How to Encrypt Files Before Storing Them in Free Cloud Storage

Encrypt files on your device before they enter a cloud-sync folder. A practical approach is to install the provider’s desktop sync client, create a Cryptomator vault inside the synchronized folder, and add files through Cryptomator. The provider then receives encrypted vault data rather than ordinary filenames and readable documents. You control the vault password and recovery key, so test recovery before storing anything irreplaceable.

What “encrypt before upload” actually means

Client-side encryption changes the point at which encryption occurs. Your device encrypts the file before the sync application transmits it. The storage service receives ciphertext and stores that ciphertext; it does not receive the vault password or the key material used to unlock the files.

This is different from ordinary encryption at rest. Most major storage services encrypt data on their servers by default, and commonly protect transfers with TLS or HTTPS. Those controls protect data while it travels to and sits on the provider’s infrastructure, but the provider’s systems generally perform the encryption and retain the ability to decrypt data for authorized service operations. With client-side encryption, you perform the first encryption step and retain the key.

Protection model Where encryption starts Who controls the decryption key What you need to open a file
Provider-managed encryption at rest Usually during transfer or after the service receives the data The provider, under its account and service controls Your normal cloud account and app
Client-side vault encryption On your device, before synchronization You, through the vault password and recovery process The synchronized vault, a compatible encryption app, and the vault password

Google Cloud describes these as separate layers: its server-side encryption remains in place, while customer-managed client-side encryption means the customer encrypts data before sending it and manages the keys. After download, the provider’s server-side layer may be removed, but your client-side layer still has to be decrypted on your device. A personal free Drive account should not be assumed to include Google Workspace’s administrator-controlled client-side encryption feature; that feature has separate account and administrative requirements.

What you need before starting

  • A local synchronization client. Install the desktop application supplied by your storage provider and identify the folder it synchronizes. A browser-only account does not create the local folder used by this workflow.
  • Cryptomator for each device you plan to use. Check its current supported-services and platform information for the exact provider, operating system, and device combination. Compatibility can change.
  • A password you can protect for years. Use a long, unique vault password that is not reused for your cloud account or email.
  • A separate recovery location. During vault creation, generate the recovery key and keep it outside the synchronized vault, preferably offline or in another secured location.
  • A recovery test. Start with a noncritical test vault and a few disposable files. This confirms that synchronization, unlocking, and recovery work on your devices before you entrust the setup with important data.

Free storage quotas, file-size limits, retention policies, and account terms vary by provider and can change. They do not affect the encryption method, but they determine how much encrypted data you can store and whether deleted or conflicting files remain recoverable.

Set up an encrypted vault in a synchronized folder

1. Install and configure the sync application

  1. Download the official desktop sync application for your cloud service and sign in.
  2. Accept or choose the local synchronization directory. Note its full path; it may be a folder such as a provider-named directory under your user profile.
  3. Allow the client to create and synchronize a small test file. Confirm that the file appears in the provider’s web interface before proceeding.

The sync client is responsible only for copying data between your device and the service. It does not provide the client-side encryption in this method.

2. Create the vault with Cryptomator

  1. Open Cryptomator and choose the option to add or create a vault.
  2. Select a new vault and, when asked for its storage location, browse into the local folder managed by your sync client.
  3. Give the vault a recognizable local name, but avoid putting sensitive information in the name because the outer folder name may remain visible to the provider.
  4. Choose a strong, unique password. Cryptomator derives protection for the vault from this password; it is not the same credential as your cloud account.
  5. Generate the recovery key when Cryptomator offers it. Save it separately and securely, then complete vault creation.

Cryptomator’s vault wizard identifies the selected directory as storage and separately notes that it is not a synchronization service. The cloud client must remain installed and signed in for encrypted vault data to upload.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

3. Unlock and add files through the decrypted view

  1. In Cryptomator, select the new vault and choose Unlock.
  2. Enter the vault password. Cryptomator exposes a decrypted, mounted location through the operating system’s file manager.
  3. Copy or move files into that mounted location. Work in this location rather than placing plaintext files beside the vault in the ordinary synchronized folder.
  4. Close files when finished and lock the vault when you no longer need plaintext access.

