How to Digitize DVDs, CDs, and Vinyl Records for Easier Access

Digitizing DVDs, audio CDs, and vinyl records involves three different jobs. A DVD is read from an optical drive, a CD’s tracks are extracted digitally, and a record must be played in real time through a turntable and audio interface. For each medium, make a high-quality preservation file first, then create a smaller or more widely compatible access copy if that makes everyday playback easier. The National Archives and Records Administration (NARA) recommends keeping both purposes separate because repeated playback can damage originals and because preservation quality and convenience have different requirements.

This guide shows what equipment you need, how to work through each medium, which formats and metadata to retain, how to store and verify the results, and when a specialist transfer service is safer than a home setup.

What “digitizing” means for each medium

The word digitize hides three distinct workflows:

Source How the digital signal is obtained Typical preservation result Access-copy goal
DVD video A compatible optical drive reads the disc’s digital files. An unaltered disc image or full-quality file that retains relevant menus, chapters, subtitles, audio tracks, and other structure. A file that plays easily on your television, computer, phone, or media server.
Audio CD A compatible optical drive extracts the PCM audio tracks. Lossless PCM, such as 44.1 kHz/16-bit WAV, with track order and complete metadata. A broadly supported lossless or compressed file for routine listening.
Vinyl record A turntable plays the grooves; a phono stage and audio interface convert the analog signal to digital. A minimally processed, high-quality recording of each side or track. A tagged file in a convenient format for phones, computers, or streaming to other rooms.

NARA describes the reason for separating these outputs: “A reformatted copy of an audio-visual record is recommended for use because damage is possible each time an audio, video, and motion picture record is played.” See its reformatting guidance for the preservation/access distinction.

Plan the collection before connecting equipment

Decide what must be preserved

Make an inventory of titles, discs, records, condition, and any special features. Note whether a DVD has multiple language tracks, commentary, subtitles, chapter stops, or interactive menus. For CDs, record the printed album and track information before extraction. For records, note the label, catalogue or issue number, pressing, speed, and physical condition. This inventory becomes your quality-control checklist and helps you detect a missing side or track later.

  • 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.

Separate preservation and access copies

The preservation copy is the best practical representation of the source and should not be altered merely to save space. The access copy is made for convenience: it may be smaller, easier for a particular player to decode, or normalized for a listening library. Keep the original preservation file even if your everyday player only uses the access version. NARA states that digital storage capacity, regular checking, and backups are required for files to persist over time; its guidance is at archives.gov/preservation/holdings-maintenance/considerations/audio-video.

Gather compatible hardware

  • A computer with enough free storage for the preservation files and temporary working files.
  • An external DVD/CD drive if the computer has no compatible built-in optical drive. Match the drive’s connector to your computer and confirm that it reads the disc types in your collection.
  • For records, a turntable, an appropriate phono preamp or receiver input, and an audio interface or computer input that can capture the signal. A USB turntable with a built-in phono preamp can simplify the connection, but existing separate components may offer more control.
  • Clean, dry handling materials for discs: a soft lint-free cloth and, when needed, an air-puffer bulb. Do not use abrasive cleaners.
  • An external hard drive or other separate storage for backups. A single computer copy is not a backup.

Check rights and access controls

Copying rules vary by country, the rights status of the work, and whether a disc uses access controls. The U.S. Copyright Act contains specific provisions for libraries and archives, including limits on distributing digital copies outside the institution; those provisions are not a blanket consumer permission. Review the law that applies where you live and do not assume that owning a disc automatically authorizes every kind of copy. The U.S. Code (2024 edition) is available from the Government Publishing Office.

