How to Download or Move Your Files from OneDrive Before Canceling Microsoft 365

By Freedom251 Team · · 10 min read

Before canceling a personal Microsoft 365 subscription, make a verified copy of every OneDrive file you want to keep. Download files from the OneDrive website, confirm that synced files are actually stored on your device, or move copies outside the OneDrive folder. Then check your storage total, empty the recycle bin if necessary, and cancel through the company or app store that bills you.

What changes when Microsoft 365 ends

Canceling Microsoft 365 removes the subscription storage allowance. Under Microsoft’s current consumer guidance, the account reverts to 5 GB of cloud storage shared by OneDrive and Outlook.com attachments. Outlook.com email has a separate 15 GB allowance. See Microsoft’s cancellation guidance and its storage FAQs for the current terms.

If your OneDrive content is above that allowance, Microsoft says you cannot upload, edit, or sync new OneDrive files normally. Microsoft also says it may delete OneDrive and all files within it after six months if the account remains over the allowance. That is not an immediate deletion at the moment you cancel, but it is too risky to treat the cloud copy as your only backup.

The instructions below are for personal Microsoft accounts and Microsoft 365 home subscriptions. Work or school OneDrive can be subject to administrator retention rules, legal holds, or organization-specific policies; ask the administrator before moving organizational data.

Choose the way you will keep a copy

There is no single best method. Your choice depends on how much free space your computer has, whether files are already downloaded, and whether you want the retained copy to remain connected to OneDrive.

Method Does it create a local copy? Space and time considerations Does the copy remain in OneDrive sync? Best use
Download from the OneDrive website Yes. The downloaded files go to your computer’s download location unless you choose another destination. Requires enough free space for the selected data. Microsoft does not state a universal download-speed or completion-time figure. No, unless you save the download inside a folder that is itself synced. A complete, deliberate export of selected folders or the whole account.
Use files already synced to the computer Only if the file has actually been downloaded. An online-only file can appear in File Explorer or Finder without being a full local copy. Opening an online-only file downloads it, so local disk space and network time are still required. Yes while it remains in the OneDrive folder and sync is active. Large collections that are already available locally, after checking them carefully.
Move files outside the OneDrive folder Yes, after the file is present locally. You can move or copy it with File Explorer on Windows or Finder on macOS. Needs enough capacity at the destination. An external drive is optional if the computer is too small; Microsoft does not endorse a particular model or capacity. No. A copy outside the OneDrive folder is not controlled by OneDrive sync. A separate archive that will not be affected by later OneDrive cleanup.

For valuable files, use two independent locations when practical—for example, a computer folder and an external drive—and verify both before deleting anything online. Do not assume that seeing a filename in the OneDrive folder proves that its contents are stored on the device.

Step 1: Inventory OneDrive before touching the subscription

Review the cloud copy

  1. Sign in to OneDrive on the web with the Microsoft account that owns the subscription.
  2. Open the folders that contain documents, photographs, videos, project files, and other data you need to retain.
  3. Look for similarly named folders, old computer backups, shared items, and files in the recycle bin. Decide what must be preserved and what can be discarded.

The web view is the authoritative inventory of what is currently in OneDrive. A computer may show only a subset, especially when Files On-Demand has left older items online-only.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Compare it with the computer

Open the OneDrive folder in File Explorer or Finder and compare its important folders with the web inventory. An online-only item can be listed locally but is downloaded only when you open it. Microsoft explains this behavior in its OneDrive sync guidance. If a file must be retained, open it and wait for it to finish downloading before copying it elsewhere.

Seagate Portable 5TB External Hard Drive HDD – USB 3.0 for PC, Mac, PS4, & Xbox - 1-Year Rescue Service (STGX5000400), Black
  • Easily store and access 5TB of content on the go with the Seagate portable drive, a USB external hard Drive
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
  • To get set up, connect the portable hard drive to a computer for automatic recognition software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Check available space

Estimate the size of the files you intend to keep and compare it with free space on the computer. Include room for temporary download files and an unpacked folder if the website supplies a compressed download. If the computer cannot hold the collection, connect an external drive or use another local destination. Check that the drive is recognized, has sufficient capacity, and uses a format your computer can write to.

