How to Evaluate a MedTech Sales Intelligence Platform: A Buyer’s Checklist

The right MedTech sales intelligence platform is the one that proves it can answer your team’s real market questions with trustworthy, usable data inside your existing workflow. Evaluate it against a known sample of providers and facilities, your target procedures and territories, your CRM, and your compliance boundaries—not against a large record-count claim or a polished demo.

What a MedTech sales intelligence platform should do

In this category, software combines provider, facility, procedure, referral, territory and commercial data to help a medical technology organization decide where to focus and what to do next. It may sit alongside the CRM as an intelligence and enrichment layer, or it may include broader commercial planning and forecasting workflows.

As an Amazon Associate I earn from qualifying purchases.

That distinction matters. A CRM is usually the system of record for accounts, contacts, opportunities and activities. A sales intelligence platform may identify an attractive account, explain its procedure volume or referral relationships, and push useful information into the CRM. A compliance reporting system manages a different job: capturing, reconciling or submitting regulated transfers of value. An enterprise data warehouse serves yet another purpose, consolidating data for governed analysis. Do not treat these products as interchangeable.

Before speaking with suppliers, write down the decision the platform must improve. Examples include:

  • Finding providers or facilities that fit a product’s clinical use and launch strategy.
  • Estimating opportunity by procedure, specialty, payer mix, affiliation and location.
  • Understanding parent health-system, IDN or other organizational relationships.
  • Comparing opportunity across territories and modeling a coverage change.
  • Giving a field representative a useful next action before a visit.
  • Measuring opportunity and activity against your own CRM history and commercial results.

A vendor can demonstrate these workflows without proving that its data is complete or that the workflow will work in your organization. The buyer’s evaluation must test both.

Start with a buyer-specific job to be done

Define the clinical and commercial scope

Document the products, procedures, specialties, sites of care, customer types, geographies and sales motions that matter. A company selling a device used in a narrow surgical procedure needs a different data model from a company selling equipment to imaging departments. State whether you need national coverage or only selected regions, whether smaller independent facilities matter, and whether the initial use case is a launch, territory redesign, account planning, cross-sell or pipeline recovery.

Turn the scope into scripted questions

Give every supplier the same questions and require answers using your target market:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Which providers and facilities fit the product’s clinical indication and go-to-market strategy?
  2. How are procedure volume, specialty, payer mix, affiliation and location represented?
  3. Can the system show a parent health system, IDN or other account relationship?
  4. Can a manager compare opportunity across territories and model a change in coverage?
  5. Can a representative find a useful next action while preparing for a call or working in the field?
  6. Can opportunity and activity be compared with the organization’s own sales history and CRM records?

These are evaluation questions, not guarantees that any platform contains every field. Ask the vendor to demonstrate each answer with records from your sample rather than with a generic screen.

Test data quality at field level

Ask for a data dictionary and provenance

For every field that can change a targeting or territory decision, request a written definition and source description. Record:

  • Source type, such as public data, claims, proprietary data or your own CRM.
  • Source date and refresh cadence.
  • Geographic and specialty coverage.
  • Identity-linkage and deduplication method.
  • Confidence or quality indicators.
  • Known exclusions, suppression rules and missing-value behavior.
  • Correction, dispute and escalation process.

MedScout describes combining Medicare and commercial claims, public-domain information, provider and site insights, Open Payments, referral data and CRM information. AcuityMD describes claims-based market intelligence, work with CMS and claims aggregators, and enterprise data delivery. Those descriptions identify possible sources; they do not independently establish accuracy for your market.

Do not compare headline patient counts

AcuityMD says its all-payer claims dataset covers “330+ million patients.” MedScout says its dataset covers “over 330 million unique patients” and is updated monthly. These are vendor-stated figures with vendor-specific definitions. “Patients,” “claims,” “providers” and “sites” are not interchangeable denominators. Ask each supplier for the inclusion rules, date, geography and deduplication method before placing the figures in a comparison.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Build a blinded known-record sample

Prepare a sample before demonstrations. Include large and small facilities, different specialties, multiple regions, known parent-system relationships and records that your field team considers difficult. Remove any labels that reveal the expected answer, then test each platform consistently.

