Estimate an AI API bill by modeling your workload first, then applying the selected provider’s current input, output, cache, feature and service-tier rates. The core text-only calculation is:

monthly cost = requests × [(input tokens per request ÷ 1,000,000 × input $/million) + (output tokens per request ÷ 1,000,000 × output $/million)]

As an Amazon Associate I earn from qualifying purchases.

That equation is a planning method, not a promise of a particular invoice. A credible budget uses low, expected and high assumptions; counts every model call made for one user task; separates input from output; and adds charges for caching, tools, grounding, images, audio, video, regional processing and processing tiers. Provider prices and conditions change, so refresh the calculation against the live rate card and pilot telemetry before approving a launch budget.

Start with the unit you are actually costing

“How much will an AI API cost for my app?” has no useful single answer until you define what one billable unit means. A visible action such as “summarize this meeting” may trigger a classifier call, a retrieval query, a summarization call and a quality-check call. Counting only the visible action would understate usage.

Choose a measurement unit

  • Per model call: useful for validating an endpoint or prompt.
  • Per completed user task: usually the clearest product metric when one action can invoke several calls.
  • Per month: the budget view, calculated from tasks per month multiplied by calls and tokens per task.

Write the unit at the top of your worksheet. For an agent, estimate the full task path, including retries, tool-selection calls, summarization steps and any fallback model. If 20,000 users each perform five tasks monthly and each task averages three model calls, your estimate is 300,000 calls, not 100,000.

Record workload assumptions before looking at prices

Usage assumptions come from your planned application; rates come from the provider and model you select. Keep those inputs in separate columns so a change in traffic does not get confused with a price change.

Assumption What to specify Why it changes cost
Users or jobs Monthly active users, documents, conversations or automated jobs Sets total task volume
Calls per task Minimum, typical and maximum model calls, including retries Multi-step workflows multiply tokens
Input tokens per call System instructions, user text, retrieved context, history, tool results and images if applicable Input is billed separately from output
Output tokens per call Expected generated answer, structured data or reasoning output where billed Output rates are often different from input rates
Model mix Model used for each workflow step and fallback Each model has its own schedule
Feature units Cached tokens, audio seconds, image/video units, grounding, tools or storage These can add lines beyond text tokens
Processing conditions Standard, batch, flex, priority/fast, region and endpoint Tier and geography can change eligibility and price

The basic input-and-output token calculation

For a text-only call, convert each token category to millions of tokens and multiply by its matching per-million rate:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

cost per request = (input tokens ÷ 1,000,000 × input rate) + (output tokens ÷ 1,000,000 × output rate)

monthly text cost = monthly requests × cost per request

Do not combine input and output into one token total unless you clearly label the result as a rough approximation. Official pricing pages expose distinct input and output categories, and the difference can be substantial.

What belongs in input tokens

Count the complete payload sent to the model, not merely the user’s latest sentence. Include fixed system and developer instructions, conversation history, retrieved passages, tool results, schemas, examples and any text representation of files. If a chat window grows over time, measure the average and upper-percentile context rather than assuming every turn is short.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What belongs in output tokens

Include the generated answer, JSON, code, summaries and other model-produced text. If the selected model bills reasoning or “thinking” tokens separately or includes them in output accounting, follow that model’s schedule. A short visible answer can still consume more output tokens when hidden reasoning is enabled, so verify the endpoint’s usage fields.

Convert calls correctly

If your product has 50,000 completed tasks per month, two calls per task and 3,000 input plus 700 output tokens per call, the monthly totals are 100,000 calls, 300 million input tokens and 70 million output tokens. Those totals are what you apply to the per-million rates.

A worked estimate with low, expected and high usage

The following is a hypothetical planning example, not a forecast for any particular product. It uses one model and a short-context rate example shown on OpenAI’s pricing page accessed October 13, 2026. That page lists gpt-6.1-sol at $1.00 per million input tokens and $5.00 per million output tokens; it also lists cached input at $0.05 and cache writes at $1.25 per million. Confirm the live row, context condition and currency before budgeting at OpenAI API pricing.

Scenario Requests/month Input tokens/request Output tokens/request Input cost Output cost Text subtotal
Low 10,000 2,000 400 10,000 × 0.002M × $1.00 = $20 10,000 × 0.0004M × $5.00 = $20 $40
Expected 100,000 4,000 800 100,000 × 0.004M × $1.00 = $400 100,000 × 0.0008M × $5.00 = $400 $800
High 500,000 8,000 1,500 500,000 × 0.008M × $1.00 = $4,000 500,000 × 0.0015M × $5.00 = $3,750 $7,750

The expected case is therefore an $800 monthly text-token subtotal under those stated assumptions. It excludes caching, tools, image or audio units, taxes, storage, regional uplift, service-tier premiums and any other endpoint charge. The high case illustrates why a single average can be dangerous: doubling traffic and context does not merely add a small cushion.

Use ranges for both volume and token size

Create at least three rows, changing request volume, input size and output size independently. A feature can have ordinary traffic but unexpectedly large retrieved context, or high traffic with very short prompts. If you have no production data, label the values as hypotheses and plan a pilot that measures them.

