Save the evidence before you report, block, or ask for deletion. Capture uncropped screenshots showing the exact content, account identity, platform, visible date or time, and URL; download original files and messages; record every incident in a chronological log; and preserve public pages in a web archive. Keep untouched originals separate from redacted working copies, restrict access, and send an indexed evidence packet to the platform, employer, police, regulator, or lawyer. Archives support the timeline, but no screenshot or Wayback replay proves authorship, intent, or the truth of a statement by itself.
What to do first
Online posts, profiles, comments, direct messages, and videos can disappear after a report or block. Save what you can while it is visible. The Online Safety Commission cautions that reporting may lead to harmful material being removed, and PEN America likewise advises preserving screenshots and hyperlinks when offending content may later be deleted.

- Preserve before reporting. Save the live URL, capture the page, download available files, and note the current date, time, and time zone. Do not provoke the account or announce that you are collecting evidence.
- Capture the surrounding context. Leave the post, username or handle, platform branding, visible timestamp, and browser address bar in frame. Take additional captures of the profile and the thread when they explain who posted or how the material was shared.
- Make an untouched copy. Keep the original download or capture exactly as created. Create a separate working copy if you need to redact private information or add annotations.
- Log the incident. Give it an incident ID and record what happened, when you captured it, where it appeared, and what you did next.
- Archive the public page. Attempt a web-archive capture before the page changes, then retain the live URL, screenshot, capture time, and downloaded file even if the archive replay works.
- Report after preservation. Save the report form, confirmation email, case number, platform response, and any status screen.
This order protects your options. It does not determine whether evidence will be admissible in a particular court; authentication and privacy rules depend on your jurisdiction and the forum handling the complaint.

Include the five identifying elements
A cropped image of an offensive sentence is difficult to place in time or attribute. A useful capture normally shows:

- The content: the complete text, image, video frame, comment, or message that matters. Capture enough of the thread to show whether it is a reply, quotation, or edited post.
- The account: display name, username or handle, profile image when visible, and the profile URL. Record the profile separately if the post view does not show the identifier clearly.
- The platform: the site or app name and any visible interface elements that distinguish it from a repost or screenshot of another service.
- The time: the platform’s displayed publication time or date, plus your own capture date, time, and time zone in the log. A relative label such as “2h” should be recorded exactly as shown and supplemented with your capture time.
- The location: the full address-bar URL or a copied link. If no URL is available, make a screen recording that shows how you reached the item, or photograph the device screen while the item is open.
Take a full-window capture first. You can make a zoomed or annotated copy for readability, but never replace the original with the edited version. If the post contains a threat, slur, private address, intimate image, or other sensitive material, preserve it securely and share only what the recipient needs.
Capture context beyond the single post
Smear campaigns are patterns rather than isolated sentences. Add captures that establish:
- the account’s profile and any visible relationship to the subject;
- the parent post and replies, including quoted or reposted material;
- where the content was shared, such as a public group, private group, forum, or direct message;
- visible audience, view, or reach information, if the platform displays it;
- edits, deletions, warnings, or labels shown by the platform; and
- links between related accounts or incidents, without assuming that similar names prove common ownership.
Do not remove surrounding comments simply because they are unfavorable to your position. PEN America advises saving all relevant evidence, not only material that presents one side favorably.

Download what the platform provides
Keep original messages, email files with full headers where available, videos, images, attachments, and platform notifications. An exported email file can contain routing and time information that a screenshot omits. Preserve the downloaded file in its native format, and note the application or platform used to obtain it.
For a direct message, save the complete conversation segment that gives the message meaning, not only the most offensive line. For a video, retain the original download and note its duration, visible account, and whether captions or audio were present. If a platform offers an account-data export, store that export separately from individual captures and record the request and download dates.
Separate originals, working copies, and redactions
Use three logical locations:
- Originals: untouched screenshots, downloads, exports, recordings, and email files.
- Working: copies used for highlighting, cropping, transcription, or adding exhibit numbers.
- Redacted: versions with irrelevant personal data hidden for a particular recipient.
Never overwrite an original with a redacted image. Name each derivative so a reviewer can trace it to the original, for example INC-004-post-working.png and INC-004-post-redacted.png.

Build a chronological incident log
Use one row per incident, even when several incidents occur on the same day. A spreadsheet, database, or plain-text ledger is sufficient if it is consistent and backed up. StopBullying.gov recommends recording dates, times, and descriptions while saving or printing screenshots, emails, and text messages. Japan’s National Police Agency similarly advises recording the site name, URL, writer, posting date and time, and content.

| Archive URL | The web-archive address, if a capture was successfully created. |
| Report number | Platform ticket, police reference, employer case number, or other identifier. |
| Outcome | Still visible, removed, account suspended, no response, or another observable result. |
Write facts separately from interpretation. “Post visible at 14:03 UTC” is a record; “the author intended to damage my career” is an allegation that may require other evidence. Preserve the exact wording, including spelling, punctuation, emojis, and apparent edits.
Use web archives without overclaiming what they prove
Capture the public URL
After saving the live page, submit its public URL to a web-archive service and record the resulting archive address and capture time. A web archive can provide a separately timestamped reference to what a public page looked like, which is useful when the live page later changes or disappears. NARA describes a strong preservation pattern as a stand-alone snapshot accompanied by a site map showing relationships among pages.
Archive the profile, the specific post, and any public page needed to understand the link between them. Keep a simple site map in your case folder that lists each archived URL and the incident IDs it supports.
Understand replay limits
Archive replays may be incomplete. Social-media pages can require a login, load content dynamically, restrict crawlers, or omit replies, images, and embedded media. UNESCO notes that copies may persist on internet archive sites such as the Wayback Machine, but a replay is not a substitute for your own capture.

