The safest way to evaluate AI document processing software is to test it on your own lender-approved documents and downstream workflows—not to accept a vendor’s headline accuracy rate. Build a repeatable pilot that measures field-level extraction, validation, exception handling, human review, auditability, integration, security, and total operating cost. Then compare products on the same cases and predefined thresholds.
What “AI document processing” covers in lending
“AI document processing” is not a single function. In a mortgage or other lending operation, a product may perform one or several of these jobs:
As an Amazon Associate I earn from qualifying purchases.
- Classification: identifying whether a file is an income statement, identity document, credit report, appraisal, disclosure, or another document type.
- OCR and extraction: turning printed, scanned, or handwritten content into structured fields such as borrower name, income, dates, balances, and employer.
- Validation: checking extracted values against rules, required fields, or expected formats.
- Cross-document comparison: finding conflicts between values reported on different forms or versions.
- Summarization and workflow support: producing notes, routing files, calculating values, or preparing information for underwriting and quality control.
A cloud document-AI service, a mortgage platform with embedded automation, and a specialist extraction product can all be marketed under the same label while solving different parts of the process. Your evaluation should therefore begin with the bottleneck you need to remove and the systems that must receive the result.
Start with the lender’s real workflow
Map the document journey
Document automation affects more than the moment a page is scanned. Map where documents originate, how they are classified, where data is entered, which decisions depend on it, and where records are retained. Include intake, indexing, extraction, verification, underwriting, quality control, compliance review, servicing handoff, and archival.

For every step, record the current owner, the system used, the manual touch time, the common exception, and the consequence of an error. A product that extracts fields accurately but forces staff to re-key them into the loan-origination system may not improve the process.
Prioritize document families and fields
List the document types that create the most rework or delay. Mortgage operations commonly handle income and identity forms, credit reports, verification records, disclosures, and other underwriting evidence. Separate high-volume routine documents from rare but consequential files. Identify the fields that drive eligibility, calculations, fraud checks, conditions, and compliance reporting.
For each field, define the business meaning of “correct.” A date may need to match the source exactly; an income amount may need a specified period and unit; a missing value may require an exception rather than a blank. Decide in advance how to treat illegible text, multiple values, amended forms, and documents that contain conflicting information.
Windows Errors? Fix Them Before They Spread
Repair common Windows errors and clear accumulated junk for a smoother, more stable PC - no reinstall needed.Free scan · no reinstallCrashes, No Sound, or Screen Glitches?
Random freezes, missing sound and display glitches usually trace back to one bad driver. Find and replace yours safely.Free scan · under a minuteBuild a representative pilot set
Ask every shortlisted vendor to process the same lender-approved documents and cases. The set should reflect the variation your operation actually receives, not an idealized demonstration packet.
Include difficult cases deliberately
- Clean digital PDFs and ordinary scans.
- Low-resolution, skewed, cropped, or faint pages.
- Nonstandard layouts and forms from different issuers.
- Multiple versions of a form, including amended or superseded pages.
- Documents with tables, checkboxes, stamps, handwritten marks, or unusual fonts.
- Missing pages and incomplete packets.
- Conflicting values across documents where such cases are available.
- Files that should be rejected, routed for review, or classified as an exception.
Maintain a controlled copy of the test set and a source-of-truth annotation for every field. Record the document version, the expected value, whether the value is intentionally absent, and the rule that determines correctness. Do not allow a vendor to substitute its own “representative” sample without your approval.
Set acceptance thresholds before processing
Agree internally on pass criteria before anyone sees the results. Thresholds may differ by document family and field criticality. A minor formatting difference might be acceptable for a low-risk field but not for a value used in an underwriting calculation. Define separate limits for:
- classification accuracy;
- field-level extraction accuracy;
- the rate of unhandled or incorrectly accepted fields;
- cross-document conflict detection;
- exception rate and false-positive rate;
- human correction time;
- downstream defects after data reaches the LOS or QC system; and
- processing throughput and delay.
Keep the scoring rules, test files, annotations, software version, configuration, and outputs together so procurement, model-risk, compliance, and audit teams can reproduce the assessment.

Measure field-level performance, not one blended number
A single “accuracy” percentage can conceal failures in the fields that matter most. Require results by document type and by field, and ask the vendor to explain how it calculates the metric.
Define what counts as correct
Document whether punctuation, capitalization, date formats, currency symbols, rounding, and normalized addresses are considered equivalent. Specify how the system should represent a value that is missing, ambiguous, or present more than once. A system that silently selects one of two conflicting amounts should not receive the same credit as a system that flags the conflict.
Track operational measures alongside extraction
For each test case, capture the original output, confidence or uncertainty signal, reviewer action, final corrected value, time to resolve, and destination-system result. Useful measures include exception rate, correction time, rework, and downstream defect rate. These often determine the business outcome more directly than raw extraction accuracy.
A 2023 white paper hosted by the Mortgage Bankers Association and authored by TRUE states that human classification and extraction accuracy in the mortgage industry “typically average 80 percent during the initial phase of the origination process.” The same paper says that the best solutions can achieve “rates of around 95 percent.” These are vendor-associated industry claims, not an independent comparative benchmark or a guarantee for any lender, document set, or product. Treat them as context, then rely on your own scored sample.