Calculate each model and workflow step separately

Suppose a task uses a low-cost model for routing and a larger model for the final response. Make one line for router input/output and another for final-answer input/output. Do the same for fallback calls and retries. Adding all calls first and applying one blended rate can hide the expensive step and produce a misleading budget.

Model caching instead of applying a generic discount

Repeated instructions or reference material can make caching valuable, but cache economics are provider-, model- and feature-specific. Anthropic describes the mechanism this way: “Prompt caching reduces costs and latency by reusing previously processed portions of your prompt across API calls.” Read the current Claude API pricing documentation for the exact rules.

Separate the four cache quantities

  • Ordinary input: tokens that are not served from cache.
  • Cache writes: tokens processed and stored for later reuse.
  • Cache reads: tokens retrieved from an existing cached prefix.
  • Cache storage: any time-based or capacity-based storage charge listed by the provider.

Forecast each quantity rather than taking a headline “cache discount” off all input. A cache may expire, require a minimum prefix, or apply only to specific models and endpoints. Your worksheet should include cache-hit rate, average cached-token length, write frequency and retention period.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Illustrative cache calculation

Assume 100,000 monthly calls, each with a 4,000-token prompt prefix. If 70% of that prefix is served as cached input, 30% remains ordinary input and 0.7 × 4,000 × 100,000 tokens are cache reads. If the prefix is rewritten 10,000 times, cache-write tokens are 10,000 × 4,000. Apply the provider’s separate rates to those three totals, then add storage if listed. This is a method demonstration; it is not a claim about a universal cache policy.

Charges beyond text tokens

A text-only formula is a starting point, not a complete invoice. Review the selected model’s endpoint schedule for every feature your application invokes.

Images, audio and video

Multimodal APIs may price image input, generated images, audio input or output, and video in different units from text. Google’s Gemini API pricing page publishes modality-specific rows and model tiers, including rates that change on January 1, 2027 for some models or options. Do not substitute a text-token rate for an audio second or image/video unit. Record the unit, resolution or duration condition and model row.

Tools and function calls

Count model tokens used to select and describe a tool, the tool result inserted back into context, and any separate tool fee. OpenAI’s pricing documentation says built-in tool tokens are billed at the model’s token rates and lists additional pricing for some features. A web lookup, code execution or file operation can therefore increase both token usage and feature charges.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Grounding and retrieval services

Some providers charge per grounding request or search-backed operation in addition to model tokens. Google’s pricing table includes grounding request charges. Estimate the number of grounding operations per task and multiply by the published unit rate; do not bury them in an assumed token average.

Reasoning or thinking tokens

Models that expose a reasoning budget may bill those tokens, include them in output, or apply a separate category. Confirm how the endpoint reports usage and whether your maximum reasoning setting is actually consumed. Use observed pilot usage for the expected row and a configured maximum for a high-cost sensitivity row.

Processing tiers, batches and latency trade-offs

Processing mode can alter price and service guarantees. Compare standard, batch, flex, priority or fast modes only when the workload meets each mode’s latency, quota and endpoint requirements.

Batch processing

Anthropic’s pricing page states that its Batch API provides a 50% discount on input and output tokens. That description does not guarantee that every request or deployment qualifies. Check submission limits, completion timing, model eligibility and whether tools or streaming are supported before applying the discount to a forecast.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Fast or priority processing

Product labels can change. OpenAI’s pricing page says Priority processing was renamed Fast mode on July 30, 2026. Treat the current console and documentation label as authoritative, and model its price and availability separately from standard traffic. A latency-sensitive path may justify a premium while offline enrichment can use a cheaper delayed mode.

Regional and regulated endpoints

Geography can affect both eligibility and price. OpenAI states that eligible regional-processing endpoints for models released on or after March 5, 2026 carry a 10% uplift, and that FedRAMP endpoints also carry a 10% uplift. Apply that uplift only when your selected endpoint and model meet the stated conditions. Anthropic says Claude 4.6 and later models using US-only inference through inference_geo incur a 1.1× multiplier across token-pricing categories. Capture region, residency, compliance endpoint and multiplier in the same worksheet row as the rate.

How to compare providers on the same workload

A fair comparison holds the application workload constant and changes only the provider-specific schedule. Use the same request count, token distribution, cache behavior, modality mix and latency requirement for every candidate.

Comparison axis Questions to answer
Input and output rates What are the per-million rates, and does your workload produce more input or output?
Context conditions Does a longer context move the request into another price row?
Caching Are cache writes, reads and storage priced separately? What is the retention rule?
Processing mode Can the job use batch, flex, standard or fast service, and what latency or quota applies?
Modalities and tools What are the units and prices for audio, image, video, grounding and built-in tools?
Geography Do regional, residency or regulated endpoints add a multiplier?
Promotions and free tiers Is the allowance temporary, region-limited or ending on a stated date?
Operational fit Do rate limits, reliability, SDK support and data controls meet the product requirement?

