You can change what customers see on a QuickBooks Online invoice from the invoice itself. Open an invoice, use Manage > Customization to show or hide available fields, and use Manage > Design to choose a template and supported branding options. Payment methods are controlled separately in the invoice’s Payment options area. A design or field change follows the scope described for invoice settings, while changing payment methods on a particular invoice applies only to that invoice.
The labels and available controls vary with your account’s invoicing experience, selected template, subscription, and whether you have QuickBooks Payments enabled. The current QuickBooks design was updated in 2026, so an older tutorial may show a different screen.

What you can customize in QuickBooks Online
QuickBooks Online treats invoice appearance, invoice content, and payment collection as related but separate controls. The available sales-form customization can cover the fields customers see, table contents, your logo, company contact information, colors, fonts, and layout. Not every account or template exposes every option.

Before changing an invoice
Check your invoicing experience and subscription
QuickBooks Online Free and Lite have limited invoice-creation features. QuickBooks does not publish one complete plan-by-plan matrix for every design and payment control, so a missing option may be a plan limitation rather than an error. Check the features included with your current subscription if a control described below is absent.
Understand the two scopes of change
QuickBooks describes invoice customization settings as applying to existing and future invoices. Payment-processing guidance is narrower: changing payment methods on a particular invoice affects only that invoice. Do not assume that turning a method on or off while editing one invoice changes your company-wide preference.
Open an invoice
- Sign in to QuickBooks Online.
- Open an existing invoice, or create a new invoice.
- Look for the Manage menu. If the controls are collapsed, select Manage first.
The exact placement of the menu can vary between the current invoicing experience and an older one. If a step does not match your screen, use QuickBooks’ in-app search for “customize invoice,” “custom form styles,” or “payment options.”
Show or hide invoice fields
Use Manage > Customization
- With the invoice open, select Manage.
- Select Customization.
- Review the fields available in your current invoicing experience.
- Toggle the fields you want customers to see. Hide fields that do not help the customer understand the charge, and enable fields that provide necessary delivery, reference, or payment information when those options are offered.
- Save the change, then return to the invoice and preview it.
This is the route QuickBooks documents for changing available invoice fields. The list is not identical in every account, and a field that appears in one template or experience may not appear in another.
Choose useful table columns
Table-content controls determine what customers see in the line-item area. Keep the columns that explain the transaction clearly, such as the item or service description, quantity, rate, and amount when those are available. Remove unused columns if they make the invoice harder to scan. Your account may expose these choices through the invoice customization panel or through form-style settings.

Use Settings > Custom form styles when available
QuickBooks’ sales-form guidance also provides a separate route for editing certain form styles, columns, and labels:
- Open Settings.
- Select Custom form styles.
- Choose the form style you want to edit.
- Review the available content, column, and label controls.
- Save the style and confirm the invoice preview.
This route and the invoice-level Manage menu do not expose exactly the same controls in every account. Use the route that contains the setting you need rather than expecting one panel to contain every option.
Change the invoice design, logo, color, and font
Choose a template from Manage > Design
- Open the invoice you want to work on.
- Select Manage, then Design.
- Choose one of the templates available to your account.
- Adjust the appearance options offered for that template.
- Preview the invoice before saving or sending it.
QuickBooks identifies the Modernized template as supporting font and color selection. Some older templates may not support those controls, so selecting a different template can be the reason an option appears or disappears.
Add or verify your logo and contact information
Sales-form customization can include a logo and company contact information. Enter business details carefully and check their placement in the preview. QuickBooks warns that edits to company information can affect future invoices and estimates as well as customer information. A change that looks like a single-invoice branding edit may therefore have broader effects when it updates company details.
Match the design to the information customers need
- Use a readable font and sufficient contrast between text and the background.
- Keep the business name, contact details, and payment instructions easy to find.
- Use color as an accent for headings or totals rather than reducing the legibility of line items.
- Check a long description, multiple line items, discounts, taxes, and a large total in preview so the layout still works under real conditions.
QuickBooks exposes only the appearance controls supported by the selected template and account. If you need a font or color control that is missing, check whether the Modernized template is available before concluding that the feature is unavailable.

Turn payment methods on or off for an invoice
Use the invoice’s Payment options area
- Open or create the invoice.
- Find the Payment options area.
- Turn on the payment methods presented for your account.
- Review the customer-facing payment instructions in the preview.
- Save the invoice or send it after confirming that the selected methods are appropriate.
Online payment choices may prompt you to apply for QuickBooks Payments. An application or approval requirement is different from an invoice-design setting: the payment method cannot necessarily be enabled simply by changing a visual preference.