Measure the following separately:

  • Identity match: whether the provider or facility is correctly matched and duplicates are resolved.
  • Coverage: how many known targets appear, including less digitally visible sites that matter to your business.
  • Field correctness: whether specialty, procedure, affiliation, payer and location values are right.
  • Recency: whether high-value fields reflect the period your sales team is acting on.
  • Ranking usefulness: whether the opportunity order agrees with field knowledge and, later, commercial outcomes.
  • Exception handling: how stale, conflicting, missing or suppressed information is shown.
  • Explainability: whether a rep can understand why a provider or facility was surfaced.

Set acceptance thresholds before the proof of value. A useful threshold might specify an identity-match rate for the known sample, a maximum tolerable synchronization delay or completion of a defined set of user tasks. The correct numbers depend on your product, geography, risk tolerance and workflow; there is no universal pass mark.

Evaluate market and opportunity views

Provider and facility targeting

Ask the system to produce a target list for one real product. Check whether the ranking reflects the clinical use case rather than merely the largest organizations. Inspect procedure volume, specialty, site type, payer mix, location and affiliation where those fields are relevant. Ask how a user can distinguish an actual opportunity from a data artifact.

Parent accounts and networks

Account hierarchies can determine whether a local facility is independently controlled or part of a purchasing system. Verify parent-child relationships against records your account team knows. Ask how mergers, name changes, system affiliations and facilities with multiple identifiers are handled, and whether a rep can see the relationship without losing the local site context.

Referrals and care journeys

If referral patterns influence your market, request a demonstration using a procedure and geography that matter to you. Clarify the observation period, the unit of analysis and whether the view reflects claims, public data or another source. A visually persuasive network is not enough: users need to know what the connections mean and how current they are.

Territory analysis

Have a manager compare the current territory design with a proposed alternative. Record the assumptions, such as provider counts, procedure activity, travel geography or account ownership. Test whether the system preserves existing assignments, identifies overlaps and shows the consequences of moving coverage. Ask how often territory rules and assignments are updated and who administers them.

Verify CRM and enterprise integration

Use a sandbox or controlled connection

Do not accept “integrates with your CRM” as a sufficient answer. Require a demonstration in a sandbox or controlled evaluation environment and document:

  • Objects and fields that can be read, written or enriched.
  • One-way versus two-way data flow.
  • Matching keys and duplicate handling.
  • Conflict resolution when CRM and platform values differ.
  • Refresh cadence and synchronization latency.
  • Failure alerts, retry behavior and audit logs.
  • API limits, security controls, administrator roles and license requirements.
  • Which party supports troubleshooting.

AcuityMD describes a Salesforce integration in which accounts, contacts and opportunities can be enriched and information can move between its platform and Salesforce. It also describes delivery to Snowflake and other data warehouses. An AcuityMD Salesforce AppExchange announcement dated February 18, 2026 establishes an announced integration, not effortless implementation in every customer environment.

Check warehouse and downstream needs

If analysts need governed reporting, ask whether data can be delivered to your warehouse, in what format, at what cadence and with which identifiers. Confirm licensing for storing, joining and redistributing the data. A connector that displays a record in a user interface may not grant the same rights for bulk extraction or long-term retention.

Test usability and field adoption

Run representative tasks

Watch a salesperson and a manager complete realistic work on desktop and mobile:

  1. Prepare for an account call.
  2. Find a provider or facility using the product’s clinical criteria.
  3. Inspect the signal or data points behind the recommendation.
  4. Choose and record a next action in the CRM.
  5. Find nearby opportunities if geography is part of the field motion.
  6. Review the result as a manager.