Google’s pricing page lists distinct model and tier rows rather than one Google-wide rate, so quote a named model and unit when presenting an estimate. Likewise, never compare a cached-input price from one provider with ordinary input from another. Align the billing categories first.

Build a practical estimation worksheet

A spreadsheet is sufficient for most pre-build decisions. Use one row per model, workflow step and billing category.

  1. Describe one representative task. Write the user action and every model call it triggers, including retries and fallbacks.
  2. Set low, expected and high task volumes. Base them on sign-ups, jobs, conversations or internal automation schedules.
  3. Measure or estimate tokens per call. Separate system text, user text, retrieved context, tool results, input media and generated output.
  4. Choose a named model and endpoint. Record context-length condition, region, tier and pricing-page date.
  5. Enter current unit rates. Keep ordinary input, output, cached input, cache writes, cache reads, storage and feature units in separate columns.
  6. Calculate each line. Divide units by the provider’s base unit, multiply by the matching rate, and multiply by monthly volume.
  7. Add feature and infrastructure lines. Include grounding, tools, media, storage, regional multipliers and service-tier premiums.
  8. Review sensitivities. Vary traffic, context length, output length, cache-hit rate, retries and model mix to find the largest cost drivers.
  9. Validate with a pilot. Log request counts and usage fields, compare observed percentiles with assumptions, and update the expected and high rows.

Recommended worksheet columns

scenario | workflow step | model | endpoint/region | calls per task | tasks per month | input tokens/call | output tokens/call | cached input | cache writes | cache reads | storage units | media units | tool/grounding units | input rate | output rate | feature rates | subtotal | pricing date

Store the pricing-page URL beside each rate. This makes a later refresh auditable when a provider changes a model, tier or effective date.

Common estimation mistakes and their fixes

Using a headline rate for every token

Failure: multiplying total tokens by the input rate. Fix: split input and output before multiplication and include reasoning categories when applicable.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Counting user actions instead of model calls

Failure: budgeting one call for an agent that routinely makes four. Fix: map the complete task graph, including retries, tool loops and fallbacks.

Assuming context is constant

Failure: using the first-turn prompt size for a long conversation or retrieval workflow. Fix: model average and high-percentile context, and test the maximum context price row.

Applying a cache discount to all input

Failure: ignoring cache writes, reads, expiration and storage. Fix: forecast each cache category with the provider’s own rules.

Ignoring non-text units

Failure: treating audio seconds, image units, grounding requests or tool executions as free. Fix: add a separate quantity and rate for every billed feature.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Using temporary prices as permanent economics

Failure: extending a free allowance, promotion or dated rate indefinitely. Fix: record its end date or effective date and calculate a post-promotion case.

Confusing an estimate with a cap

Failure: assuming the worksheet prevents an unexpected bill. Fix: configure application-level quotas, per-user limits, alerts and a kill switch, then reconcile actual usage regularly.

Turn the estimate into a launch decision

Use the range to decide what must be true for the feature to be viable. If the high case exceeds your budget, reduce the largest drivers rather than shaving a token or two from every prompt.

  • Reduce unnecessary history and retrieved passages; summarize durable context.
  • Route simple classification or extraction to a cheaper suitable model.
  • Constrain output with schemas, maximum lengths and concise formats.
  • Cache stable instructions and reference material when the provider’s terms make the hit rate worthwhile.
  • Move non-urgent bulk work to an eligible batch mode.
  • Separate multimodal or grounding-heavy features from the default path.
  • Set per-task and per-account budgets before exposing the feature broadly.

Compare cost per completed task, not only cost per million tokens. A model with a higher token rate may finish reliably in one call, while a cheaper model that requires retries or extra validation can cost more for the same outcome. Include quality, latency, rate limits, privacy and regional requirements in the decision record alongside dollars.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Refresh the estimate after a pilot

Pre-build values are uncertain because you do not yet know real prompt lengths, user behavior, cache-hit rates or retry frequency. Instrument the pilot to capture, at minimum:

  • Requests and completed tasks by workflow step.
  • Input, output, cached and reasoning-token usage as reported by the endpoint.
  • Tool, grounding and media units.
  • Latency, timeout, retry and fallback counts.
  • Model, region, tier and pricing version.
  • Daily and monthly spend, with high-percentile task cost.

Recalculate low, expected and high cases from observed distributions, not just the mean. A small number of very large contexts can dominate the high case. Recheck the provider’s live pricing pages before a launch approval because schedules, model names, tiers and effective dates are volatile.

What you can and cannot know before building

You can produce a defensible range from expected calls, token mix, model rates and feature assumptions. You cannot know a specific monthly bill from the feature name alone. The missing variables are usually request volume, calls per task, context growth, output behavior, cache performance, modality use, endpoint geography and service tier.

Present the result as a dated scenario: “At 100,000 calls per month, 4,000 input and 800 output tokens per call, using the named model’s short-context standard rates, the text subtotal is $800.” Then list exclusions and the conditions that would move the number. That format is more useful than a falsely precise single figure and gives engineering, finance and product teams a common basis for revising the budget.
