What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
The reliable way to estimate OpenAI API spending is to model your actual request mix, not to multiply a word count by one headline rate. Measure or forecast uncached input, cached input, cache-write input and output tokens for each model, apply the matching current rates, then add separately priced tools, storage, sessions or image operations.
For token-priced calls, use Estimated cost = (uncached input tokens × uncached input rate + cached input tokens × cached input rate + cache-write tokens × cache-write rate + output tokens × output rate) ÷ 1,000,000 + separate tool and feature charges. Rates change by model, context category, modality, service tier and sometimes processing location, so treat the result as a dated forecast and reconcile it with reported usage after launch.

Why there is no single OpenAI API price
“OpenAI API cost” is not one universal number. The amount charged depends on the exact model and endpoint, how many input and output tokens a request processes, whether part of the input is served from the prompt cache, and whether the request includes images, audio, image generation, built-in tools or another non-token-priced feature.
Context length can move a request into a different pricing category. Service tiers and regulated or regional processing can add their own rules or adjustments. A short text completion and an image-editing request may therefore have completely different billing dimensions even when they are sent by the same application.

The cost inputs you need before calculating
Write down the following before opening a spreadsheet. Missing one of these inputs is a common reason an estimate looks precise but misses the eventual invoice.
- Model and endpoint: record the exact model name, API operation and any long-context or special edition. Different models have different input, cached-input, cache-write and output rates.
- Request volume: forecast calls per day or billing period for each workload, rather than one blended total if traffic has distinct segments.
- Input tokens: measure the complete rendered request, including system instructions, conversation history, retrieved documents, tool definitions and structured data. Prompt character count or word count alone is not a dependable proxy.
- Output tokens: estimate the normal and high-end completion length. A small group of unusually long responses can dominate the total.
- Cache categories: separate uncached input, cached input and cache-write tokens. Do not assume that every repeated prompt receives a cache hit.
- Modality: identify text, image, audio and generated-image components. Image processing can use model- and setting-specific units in addition to text tokens.
- Tools and features: list web or other built-in tools, storage, sessions, image generation, streaming options and any feature with a separate line item.
- Commercial configuration: note service tier, context-size category, geography or regulated-processing requirement and the currency in which you will report the result.
- Time period: give the estimate a date and billing window. Prices, model availability and report fields can change.
The core token-cost formula
When all applicable rates are quoted per one million tokens, calculate every token category separately:
The Tool Desk
Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →Outbyte PC Repair FREERepair Windows errors before they cause bigger problemsFix Now →Token cost = (U × Ru + C × Rc + W × Rw + O × Ro) ÷ 1,000,000
Here, U is uncached input tokens, C is cached input tokens, W is cache-write tokens and O is output tokens. Ru, Rc, Rw and Ro are the corresponding rates for the selected model and configuration.
| Quantity | What to count | Rate to apply | Important qualification |
|---|---|---|---|
| Uncached input | Input tokens that are not reused from a valid prompt-cache entry | Current model’s uncached-input rate | Includes the full rendered request portion that is not cached. |
| Cached input | Input tokens successfully reused from a matching cached prefix | Current model’s cached-input rate | A session or repeated intent does not guarantee a cache hit. |
| Cache write | Tokens written when a reusable prefix is created or refreshed | Current model’s cache-write rate | OpenAI states that cache-write pricing is not an additive fee; the tokens use the uncached-input, cached-input or cache-write rate that applies. |
| Output | Tokens generated by the model | Current model’s output rate | Use observed output lengths or a distribution, not only the maximum setting. |
Add any separately priced amount after the token calculation. If a pricing table uses a unit other than tokens, keep that feature in its own calculation instead of forcing it into the token formula.
Measure a representative workload
An estimate is only as good as the traffic sample behind it. If the application is already running, collect usage details from representative responses and compare them with organization-level reporting. The Usage and Costs API documentation describes aggregated cost amounts and currency plus usage dimensions such as model, uncached input, cached input, cache-write tokens and output tokens. Available groupings can vary as products and reporting APIs change.
If the application is not live, run prompts that resemble production. Include the same system message, retrieval payload, conversation depth, tool definitions, image settings and response limits. Label the result a forecast; a test run is not evidence of a guaranteed monthly bill.

