How to Export and Back Up Classic Outlook Settings and Data

In classic Outlook for Windows, export the mail, contacts, calendar items, and attachments you need to an Outlook Data File (.pst) through File > Open & Export > Import/Export. A PST is a copy of selected mailbox data, not a complete backup of Outlook’s configuration. Export rules separately, verify that older messages have synchronized, and keep the PST outside any OneDrive-synced folder.

What a classic Outlook backup actually includes

The supported export workflow creates a .pst file containing the Outlook items you select. Microsoft says the export copies email, contacts, and calendar information, includes email attachments, and leaves the originals in Outlook. It does not delete or move the source items. See Microsoft’s current procedure in Export emails, contacts, and calendar items to Outlook using a .pst file.

As an Amazon Associate I earn from qualifying purchases.

That distinction matters because the word “settings” covers several different kinds of information. A PST is appropriate for portable copies of mailbox content, but it is not a single-file image of every Outlook preference. Microsoft explicitly says that an export does not include folder metadata such as views, permissions, and AutoArchive settings, message rules, or blocked-sender lists.

Item Where it is preserved What to know
Email and attachments PST when the folders are selected Attachments travel with their messages; the originals remain in the mailbox.
Contacts and calendar items PST when included in the export scope Choose the relevant folders or the account root with subfolders enabled.
Folder hierarchy and items PST when Include subfolders is selected The export scope follows the account or folder you choose.
Message rules Separate .rwz rules file Use classic Outlook’s rules export; rules are not inside the PST.
Blocked senders Not preserved by PST export Record or recreate the list separately if it is important to your workflow.
Folder views, permissions, and AutoArchive settings Not preserved by PST export These are folder metadata rather than mailbox items.
Some Outlook preferences Cloud-based settings migration in supported scenarios Signatures, Quick Steps, default font, display and calendar preferences, and other mail preferences may be imported into new Outlook when the documented prerequisites are met; this is not a general settings archive.

Check these conditions before exporting

Use the intended account in classic Outlook

Classic Outlook exports one account at a time. Open the desktop client and confirm that the account, mailbox, or folder you intend to preserve is the one selected in the folder list. If several accounts are configured, do not assume the wizard will combine them automatically; repeat the export for each account that needs its own copy.

Make sure the required date range is synchronized

Cached Exchange Mode can limit what is available locally for export. Microsoft says Outlook commonly downloads the past year by default and recommends moving the synchronization setting to All when every message is required. The export can otherwise contain only the items currently present in the cache. If you need mail older than the cached period, allow synchronization to finish before exporting. Microsoft’s export guidance also describes turning off Cached Exchange Mode when an export beyond the cached period is required; the exact control can vary with the current Outlook build and account configuration.

Scroll through older folders or use Outlook search after synchronization to confirm that the earliest messages you expect are visible. An export cannot copy items that Outlook has not downloaded to the local profile.

Choose a stable destination

Save the PST to a local folder that is not inside OneDrive. Microsoft warns that OneDrive blocks automatic syncing for Outlook PST files. OneDrive therefore should not be treated as the place to keep an actively used PST or as proof that the export is safely backed up. After the export completes, place a second copy on storage that is separate from the computer’s primary drive if you need protection against a drive or computer failure.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Decide whether to protect the PST with a password

The export wizard can apply a password to the PST. Keep that password in a secure password manager or another protected record: it is required to open the file. A PST password is only one control around one file; it does not secure every copy, the mailbox itself, or the destination device.

Plan the scope before you start

Write down what the export is meant to accomplish. A complete account copy normally means selecting the account root and checking Include subfolders. A smaller archive might include only a project folder, Contacts, or Calendar. Selecting a single folder is faster and produces a smaller file, but it will not include unrelated folders, even if they are visible in the same mailbox.

For multiple accounts, make a separate PST for each account or clearly label the scope in one export plan. Include the account address, folder scope, and date in each filename. A dated naming pattern such as finance-account-all-folders-2026-10-16.pst makes it easier to identify which snapshot should be restored. Keep a short record of the Outlook profile, synchronization setting, and folders selected; that record is useful when the export is opened months later.

Export mail, contacts, and calendar data to a PST

  1. Open classic Outlook for Windows. Verify the account and folder list, and wait for the required messages to finish synchronizing.
  2. Start the wizard. Select File > Open & Export > Import/Export.
  3. Choose an export. Select Export to a file, then choose Outlook Data File (.pst).
  4. Select the source. Choose the account root for a broad backup, or select a particular folder for a narrower archive. Turn on Include subfolders when the export should contain the folder hierarchy beneath that selection.
  5. Choose the destination. Enter a filename and save it outside OneDrive-synced folders. Use a name that identifies the account and export date, such as account-outlook-2026-10-16.pst.
  6. Complete the export. Set a PST password if desired, record it safely, and finish the wizard. Large mailboxes can take time; do not assume the file is complete until the wizard reports success and the file is present at the chosen location.

The resulting file is a point-in-time copy. If mail arrives or changes after the export, those later changes are not added to the existing PST; create another export when you need a newer snapshot.

