Important: deleting an item inside the OneDrive folder normally deletes its synchronized cloud copy and removes it from other synced devices. If you only want to reclaim space on this PC, use Free up space instead. If you want to keep a local copy but stop syncing it, move it outside the OneDrive folder.
Choose the result you actually want
| Goal | Use this action | What happens |
|---|---|---|
| Delete everywhere | Delete the item in the OneDrive folder | It is removed from OneDrive and normally from other synced devices; it usually enters the OneDrive Recycle Bin. |
| Free Windows disk space only | Right-click the item and choose Free up space | The downloaded local copy is removed, but the cloud file remains available. |
| Keep a local copy, remove it from OneDrive | Move it outside the OneDrive folder | The file remains in the new local location and is no longer synchronized by OneDrive. |
OneDrive synchronization is bidirectional: changes made in a synchronized folder are reflected online and on other connected devices. See Microsoft’s explanation of OneDrive sync behavior.
Check the file’s location before deleting
- In File Explorer, a synchronized location is labeled OneDrive – Personal or OneDrive – [organization name].
- Desktop, Documents, and Pictures can also be included in OneDrive backup. Check the full path before assuming a file is local-only; Microsoft discusses this situation in its storage-full guidance.
- An online-only file has a cloud icon. A locally available file has a downloaded status icon. Either can still be synchronized and deleting either can affect the cloud copy.
- For shared content, deleting an item you control can remove it for collaborators. If you only want it gone from your view, use Remove from Shared or remove your access instead.
Delete a file from OneDrive and Windows 11
- Press Windows + E to open File Explorer.
- Select OneDrive – Personal or the relevant organization account in the left pane.
- Select the file or folder. Hold Ctrl to select individual items or Shift to select a range.
- Press Delete, or right-click and choose the delete command, then confirm any prompt.
- Wait for the OneDrive cloud icon in the notification area to show that synchronization has completed.
- When confirmation matters, sign in to OneDrive on the web and verify that the item is in Recycle bin.
This is the normal method documented in Microsoft’s file and folder deletion instructions. Deleting a folder deletes its synchronized contents, so check the selection carefully before confirming a bulk operation.
Remove local copies without deleting OneDrive files
Use Files On-Demand when the objective is to recover PC storage while retaining the cloud copy.

The item remains visible in File Explorer and downloads again when opened, provided an internet connection is available. Microsoft’s detailed instructions are in Save disk space with OneDrive Files On-Demand.
If “Free up space” is missing
- Select the OneDrive cloud icon in the notification area.
- Select Help & Settings, then Settings.
- Open Sync and backup, expand Advanced settings, and turn on Files On-Demand.
Microsoft says Files On-Demand is enabled by default beginning with OneDrive build 23.066, although an installation, setting, or organization policy can differ.

Stop an entire folder syncing to this PC
Use selective synchronization when a folder should remain in OneDrive but should not be present locally. Open the OneDrive settings from the cloud icon, go to the account or sync settings area, choose which folders sync to this computer, and clear the folder you do not want locally. This changes local availability; it does not delete the cloud folder. Microsoft describes folder-selection options in its sync guidance.
Keep a local copy but remove it from OneDrive
- In the OneDrive folder, right-click the item and choose Cut, or drag it.
- Open a destination outside OneDrive, such as
C:Users<name>Documents, another drive, or an external drive. - Choose Paste.
- Open the destination copy and verify that it works.
- Allow OneDrive to finish processing the move before disconnecting, shutting down, or deleting anything else.
Moving the item out of the synchronized directory removes it from OneDrive while preserving the new copy. If the original was online-only, OneDrive may need to download it during the move, so wait for the destination file to be confirmed.

Permanently delete a OneDrive file
Deleting from File Explorer normally sends the item to the OneDrive Recycle Bin; it may continue counting against cloud storage until permanently removed.
- Sign in to OneDrive online.
- Select Recycle bin in the left navigation.
- Select the file or folder and choose Delete. Use the empty-Recycle-Bin command when you intend to remove everything.
Permanent deletion removes the normal OneDrive recovery path. Storage totals can take a short time to update after cleanup. See Microsoft’s storage management guidance and restore guidance.

Recover a deleted file
- Open OneDrive online and select Recycle bin.
- Select the item and choose Restore; it returns to its original folder.
- If the file was locally available, also check the Windows Recycle Bin.
Online-only deletions may appear only in the web-based OneDrive or SharePoint Recycle Bin. Personal Vault content may require unlocking the vault or changing the Recycle Bin view. Microsoft states that personal-account Recycle Bin items are automatically deleted after 30 days. Work and school accounts generally use 93 days, unless an administrator changes the retention setting. These periods are described in Microsoft’s recovery instructions.

- Check the OneDrive cloud icon for a paused sync, error, or pending upload.
- Confirm that File Explorer is showing the intended personal or organization account.
- Check OneDrive online to see whether the cloud copy still exists.
- Resume synchronization, then allow it to finish; pausing and resuming can clear a pending state.
- Check other PCs, phones, shared folders, shortcuts, and applications that may recreate the file.
- For a work or school account, ask the Microsoft 365 or SharePoint administrator about permissions, retention, or policy controls.
Restarting OneDrive alone does not identify every cause, so verify the cloud copy and other synchronized locations before repeating the deletion.

Delete, unlink, uninstall, or stop syncing?
| Action | Effect | Use it when |
|---|---|---|
| Delete an item | Removes that synchronized file or folder from OneDrive and normally from synced devices. | The content is no longer needed anywhere. |
| Free up space | Removes the downloaded local copy while retaining the cloud item. | You need disk space, not cloud deletion. |
| Choose folders | Stops selected folders being available on this PC. | You want less local clutter without deleting cloud content. |
| Unlink this PC | Stops synchronization on this computer; it does not delete the cloud files. | You are changing accounts or retiring the PC. |
| Uninstall OneDrive | Removes or disables the application; it is not a command to delete cloud content. | You have deliberately decided not to use the client. |
| Delete the OneDrive folder | Can propagate deletions while synchronization is active. | Do not use as a first troubleshooting step. |
Permanently deleting an entire OneDrive is a separate, destructive account operation. Microsoft warns that it removes all OneDrive files; see the full-account deletion procedure.
