A legitimate message may be AI-assisted, while a human-written message may be a scam. The dependable test is whether the request, sender, destination and context hold up when you verify them independently.
AI removes old warning signs such as awkward wording and obvious spelling mistakes. CISA now cautions that “some emails will now have perfect grammar and spelling,” so judge the action the message is trying to make you take—not how polished it sounds.

What AI changes—and what it does not
Generative AI lets criminals produce fluent, personalized messages at scale. It can imitate a company’s tone, summarize information about a target, and remove the grammatical errors that once exposed many scams. The FBI has also warned that attackers use AI-generated email and other convincing media to support fraud against individuals and businesses.

Writing quality is only a surface characteristic. Phishing is defined by the deceptive goal: persuading you to disclose credentials or personal information, send money, open a malicious file, install software, or visit a fraudulent site. A perfectly written shipping notice can be phishing; a clumsy message from a real colleague can be legitimate.

Use a layered decision instead:
- Intent: What does the sender want you to do, and would you normally do it by email?
- Identity: Does the actual address belong to the claimed person or organization?
- Destination: Where do links and attachments really lead?
- Context: Were you expecting this request, and does it fit a known conversation?
- Verification: Can you confirm it through a trusted channel that is not controlled by the message?
No AI-writing detector can reliably establish that an email is safe from its wording alone. Treat authorship as an open question and verify the transaction.
The rapid check to perform before you act
When a message creates pressure or asks for something valuable, stop before clicking, replying or opening a file. Work through this sequence:
- Pause at the request. Be especially cautious about passwords, multifactor codes, payment, gift cards, tax or payroll details, identity documents, account recovery, or an unexpected request to “confirm” or “update” an account. Urgency, secrecy and a deadline are common ways to prevent careful checking.
- Expand the sender details. Compare the display name with the complete address. Look for a one-character substitution, an unusual top-level domain, a free-mail address used to impersonate a business, or a mismatch between the name and address. A familiar logo or signature does not authenticate the sender.
- Inspect every destination. On a computer, hover over a link without clicking. On a phone, press and hold only if your mail app shows a preview without opening the site. Read the complete domain and be suspicious of misspellings, extra words, shortened links, redirect services, or a domain unrelated to the claimed organization. Do not sign in or change payment information from an embedded link.
- Check security warnings and authentication. Mail providers may flag an unconfirmed sender, show a warning banner, or identify a message as suspicious. Authentication details can help, but a message that passes them is not automatically safe; a compromised genuine account can send a malicious request.
- Verify independently. Open the organization’s website using a bookmark or an address you type yourself. Use a telephone number from a prior statement, directory or official site—not the number in the email. For a colleague or relative, confirm through a previously trusted chat, phone number or in-person conversation.
- Report and remove it if it remains suspicious. Use your provider’s “Report phishing” action or your employer’s security process, then delete the message. Do not reply, forward it to coworkers as a warning, click “unsubscribe,” or call a number supplied in the email.
How to inspect the sender’s real identity
Display name versus address
Mail software often gives the display name visual prominence, so an attacker can label an account “Payroll,” “Support” or a manager’s name. Open the sender details and read the address after the name. Compare the domain character by character with an address you already know. Common tricks include replacing a letter with a similar character, adding a hyphen, using a subdomain that places the real brand name before an attacker-controlled domain, or registering a look-alike domain.

Also examine the reply-to address. It may differ from the visible sender and redirect your response to another mailbox. A reply-to mismatch is not proof of fraud—legitimate services use separate sending systems—but it is a reason to verify before responding.

Authentication results
Sender authentication helps a receiving provider determine whether a message is authorized by the sending domain:
- SPF checks whether the sending server is authorized by the domain’s published policy.
- DKIM uses a cryptographic signature to show that an authorized system signed the message and that key content was not altered in transit.
- DMARC lets a domain publish how receivers should handle messages that fail authentication and checks alignment with the visible “From” domain.
Google’s sender guidance says all senders should use SPF or DKIM, while bulk senders should use SPF, DKIM and DMARC. These mechanisms reduce direct domain spoofing, but they do not prove that the request is appropriate. A criminal can send from a look-alike domain, use a compromised legitimate account, or pass authentication for a domain they control.
Warnings and headers
Provider warnings are useful signals, not a guarantee in either direction. Gmail, for example, automatically identifies many phishing messages and may warn or move them to Spam. Its message details can show whether a message is authenticated and whether the sender is confirmed. Labels and menus vary by product version and location, so use the equivalent “show details,” “view original” or security-information control in your service.
Headers can reveal a chain of sending systems, authentication results and inconsistencies between the visible sender and the technical sender. They are most useful to an administrator or security team; ordinary users should not delay reporting a suspicious message while trying to interpret every header line.

How to examine links, login pages and attachments
Links
A link’s visible text is only a label. The destination appears when you hover over it on a desktop or use your mail app’s safe preview function. Read from the registrable domain—the organization’s actual domain—rather than trusting the first familiar word in a long address. For example, a domain such as account.example.attacker-domain.test is controlled by attacker-domain.test, not by example.
Do not use a suspicious message’s link to sign in, reset a password, review a document or update a card. Instead, open the service through a saved bookmark or manually entered address and check for the notice inside your account. If the message claims a package, invoice or support case, use the service’s normal app or portal.
Attachments
An unexpected attachment deserves the same caution as a link. Be wary of invoices, shared documents, compressed archives, password-protected files, scripts and office files that ask you to enable macros or content. File names can hide a dangerous extension behind a long string of spaces or double extensions. Do not open an attachment merely to identify it; ask the purported sender through another channel or have your organization’s security team inspect it.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problemsEven a familiar file type can be harmful if it exploits a vulnerable application or leads to a fraudulent sign-in page. Keep operating systems and document software updated, but do not treat updates as permission to open an unsolicited file.

