How to Evaluate Archival Letters as Evidence in Archaeological Research

Evaluate an archival letter as evidence for a specific, bounded claim—not as a transparent account of the past. Establish the item’s provenance and archival context, reconstruct who wrote and received it, test the writer’s access and purpose, separate statements from your inferences, and compare the letter with other records and material evidence. Then state exactly what the letter supports, what remains uncertain, and how the archive’s own creation and survival shaped the evidence.

This approach matters because a letter can be authentic yet incomplete, informed yet interested, or accurate about one detail and unreliable about another. Its silences may reflect lost records, selective recording, later arrangement, or unequal power rather than proof that an event or person did not exist.

Define the claim before judging the letter

“Is this letter reliable?” is too broad a question. Reliability is claim-specific. A correspondent might have firsthand knowledge of a shipment but only hearsay about an excavation result; a retrospective recollection might preserve a useful sequence while getting dates wrong; a persuasive appeal might accurately describe a problem while exaggerating its scale.

  • “The writer was present when objects were removed from a particular tomb.”
  • “The excavation team had received a catalogue by a specified month.”
  • “A named worker participated in the project during the stated season.”

Each proposition requires different evidence. Presence calls for proximity and corroboration; a date calls for contemporaneous records; participation may require payrolls, notebooks, photographs, object records, or other administrative traces. Treat the letter as one item in an evidential chain, not as a verdict in itself.

Establish the archival identity and provenance

Begin with the catalogue record, then keep catalogue information separate from facts inferred from the letter. Provenance includes the record’s origin, custody, relationships, and the processes through which it reached its current arrangement. The concept is central to interpreting archival and archaeological materials; see BG Anderson’s discussion of provenance in Archival Science (2024) at Springer Nature.

Make a complete item record

Record the following before interpreting content:

Field What to capture Why it matters
Repository Institution and physical or digital location Identifies the custodian and its descriptive conventions.
Collection and series Collection name, series, file, box, or folder Shows which records were kept together and what administrative activity produced them.
Item reference Call number, identifier, or persistent record ID Allows another researcher to locate the same item.
Format Original letter, scan, microfilm, photocopy, transcription, or published facsimile Reveals what material features and editorial interventions you can examine.
Date Date written as shown on the item and date supplied by the catalogue; mark uncertainty Prevents a cataloguer’s estimate from being mistaken for the writer’s date.
Scope of examination Pages, envelopes, enclosures, annotations, verso, and images consulted Unseen pages or attachments may alter the interpretation.

Transcribe unusual spellings, deletions, additions, stamps, docketing, and handwriting changes when they bear on your claim. If you used a transcription, compare it with the image where possible and identify editorial expansions or illegible passages.

Reconstruct creation and custody

Ask who wrote, received, filed, collected, arranged, digitised, or published the letter. A recipient’s filing system can place correspondence beside administrative records that clarify its purpose. A later collector may have separated personal papers from institutional files. An archivist’s series arrangement can preserve useful relationships while also reflecting modern description rather than the original order.

Look for evidence of transfers, gaps, re-foldering, redaction, translation, or publication. If the repository states that a date, attribution, or sequence is uncertain, retain that qualification in your notes. Do not silently convert a catalogue description into a historical fact.

Reconstruct the communication situation

A letter is an act of communication. Its wording responds to a particular audience, relationship, and practical objective. The same writer could describe an excavation differently to a funder, colleague, family member, newspaper editor, or government official.

Identify creator, audience, and purpose

  • Creator: Establish the writer’s role, institutional position, training, and relationship to the events described. Confirm authorship from signature, handwriting, letterhead, or repository attribution, and mark unresolved attribution.
  • Audience: Determine who was expected to read the letter and who might have been copied, forwarded, or shown it. An intimate audience can invite candour; an official audience can encourage defensiveness or strategic presentation.
  • Purpose: Classify the immediate task: reporting, requesting funds, arranging logistics, defending a decision, persuading, thanking, complaining, or recording information for future use. Purpose does not make a letter false; it identifies pressures that may shape selection and emphasis.
  • Genre and conventions: A field update, recommendation, personal note, memorandum, and legal statement carry different expectations about detail and proof. Explain the convention you are applying rather than assigning a universal credibility label.

Measure access and proximity

For each material assertion, ask whether the writer observed it, received it from a named person, inferred it from documents, or recalled it later. Note physical location, timing, and the interval between event and writing. A correspondent who was absent may still provide valuable evidence about what people were saying, but not direct proof that the reported event occurred.