Export rules as a separate file

Rules are configuration, not ordinary mailbox items, so export them independently in classic Outlook:

  1. Select File > Manage Rules & Alerts.
  2. In the Rules and Alerts window, select Options.
  3. Choose Export Rules, select a destination, and save the file with its .rwz extension.
  4. Keep the RWZ file with the matching PST and note which Outlook profile and date it came from.

To bring rules into classic Outlook later, return to the same Options dialog and choose Import Rules. Microsoft identifies this feature as classic-Outlook-only:

“This feature is currently available for classic Outlook only.”

Rules that depend on folders, accounts, add-ins, or paths that no longer exist may still need adjustment after import. The RWZ file is a separate artifact; opening a PST does not restore its rules.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Record settings that the PST cannot carry

If your Outlook setup depends on custom views, folder permissions, AutoArchive choices, or a blocked-sender list, record those values separately. The PST export limitation is not an error in the file; those are folder or profile settings rather than ordinary items. Screenshots, a written checklist, or organization-approved documentation can help you reproduce them, but none of those records is automatically generated by the PST wizard.

Signatures, Quick Steps, default font, display preferences, calendar preferences, and other mail preferences have a different path when moving to new Outlook. Microsoft documents a setup-import feature for supported scenarios when Store my Outlook settings in the cloud is enabled in classic Outlook. Treat that feature as a migration aid with a defined list of supported preferences, not as a universal settings archive. It does not remove the need to export mailbox data or rules.

PST and OST are not interchangeable backups

File Typical role Backup implication
PST Export, archive, or backup file containing selected Outlook items Keep the completed export in a stable location and maintain another copy if the data is important.
OST Offline synchronized copy used by Microsoft 365, Exchange, IMAP, and Outlook.com accounts Microsoft says an OST can generally be recreated by setting up the account and synchronizing from the server, so it usually does not need separate backup.

POP accounts commonly use PST files, while server-backed accounts commonly use OST files. A PST export can still provide an independent copy of selected content even when the mailbox itself is hosted on a server. Do not use a raw copy of an actively used PST as your only backup method; use the supported export workflow and preserve the completed file.

Compare sensible storage destinations

Destination Suitable use Watch for
Computer’s internal drive Temporary working location while the export completes A drive failure or lost computer can remove both the mailbox profile and the PST.
External hard drive or portable SSD Optional second copy kept apart from the computer Protect the device, label it clearly, and reconnect it periodically to verify the file.
OneDrive-synced folder Not recommended for an actively used PST Microsoft warns that OneDrive blocks automatic syncing for Outlook PST files.
Organization-approved storage Useful when business retention or access controls apply Follow your administrator’s policy and confirm that the file can be retrieved during a restore.

No particular drive model is required. A USB external hard drive or portable SSD is simply an optional place for a second PST copy. The important test is whether the destination is separate from the computer’s primary storage, avoids conflicting PST synchronization, and remains accessible when you need to open or import the file.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Where to store the exported PST

A practical arrangement is to keep the working export on a local drive and place a second copy on a separate external drive or portable SSD that you can access during a restore. The storage device is optional; the important properties are that it is outside the computer’s primary storage, not a OneDrive-synced PST location, and available when you need to open or import the file.

Microsoft’s backup guidance is available at Back up your Outlook email. It explains the PST-based approach but does not turn a destination drive into an automatic Outlook backup system.

Open a PST without changing the mailbox

Opening a PST lets you browse its contents as a separate data file. In classic Outlook, select File > Open & Export > Open Outlook Data File, choose the PST, and confirm. The file appears in the folder pane alongside the mailbox. Microsoft’s instructions are in Open and find items in an Outlook Data File (.pst).

This approach is useful when you want to search or copy a few messages without merging the archive into the live mailbox. Opening the file does not, by itself, restore rules, blocked senders, folder views, permissions, or AutoArchive settings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Import PST items into a mailbox or folder

When you need the exported items back in a mailbox, use the import workflow rather than treating the PST as an active mailbox:

  1. In classic Outlook, select File > Open & Export > Import/Export.
  2. Choose Import from another program or file, then select Outlook Data File (.pst).
  3. Browse to the PST and choose how Outlook should handle duplicate items.
  4. Select the folders and subfolders to import.
  5. Choose the destination mailbox or folder and complete the wizard.

Microsoft describes import as copying selected items into the destination. If you want the PST to remain an independent archive, open it as a data file instead of importing everything. The detailed procedure is in Import email, contacts, and calendar from an Outlook .pst file.

Moving from classic Outlook to new Outlook

New Outlook’s PST support is changing and depends on the client version, account type, and architecture. Microsoft’s current support material describes opening and exporting PST data in some circumstances, but states that calendar and contacts in PSTs are not available there and that bulk importing PST contents into a mailbox is not currently supported in that guidance. Check the current Microsoft instructions for your exact build before planning a migration.