How to digitize DVDs

What you need to decide

DVD work is more complicated than copying a document because a disc can contain several titles, video angles, audio languages, subtitles, menus, and chapter navigation. NARA’s video playback and digitization guidance does not prescribe one consumer container, codec, or application. Choose based on the features you need and on what your playback devices support.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Step-by-step DVD workflow

  1. Inspect and clean the disc. Hold it by the hub and edge. If there is loose dust, use an air puffer. For fingerprints or deposits, wipe from the center straight toward the edge with a dry, soft lint-free cloth; if necessary, use a small amount of distilled or deionized water and let the disc dry completely. NARA’s machine-readable media guidance warns against touching the data surface or flexing the disc.
  2. Connect a compatible optical drive. Use a stable connection, close other disc-heavy applications, and confirm that the operating system can read the disc before starting a long transfer.
  3. Make the preservation capture first. Use software that can read the disc and retain its original data or structure. Keep the resulting image or full-quality folder untouched. If the disc contains menus, chapters, subtitles, or multiple audio tracks that matter, verify that the preservation result contains them.
  4. Create an access file only after the preservation copy is safe. Select a container and codec supported by the devices on which you intend to watch. Keep the source’s aspect ratio, intended frame rate, language tracks, and subtitles unless you deliberately choose otherwise for the access version.
  5. Verify the result. Open the preservation copy and the access copy, jump to the beginning, middle, and end, and test every required audio language, subtitle stream, chapter, and menu. Compare the runtime with the original disc.
  6. Record metadata. Store the title, release or publication year, disc number, language, subtitles, source condition, and any notes about missing or unreadable material in a text file or catalog entry alongside the video.

DVD pitfalls and fixes

  • The drive cannot read the disc: clean the disc correctly, try another compatible drive, and inspect for cracks or delamination. Do not repeatedly force a damaged disc into a drive.
  • A feature is missing: check whether you created only the main title rather than a full preservation capture. Revisit the disc structure and select the title, audio, subtitle, and chapter elements you need.
  • The access file plays without sound or subtitles: the conversion may have omitted streams. Return to the preservation copy and create a new access version with the required tracks.
  • The picture is stretched or cropped: retain the source aspect ratio and check the player’s display settings before re-encoding.
  • The transfer stops partway through: free additional storage, check the drive connection, and retry from a clean source. Keep any incomplete file clearly marked so it is not mistaken for a verified copy.

How to digitize audio CDs

Why extraction differs from recording

An audio CD already stores digital PCM audio. You are extracting data, not replaying speakers into a microphone, so a compatible optical drive and secure-reading software can produce a bit-accurate result without analog-generation loss. Keep the original track order and identify gaps or hidden tracks that matter to the album.

  • What You Get: Anker USB-C Hub (7-in-1), welcome guide, 18-month warranty, and our friendly customer service.

Step-by-step CD workflow

  1. Handle and inspect the disc. Hold it by the edge or center hole. Remove dust with an air puffer; wipe deposits from the center outward with a soft lint-free cloth. Never flex the disc.
  2. Read the disc with a compatible drive. If the first read reports errors, clean the disc and try another drive rather than accepting a visibly damaged extraction.
  3. Extract every track to a preservation format. The Library of Congress lists 44.1 kHz/16-bit PCM WAV as acceptable CD Redbook quality and prefers lossless over lossy compression where relevant in its Recommended Formats Statement for audio works. A lossless compressed format can also preserve the same samples while reducing storage use.
  4. Preserve ordering and boundaries. Keep disc number, track number, pregap or hidden-track notes when applicable, and the original album sequence. If you make a single-image representation plus cue information, retain it with the extracted tracks so the original layout can be reconstructed.
  5. Add descriptive metadata. Enter album and work titles, track titles, artist, composer, genre, label, issue or catalogue number, publication date, performance location and date when applicable, and identifiers such as ISRC or UPC. The Library of Congress recommends this kind of complete description when available.
  6. Verify playback and completeness. Check the number of tracks, total duration, and several points in each track. Listen for clicks, gaps, or a sudden change in level that could indicate an extraction error.
  7. Make an access copy if useful. Keep the lossless preservation files and create a smaller file in a format your phone, car, or home player supports. Tag the access files from the same metadata record.