Interests are also claim-specific. Financial responsibility, professional reputation, institutional rivalry, colonial authority, personal loyalty, or fear of sanction can affect what is highlighted or omitted. Record evidence for an interest; do not infer deception merely from a writer’s social position.

Separate what the letter says from what you infer

Create an analysis table before drafting prose. Quote or transcribe the relevant passage, identify its evidential status, and state the additional reasoning needed to reach your historical interpretation.

Label Diagnostic question How to use it
Firsthand observation Does the writer describe something personally seen, heard, or handled? Assess location, timing, sensory detail, and opportunities for error.
Named or unnamed hearsay Does the writer attribute information to another person or general report? Locate the intermediary and seek that person’s record or an independent source.
Document-based statement Does the writer refer to a register, account, map, or earlier letter? Find the cited record and check whether the writer interpreted it correctly.
Opinion or evaluation Is the wording a judgment, prediction, accusation, or recommendation? Use it as evidence of the writer’s view and circumstances, not automatically of the underlying event.
Retrospective recollection Was the account written after a substantial interval? Compare it with contemporaneous records and identify memory’s possible effects.
Inference What conclusion are you, rather than the writer, drawing? Show each step and the corroborating evidence; label uncertainty explicitly.

No universal coding scheme is required. Adapt these labels to the project, define them in your methods, and apply them consistently. The important discipline is to prevent an interpretive conclusion from appearing as if it were a direct quotation.

Read the archive as a constructed record

Archives preserve traces of past activity through decisions about creation, filing, selection, acquisition, description, conservation, digitisation, and publication. The University of Warwick Modern Records Centre states, “Archives are not neutral sources.” Its guide, “Interpreting archives,” explains why researchers must examine those processes as part of source criticism.

For archaeological material, the problem is especially pronounced because excavation produces multiple records with different purposes. Chloë Ward writes that “Archaeological archives rarely reflect a single reality of either archaeological results or the excavation that they record.” Her peer-reviewed case study in Advances in Archaeological Practice (10[2], May 2022, pp. 160–176) is available at Cambridge Core.

Use the Abydos case as a warning against single-record authority

Ward examines the British School of Archaeology in Egypt excavations at Abydos known as the Tombs of the Courtiers, directed by Flinders Petrie in 1921–1922. Tomb cards, notebooks, museum objects, and the 1925 published report do not form a seamless account: they differ in detail, omit some perspectives, and sometimes contradict one another. The point is not that one record type is always superior. It is that excavation practices, later publication, museum transfer, and archival survival shaped what can now be known.

Ward’s 2020 UCL thesis extends this analysis to documentary archives from nineteenth- and twentieth-century Egyptian archaeology, showing how archive creation, collection, use, and historical archiving can produce bias, silence, and distortion. Its scope is specific to those contexts; use the framework critically when working elsewhere. The thesis record is at UCL Discovery.

Map the processes that shaped your letter

  • Was the letter created for routine administration, private communication, or a later appeal?
  • Was it filed by the sender, recipient, institution, collector, or an archivist?
  • Could pages, enclosures, envelopes, or drafts have been separated?
  • Was the text translated, transcribed, edited, excerpted, or published?
  • Which people, workers, communities, or activities were less likely to generate surviving written records?

These questions do not invalidate the document. They tell you what kind of evidence it is and which conclusions exceed its surviving form.

Compare the letter with independent evidence

Corroboration is strongest when another source was created independently. A published account that copied the same letter is not independent confirmation. Trace references and transmission chains before counting agreement as support.

Build a comparison matrix

Comparison axis Questions to ask
Provenance and custody Where is each record held, how is it connected to the collection, and what is known about its arrangement and custody?
Creator, audience, and purpose Who made it, for whom, in what role, and to accomplish what?
Access and proximity Did the creator observe the event, receive secondhand information, or write retrospectively?
Archival and archaeological context What recording, excavation, cataloguing, selection, conservation, or publication processes shaped the surviving item?
Corroboration and contradiction Do correspondence, field notes, catalogues, publications, objects, or contexts support, qualify, or conflict with the claim?
Silence and survival What is missing, how is that absence documented, and which explanations remain possible?

Match claims to record types

For an excavation date, compare the letter with field notebooks, dated photographs, daily logs, permits, transport records, and publication chronology. For object identity or provenience, examine tomb cards, accession registers, labels, conservation records, and the object or archaeological context itself. For labor or participation, seek payrolls, rosters, diaries, photographs, oral histories where ethically appropriate, and records from the people or communities involved.

Material evidence can complicate a written account rather than merely confirm it. An object’s condition, findspot, stratigraphy, or subsequent movement may expose an error in a letter’s description. Conversely, a missing object record does not automatically disprove the letter; objects can be lost, reclassified, or held in another institution. State the evidential direction and its limits.