Microsoft also documents a separate setup-import feature for some preferences. In classic Outlook, Store my Outlook settings in the cloud must be enabled. The documented migration can include signatures, Quick Steps, default font, display and calendar preferences, and other mail preferences. It is a bounded migration aid, not a complete replacement for PST and RWZ exports. See Import settings and install add-ins on new Outlook for Windows.

Troubleshooting common export problems

Older messages are missing

Check the synchronization range and Cached Exchange Mode before exporting again. If Outlook was set to keep only a recent period offline, the PST may faithfully contain only that locally available period. Move the sync setting to All, allow the mailbox to finish downloading, and repeat the export for the affected account.

The export contains the wrong folders

Restart the wizard and select the correct account root or folder. Enable Include subfolders if nested folders are required. Export each account separately when multiple accounts are configured.

Rules disappeared after the restore

Rules are not part of a PST. Import the separately saved RWZ file through File > Manage Rules & Alerts > Options > Import Rules, then review rules that refer to missing folders, accounts, or add-ins.

The PST is not updating in OneDrive

Move the working PST out of the OneDrive-synced location. Microsoft warns that OneDrive blocks automatic syncing for Outlook PST files, so create and retain the export elsewhere and copy it to separate storage using a method appropriate for your organization.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The password is rejected

Use the password recorded when the PST was created. Because the password is required to open the protected file, losing it can prevent access; keep it in a secure, recoverable password record when you create the export.

The PST opens but appears incomplete

Check the original export scope and compare representative folders, dates, attachments, contacts, and calendar entries. A point-in-time export will not contain messages received after it was created. If the expected content was outside the local synchronization range, download that range and run a new export rather than copying the old file again.

You need only a few items

Open the PST as a separate data file and copy the required messages or entries to the destination. This avoids importing the entire archive and reduces the chance of creating duplicate items in the live mailbox.

Verify the file before relying on it

Do not judge a backup solely by its filename or size. In classic Outlook, open the completed PST with File > Open & Export > Open Outlook Data File. Inspect a few messages from the oldest and newest expected dates, open an attachment, check a contact, and check a calendar item. Confirm that the folder tree matches the scope you selected. If the file is password protected, close and reopen it to confirm that the recorded password works.

Verification should be done before the source computer is replaced or the mailbox is changed. If the export is for a business account, follow any retention, encryption, or access requirements that apply to removable storage. Keep the RWZ file in the same verification session: importing a PST alone cannot prove that rules were preserved.

A complete, defensible Outlook backup routine

  1. Confirm the classic Outlook account and required date range are fully synchronized.
  2. Export the account or required folders to a dated PST with subfolders included where appropriate.
  3. Export rules separately to an RWZ file and record any settings that the PST cannot preserve, such as important views, permissions, AutoArchive choices, and blocked senders.
  4. Save the PST outside OneDrive and maintain a second copy on separate storage.
  5. Open the PST in classic Outlook to verify that representative mail, attachments, contacts, and calendar items are present.
  6. When restoring, either open the PST as a separate data file or import selected items into a destination mailbox; import the RWZ rules separately.

For Microsoft’s overview of creating a data file, see Create an Outlook Data File (.pst) to save your information. This workflow preserves the content Outlook can export while making the limits around configuration explicit.

Frequently Asked Questions

Does exporting to PST delete my Outlook mail?

No. Microsoft describes the operation as copying selected email, contacts, calendar items, and attachments. The originals remain in Outlook.

Will a PST include my Outlook rules?

No. In classic Outlook, use File > Manage Rules & Alerts > Options > Export Rules to create a separate .rwz file, then import that file separately.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Why are older messages missing from my PST?

Cached Exchange Mode may have downloaded only a recent period, commonly the past year. Set synchronization to All, let Outlook finish downloading, and export again. Microsoft also documents turning off Cached Exchange Mode for exports beyond the cached period in some configurations.

Can I store an Outlook PST in OneDrive?

Microsoft warns that OneDrive blocks automatic syncing for Outlook PST files. Keep the working PST outside OneDrive and retain a separate copy on suitable storage.

Should I back up my OST file?

Usually not for server-backed accounts. Microsoft says an OST is an offline synchronized copy that can generally be recreated by setting up the account and synchronizing. A PST export remains useful as an independent copy of selected content.

How do I view a PST without merging it into my mailbox?

Use File > Open & Export > Open Outlook Data File in classic Outlook. The PST appears as a separate data file, which you can browse and copy from.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I restore PST data?

Use the import wizard to copy selected folders into a mailbox or open the PST separately if you want to keep it as an archive. Import rules from the RWZ file independently.

Can new Outlook import everything from a PST?

Capabilities vary by version, account, and architecture. Microsoft’s current guidance says calendar and contacts in PSTs are not available there and that bulk importing PST contents into a mailbox is not currently supported in that guidance. Check the instructions for your exact client before migrating.

The Bottom Line

Use classic Outlook’s export wizard to create a dated PST of the account or folders you actually need, after confirming the full date range has synchronized. Export rules to a separate RWZ file, record settings that PST cannot preserve, keep the files outside OneDrive, and verify that both data and passwords work before you rely on the backup.
