For a defensible review file, save more than a screenshot: preserve the post as viewers encountered it, retain its URL or platform identifier and capture context, and keep an unchanged original alongside any annotated copies. Then review the entire communication—including claims, endorsements, disclosures, and risk information—against the rules that apply to the product and organization. No single capture method or checklist satisfies every company’s obligations.
What to preserve before a post changes or disappears
Capture the complete public-facing communication promptly, before it is edited, removed, or otherwise becomes unavailable. A useful record should show both what the post said and how it appeared in context.

- The post itself: visible text, images, video, audio, captions, hashtags, disclosures, and links. For video or audio, retain the relevant media rather than relying only on a still frame or transcript.
- Identity and location: platform, account or author, post URL or platform identifier, and any surrounding context needed to understand the communication.
- Capture details: date and time with time zone, who captured it or what process did so, and whether it came from a public view, account export, or another source.
- Related materials: where relevant, retain linked landing pages or referenced content separately, with their own URLs and capture times. A post can change meaning when viewed apart from the material it points to.
This is a practical recordkeeping checklist, not a universal statutory list. NIST’s technical reference on digital evidence preservation discusses preservation considerations for evidence handlers; the exact process should fit the organization’s records policy and the matter under review.

A screenshot can preserve a visual snapshot of a post, but by itself it may not preserve the source, media, links, capture circumstances, or history needed to interpret and audit that snapshot. Use it as one part of the review record, not as a universal substitute for source information and context.
FDA’s electronic-record scope guidance says copying processes should preserve a record’s content and meaning. Keep the unaltered capture and any exports or annotated review copies together, clearly labeling what each file represents. Do not overwrite the original with markup or redactions; make review copies and record what changed.
FDA’s Part 11 guidance applies in its regulatory context; it does not mean every marketing screenshot is automatically a Part 11 record. Applicability depends on the relevant predicate-rule requirements and how the record is used. See FDA’s Part 11 scope and application guidance.
Build a repeatable capture and review record
- Capture the post in its actual presentation. Save the public view where possible, including relevant visible context and media. Record the URL or identifier and account name. If an account export or another source is used instead, identify it as such.
- Record provenance. Log capture date and time with time zone, collector or capture process, source, and any limitations—for example, media that could not be retrieved. Keep these details with the capture rather than in an unrelated note.
- Preserve an unchanged original. Store the original capture separately from review annotations, conversions, or redacted copies. Keep the versions together and label their relationship so a later reviewer can distinguish the source record from working materials.
- Use managed storage and a review log. Place the record in the designated organizational records location. Record who collected and reviewed it, when, what versions were created or exported, and any later changes. Apply the organization’s retention schedule, access controls, and legal-hold process when relevant.
- Review the full communication. Assess express and implied health claims, supporting context, endorsements or testimonials, material-connection disclosures, and risk or qualifying information. Record the issues reviewed and the basis for the disposition under the organization’s process.
- Retain the relevant presentation. If a disclosure’s placement, prominence, or duration is material, preserve the image, story, or video view that shows it in place, not merely a text transcription.
The specific fields and steps above are operational recommendations, not a universal legal mandate. FDA’s Social Media Policy gives an example for federal agency records: content that qualifies as a federal record must be captured and maintained in a recordkeeping system under FDA records policies. That agency-specific policy is not automatically binding on private advertisers. See FDA’s Social Media Policy.

Review the post as an advertisement, not just a file
The preservation task supports a substantive compliance review; it does not decide whether the communication is compliant. FTC health-products guidance covers promotional material online and on social media, including influencer marketing. Claims should be truthful and adequately supported, and endorsements cannot convey claims that would be deceptive or unsubstantiated if the advertiser made them directly. The FTC also notes that people who participate directly in marketing or have authority to control it can have responsibilities related to truthful, supported claims. Consult the FTC Health Products Compliance Guidance and its advertisement endorsement guidance.
Claims and supporting context
Read the words, imagery, and surrounding context together. Note express and implied health or product claims, the evidence or support cited, and any context that affects what a reasonable audience may take away. A truncated crop or isolated caption can obscure the overall message.
Endorsements and material connections
For testimonials, influencer posts, or expert endorsements, preserve who is speaking and any disclosure of a relationship or other material connection. The FTC’s Disclosures 101 for Social Media Influencers says disclosures should be hard to miss and placed with the endorsement. A hyperlink alone can be avoidable. For a story or image, the disclosure should appear over the image long enough to be noticed; for video, it should be within the video rather than only in the description. Preserve the format that allows reviewers to assess that placement.

The FTC revised its Endorsement Guides in June 2023. They describe practices the FTC may consider deceptive; they are not standalone regulations. Product and context matter, so involve the organization’s legal or regulatory reviewers where needed.
Product-specific FDA considerations
FDA’s 2014 document on character-limited platforms addresses presenting risk and benefit information for specified prescription drugs and medical devices. It is draft guidance and expressly says “Not for implementation. Contains non-binding recommendations.” Do not treat it as a final rule or extend its scope to every medical product. FDA’s 2014 character-limited-platform guidance and For Industry: Using Social Media provide product-specific context.
Choose a capture approach that fits the record
No one capture method is established as best for every review. Choose based on the evidence you need and the organization’s systems. Compare approaches on these practical dimensions:

- Create a mix using audio, music and voice tracks and recordings.
- Customize your tracks with amazing effects and helpful editing tools.
- Use tools like the Beat Maker and Midi Creator.
- Work efficiently by using Bookmarks and tools like Effect Chain, which allow you to apply multiple effects at a time
- Use one of the many other NCH multimedia applications that are integrated with MixPad.
- Presentation fidelity: Does the record show how a user saw the post, including media and disclosure placement?
- Source context: Does it retain the URL or platform identifier, account, and relevant surrounding material?
- Content integrity: Does the export preserve content and meaning, and can the original be distinguished from transformed copies?
- Auditability: Can the organization identify who captured, reviewed, exported, or changed the record?
- Review access: Can the appropriate reviewers retrieve and understand the record?
- Policy fit: Does storage and retention align with the organization’s retention rules, access controls, and legal holds?
A browser screenshot, platform-provided export, or managed capture system may each contribute useful evidence; the right choice depends on what is available and the recordkeeping requirements. NIST’s Guidelines on Mobile Device Forensics and digital-evidence preservation reference are technical materials for evidence handling, not a prescribed workflow for every advertiser.

Common capture and recordkeeping problems
- The saved image omits a disclosure or important text. Capture the complete post view and relevant media, and record any portion that could not be captured. A crop alone may prevent reviewers from evaluating placement or context.
- The post’s link later changes or stops working. Keep the post URL or identifier and capture time with the saved content. If linked material is relevant, capture and identify it separately rather than relying on a live link as the only record.
- A review copy has annotations but the original is unclear. Preserve the unchanged capture separately, label each derivative, and log who made or exported it and when.
- The record cannot be traced to a source or collector. Add the platform, account, source method, time zone, and collector or process to the recordkeeping log. Avoid presenting an unattributed image as a complete record.
- An automated capture is blank or incomplete. Check whether the post requires authentication, loads media dynamically, or is blocked; use an authorized source or manual capture where appropriate and document the limitation. Do not infer that an empty capture proves the post was empty.
Set retention and escalation rules internally
Retention periods and formal requirements depend on the organization, product, record type, applicable laws, and internal policies. Establish the approved storage location, access, retention schedule, and legal-hold escalation path with records, legal, and regulatory teams rather than assigning a universal period to screenshots. For regulated products, confirm which FDA materials and requirements apply to that product and communication.