Step 2: Download files from the OneDrive website

Download a folder or a selection

  1. In OneDrive on the web, select a file or folder. To select several items, use the interface’s multi-select behavior for your browser and operating system.
  2. Choose Download from the toolbar or the item’s context menu.
  3. If the browser asks where to save the result, choose a folder with enough free space. For a large selection, allow the browser to finish creating and saving the download before closing the tab.
  4. Repeat for folders that were not included in the first selection. Keep the original folder structure where possible so you can identify files during verification.

A website download is useful when you want an explicit export independent of the OneDrive sync state. The exact appearance of buttons and selection controls can vary by browser and account region, so use the current labels shown in your account.

Handle large collections safely

  • Download in manageable groups if the browser or computer struggles with a very large selection.
  • Keep the browser open until the download reports completion. A partially created archive is not a verified backup.
  • Do not delete the online originals merely because a download started. First check that the destination contains the expected folders and files.
  • If a download fails, retry a smaller folder or individual files and note which items still need attention.

Use an external drive when local space is limited

Microsoft says downloaded files are stored on the computer by default and describes moving files outside OneDrive. An external hard drive or other compatible storage can be the destination, but choose capacity from your own size estimate rather than an assumed standard. Safely eject it only after copying and verification finish. Keep it disconnected during later cleanup so an accidental sync or deletion cannot affect the archive.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 3: Turn synced-looking files into a real local copy

Identify online-only items

OneDrive can display an online-only file in File Explorer or Finder even though its contents are not on the disk. Open each important item from the OneDrive folder and wait for it to download. Large videos and photo folders may take considerable time and space.

Copy files outside OneDrive

  1. Create a destination folder outside the OneDrive directory, such as a folder on another internal volume or an external drive.
  2. In File Explorer or Finder, select the files that have finished downloading.
  3. Copy them to the destination. Copying is safer than moving during the first pass because the original remains available while you check the result.
  4. After verification, you may remove the OneDrive version if you need to reduce cloud usage.

Microsoft’s instructions on stopping or changing sync are at How to cancel or stop sync in OneDrive. A folder outside OneDrive is not automatically synchronized, so changes made later in one location will not appear in the other.

Step 4: Verify the retained files before deleting anything

Check the destination, not just the transfer message

Open the destination folder and compare its top-level folders with your inventory. Check representative files from each important type: open several documents, view photographs, play a video, and inspect a compressed archive if you saved one. A filename list alone cannot reveal a damaged or incomplete file.

Check counts and sizes where they matter

  • Compare the number of files in critical folders with the OneDrive web view.
  • Check that unusually large files have plausible sizes rather than a zero-byte or tiny placeholder.
  • Open files from the destination after disconnecting from the internet, when practical. This confirms the copy is not silently referring back to OneDrive.
  • If you used an external drive, safely eject and reconnect it, then open samples again.

Microsoft’s migration instructions also tell users to confirm files appear in OneDrive on the web; for a cancellation archive, the additional test is to confirm that the independent destination is readable. Keep that verified copy separate from OneDrive before removing cloud data. The migration reference is Microsoft’s guidance for moving files to a new Windows PC.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step 5: Reduce OneDrive usage if you will keep the free account

You do not have to export every file if you intend to remain within the post-cancellation allowance. Microsoft recommends reviewing storage usage, moving unwanted files, deleting items you no longer need, and emptying the OneDrive recycle bin online. The recycle bin counts toward cloud storage use.

  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.
  1. Open the storage view from your Microsoft account or OneDrive web interface and note the current usage.
  2. Delete only files that you have either verified elsewhere or deliberately decided to abandon.
  3. Open the OneDrive recycle bin and permanently empty it when you are certain those deleted items are not needed.
  4. Check usage again. Microsoft says quota updates after deletion can take up to 24 hours.
  5. Continue removing or moving data until the account is at or below the allowance you will have after cancellation.