Require an explicit uncertainty signal
Ask how the system communicates low confidence. It may provide a field score, a reason code, a highlighted region on the source page, or a rule that automatically routes the item to review. Determine whether the signal is available through the user interface, API, export, and audit record. If uncertainty is hidden, staff cannot prioritize review or explain why a value was accepted.
Walk through the correction loop
- Submit a document with an intentionally difficult or ambiguous field.
- Observe whether the system flags the field and shows the source evidence.
- Correct the value and record who made the change, when, and why.
- Send the corrected result to the LOS, QC platform, or repository.
- Reopen the case and verify that the original output, correction, and final value remain distinguishable.
Ask whether corrections improve future processing, and if so, whether that learning is isolated to your tenant, subject to approval, and reversible. Do not assume that a “learning” feature is appropriate for production without change control.
Test conflict handling
Use cases in which two documents report different income, dates, names, addresses, or account values. Determine whether the product compares documents, identifies the conflict, preserves both source values, and routes the case according to your policy. An extraction engine that returns a plausible value without surfacing the disagreement can create more risk than manual entry.

ICE Aurora describes human review checkpoints and ongoing monitoring and testing against defined benchmarks. Verify in a scripted demonstration and contract review exactly which checkpoints exist, which events trigger them, and whether your administrators can change the rules.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errorsExamine auditability and governance
A lender should be able to reconstruct what happened to a document and its data. Ask the vendor to demonstrate an end-to-end audit trail containing:
- the source file and document version;
- classification and extraction outputs;
- confidence or uncertainty indicators;
- rules, validations, and cross-document comparisons applied;
- human edits, approvals, and reviewer identities;
- timestamps and system or model versions;
- exports or API deliveries to downstream systems; and
- subsequent corrections, reversals, or deletions.
Clarify retention periods for source files, derived fields, logs, and backups. Establish which records are immutable, how they can be exported for an audit, and how a deletion request affects legally required records.
Separate product claims from evidence
Vendor pages describe intended capabilities. Google Cloud describes pretrained mortgage models using OCR and natural language processing, custom extraction and classification, data-access controls, transparency features, data residency options, and customer-managed encryption keys. ICE describes Aurora as supporting classification, extraction, loan-data validation, notes summarization, human review checkpoints, audit trails, output monitoring, and role-based security. LoanLogics describes IDEA as offering mortgage document classification, extraction from income and identity forms, rule validation, investor-specific templates, audit-ready output, integration with LOS, QC, and compliance systems, and cloud encryption.
Those descriptions identify questions for diligence; they do not independently validate accuracy, availability in your region, product maturity, or suitability for your deployment. Confirm each requirement in a live scripted demo, technical documentation, security review, and binding contract.
Check integration and operating ownership
Trace the structured output
Require a demonstration in which extracted data travels through the same interfaces and controls used in production. Confirm support for your loan-origination system, quality-control tools, document repository, identity and access systems, and reporting process. Examine API limits, batch behavior, error responses, retries, duplicate handling, schema versioning, and the treatment of documents that fail processing.
Verify whether the system preserves links between each field and its source page. A value that arrives in the LOS without evidence may satisfy an integration checklist while weakening reviewability.

Assign operational responsibilities
Put ownership in writing for configuration, template maintenance, rule changes, monitoring, incident response, user administration, model updates, and remediation of degraded performance. Ask who investigates a sudden rise in exceptions, who approves a new document type, and how quickly the vendor must notify you of material changes.
Test rollback and business continuity. Determine how staff process a loan if the service, an integration, or a vendor dependency is unavailable. Establish export procedures so you can retrieve documents, outputs, configurations, and audit records if you terminate the service.

Review privacy, security, and third-party risk
For banking organizations, the 2023 interagency guidance on third-party relationships describes a lifecycle covering planning, due diligence and selection, contract negotiation, ongoing monitoring, and termination. The depth of controls should match the relationship’s risk and criticality.
Ask where data goes
- What borrower data is transmitted, including source images, extracted fields, prompts, logs, and telemetry?
- Which subcontractors or model providers can access it?
- Where is it processed and stored, including backups and disaster-recovery locations?
- Can the lender select a residency region?
- Is customer data used to train shared models, and can that use be disabled?
Verify technical controls
- Encryption in transit and at rest, including key-management options.
- Role-based access, administrative separation, single sign-on, and multifactor authentication.
- Tenant isolation and controls for support personnel.
- Detailed access logs and alerting.
- Vulnerability management, penetration testing, incident response, and breach notification.
- Secure deletion of source and derived data, with evidence of deletion.
Google and ICE describe selected controls on their product pages, but product-page statements are vendor representations, not an independent security assessment. Obtain deployment-specific evidence, current audit reports where applicable, and contractual commitments that match your institution’s requirements.
Consider model-risk applicability carefully
The OCC’s revised model-risk guidance, Bulletin 2026-13, discusses model development and use, testing, validation and monitoring, governance and controls, and vendor or third-party products. The OCC also states that generative AI and agentic AI are outside that guidance’s scope and that the guidance is not prescriptive or enforceable. Do not treat it as a blanket determination that every document-AI feature is covered. Your institution, use case, jurisdiction, and risk framework determine applicability.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Compare unlike product categories honestly
Use a common scorecard, but make the scope differences visible. A platform that automates an entire mortgage workflow should not be judged as though it were only an extraction API, and a narrow extraction service should not receive credit for workflow functions it does not provide.

