Use Copilot Notebook to understand a document, not to overwrite the original. Add the Word, Excel, or PowerPoint file as a Notebook reference, ask Copilot to find facts or draft replacement text, then open the original in its Office app and apply a narrowly scoped edit there. Review the proposed change before choosing Replace or Insert below, and keep a recoverable copy or version first.
That workflow matches Microsoft’s documented product boundaries. Copilot Notebooks are reference workspaces for questions, summaries, and new drafts; direct editing of an existing file is documented in Word, Excel, or PowerPoint. Formatting retention is a goal you must verify, not a universal Microsoft guarantee.

What Copilot Notebook can—and cannot—do to an Office file
A Copilot Notebook gathers chats, files, web pages, meeting notes, and other references in one focused workspace. Copilot can use those references to answer questions, identify themes, summarize material, and draft something new. Microsoft Support describes this as drafting new content from the material in a notebook.
You can add Word documents, Excel workbooks, and PowerPoint presentations as references. The supported add-reference paths include uploading a file, selecting it from OneDrive, dragging it into the Notebook, and, where enabled, adding a link to a OneDrive or SharePoint document. Copilot can ground its response only in the files and locations you add and are permitted to access.

The important distinction is that adding a file to a Notebook does not document an in-place edit of that source file. If you ask the Notebook to rewrite a paragraph, it can produce replacement wording for you to review and transfer. To change the original document, open it in its native Office application and use that app’s Copilot editing experience.

The safest end-to-end method
The following process separates analysis from editing. That separation reduces the chance that a broad rewrite will disturb styles, tables, headers, section breaks, or pagination.
1. Preserve the original before you ask for a broad change
For an important or shared file, make a duplicate or create a recoverable version in OneDrive or SharePoint before editing. Give the copy a clear name, such as Project-plan-before-Copilot-edit.docx. If the file is governed by a team workflow, confirm whether version history, tracked changes, or approval rules apply.

Microsoft documents undo and viewing prior versions in Word, but recovery is easier when you deliberately preserve a known-good starting point.
2. Add the correct file to the Notebook as a reference
- Open Copilot Notebooks and choose the option to add a reference.
- Upload the DOCX, XLSX, or PPTX file, select it from OneDrive, or drag it into the Notebook. If your account supports it, use a permitted OneDrive or SharePoint link.
- Check the file name, location, and date so you know the Notebook contains the intended version.
- Confirm that your account has permission to access the file. A link to a document you cannot open does not give Copilot usable context.
Do not assume that every account has the same reference allowance. Microsoft’s current guidance lists different limits by license: Copilot Chat users may add up to 50 references, while Microsoft Copilot users may add more than 300; in the latter guidance, only the first 300 are used for grounding. The comparison is specifically for work or school Copilot Chat and Microsoft Copilot licensing, so it should not be applied automatically to every personal subscription.
3. Use the Notebook to locate facts and draft only the change you need
Ask focused questions that identify the passage, numbers, or structure you need to change. For example, ask which section defines a project milestone, or request a 120-word plain-language version of a selected policy statement. If several references are involved, ask Copilot to distinguish which file supports each fact.

Treat generated wording as a draft. Copy the approved text or your editing instructions into a note, but do not assume that the Notebook has updated the original DOCX, XLSX, or PPTX. Keeping the requested change narrow also makes the later formatting inspection easier.

4. Open the source file in its Office application
Open the original or your preserved working copy in Word, Excel, or PowerPoint. For Word, Microsoft documents selecting the text, opening Copilot from the mini toolbar or the document interface, describing the rewrite or formatting request, and then reviewing the result.
Microsoft’s broader Office editing instructions also describe opening the Office app, choosing Tools > Edit with Copilot in the prompt box, and describing the work. Labels can vary by application, account, and rollout, so use the Copilot control visible in the Office app you actually have.
5. Select a bounded target and state the formatting constraints
Select one paragraph, a small group of cells, a slide text box, or another clearly defined object. State both the content change and what must remain unchanged. A useful Word request is:
Rewrite the selected paragraph for a non-technical audience. Keep the existing Heading 3 style, inline links, bullet structure, and table references. Do not change any other paragraph.For a workbook, identify the sheet and range and say whether formulas, number formats, conditional formatting, and cell references must remain intact. For a presentation, name the slide and text box and specify that the existing theme, layout, and speaker notes should not change.
6. Review before accepting
Copilot’s documented Word flow presents a proposed result for review. Read the entire affected passage and compare it with the source. Then choose Replace if the selected text should be exchanged, Insert below if you want to retain the original while adding the draft, or regenerate with a more precise instruction.