Handle contradictions without forcing a winner

When records disagree, preserve the disagreement in your notes. Check whether they refer to the same date, object, location, and level of precision. A notebook may record an immediate observation, while a later report standardises terminology or compresses events. A letter may use informal names that a catalogue later regularised.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Assess each account against its creation context and the particular claim. Explain whether the conflict can be reconciled by chronology, translation, copying, changing classifications, or distinct observation points. If it cannot, report both versions and identify what additional evidence would resolve the issue. Do not average incompatible statements into a false consensus.

Investigate silence and missing records

Absence from a letter or archive is not proof that an event or person did not exist. A record may never have been created, may have been discarded, lost, damaged, withheld, misfiled, or excluded by collection and description practices. Groups with less institutional power may be systematically underrepresented in surviving correspondence.

Distinguish an evidenced missing item from an assumed absence:

  • Evidenced gap: a repository notes a missing folder, an interrupted sequence, or a cited enclosure that cannot be located.
  • Unsearched possibility: related records may exist in another series, institution, language, or private collection.
  • Silence within the item: the writer does not mention a subject, but the letter’s purpose may not have required it.

Phrase conclusions accordingly: “No reference appears in the surviving correspondence examined” is narrower and more defensible than “the event did not happen.” Explain which searches were made and which possibilities remain open.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Write a bounded evidential conclusion

Your conclusion should have four parts:

  1. Direct support: state what the letter explicitly records and how close the writer was to the event.
  2. Contextual interpretation: explain how audience, purpose, interests, custody, and archival processes affect the claim.
  3. Comparison: identify independent records or material evidence that corroborate, complicate, or contradict it.
  4. Unresolved points: name missing records, ambiguity, conflicting accounts, and the limits of the surviving archive.

A useful formulation is: “The letter directly supports X, because the writer was Y and wrote at Z. In combination with A and B, it makes interpretation C plausible. It does not establish D, because the statement is secondhand and the cited record is missing.” This makes the inferential step visible without pretending to mathematical certainty.

A repeatable workflow for project notes

  1. Assign the item its full repository and collection citation.
  2. Save or reference the image, transcription, envelope, attachments, and catalogue description you used.
  3. Write the target claim and define its date, place, people, and action.
  4. Annotate relevant passages as observation, hearsay, document-based statement, opinion, recollection, or inference.
  5. Document creator, audience, purpose, role, access, and interests.
  6. Trace custody, arrangement, publication, translation, and preservation history.
  7. List expected related records and search for them across correspondence, field documentation, catalogues, publications, objects, and archaeological contexts.
  8. Test whether apparent corroboration is independent or copied.
  9. Record contradictions and explain why they may have arisen.
  10. Describe silences and missing items without converting them into proof of nonexistence.
  11. Draft the four-part bounded conclusion and attach a list of unresolved questions.

Common errors and how to correct them

Treating authenticity as truth

An original or well-provenanced letter can still contain error, exaggeration, selective disclosure, or misunderstanding. Use authenticity to establish that the item is what it purports to be; evaluate each claim separately.

Ranking genres with a fixed reliability score

There is no defensible universal percentage or score that converts a personal letter, field note, or report into a single reliability value. Explain the factors affecting the specific assertion instead.

Reading the item outside its file

Removing a letter from surrounding correspondence can hide a reply, enclosure, correction, or administrative reason for its wording. Examine neighboring records and document the limits of the surviving sequence.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Assuming the catalogue is the past

A catalogue is a description created for access and management. It is evidence about archival arrangement, not a complete account of the historical event. Compare its wording with the item and related records.

Counting repetition as independence

Several publications may derive from one letter or one field report. Trace citations and transmission before treating repeated wording as separate confirmation.

Turning silence into disproof

State what was searched, what is demonstrably missing, and what other explanations remain. Unequal survival is a property of the archive, not a neutral measure of historical importance.

What a strong evaluation allows you to say

A well-evaluated letter can support several different kinds of claims: what a correspondent reported, how an institution described its own work, what information circulated at a given time, how an excavation was administered, or how a participant understood an event. It may provide weaker support for the event’s full material reality when the writer lacked direct access or when independent records conflict.

The aim is not to discard documentary evidence or to privilege artifacts automatically. It is to explain how correspondence, archaeological records, publications, objects, and contexts were made, transmitted, and preserved, then match each source to the claim it can actually bear. That discipline produces conclusions that are precise about evidence, honest about uncertainty, and open to revision when additional records are found.