Cryptomator encrypts file contents and filenames and obfuscates the directory structure. The synchronized folder therefore contains vault data rather than a normal, browsable document tree. The provider’s web interface may show unfamiliar encrypted objects or folders; that is expected.

4. Wait for synchronization to finish

  1. Leave the sync application running until its status indicates that all vault changes are uploaded.
  2. Do not move, rename, or selectively delete vault files from the provider’s web interface while a vault is open on a device.
  3. For a large batch, allow time for every changed encrypted object to upload. Closing the laptop or disconnecting the network early can leave the remote vault incomplete.

Encryption protects confidentiality; it does not make synchronization instantaneous or turn the service into an independent backup. A damaged local copy, an unresolved sync conflict, or an accidental deletion can still affect availability.

Verify that the provider receives ciphertext

After the test files synchronize, inspect the provider’s web interface or the ordinary local sync folder without unlocking the vault. You should see the vault’s encrypted structure, not readable document names or thumbnails. Do not use a sensitive real file for this first check.

Then unlock the vault and open the test files through the mounted decrypted location. Compare them with the originals. Lock the vault, close the sync client, and reopen it after synchronization to confirm that the encrypted copy remains usable.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A stronger check is to sign in on a second device, synchronize only the test vault, and open it with Cryptomator. This tests the entire chain: account access, download, vault recognition, password entry, and decryption.

Use the vault on another computer or phone

Desktop computer

  1. Install the same cloud provider’s sync client and sign in to the account that stores the vault.
  2. Wait until the encrypted vault directory is fully synchronized locally.
  3. Install Cryptomator, choose to open an existing vault, and select the vault’s configuration or storage directory as requested by the app.
  4. Enter the vault password, then work only in the decrypted mounted location.

Do not create a second vault over the same directory, and do not open the same vault for writing on two devices at once. Finish edits and let synchronization settle on one device before opening it for changes elsewhere. This reduces the chance of conflicting encrypted chunks.

Mobile device

Mobile support depends on the operating system, the Cryptomator edition, and the storage service’s integration. Consult Cryptomator’s current supported-services information for the exact combination. A service that works through a desktop sync client may require a different connection method on a phone or tablet, and some combinations may be read-only or unavailable.

What the storage provider can still see

Client-side encryption hides the readable contents, filenames, and much of the directory structure inside the vault. It does not make the account anonymous. The provider can still generally observe account identifiers, billing or registration details where applicable, connection events, approximate timing, total stored size, synchronization traffic, and the existence of the encrypted vault directory. Sharing links, access logs, and account-level metadata can also reveal activity.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The provider can serve the encrypted data back to your devices, but it cannot use the vault password to turn that data into ordinary documents. Google Cloud’s documentation explains that it does not know a customer’s client-side encryption keys. That protection depends on you not uploading the password or recovery key alongside the vault.

Understand the security boundary

When the vault is locked

The synchronized copy is encrypted. Someone who obtains only the vault directory and cannot obtain the password or recovery key should not be able to browse the files as ordinary documents. Use a strong password and protect the devices and accounts that can reach the vault.

When the vault is unlocked

Cryptomator must make plaintext available to applications so you can edit files. Malware, a malicious process, or another user with control of the unlocked device may be able to read, copy, alter, or delete that plaintext. Cryptomator’s security documentation explicitly treats local malware access to an unlocked vault as outside the protection boundary.

Against account takeover

Client-side encryption does not prevent an attacker from signing in to the cloud account, deleting encrypted data, replacing it with other ciphertext, or viewing account metadata. Protect the cloud account with a unique password and any available multi-factor authentication, and monitor sign-in notifications.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Against sharing mistakes

Anyone who receives both the vault and its password can potentially decrypt the contents. A shared vault is therefore most practical for one person or a small group that understands the software and agrees on a secure credential-sharing method. Send passwords through a separate secure channel, not in the same cloud folder or message that contains the vault link.

Password, recovery key, and backup planning

Vault recovery is deliberately under your control. If you lose the password and the recovery key, the storage provider cannot reset the vault for you. Google Cloud similarly warns that loss of a customer-controlled client-side key can make encrypted data unreadable.