Do not accept a suggestion merely because the wording sounds fluent. Check that names, dates, units, citations, formulas, and qualifiers survived the rewrite. A concise request can still produce an answer that changes meaning.
7. Inspect the surrounding layout in the native app
After accepting an edit, inspect more than the changed sentence. In Word, look at heading hierarchy, list indentation, table widths, headers and footers, section breaks, page breaks, captions, tracked changes, and pagination around the edit. In Excel, check formulas, references, merged cells, number formats, filters, conditional formatting, hidden rows or columns, and print areas. In PowerPoint, check text-box dimensions, alignment, line spacing, theme fonts, overflow, chart labels, and speaker notes.
Save only after the result passes that inspection. If the layout is wrong, undo the change, restore the preserved version, or use version history rather than trying to repair several cascading changes at once.

Copilot can format and reorganize content, which means a vague request may invite more structural change than you intended. Prompts cannot guarantee retention, but they can define a smaller target and make review unambiguous.
For Word documents
- Name the selection: “Rewrite only the selected paragraph.”
- Identify the style: “Retain the existing Heading 2 style and paragraph spacing.”
- Protect structures: “Keep the table, footnotes, hyperlinks, list numbering, and tracked changes.”
- Limit scope: “Do not edit other sections or change page breaks.”
- Specify the output: “Return one replacement paragraph, not a new document outline.”
For Excel workbooks
- State the exact worksheet and range.
- Say whether formulas must remain formulas rather than converted values.
- Preserve number formats, data validation, named ranges, filters, conditional formatting, and chart sources when relevant.
- Ask for a description of the intended change before accepting an automated edit to a large range.
For PowerPoint presentations
- Identify the slide number and object, such as the title placeholder or a particular text box.
- Keep the current slide layout, theme, font pairing, and alignment.
- Set a maximum length when text must fit a fixed area.
- Ask Copilot not to alter charts, diagrams, animations, or speaker notes unless that is the purpose of the request.
What “without losing formatting” really means
Microsoft does not publish a formatting-retention rate, a benchmark covering Office file types, or a universal promise that existing layouts, styles, tables, headers, or pagination will remain unchanged after Copilot edits. The official instructions emphasize reviewing the result before acceptance.
Therefore, “without losing formatting” is an operational goal: keep the edit as small as possible, preserve a recoverable original, and verify the elements that matter in the native app. It is not a product guarantee. Complex files deserve a slower review because a wording change can alter line wrapping, table height, slide overflow, or page breaks even when the underlying style remains selected.

High-risk document features to check explicitly
- Complex tables: Confirm column widths, row heights, repeating header rows, cell shading, and text wrapping.
- Section breaks: Check orientation, margins, headers, footers, and page numbering after an edit near a break.
- Tracked changes and comments: Make sure the requested rewrite did not hide, accept, or discard review markup.
- Branded layouts: Verify approved fonts, colors, logos, spacing, and locked design elements.
- Long documents: Search for altered headings, table-of-contents entries, cross-references, and unexpected blank pages.
Troubleshooting common failures
The Notebook gives me text, but the original file is unchanged
That behavior is consistent with the documented Notebook role. Use the output as a draft, open the file in Word, Excel, or PowerPoint, select the target, and apply the change through the app’s Copilot editor. The Notebook conversation itself should not be treated as proof that the source file was modified.

Check that you added the correct file as a reference, that the file type is DOCX, XLSX, or PPTX, and that your account can open its OneDrive or SharePoint location. Remove an outdated reference and add the current version if the file was moved or replaced. For shared documents, ask the owner or administrator to verify your permissions.
The response used the wrong document or mixed sources
Reduce the Notebook reference set, name the file in your prompt, and ask Copilot to identify the source for each important fact. When editing in Office, select the exact passage and avoid prompts that ask for a whole-document rewrite unless that scope is intentional.
The edit changed layout or pagination
Undo the accepted suggestion or restore the saved version. Reapply the change to a smaller selection and specify the styles, tables, breaks, and page boundaries that must remain. Then inspect the result at normal and print or presentation view before saving again.
The Copilot control or command is missing
Availability depends on your account, subscription, organization settings, Office application, and Microsoft’s gradual rollout. Confirm that you are signed in with the account that has the required Copilot entitlement, update the Office app if your organization permits updates, and check whether your administrator has disabled the feature. The labels shown in one license or app may not appear in another.

Microsoft’s current support material says Copilot Notebooks is available to users licensed for Microsoft Copilot or Copilot Chat, with some capabilities rolling out gradually. A separate Office editing guide lists Microsoft 365 Personal, Family, Premium, and Pro plans for the described editing experience. Those plan names and feature entitlements can change, and work or school tenants may impose additional controls.
Check the feature in the account and Office app you will actually use rather than inferring access from a different account. When to use each workflow
Choose the Notebook first when you need to compare several references, extract facts, summarize a source set, or develop a new draft without touching the originals. Move to the Office app when the task is to revise the existing document, workbook, or presentation and preserve its working structure.
For a one-sentence correction in a simple document, you may not need a Notebook at all; select the sentence in Word and edit it there. For a policy rewrite based on multiple files, use the Notebook to establish the content, then make a controlled change in the source Office file. This division gives you broader context without treating a generated draft as an automatic file operation.