- Retain the original screenshot and downloaded file even when the archive displays correctly.
- Record whether the replay loaded the text, images, replies, profile, and timestamps you expected.
- Do not treat an archive URL as proof that a particular person authored the content, intended a result, or made a statement true.
- Never edit the archived page or present a partial replay as the complete conversation.
Store sensitive evidence securely
Evidence can contain private messages, personal addresses, phone numbers, account identifiers, or intimate imagery. Use a predictable folder such as campaign-evidence/2026-10-17/INC-001/, then keep an untouched original, a working copy, and at least one backup.

- Restrict access to people who need it for the report or legal advice.
- Use device encryption and a strong account password; enable multi-factor authentication where available.
- Keep a backup that is not continuously mounted to the computer holding the working files.
- Consider a portable external hard drive for sensitive materials; PEN America identifies an external drive as an option instead of a cloud service.
- Record who received a copy, when it was sent, and what was included.
- Do not circulate intimate images or minors’ personal information beyond the minimum necessary recipient.
If a lawyer, investigator, or authority requests a hash, calculate it from the untouched file and record the algorithm and result without changing the file. A hash can help show that a file remained unchanged; it does not by itself establish who created the content or whether the content is true.
Record every reporting and escalation step
Platform reports
Preserve evidence before filing a report whenever possible. Save the completed form, confirmation email, case number, screenshots of the report status, and every response. Note the date and time you submitted it and the category you selected. A platform’s response or non-response documents when and how you sought removal, but reporting itself may cause the material to disappear.
Prepare a concise escalation packet
Start with a one-page chronology and a short, neutral summary of the pattern. Append an exhibit index and numbered exhibits in chronological order. For each exhibit, provide:
- the incident ID and original filename;
- the account identifier and platform;
- the live URL and archive URL, if available;
- capture time and the platform’s publication time;
- a one-sentence description of what the exhibit shows; and
- the related report number or outcome.
Send only the minimum sensitive material needed by the recipient. A platform may need the post URL and a screenshot; an employer may need a chronology and proof of workplace impact; police or a lawyer may need original files and message exports. Ask a qualified lawyer or the relevant authority about local rules before promising that a particular format will be accepted.
Choose the right preservation method

Evaluate each method on completeness, traceability, independence, security, and repeatability. The strongest packet uses methods together rather than asking one file to prove everything.

The post disappeared before you captured it
Search your browser history, notifications, email alerts, message exports, reposts, and recipients’ copies. Record that the original was unavailable, preserve any secondary copy without presenting it as the original page, and ask recipients not to edit their files. An archive replay or quoted text can support the timeline, but label its source and limitations.

The screenshot has no URL
Save the page through the platform’s share or copy-link function if available. Otherwise make a screen recording or device photo that shows the navigation path, account identity, and content, and explain in the log why no stable URL existed.
The page requires a login
Do not share credentials or bypass access controls. Capture the content while you are authorized to view it, save the original message or export, and note the account and access conditions. A public web archive may not replay a login-gated page.

The archive shows a blank or partial page
Keep the archive URL and record what failed to load. Preserve the full live-page screenshot, downloaded media, and capture time. Try archiving the specific post, profile, or media URL separately when that is permitted, but do not assume a successful page shell contains the missing content.
The platform timestamp is relative or inconsistent
Copy the displayed value exactly, record your own capture time and time zone, and avoid converting it to an exact publication time unless the platform supplies enough information. Explain any apparent discrepancy rather than silently choosing one date.
You need to redact personal information
Duplicate the untouched original, redact only the working copy, and give the recipient a note identifying what was hidden and why. Keep a private unredacted version available for an authorized investigator or lawyer.
A recipient asks whether the file is authentic
Provide the incident log, original filename, capture circumstances, live URL, archive URL, report history, and any requested hash. Explain your chain of custody factually. A lawyer or authority in the relevant jurisdiction must decide what authentication showing is required.
Legal and ethical boundaries
Preservation improves your ability to explain what happened; it does not guarantee admission in court or prove liability. Rules differ by country, state, tribunal, and issue. Do not state that a Wayback capture proves authorship, intent, or the truth of a claim. Do not impersonate another person, defeat a privacy control, or distribute unlawful intimate imagery while gathering evidence. If there is an immediate threat, contact emergency services or the appropriate local authority rather than relying on an online report alone.
What a complete evidence packet contains
- A one-page chronology with incident IDs, dates, times, platforms, and outcomes.
- An exhibit index linking each item to its original filename and incident ID.
- Uncropped screenshots showing content, account, platform, time, and URL.
- Original downloads, message exports, email files, videos, and notifications.
- Live URLs and web-archive URLs, with notes about incomplete replays.
- Copies of platform reports, confirmations, case numbers, and responses.
- A secure storage record showing backups, access, and any redactions.
- A short, neutral description of the pattern and the specific action requested.
Frequently Asked Questions
Can I rely on a friend’s screenshot instead of capturing the page myself?
You can preserve it as a secondary exhibit, but identify who supplied it, when they captured it, and whether the file was edited. Keep your own live-page capture or downloaded original whenever possible.
Should I contact the alleged author to ask for an explanation?
Not as an evidence-preservation step. Contact can alert the account, trigger deletion, or escalate the situation. Preserve first and seek advice from the platform, a qualified lawyer, or the relevant authority.
How long should I keep the files?
Keep them for as long as the platform case, employment issue, investigation, or legal advice may require, following instructions from your lawyer or authority. Do not delete originals merely because a post was removed.
Can an archive link replace the original URL?
No. Keep both. The live URL identifies the source location, while the archive URL is a separate preservation reference that may replay only part of the page.