CD-specific problems

  • Inaccurate track names: online databases can disagree, especially for reissues. Use the printed booklet and label as the authority, then document alternate spellings in notes.
  • Read errors or audible glitches: clean the disc, use a different drive, and enable the extraction software’s error verification if available. Do not overwrite a verified file with an unverified retry.
  • Compilation or multi-disc confusion: include disc and volume numbers in metadata and filenames so tracks sort in the intended sequence.
  • Lossy-only playback device: retain the lossless master and make a separate access copy; converting back later cannot restore information discarded by a lossy encode.

How to digitize vinyl records

Understand the analog signal chain

A record cannot be copied by simply inserting it into a computer. The stylus follows the groove, the turntable produces a very low-level phono signal, and a phono preamp applies the required equalization and raises the level. An audio interface then converts that analog signal to digital samples for recording software. Your exact turntable, cartridge, phono stage, interface, and software combination depends on the equipment you already own; NARA’s audio guidance recommends suitable equipment and specialist knowledge rather than a single universal setup.

Step-by-step record workflow

  1. Inspect and clean the record. Remove loose dust with a record-safe method, check for warps or damaged grooves, and handle the disc by its edge and label. Do not attempt a risky wet-cleaning process immediately before capture if you cannot dry the record thoroughly.
  2. Set up the playback chain. Place the turntable on a stable surface, confirm the cartridge is aligned and the tracking force is appropriate for that cartridge, connect the phono output to a phono preamp or phono input, and connect the line-level output to the audio interface. Connect the turntable’s ground lead when the equipment provides one.
  3. Choose a preservation capture format. Record at the native capability of the system rather than up-sampling a lower-quality signal. The Library of Congress identifies 96 kHz/24-bit PCM or higher as a preferred high-resolution audio release when such a version is produced, but that is not a universal requirement that every home vinyl transfer must meet. Use an uncompressed or lossless format for the preservation file.
  4. Set levels before recording. Play the loudest passage and adjust the interface so peaks do not clip. Leave sensible headroom; digital clipping cannot be repaired later.
  5. Capture each side in real time. Start the software before lowering the stylus, record the complete side, and stop only after the run-out groove has finished. Keep a log of side, speed, cartridge, interface, and any audible defects.
  6. Split and name tracks. Use the album’s printed sequence and preserve side information. Mark applause, locked grooves, silence, or segue tracks rather than removing them from the preservation file.
  7. Apply only documented restoration. Make a duplicate for click, hum, or noise reduction if you choose to process the recording. Never replace the untouched preservation capture with a filtered version.
  8. Create and tag an access copy. Export a convenient file for your players, add complete metadata, and compare it with the preservation capture before putting the record away.

When a record should go to a specialist

Use a reputable, experienced reformatting company when the record is rare or fragile, the groove is damaged, your turntable or phono chain is unsuitable, or you cannot monitor levels and verify files confidently. Ask in writing for both a preservation master and an access copy, the exact formats, included metadata, track-splitting policy, and the method used to transfer the files to you. NARA specifically advises seeking experienced help when appropriate equipment or specialized knowledge is unavailable.

Choose file formats without sacrificing the master

Purpose Audio choice Video choice Reason
Preservation Native, uncompressed or lossless PCM; 44.1 kHz/16-bit WAV is acceptable for CD Redbook material. Higher-resolution PCM may be appropriate for a high-resolution source when captured natively. A full-quality capture or disc representation that retains required streams and structure. Prevents a convenience conversion from becoming your only copy.
Everyday access A lossless file for archival listening, or a smaller widely supported file made from the master. A broadly compatible container and codec selected for your actual players. Improves playback and portability without changing the preservation file.

The Library of Congress advises preferring native resolution over up-sampling and uncompressed or lossless formats for preservation-quality audio. Its stated figures describe acceptable or preferred delivered formats, not a command to capture every source at the highest number available.