Best Value
Calculate total cost and operational impact
Extraction price is only one component of the business case. Build a cost model that includes:
- implementation, configuration, and migration;
- per-document, per-page, per-loan, or usage charges;
- integration development and maintenance;
- template and rule administration;
- human review of low-confidence and exceptional cases;
- monitoring, validation, and audit work;
- storage, retention, and data-egress charges;
- training and change management; and
- the cost of corrections, delays, downstream defects, and material errors.
Compare the current process with the pilot’s measured workload. A system with slightly lower extraction accuracy may deliver better economics if it exposes uncertainty clearly and reduces review time; a system with a high headline rate may be expensive if staff must investigate silent errors or re-enter data.
Use a repeatable decision scorecard
Score every option against the same evidence, with weights set by your risk committee and business owners. A practical scorecard includes:
- Document coverage: Does it handle the document families and layout variation that matter?
- Field and cross-document performance: How does it perform on your annotated sample, including conflicts and poor scans?
- Exception handling: Are uncertainty, rejection, escalation, and correction workflows usable?
- Auditability and governance: Can you reconstruct outputs, changes, versions, and approvals?
- Security and privacy: Do controls, residency, retention, subprocessors, and contract terms meet requirements?
- Integration and operations: Can data reach the LOS, QC, repository, and reporting systems with manageable ownership?
- Total cost: What is the fully loaded cost at expected volume and error rates?
Require written evidence for any score based on a product claim. Mark capabilities as demonstrated, documented but not demonstrated, or unavailable. A product should not pass solely because a feature appears on a marketing page.
Red flags that should stop or narrow a pilot
- The vendor refuses to process lender-approved representative documents.
- Only one blended accuracy number is supplied, with no field-level definition.
- Low-confidence outputs cannot be identified or routed for review.
- Conflicting values are silently resolved without preserving source evidence.
- Corrections overwrite the original output or cannot be audited.
- Integration requires manual re-entry for the fields the project is meant to automate.
- Retention, deletion, model-training use, residency, or subprocessors are unclear.
- Model or template changes can occur without notice, testing, or rollback.
- The contract provides no practical exit, data-export, incident-notification, or performance-monitoring rights.
Questions to ask vendors before contracting
- Which document types, layouts, languages, and file conditions are supported in the exact edition and region we would deploy?
- How are field accuracy, missing values, ambiguity, and conflicts defined and measured?
- What uncertainty signals and source-page evidence are exposed through the UI and APIs?
- How are human review queues, corrections, approvals, and audit trails configured?
- Which systems and interfaces are supported, and who maintains mappings and templates?
- What happens when a model, rule, template, or upstream dependency changes?
- What data is retained, where is it processed, who can access it, and how is deletion evidenced?
- Are customer files or outputs used to train shared models?
- Which subcontractors are involved, and what notification and approval rights apply to changes?
- What are the pricing units, implementation charges, review costs, service levels, and exit obligations?
Bottom line
Choose AI document processing software only after it proves measurable value on your documents and workflows. A defensible decision combines field-level and cross-document testing, visible uncertainty and human review, complete audit trails, reliable downstream integration, documented security and third-party controls, and a total-cost model that includes exceptions and errors. Vendor capability descriptions can define what to investigate; your controlled pilot and contract should determine what you buy.
Frequently Asked Questions
Should lenders compare products using the vendor’s published accuracy percentage?
No. Published figures may use different document sets, definitions, and conditions. Score each product on the lender’s annotated documents, by field and document type, with predefined rules for missing, ambiguous, and conflicting values.
What documents belong in an AI document-processing pilot?
Use lender-approved examples covering routine files, poor scans, nonstandard layouts, multiple versions, incomplete packets, and conflicting values. Include documents that should be escalated or rejected, not only clean examples.
Why are confidence scores and exception queues important?
They let staff prioritize uncertain fields, investigate source evidence, and document corrections. Without an uncertainty signal and an auditable correction path, silent errors are difficult to detect and govern.
What security terms should a lender negotiate?
Address data transmitted, storage and processing locations, subprocessors, retention and deletion evidence, encryption and key control, access logging, incident notification, model-training use, monitoring rights, change notification, data export, and termination assistance.
How should a lender compare a cloud document-AI service with an integrated mortgage platform?
Compare them on the same documents and outcomes, but keep scope visible. Measure extraction and validation separately from workflow coverage, integration effort, operating ownership, security controls, and fully loaded cost.