For details about what counts as Microsoft cloud storage, consult Microsoft’s cloud-storage explanation. Do not cancel and immediately assume that a deletion has freed space; allow the stated update period and recheck.

Step 6: Cancel through the service that bills you

Subscriptions purchased directly from Microsoft

Sign in to the Microsoft account associated with the subscription, open the subscription-management page, and choose the cancellation option shown for Microsoft 365. If the page says recurring billing is off and displays an expiration date, Microsoft says no additional cancellation action is needed to prevent another renewal. The account can normally be used until that expiration date.

Apple, Google Play, or a retailer purchase

If an app store or retailer charged you, Microsoft says that provider controls billing and cancellation. Use the seller’s subscription settings rather than expecting the Microsoft account page to stop the charge. The relevant account-routing guidance is Where can I manage my Microsoft 365 subscription?

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Save the confirmation

Record the displayed expiration date and save the cancellation confirmation email or screenshot. This helps distinguish a scheduled end from an immediate cancellation and gives you a reference if billing does not match the status shown in the account.

Step 7: Recheck storage after the subscription expires

  1. After the expiration date, sign in to the Microsoft storage dashboard and OneDrive.
  2. Confirm that the allowance and usage match what you expected.
  3. Open several files from the independent copy you created, not only from OneDrive.
  4. If the account is over quota, stop relying on new uploads, edits, or synchronization; Microsoft says those functions are restricted while over the allowance.
  5. Keep the verified local or external copy available while deciding whether to delete more cloud data or resubscribe.

Microsoft’s current cancellation page warns that it may delete OneDrive and its files after six months when an account remains over the allowance. Treat that warning as a deadline for resolving the quota problem, not as a promise that files will remain available for the entire period.

Common problems and fixes

“The file is in my OneDrive folder, but I cannot open it offline.”

It is probably online-only. Connect to the internet, open the file so OneDrive downloads it, wait for completion, and copy it to a folder outside OneDrive. Test that copy offline.

“The download finished, but folders or files are missing.”

Compare the download with your web inventory. Download the missing folder separately, using smaller selections if necessary. Do not delete the online source until every important item has a readable destination copy.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“I deleted files, but the storage number did not change.”

Empty the OneDrive recycle bin if the deleted items are no longer needed, then allow up to 24 hours for Microsoft’s quota calculation to update. Check the storage view again before canceling.

“I canceled, but OneDrive still shows the old plan.”

Check the subscription’s expiration date and the account that was billed. If Apple, Google Play, or a retailer handled payment, verify cancellation with that provider. Microsoft’s account-management page may not control an externally billed subscription.

“My computer does not have enough room.”

Download in batches to an external drive or another local destination with adequate capacity. Verify each batch before starting the next, and keep at least one copy outside the OneDrive folder.

Before you press cancel: a final checklist

  • Every important cloud folder has been inventoried.
  • Online-only files needed for retention have been downloaded.
  • The destination has enough capacity and is outside OneDrive sync, or is a separately managed external drive.
  • Representative documents, photos, videos, and archives open from the destination.
  • Critical file counts and sizes have been checked.
  • Unwanted cloud files have been deleted and the recycle bin emptied if appropriate.
  • Storage usage has been rechecked after allowing for Microsoft’s possible 24-hour update delay.
  • The cancellation channel—Microsoft, Apple, Google Play, or a retailer—has been identified.
  • The expiration date and cancellation confirmation have been saved.
  • A separate verified copy will remain available after the subscription ends.

Once those checks are complete, cancel through the correct billing provider and revisit the storage dashboard after expiry. This sequence preserves the files you chose, avoids confusing an online-only placeholder with a backup, and addresses the over-quota risk before Microsoft’s six-month deletion policy could become relevant.