- Sample each workload: separate chat, extraction, batch summarization, coding, classification and agentic flows when their prompts or outputs differ materially.
- Capture usage fields: record input, cached-input, cache-write and output counts returned by the API where available. Keep model and project identifiers with each observation.
- Describe the traffic mix: estimate what percentage of calls belongs to each workload, model, modality and service tier.
- Use a distribution: store median and high-percentile input and output sizes. An average based on a few short tests can understate costs when long documents or tool traces occur.
- Preserve assumptions: timestamp the sample, note the pricing-table version or date used, and document expected cache-hit share and request volume.
Do not convert words to tokens with a fixed multiplier and call the result measured usage. Tokenization varies with language, punctuation, code, structured data, conversation history and tool payloads.
A repeatable forecasting workflow
1. Define the scope
List every API workload included in the budget and the exact model used by each one. Decide whether the estimate covers only model calls or also image generation, image editing, tools, storage, sessions and other feature charges. Note whether calls use short or long context and which service tier or processing location applies.
2. Build a request-level usage profile
For each workload, create a row containing request count, uncached input tokens, cached input tokens, cache-write tokens and output tokens per request. If values vary, use separate rows for short, typical and long cases or use weighted averages based on real traffic.
Free tools Windows power users keep installed
One-click scans. No signup required.
3. Apply matching rates
Multiply each measured quantity by its rate, add the four products and divide by 1,000,000 when the table is expressed per million tokens. Never apply an output rate to input tokens or a cached rate to tokens that were not actually reused.
4. Add non-token charges
Calculate separately priced tool calls, storage, sessions, image operations or other features in their own rows. Keep the unit visible so a future rate change does not silently corrupt the token calculation.
5. Scale by the traffic forecast
Multiply the per-request result for each workload segment by the expected number of requests in the billing period, then sum the segments. Use a weighted traffic mix rather than a simple average when a small number of long or multimodal calls account for a large share of usage.
6. Run sensitivity cases
Prepare at least a low, expected and high case by changing request volume, output length, cache-hit share and the proportion of expensive modalities or tools. A sensitivity table reveals which assumption deserves engineering attention.
| Scenario input | Low case | Expected case | High case |
|---|---|---|---|
| Request volume | Your conservative lower forecast | Best estimate from product demand | Peak or growth forecast |
| Output length | Short, successful responses | Observed typical length | Long responses or retries |
| Cache-hit share | Little or no reuse | Measured production-like share | Optimistic upper bound only if prefix stability is proven |
| Modalities and tools | Text-only path | Expected mix | Maximum plausible image, audio or tool mix |
7. Reconcile after launch
Compare the forecast with aggregated usage and cost records for the same dates. Investigate differences by model, project, workload, cache category, output length and modality. Update the traffic mix and assumptions rather than applying a blanket correction factor.

How prompt caching changes the estimate
Prompt caching applies to a reusable, matching prefix. The rendered prefix must remain identical for later requests to reuse it. Changing an instruction, inserting dynamic text earlier in the prompt, altering tool definitions or otherwise shifting the prefix can reduce or eliminate cache reuse.
Cache-write tokens are the tokens written to establish or refresh that reusable prefix. They are not an extra surcharge stacked on top of uncached input. OpenAI’s official prompt-caching documentation says: “Cache-write pricing is not an additive fee: input tokens use the uncached-input, cached-input, or cache-write rate.” In the spreadsheet, assign each token to the one applicable category.
Estimate the cached share from observed usage. A persistent conversation or application session does not, by itself, prove that a cache entry was found. If you have no measurements, model a no-cache case and a separate scenario with an explicitly stated cache-hit assumption.
Estimating image input
Image input needs more information than a token count copied from a text request. The official image calculator asks for the model, image dimensions and supported detail level. Processing choices affect the resulting token quantity, so one image does not have a universal price across models or quality settings.
One displayed calculator example, checked on October 13, 2026, shows 1,229 input tokens and $0.01229 per image at a displayed $10.00 per one million input tokens. It is a configuration-specific example, not a standing image rate. The calculator says its result excludes other prompt tokens, caching, long-context pricing and data-residency adjustments, and that billing can differ by one token because of rounding.
For a production forecast, record the dimensions and detail setting used by each image class, run representative images through the calculator or API, and then multiply by expected image count. Add the surrounding text input and generated output separately; the calculator’s image-only figure is not the total request cost.
Estimating generated images and edits
Generated-image requests can include text input, image input when editing and image output. Model choice, quality, size and whether the request streams partial images can change the billable amount. Keep these components as separate rows so an image-output change does not obscure text-token growth.
Recommended Free Tools
The official guide displays a GPT Image 2.5 example of 196 image-output tokens and $0.00588 per image at $30 per million image-output tokens. The example excludes text input, image input and streaming partial images. Treat it only as an illustration of the calculation for that displayed configuration, not as a universal per-image price.