Metadata and folder organization

Metadata is what makes a collection findable after the transfer project is over. For audio, keep title, album, artist, composer, genre, label, issue number, performance location and date when applicable, publication date, and identifiers such as ISRC or UPC. For video, record title, release year, disc number, language and subtitle tracks, chapter or menu notes, and the source disc’s condition.

  • What You Get: Anker 332 USB-C Hub (5-in-1), welcome guide, our worry-free 18-month warranty, and friendly customer service.

Use a consistent hierarchy such as Collection / Medium / Title / Disc-or-Side, but treat the folder layout as an aid rather than a substitute for embedded metadata or a catalog. Include a plain-text transfer log with the date, equipment, software version, settings, errors, and verification result. Never put an unverified or partial file in the same folder name used for a completed preservation master.

Storage, backups, and routine checks

Use more than one copy

Keep the working copy on your computer only while transferring. Maintain at least one separate backup on an external hard drive or another storage system, and make an additional copy in a different physical location if the collection matters. NARA states that “Digital storage capacity and a program to regularly check and back up digital content are required to ensure that the digital files persist over time.” Schedule periodic checks so a silent drive failure does not go unnoticed.

Do not treat recordable CDs as archival storage

NARA notes that CDs can be used for access copies but are not the best choice for long-term preservation of digital files. Optical discs may be convenient for handing a file to someone, but they should not be your only preservation repository.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Verify after every transfer

  • Confirm that file sizes are plausible and that all expected titles, tracks, sides, and chapters exist.
  • Open files from the backup, not only from the original computer, to prove that the backup is readable.
  • Keep checksums or another integrity record when your storage software supports them, and repeat the check on a schedule.
  • Refresh aging drives before they fail and copy the files to the replacement storage while the old copy is still readable.

Optical-disc handling that prevents avoidable damage

DVDs and CDs can be harmed before the drive ever reads them. Avoid touching the data surface, bending or flexing the disc, stacking loose discs face to face, or writing on the readable side. Remove loose dust gently with an air-puffer bulb. For fingerprints, wipe in straight strokes from the center toward the outer edge with a soft lint-free cloth; use distilled or deionized water only when necessary, then let the disc dry fully before playback or storage. These practices follow NARA’s machine-readable media recommendations.

DIY transfer or professional service?

Question DIY is reasonable when… Professional help is safer when…
Condition and value The discs or records are clean, playable, and replaceable. The source is rare, fragile, warped, cracked, or impossible to replace.
Equipment and skill You have a compatible optical drive or a properly grounded turntable/phono/interface chain and can monitor results. You lack the correct playback equipment, calibration knowledge, or a reliable way to verify files.
Structure and metadata You can identify DVD streams, preserve CD ordering, and enter complete tags. Menus, subtitles, unusual disc structures, damaged grooves, or complex metadata require specialist handling.
Quality and convenience You can retain a preservation master and derive access copies yourself. You need a documented high-quality master and an access copy without risking the original.
Verification and delivery You can test files and maintain independent backups. You need a vendor to document formats, metadata, checksums, and secure file delivery.

Before sending anything out, ask the service to identify the preservation format, access format, metadata fields, track or chapter treatment, quality-control process, and how the files will be returned. Keep the original media until you have opened and verified every delivered file.

A final transfer checklist

  • Inventory every source and note condition, edition, disc number, side, and special features.
  • Confirm that copying is lawful for your jurisdiction and intended use.
  • Clean and handle optical discs correctly; do not flex them.
  • For DVDs, retain the structure and streams that matter before making a convenience conversion.
  • For CDs, extract lossless PCM, preserve track order, and verify reads.
  • For vinyl, capture the complete sides through a suitable phono chain, avoid clipping, and retain an untouched master.
  • Enter descriptive metadata and maintain a transfer log.
  • Create access copies only from verified preservation files.
  • Back up to separate storage, test the backup, and schedule integrity checks.
  • Use an experienced transfer service for valuable or technically difficult originals.
