Estimate an LLM app from the requests it will actually send, not from a universal “cost per prompt.” Build a worksheet that separates input and output tokens, counts every model call (including retries and tool steps), applies the selected model’s current rates and feature charges, and reports low, base, and high cases. Then run representative requests and replace assumptions with observed billed usage before launch.
The basic calculation
For a text-only workload using one model without special pricing, calculate token cost for the period as:
As an Amazon Associate I earn from qualifying purchases.
period cost = (total input tokens / 1,000,000 × input rate per million) + (total output tokens / 1,000,000 × output rate per million)

request cost = (input tokens / 1,000,000 × input rate per million) + (output tokens / 1,000,000 × output rate per million)
Then multiply by the number of requests in that workload. A production app usually has several workload classes and models, so the more useful equation is:
period cost = Σ(request count for each workload × cost per request for that workload) + separately billed features

Input can include your system instructions, conversation history, retrieved passages, tool results, and other hidden context in addition to the user’s visible message. Output includes the model’s generated response and, for some models, internally billed reasoning or “thinking” tokens. A price per request is therefore meaningful only after you specify the model, prompt composition, output limit, feature configuration, traffic pattern, and billing region.
Start with a workload inventory
Before opening a pricing page, describe what the application does at the API level. Separate actions that have materially different prompts, output lengths, call counts, or models. Typical classes include:
- Short classification: one compact prompt and a small label or JSON response.
- Chat with history: a system prompt plus an increasing conversation transcript on every turn.
- Long-document summary: large input, often with a constrained output.
- Retrieval-augmented answer: user question plus retrieved passages, metadata, and possibly a reranking call.
- Agent or tool workflow: several model calls interleaved with searches, database queries, code execution, or other tools.
- Moderation, routing, or extraction: an additional model call before or after the user-facing response.
For each class, record the calls made for one end-user task. If a “single answer” normally invokes a router, a retrieval model, a main model, and a final formatter, it is four billable calls, not one. Include expected retries caused by timeouts, validation failures, rate limits, or an agent repeating a step.
Workload inventory worksheet
| Workload class | Model or endpoint | Calls per user task | Typical input | Typical output | Special features |
|---|---|---|---|---|---|
| Example: support chat | Selected chat model | 1, plus retry assumption | System prompt, history, retrieved policy text, user message | Answer and citations | Prompt caching may apply |
| Example: invoice extraction | Selected extraction model | 1 | Document text or image | Structured JSON | Image modality, schema validation |
| Example: research agent | Router and main model | Several; measure the distribution | History, search results, tool output | Intermediate calls plus final answer | Grounding, tool charges, long context |
Use your own class names and keep them stable in the worksheet. A class should be split when changing the prompt or route changes token usage or pricing eligibility enough to affect the estimate.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsMeasure representative token usage
Do not estimate from the visible user message alone. Collect realistic samples that include production system instructions, conversation history, retrieved context, tool responses, formatting constraints, and the model’s actual output. Sample easy, ordinary, and difficult tasks rather than only a polished demonstration.
What to capture for each sample
- Input token count reported by the provider, if available.
- Output token count reported by the provider. Record whether this includes reasoning or thinking tokens.
- Model name, endpoint, API version if relevant, and service tier.
- Whether input was cached, newly written to a cache, or billed as ordinary input.
- Context length and any long-context threshold crossed.
- Number of model calls, retries, and tool loops needed to finish the task.
- Modality details, such as audio seconds, image inputs, or video duration.
- Grounding, search, tool, or other metered operations.
- Latency or timeout failures that trigger another call.
Store counts by workload class, not just one grand average. A long-document request can be rare but dominate spend, while a short chat turn can dominate call volume. If the provider does not return token usage for a response, use its documented tokenizer or an equivalent counting method for a preliminary estimate, then validate with billing data when possible.
Account for history and retrieved context
Many chat APIs charge the complete serialized prompt on every turn. If a conversation has 2,000 tokens of history and the new user message is 50 tokens, the billable input may be roughly 2,050 tokens before adding system instructions or retrieved passages. Measure the actual request payload after your application inserts those elements.

Retrieval can have a similar effect. Count the text of every passage, titles and metadata that you send, and any query-rewriting or reranking calls. Truncation, deduplication, and maximum-context rules should be represented in separate low, base, and high samples rather than assumed away.