Why urgency and familiar context can still be fraudulent
AI can incorporate public information, leaked data or details from an earlier conversation, making a message feel personally relevant. That context should increase the value of independent verification, not lower your guard. A request that sounds like your manager’s normal style may still be a new bank-account instruction; a supplier’s genuine email account may have been taken over.
Ask whether the request changes a normal process. Companies commonly require a second approver for payments, a purchase order, a callback to a known number, or a ticket in an internal system. Follow that established process even when the email appears to come from an executive. Individuals should use a known phone number or an existing conversation rather than replying to a sudden emergency request.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.What to do when a message may be phishing
If you have not clicked
- Do not interact with links, attachments, phone numbers or reply addresses in the message.
- Report it through the mail provider’s phishing control. In a workplace, forward it according to the security team’s procedure, preferably as an attachment if that is the approved method.
- Delete it after reporting and remove it from the trash if your organization requires permanent deletion.
If you clicked or entered information
Act immediately. Stop entering data, close the page and tell your organization’s security team or the affected service through a trusted channel. Change the exposed password from a known-good device, starting with any account that reused it, and revoke unfamiliar sessions or app access. If payment or identity information was disclosed, contact the bank, card issuer or relevant authority using a number from a statement or official website. Preserve the message and relevant timestamps for investigators instead of forwarding it casually.
If you replied
A reply confirms that the mailbox is active and may invite more convincing follow-up. Stop the conversation, report the message and alert the person or organization being impersonated through an independent channel. Do not “test” the sender by asking for more details; that gives an attacker more information.
Best Value
Protection that can act before delivery
Individual caution works alongside controls operated by a mail provider or an organization. No single control blocks every phish, particularly when an attacker uses a compromised account or a newly registered domain.
Consumer mail protections
Major consumer services commonly scan messages for phishing and malware, display warnings, place suspicious mail in Spam, and accept user reports. Providers may analyze links, attachments, sender reputation and authentication. Keep those protections enabled and use the built-in report function so future filtering can learn from the message. Exact menu names and behavior change across products and locales.
Business protections
Administrators can combine multiple controls and apply stricter rules to high-risk users or departments. CISA’s Exchange Online baseline describes impersonation protection, user warnings and an AI-based phishing-detection capability comparable to Exchange Online Protection. Google Workspace documents configurable protections for suspicious attachments and other phishing or malware threats.
Useful administrative capabilities include:
- impersonation and look-alike-domain detection;
- link rewriting and time-of-click analysis;
- attachment sandboxing and executable-file blocking;
- quarantine with a documented release process;
- external-sender banners and warnings;
- post-delivery search, purge and incident response;
- different policies for executives, finance staff, administrators and general users;
- SPF, DKIM and DMARC enforcement for the organization’s own domains; and
- simple reporting that routes messages to a monitored security team.
These are administrator measures. Individual readers normally cannot change organization-wide filtering, authentication or quarantine settings, but they can ask whether those controls exist and how to report a suspicious message.
How to compare an email provider or security service
If you are choosing protection for a personal account or evaluating a business service, compare capabilities rather than a marketing claim that a product “uses AI.” Ask how each option handles the following:
| Capability | Questions to ask |
|---|---|
| Sender impersonation | Can it detect look-alike domains, executive impersonation and reply-to mismatches? |
| Link analysis | Does it inspect destinations at delivery and again when a user clicks? |
| Attachment analysis | Are archives, scripts, macros and password-protected files scanned or quarantined? |
| Warnings and quarantine | Can administrators add warnings, hold messages and control who may release them? |
| Post-delivery response | Can the service find and remove a phish after delivery across all mailboxes? |
| Authentication support | Does it display and enforce SPF, DKIM and DMARC results? |
| Reporting | Is there a clear user report button and a monitored incident queue? |
| Administration | Can policies differ by group, role, domain and risk level, with useful audit logs? |
| Coverage and cost | What accounts, devices, storage limits, retention rules and recurring charges are included? |
Evaluate how the controls work together. A provider that catches a suspicious link but cannot remove a message after delivery leaves a gap; an organization with strong authentication but no impersonation protection can still be targeted through a look-alike domain.
Common mistakes that let AI-assisted phishing succeed
- Using grammar as the verdict: Fluent writing is compatible with both legitimate and fraudulent mail.
- Trusting a display name or logo: Visual branding is easy to copy and says nothing about the sending account.
- Checking only the visible link text: The destination, not the label, determines where a click goes.
- Calling the number in the message: An attacker can route that call to a fake support desk.
- Replying to ask whether it is real: This confirms a live address and continues the attacker’s preferred channel.
- Assuming authentication proves safety: SPF, DKIM and DMARC establish domain authorization, not the legitimacy of a particular request.
- Forwarding a suspicious message casually: Recipients may click it; use the approved reporting mechanism instead.
- Relying on one filter: Detection engines, warnings, authentication and human verification cover different failure modes.
Bottom line: judge the action, then verify the identity
AI-generated phishing is difficult to recognize by style because it can be grammatically perfect and highly personalized. The reliable defense is procedural: pause at unusual requests, inspect the complete sender address, preview destinations, treat attachments as untrusted, consider authentication and provider warnings, and confirm the request through a channel you already trust. If the message remains doubtful, report it and delete it without clicking, replying or calling the supplied contact.