Cryptomator’s recovery key can reset a vault password, so treat it like a highly confidential credential. Keep it in a separate location from the synchronized vault and maintain more than one secure copy if the files are important. Do not leave the only copy on the device that contains the vault.

Test the recovery process with the noncritical vault created during setup. Record which account, device, and Cryptomator version you used, then verify that a fresh installation can identify the vault and accept the recovery key. A recovery key is not a duplicate copy of your files; it restores access to the encrypted vault. Keep independent backups of irreplaceable originals or of decrypted backup sets according to your risk tolerance.

Client-side encryption versus ordinary free cloud storage

Decision factor Provider-managed encryption Client-side Cryptomator vault
Initial setup Usually automatic after account sign-in Requires a sync client, Cryptomator, vault creation, and key storage
Daily access Open files through the provider’s normal web, desktop, or mobile interface Unlock the vault with Cryptomator before opening plaintext files
Key custody Provider manages service-side keys You protect the vault password and recovery key
Provider visibility Provider systems can generally process readable content under their service controls Provider receives encrypted vault data and cannot use the vault password to decrypt it
Recovery Account recovery is handled through the provider’s procedures Recovery depends on your separately stored recovery key and backups
Search, previews, and collaboration Usually integrated into the provider’s interface Often unavailable until the vault is unlocked; collaborators need compatible software and credentials
Compatibility Determined mainly by the provider’s apps Depends on Cryptomator support for the specific service, platform, and device
Protection while a device is compromised Depends on provider and device security Does not protect plaintext exposed while the vault is unlocked on an infected device

Troubleshoot common failures

The vault does not appear on the second device

  • Confirm that the sync client has downloaded the complete vault directory, not only a placeholder or selectively synchronized subset.
  • Check that you selected the existing vault rather than creating a new one.
  • Verify that the second device and service combination is supported by the current Cryptomator documentation.

Files are missing or an old version appears

  • Stop editing on every device except one.
  • Check the sync client for paused uploads, conflicts, quota errors, or an offline state.
  • Wait for synchronization to finish, then inspect any conflict copies before deleting anything.
  • Restore from an independent backup if a local file was deleted or corrupted; encryption does not provide version history by itself.

The provider shows many changed files after a small edit

A vault stores encrypted data in multiple objects and may update metadata when files change. Numerous encrypted-object updates do not by themselves indicate that plaintext was exposed. Let the sync operation complete and avoid interrupting it repeatedly.

The password is rejected

  • Check keyboard layout, capitalization, and accidental spaces.
  • Try the recovery-key procedure if you have the correct recovery key for that vault.
  • Do not delete or overwrite the vault while investigating. If neither credential works, preserve the encrypted copy and consult Cryptomator’s current recovery documentation; the storage provider cannot decrypt it for you.

A vault will not open after a device failure

Install Cryptomator on a replacement device, restore or re-synchronize the complete encrypted vault, and use the original password. If the vault’s configuration is missing, recovery may be limited by what metadata remains and by the vault format. Keep the complete vault directory and recovery information together as part of your disaster-recovery plan, but not in the same physical or account location.

A safer operating checklist

  • Use the provider’s official sync client and confirm its local folder before creating the vault.
  • Create the vault inside that folder, not beside it or in a browser-only location.
  • Add files through Cryptomator’s decrypted mounted location.
  • Keep the vault password unique and the recovery key separate from the vault.
  • Lock the vault when you finish and keep devices patched and protected.
  • Wait for sync completion before shutting down or switching devices.
  • Test opening the vault on a second device before storing important data.
  • Maintain independent backups for files whose loss would be unacceptable.
  • Review service, platform, and quota changes periodically; free-plan terms and compatibility can change.

This arrangement gives a free or low-cost storage account a client-side encryption layer without requiring a dedicated encrypted-cloud subscription. The tradeoff is responsibility: you gain control over who can decrypt the files, but you also become responsible for passwords, recovery keys, device security, synchronization discipline, compatibility, and backups.