Measure elapsed time, clicks, errors, extra logins, manual re-entry, confidence and whether the task can be completed with the connectivity available in the field. Ask whether mobile features support the complete workflow or only viewing. If offline use matters, test it explicitly rather than assuming that a mobile application works without a connection.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Include administrators and managers

Ask administrators how data definitions, territories, permissions and account rules are maintained. Ask managers how they will inspect adoption and data quality without creating a parallel reporting burden. A polished sales demonstration does not show whether the workflow will persist after launch.

Map Open Payments and other compliance boundaries

Understand what Open Payments is

Open Payments is a CMS disclosure program. Medical device companies are among the reporting entities whose payments and other transfers of value to covered recipients appear in its public database. CMS reports that Program Year 2025 covers January 1 through December 31, 2025, with 17.07 million published records totaling $14.67 billion in payments and other transfers of value. Those are CMS program totals, not an estimate of your market or a measure of a vendor’s accuracy.

CMS also states that it does not decide whether a relationship is beneficial or a potential conflict. A platform that displays public disclosure information should not be treated as CMS endorsement, a legal conclusion or proof that a commercial relationship is improper.

Know the annual publication cycle

Stage CMS timing What a buyer should verify
Data collection January 1–December 31 of the program year Which period the platform’s displayed records represent
Reporting-entity submission February 1–March 31 of the following cycle Whether records are provisional, submitted or published
Pre-publication review and dispute April 1–May 15 How disputed or changing records are labeled
Correction of outstanding disputed records Through May 30 How corrections propagate into the platform
CMS publication On or by June 30 When the vendor ingests the newly published data

Separate commercial context from reporting obligations

Ask whether the platform merely uses public Open Payments data for account context or is intended to capture, manage, reconcile or submit reportable transfers of value. Those are materially different scopes. Do not claim that a sales intelligence product satisfies Sunshine Act, HIPAA, GDPR, anti-kickback, electronic-record or other legal requirements unless the supplier’s specific scope and applicable legal authority support that conclusion.

Compare implementation and total cost

Require a named implementation plan

Request a plan that assigns customer and supplier responsibilities for data mapping, configuration, CRM or warehouse work, training, support, change management and acceptance testing. Include dependencies such as security review, identity management, sandbox access, data cleansing and territory-rule approval.

Normalize the commercial proposal

Public pages reviewed for this category did not provide reliable, comparable pricing. Obtain a written quote from each finalist using the same assumptions:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Named and occasional users.
  • Data modules and geographies.
  • CRM, warehouse and other integration work.
  • Implementation and training.
  • Support tier and service commitments.
  • Renewal and expansion terms.
  • Usage, export or API limits.

Compare the total cost over the same period and against the work the platform is expected to replace or improve. Do not treat a lower subscription price as lower total cost if it requires substantial manual matching, custom integration or ongoing administration.

Bring the right stakeholders in early

Involve Sales, Sales Operations, Marketing, Regulatory or Quality, IT and Finance wherever their responsibilities are affected. Add privacy, security, procurement, data engineering or legal representatives when the data and contract scope require them. Give each stakeholder a decision right and an acceptance criterion instead of collecting general approval after the demonstration.

Use a common proof-of-value scorecard

If two or more platforms remain, run the same scripted proof of value with the same records, users, time limits and acceptance criteria. Score evidence, not presentation quality.

Evaluation axis What to inspect
Data fit Identity match, target-specialty and geography coverage, freshness, provenance and correction process
Opportunity usefulness Whether ranked targets fit product strategy and users can understand the ranking
Workflow fit Time and friction for rep and manager tasks, including mobile and offline needs
Integration CRM objects, synchronization behavior, warehouse or ERP fit, monitoring and support
Governance Permissions, auditability, retention, role-based access and security answers
Implementation Time, customer effort, data cleanup, configuration and training
Economics Comparable total cost and expected value under the buyer’s assumptions

Write the scoring rules before demonstrations. For example, define the known-record sample, the essential user tasks, the maximum acceptable sync delay and the evidence required for a field to be considered usable. Keep vendor claims, observed results and unresolved questions in separate columns.