Project production volume
Translate product activity into API calls. A simple demand model makes every assumption visible:
monthly calls for a workload = active users × tasks per user per month × calls per task × (1 + retry rate)
For a daily forecast, use daily active users and daily tasks, then account for the number of operating days. If usage is seasonal, calculate the launch month, an ordinary month, and a peak month separately. Do not multiply monthly active users by an average task count unless that average is based on a defined observation period.
Volume assumptions to document
- Active users or accounts in the period.
- Tasks per user and the percentage of users who perform each task.
- Calls per task for every model and endpoint.
- Expected retry, timeout, and validation-failure rates.
- Traffic spikes, launch campaigns, or seasonal demand.
- Whether background jobs, previews, batch imports, and administrative actions call the model.
For an agent, estimate a distribution of steps per task. A workflow that usually takes three calls but occasionally takes ten should not be represented by three calls in every scenario. Keep the step count and retry assumptions as separate worksheet cells so you can change them without rewriting the model.

Apply the selected provider’s current rates
Use the official pricing page for the exact model, endpoint, modality, context tier, service tier, and billing geography. Record the date you checked it; pricing pages change and a rate card can contain several categories for one model.
| Provider pricing reference | What to verify | Important qualification |
|---|---|---|
| OpenAI API pricing (checked 2026-10-13) | Input, cached input, cache-write, and output columns; modality and service-specific rates | Use the row for the exact model and endpoint. Rates are mutable. |
| Anthropic Claude Platform pricing (checked 2026-10-13) | Model rate, prompt-caching terms, batch treatment, long-context pricing, and inference geography | Partner-operated cloud platforms can have independent regional pricing. |
| Google Gemini Developer API pricing (checked 2026-10-13) | Model and modality rates, context caching, cache storage, grounding, and applicable context tiers | For the listed models, output prices include thinking tokens; confirm the current table. |
The figures in these pages are rate-card entries, not a universal market average. For a defensible estimate, save the model identifier, rate category, region, service tier, context threshold, and retrieval date beside every number in your worksheet. If a provider offers separate rates for cached input, cache writes, or storage, do not blend them into one input rate.
Include pricing modifiers and non-token charges
The token formula is a baseline. Add charges that are metered separately or that move a request into another pricing category.
Caching
Prompt caching can lower the rate for reused input, but a cache write or cache-storage period may have its own charge. Estimate the fraction of requests that hit a cache, the number of tokens written, the retention duration, and the cache-miss path. A cache is not a discount until your exact model, minimum token requirement, and reuse pattern qualify.
Long-context requests
Some models use a different input or output rate after a context threshold. Calculate the full prompt size, not just the newly added text, and test the threshold with a worst-case history and retrieval payload. Keep a separate high case for documents or conversations that approach the limit.

Tools, search, and grounding
Search queries, grounding requests, code execution, database tools, and other services can be charged per operation or by their own usage units. Count them per task and include failed or repeated tool calls. A model response that cites a search result may incur both model tokens and a grounding charge.
Audio, image, and video
Multimodal APIs may bill audio duration, image inputs, video duration, or modality-specific tokens in addition to text. Record the units reported by the provider and do not convert them to text tokens unless the pricing documentation explicitly does so.
Batch, priority, and regional processing
Batch processing, fast or priority service, and regional processing can change rates. Apply a batch discount only to requests that meet the provider’s eligibility and timing rules. A priority tier can increase cost even when token counts are unchanged. Confirm whether the selected geography is served directly by the provider or through a partner with a separate rate card.
Build low, base, and high cases
One number hides the assumptions that matter most. Create three cases with explicit volume and usage inputs. Use observed samples when available; do not label a percentile or margin unless you have measured enough data to support it.
| Variable | Low case | Base case | High case |
|---|---|---|---|
| Active users and tasks | Conservative adoption or quiet month | Best current product forecast | Launch spike, seasonal peak, or upper demand assumption |
| Input tokens per call | Short history and little retrieval | Representative measured request | Long history, retrieval, or document payload |
| Output tokens per call | Concise successful response | Observed typical response | Long response or reasoning-heavy task |
| Calls per task | Happy path | Measured average by class | Extra agent steps, validation, or retries |
| Feature usage | Lowest eligible cache/tool/modality use | Expected mix | Highest plausible metered use |
Keep the high case plausible rather than arbitrary. Long prompts, retries, and agent loops can make it materially larger than the average. If the high case is unacceptable, change the product design—cap history, limit tool iterations, constrain output length, route simple tasks to a smaller model, or require user confirmation before an expensive workflow.
Worked example with illustrative rates
The following numbers demonstrate the method only; they are not provider quotes. Replace them with the current rate-card values for your chosen model.
Suppose a support feature handles 12,000 tasks in a month. Each task makes one main call. A representative request contains 2,400 input tokens and produces 600 output tokens. Assume a 5% retry rate, so expected calls are 12,000 × 1.05 = 12,600.
For illustration, use an input rate of $2 per million tokens and an output rate of $8 per million tokens:
- Input tokens:
12,600 × 2,400 = 30,240,000, or 30.24 million. - Output tokens:
12,600 × 600 = 7,560,000, or 7.56 million. - Input cost:
30.24 × $2 = $60.48. - Output cost:
7.56 × $8 = $60.48. - Illustrative token subtotal:
$120.96.
If 20% of tasks also invoke a separately billed search operation, add 12,000 × 0.20 search calls at the search price. If 10% use a longer context tier, split those calls into a separate row with that tier’s input and output rates instead of applying the ordinary rate to all traffic. The final estimate is the token subtotal plus those feature rows, not a single price inferred from the average prompt.
Use a worksheet that can be audited
A spreadsheet or small script should have one row per workload, model, and pricing category. Useful columns are:

