review unclear words and correct OCR errors before relying on the document.
  5. Save the resulting PDF and test it by searching for a word that is visibly present in the scan.

Text recognition does not guarantee faithful layout

OCR converts image content into text, but the result still needs review. Check columns, tables, page breaks, punctuation, and symbols in addition to whether individual words were recognized. If you need a visually faithful document, retain the original scan and treat the recognized text layer as a searchable aid until you have checked it.

Extract text from a phone photo

Microsoft’s support page for Lens on Android describes a Text mode for capturing and extracting text. Product availability and support can change, so check the current store listing and platform support before relying on Lens for a new workflow.

  1. Select Text mode and choose the language.
  2. Frame the text clearly and capture it.
  3. Adjust the crop so it includes the text and excludes unnecessary background.
  4. Continue, then copy or share the extracted result.

The same documentation describes PDF and Word/OneDrive/OneNote output routes. It lists OCR language support and notes that handwriting extraction is limited to English. Consult Microsoft’s current Lens for Android instructions and Lens availability and support information before recommending it to a team or building it into a process.

Use OCR for batches or dense documents

For programmatic extraction, distinguish general scene text from document OCR. Google Cloud Vision documents two relevant paths: TEXT_DETECTION for text in general images, with an overall string, words, and bounding boxes; and DOCUMENT_TEXT_DETECTION for dense text, with page, block, paragraph, word, and break structure. Google directs scanned-document use cases that need structured form parsing or entity extraction toward Document AI. Select the interface from the required result: a readable string, spatial locations, or document structure. See Google Cloud Vision OCR documentation.

Repeated desktop processing

For a recurring Windows workflow, Power Automate Desktop has OCR actions using Windows OCR or Tesseract engines. Its settings include language and image width/height multipliers. Those are configuration choices, not evidence that one engine is universally more accurate. Microsoft’s documentation is at Power Automate Desktop OCR actions.

What to test before automating

  • Use examples from the real image sources: screenshots, camera photos, scans, or forms.
  • Include difficult cases such as low contrast, skew, small print, multiple columns, and non-English text.
  • Decide whether the output needs only text, bounding boxes, or a hierarchy of pages and fields.
  • Set a review route for fields where one character can change meaning, such as account numbers, dates, names, and amounts.

Improve recognition and catch errors

OCR quality is constrained by the pixels the software receives. Start with a sharp image, readable text, and a crop that keeps the relevant lines in frame. Avoid glare, motion blur, perspective distortion, and a crop that cuts off characters. If capturing a page, flatten it and keep the page edges visible; Acrobat’s image enhancement and straightening options can help with a poor scan.

  • Printed text: clean, high-contrast print is generally a better input than faint or tiny text.
  • Handwriting and stylized type: expect more recognition errors. Microsoft’s guidance warns that handwritten or highly stylized/script-like text may not work well in OneNote.
  • Languages: select or configure the correct language where the tool provides that option. Check support for the specific product and workflow.
  • High-cost fields: verify names, amounts, dates, codes, and legal or medical text character by character.
  • Layout: if line order or form structure matters, choose a workflow that returns structure rather than assuming plain text preserves it.

Microsoft’s guidance for OneNote stresses that image quality affects OCR and recommends checking the pasted result. Its Mac-specific page says OneNote OCR uses Microsoft online services and that contents of files are not stored on Microsoft’s servers; that wording applies to the described Mac behavior, not every OneNote version or Microsoft service. Protect sensitive images and documents

Before uploading confidential material to a cloud OCR service, review the current service terms, retention settings, access controls, and data-residency requirements relevant to your account and region. HTTPS protects data in transit; it does not by itself establish how long input or results are retained, where they are processed, or who may access them.

Microsoft’s Azure Vision OCR privacy documentation says supported inputs can include PNG, JPG, and BMP images and PDF/TIFF documents, with results including recognized lines or words, locations, and confidence scores. It says Foundry Tools endpoints use HTTPS in transit. Those statements describe the documented service behavior, not a blanket compliance determination for a particular organization. Review Microsoft’s Azure Vision OCR privacy and security information alongside your organization’s requirements.

Troubleshoot common OCR problems

Symptom Likely cause What to try
Text is missing or garbled Blur, low contrast, small type, glare, or a poor crop Retake or rescan sharply, crop closer without clipping characters, and improve lighting or contrast.

Can I extract text from an image-only PDF?

Yes. Run OCR on the PDF, then check that searching for visible words works and review important text against the page image.

Does OCR preserve the original formatting?

Not necessarily. Plain-text extraction may lose columns, spacing, and form structure; use a workflow that returns document structure when layout matters.

Is there a universal OCR accuracy percentage?

No shared accuracy figure establishes how these tools compare on all images. Results depend on image quality, language, typography, and the tool’s task.