Platform examples to investigate

These examples illustrate different positioning; they are not a ranking or an independent validation.

AcuityMD

AcuityMD describes market sizing, targeting, territories, care journeys, pipeline, contracts, forecasting, mobile features, CRM and enterprise integrations, and delivery to Snowflake or other warehouses. It states that its all-payer claims dataset covers 330+ million patients. The figure and the platform’s accuracy should be checked against your required definitions, geography and known-record sample.

MedScout

MedScout describes Medicare and commercial claims, provider and site insights, procedure volumes, reimbursement and payer mix, Open Payments, referral networks, territory analytics, CRM synchronization and mobile use. Its site says the platform is updated monthly and covers over 330 million unique patients. Those are vendor statements and should not be treated as directly comparable with AcuityMD’s figure without denominator and date definitions.

Prospecta

Prospecta’s MedTech-facing offering describes buyer maps, equipment data, parent-account relationships across US imaging sites, buying signals and CRM integration. Its coverage and database-comparison statements require validation on your own target accounts and regions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How to treat testimonials

AcuityMD attributes the following statement to Todd Dieckhoner, VP and GM, US Region, Becton, Dickinson and Company: “With AcuityMD, we found new business that we never knew existed, and it allowed us to convert a significant amount of pipeline over a short period of time. Every time we’re launching a product or buying an asset, we now use AcuityMD to identify the market opportunity.” This is a customer testimonial describing one organization’s experience, not a guaranteed result or an independent benchmark.

Common failure modes and recovery steps

Buying the largest database

Symptom: The decision is driven by a patient or record count. Recovery: Require denominator definitions and test coverage, identity matching, recency and ranking on known accounts.

Accepting a logo as an integration proof

Symptom: A vendor names your CRM but cannot show field mapping or failure handling. Recovery: Run a controlled connection and document objects, direction, conflicts, latency and support ownership.

Confusing public disclosure with compliance software

Symptom: A team assumes an Open Payments view satisfies reporting or legal obligations. Recovery: Define whether the product only supplies commercial context or manages regulated records, then obtain counsel’s assessment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Testing only with power users

Symptom: Administrators like the system but representatives avoid it. Recovery: Observe ordinary users completing the minimum field workflow on the devices and connectivity they actually use.

Leaving costs and ownership vague

Symptom: The subscription looks affordable until integration, data cleanup and renewal terms appear. Recovery: Normalize quotes and assign every implementation, support and data-maintenance responsibility in writing.

Decision checklist before signing

  • The product’s job to be done, target market and success measures are written down.
  • Each finalist has demonstrated the same scripted questions on buyer-selected records.
  • Field-level source, date, coverage, linkage, confidence and correction details are documented.
  • A blinded known-provider and known-facility sample has been scored.
  • CRM objects, synchronization direction, conflict handling, latency and failure support are confirmed.
  • Desktop, mobile and any offline workflow has been tested by representative users.
  • Open Payments use is distinguished from transfer-of-value capture, reconciliation and submission.
  • Security, privacy, retention, access, audit and regional requirements have owners.
  • Implementation tasks, responsibilities, training and acceptance criteria are contractual or documented.
  • Quotes use the same user, module, geography, integration, support and renewal assumptions.
  • The final score records observed evidence separately from vendor claims and testimonials.

A platform earns a place in a MedTech stack when it improves a defined commercial decision with data the organization can verify, workflows representatives will use and integration the technology team can operate. The buyer’s proof of value—not a universal ranking—should determine the shortlist.

Product prices and availability are accurate as of the date/time indicated and are subject to change. Any price and availability information displayed on Amazon at the time of purchase will apply.