Token price alone does not tell you which option is cheaper for the product. Compare candidates on the same representative workload and period:
- Cost: input/output mix, caching, long-context thresholds, feature charges, and service-tier adjustments.
- Task quality: whether the model completes the real task without correction, fallback, or a second attempt.
- Usage pattern: prompt and output distributions, calls per task, retries, and cache reuse.
- Capabilities: context size, modalities, tool support, structured output, and required processing options.
- Operations: latency, quotas, reliability, data-handling and geography requirements, and monitoring support.
A cheaper model that fails validation and triggers an additional call may cost more per successful task. Conversely, a larger model may be justified for a narrow workload if it reduces retries or human review. Run the same test set through each candidate and put quality-related extra calls into the cost worksheet.
Validate before launch
- Freeze a representative test set. Include ordinary requests, long histories, large retrieval results, malformed inputs, tool failures, and the longest permitted outputs.
- Run through the production code path. Measure the serialized payload and every intermediate call, not a manually pasted prompt.
- Capture provider usage fields. Save input, cached-input, cache-write, output, reasoning or thinking, modality, and tool units where returned.
- Reconcile the worksheet. Compare measured counts and rate categories with the rows in your estimate. Explain every difference.
- Stress the high case. Exercise retry logic, context growth, agent step limits, and peak concurrency. Confirm that caps prevent runaway loops.
- Record the final rate snapshot. Save the provider URL, model identifier, region, service tier, and date checked immediately before launch.
If measured usage differs from the estimate, revise the input and output assumptions rather than hiding the difference in an unexplained contingency. A mismatch often reveals an omitted system prompt, duplicated history, retrieval payload, or intermediate call.
Monitor and revise after release
Pre-deployment estimates become useful only when compared with actual usage. Track spend and usage by model, workload class, tenant or product feature, and day. Alert on both dollars and tokens so a rate change and a traffic spike are distinguishable.
- Compare actual calls with forecast calls.
- Compare input and output token distributions, not only their averages.
- Track cache-hit rate, cache writes, and storage duration.
- Track tool, grounding, and media units separately from model tokens.
- Measure retries, validation failures, and agent steps per completed task.
- Recheck provider pricing whenever you change models, prompts, routing, geography, or service tier.
Update the low, base, and high cases when prompts change, a retrieval index grows, a new feature adds a model call, or user behavior shifts. Keep the old snapshot so a monthly variance can be explained instead of overwritten.
Common estimation mistakes and fixes
Using a generic cost per request
Why it fails: Requests differ in context, output length, model, and call count.
Fix: Estimate each workload class from measured payloads and multiply by its own volume.
Counting only the user’s message
Why it fails: System instructions, history, retrieval, and tool output are also input.
Fix: Count the final API payload after all application code has assembled it.
Best Value
Ignoring retries and intermediate calls
Why it fails: Validation failures and agent loops can add calls without adding visible user tasks.
Fix: Instrument call graphs, include retry and step assumptions, and cap loops.
Applying one input rate to every token
Why it fails: Cached input, cache writes, long context, and service tiers can have different categories.

Assuming a feature is free
Why it fails: Search, grounding, tools, media, and cache storage may be metered separately.
Fix: Read the exact model and feature documentation and count units independently.
Quoting an old price as permanent
Why it fails: Provider pricing is mutable and can differ by geography or partner platform.

A practical decision rule
You have a defensible pre-deployment range when every major line in the estimate answers four questions: what workload generated it, how many calls and tokens it uses, which current rate category applies, and what evidence supports the assumption. If any answer is missing, label that line as an uncertainty and include it in the high case rather than presenting a precise-looking total.