Know the scope of a payment change
QuickBooks’ payment guidance says that changing payment methods on a particular invoice affects only that invoice. If you want a different default for later invoices, look for the company-level payment preference in your account and confirm its effect separately; do not infer a global change from the settings on one invoice.
Check what the customer will actually see
After enabling a method, preview the invoice as a customer would see it. Confirm that the payment button or instructions are present, the amount and currency are correct, and the invoice does not advertise a method you do not intend to accept. If a method is missing from the Payment options list, the account may need QuickBooks Payments enrollment or may not include that capability under its subscription.
Set up recurring invoices, reminders, and recurring payments
Recurring invoices and automatic reminders
QuickBooks places recurring invoice creation and automatic invoice reminders under Scheduling. Use that area when the same billing pattern or reminder schedule should run without creating each invoice manually. Review the customer, frequency, dates, line items, and reminder timing before activating the schedule.
Recurring payments are different
A recurring invoice schedule does not automatically create a recurring payment authorization. QuickBooks states that recurring payments require QuickBooks Payments. If the recurring-payment option is absent, check enrollment and account eligibility rather than changing the invoice design.

Preview and send safely
Do not send immediately after changing a style or payment method. A short review catches both visual problems and unintended data changes.
- Preview the complete form: Check the logo, business name, contact information, invoice number, dates, customer details, line-item columns, subtotal, taxes, total, notes, and payment instructions.
- Test the information density: Review an invoice with several line items or long descriptions, not just a one-line sample.
- Verify payment choices: Confirm that every displayed method is enabled for this invoice and that any online-payment prompt or button appears as expected.
- Check company information: If you changed business details, verify future invoices and estimates will use the intended information. QuickBooks notes that company-information edits can affect those records and customer information.
- Save before sending: Keep the customized invoice saved, then send it only after the preview matches your intended customer experience.
Why a customization option may be missing
The account uses a different invoicing experience
QuickBooks has updated its design, and support instructions may show labels that differ from your account. Look for Manage, then search in the app for the setting by name. The presence or wording of the control can depend on the current invoicing experience.
The selected template does not support the option
Legacy or older templates may not expose every font, color, or layout control. Open Manage > Design and check another available template, including Modernized when it is offered.
Your plan has limited invoice-creation features
QuickBooks Online Free and Lite have limits on invoice creation. If the control is absent from both the invoice and form-style routes, review your subscription features before troubleshooting the browser or invoice data.
Online payment enrollment is incomplete
Payment methods that require QuickBooks Payments may not appear until the application or account setup is complete. A design change cannot substitute for payment-service approval.
You are editing the wrong scope
Invoice design and field settings are different from payment methods on one invoice. If a payment change did not carry to another invoice, that behavior is expected under QuickBooks’ documented invoice-level payment scope. Conversely, if a company-information edit appeared on future forms, review the company-level information rather than assuming the change was limited to one invoice.
A practical customization workflow
For a new business invoice style
- Confirm your plan includes the invoice-creation features you need.
- Open a sample or existing invoice.
- Use Manage > Customization to select useful fields and table contents.
- Use Manage > Design to choose a template and set the supported logo, color, font, and layout options.
- Use Settings > Custom form styles if you need additional supported columns or labels.
- Preview a realistic invoice with multiple items.
- Save the style and check a future invoice to confirm the intended scope.
For a one-time customer payment request
- Open the specific invoice.
- Leave the saved design unchanged unless the customer needs a different presentation.
- Open Payment options and enable only the methods you want to offer on that invoice.
- Complete any QuickBooks Payments enrollment prompt if an online method requires it.
- Preview the customer-facing payment instructions, then send the invoice.
For scheduled billing
- Open Scheduling.
- Choose recurring invoice creation or automatic reminders, depending on the task.
- Review the schedule details and customer information.
- If you need recurring payment collection, verify that QuickBooks Payments is available and enabled; a recurring invoice alone does not provide that authorization.
Common mistakes to avoid
- Assuming every setting is global: Payment methods changed on one invoice do not automatically become a company-wide preference.
- Assuming every template has the same controls: Font and color options depend on the template, with Modernized supporting those controls and some older templates not doing so.
- Skipping the preview: A logo, contact-information, column, or payment change can alter the customer’s view in ways that are not obvious from the settings panel.
- Confusing recurring invoices with recurring payments: Scheduling can create invoices or reminders, while recurring payments require QuickBooks Payments.
- Blaming the browser for a plan limitation: Free and Lite accounts have limited invoice-creation features; verify subscription availability first.
- Following an outdated video literally: QuickBooks’ design was updated in 2026, so use the current labels in your account or in-app search when a tutorial differs.