Tools, storage and other separately priced features
Some API capabilities use non-token units or add a distinct charge. Depending on the product and configuration, that can include built-in tool calls, storage, sessions, image generation or other services. First calculate the model tokens, then add each feature’s own quantity multiplied by its current unit rate.
Do not apply a text-token formula to a feature whose table is priced per call, per session, per stored item or another unit. Record the unit, rate, region and date in the same worksheet as the token assumptions. If a feature’s current rate is not stated in your planning material, mark it for verification rather than guessing.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Context length, service tier and processing location
Two requests with identical visible prompts can have different rates if one uses a long-context category, a different service tier or a regulated-processing option. Include the applicable category when you copy a rate from the live pricing table.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems- Context length: classify requests by the context-size rule used by the model’s pricing table. Large retrieved documents and long conversation histories can move calls into another category.
- Service tier: record whether the call uses the default or a specialized tier and apply any tier-specific multiplier or rate.
- Regional or regulated processing: check whether the selected location or data-residency requirement changes the price.
- Model changes: a migration to a new model requires a fresh rate lookup and a new usage sample, even if the application code is unchanged.
These dimensions should be columns in the estimate, not footnotes added after the total.
Worked calculations without hiding assumptions
Token-based request
Suppose a workload profile records U uncached input tokens, C cached input tokens, W cache-write tokens and O output tokens per request. Put the four current rates in adjacent cells and calculate ((U × Ru) + (C × Rc) + (W × Rw) + (O × Ro)) / 1,000,000. Multiply that row by the forecast request count for the billing period. If the workload has two model variants, create two rows; do not average their rates before applying their different usage quantities.
This symbolic example is intentional: a dollar result without your model, token counts, cache share and current rates would create false precision. Replace each variable with measured values from your own traffic and the live pricing table.
Image-input example
For the displayed calculator configuration, the arithmetic is 1,229 × $10.00 ÷ 1,000,000 = $0.01229 per image. The figure remains limited to the calculator’s stated image-input assumptions and exclusions. If a request also contains text instructions, cached context or a generated image, calculate those components separately and add them.
Generated-image example
For the displayed GPT Image 2.5 output example, 196 × $30 ÷ 1,000,000 = $0.00588 per image output. Text input, edit-image input and streaming partial images are outside that displayed amount, so they must be added when present.

A spreadsheet layout that stays auditable
Use one row per model, workload and pricing category. Recommended columns are:
- Billing period and estimate version
- Model and endpoint
- Workload name
- Modality and feature
- Requests in period
- Uncached input tokens per request
- Cached input tokens per request
- Cache-write tokens per request
- Output tokens per request
- Each corresponding rate and rate date
- Separate feature quantity and unit rate
- Per-request cost, period cost and scenario label
- Source of each measurement and confidence level
Keep the raw usage sample on a separate sheet. This lets you distinguish a rate change from a workload change when the next invoice differs from the forecast.
Common estimation mistakes and how to correct them
| Mistake | Why it causes an error | Correction |
|---|---|---|
| Using one headline rate for every call | Models and input, cached-input, cache-write and output categories have different rates. | Calculate each category against the exact model and current table. |
| Estimating from prompt word count | Tools, history, formatting, code and modality change processed tokens. | Capture usage fields from representative API responses. |
| Counting cache writes as an extra fee | Cache-write pricing applies to those input tokens; it is not stacked on another input charge. | Assign each token to one input category. |
| Assuming every repeated prompt is cached | A changed rendered prefix can prevent reuse, and a session does not guarantee a hit. | Measure cache categories and model a no-cache sensitivity case. |
| Mixing image and text costs | Image calculators and generated-image examples may exclude surrounding text or other inputs. | Calculate image input, text input, edit input and image output separately. |
| Ignoring long-context or regional rules | The applicable rate can change even when token counts stay the same. | Include context category, tier and processing location in every rate lookup. |
| Budgeting on a single average request | Long or multimodal calls can dominate a small volume. | Segment traffic and run low, expected and high cases. |
| Leaving the forecast unreconciled | Production retries, output growth and traffic mix drift are invisible in a static estimate. | Compare forecast rows with aggregated usage and cost records after launch. |
When a simple estimate is enough
A simple spreadsheet is usually adequate for a small text-only prototype with one model, stable prompts and no separately priced features. Use measured token counts from several representative calls, apply the current rates and include a conservative output-length buffer.

What your final estimate should communicate
A useful budget is not just a dollar total. It should state the models and endpoints, request volume, measured or forecast token mix, cache-hit assumption, modality and tool usage, pricing-table date, context and tier category, processing location, currency and low/expected/high cases. That makes the number traceable and gives engineers a clear lever when costs rise.
