How to Create, Edit, and Delete a Recurring Calendar Appointment in Outlook

In Outlook, create a recurring appointment by opening Calendar, starting a new event, choosing Repeat, Recurrence, or Does not repeat (depending on your version), and selecting the frequency and date range. When you edit or delete it, Outlook asks whether you mean one occurrence, that occurrence and all following events, or the entire series. Choose Save for an appointment you own; choose Send, Send Update, or Cancel when attendees are involved.

What a recurring appointment is in Outlook

A recurring appointment is one calendar item that repeats on a schedule, such as a weekly planning block, a monthly payment reminder, or an annual medical checkup. Outlook stores the repeated dates as a series, while each dated instance is an occurrence. This distinction matters whenever you change or remove an event: changing one occurrence does not have to change the rest of the series.

As an Amazon Associate I earn from qualifying purchases.

Microsoft defines an appointment as “an event for yourself like a lunch date or medical appointment that you want to include in your calendar as a reminder for yourself.” A meeting is a calendar event sent to other people. The controls look similar, but appointments are saved to your calendar and meetings require an invitation or update to be sent to attendees. See Microsoft’s definitions and workflow for Outlook on the web at Microsoft Support.

Appointment or meeting: choose the right type first

  • Appointment: You are the only person who needs the calendar entry. Use Save (or Save & Close in classic Outlook for Windows).
  • Meeting: Other people must receive an invitation, location, or change. Add attendees and use Send when creating it. Later edits use Send Update or an equivalent command.
  • Organizer authority: The person who created the meeting controls its details for attendees. An invitee can usually change only their own response or personal calendar copy; editing the organizer’s meeting is not a safe way to change it for everyone.

If you start with an appointment and later add attendees, check that Outlook has changed the completion command from Save to Send. Sending is what distributes the meeting request.

Create a recurring appointment in Outlook on the web or Outlook.com

The web interfaces use a Repeat control. The exact wording and layout can vary slightly between Outlook on the web and Outlook.com, but the sequence is the same. Microsoft’s documented web procedure is available for Outlook on the web and Outlook.com.

  1. Open Calendar.
  2. Click the date and time for the first occurrence, or select New event.
  3. Enter the title and any details, such as location, notes, or a description. Set the start and end time for one occurrence.
  4. Select Repeat.
  5. Choose the frequency and configure when the series begins and ends. Select the appropriate daily, weekly, monthly, or yearly pattern offered by your calendar.
  6. For a personal appointment, select Save. To turn it into a meeting, add attendees and select Send.

Set the first date and time carefully. Every occurrence is calculated from that starting point, and changing the series later can affect many dates. If the event has attendees, verify the time zone and attendee list before sending.

Create a recurring appointment in classic Outlook for Windows

Classic Outlook for Windows places recurrence in the appointment form rather than behind a web-style Repeat menu. Microsoft documents this workflow at Create or schedule an appointment.

Free tools Windows power users keep installed

One-click scans. No signup required.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Open Calendar and select New Appointment.
  2. Enter the subject, location, start time, and end time.
  3. In the Options group, select Recurrence.
  4. Choose Daily, Weekly, Monthly, or Yearly, then set the pattern and recurrence range.
  5. Select OK. Outlook changes the form to an Appointment Series view, which indicates that the recurrence is configured.
  6. Select Save & Close for an appointment. For a meeting, add attendees and use the send command so they receive the invitation.

The recurrence dialog controls both the interval and the range. For example, a weekly series can specify its weekday pattern, while a monthly series can specify the relevant day or monthly position when those choices are available in your Outlook build.

Create a recurring appointment in Outlook for Mac

On Mac, the repeat selector is initially labeled Does not repeat. Microsoft’s Mac instructions cover Outlook for Microsoft 365 for Mac, Outlook 2024 for Mac, and Outlook 2021 for Mac at Create a meeting or appointment in Outlook for Mac.

  1. Choose Calendar > New Event.
  2. Enter the event details and set the first occurrence’s date and time.
  3. Change Does not repeat to the required frequency.
  4. Configure the recurrence dates or other pattern choices presented by Outlook.
  5. Add attendees if this is a meeting.
  6. Select Send for a meeting. For an event that remains your personal appointment, use the save command shown by your Outlook version.

Microsoft states that support for legacy Outlook for Mac will end in October 2026. If your Mac shows older labels or a different layout, use the equivalent repeat and save/send controls in the supported application.

Choose a recurrence pattern and range

Across Outlook versions, the standard recurrence families are daily, weekly, monthly, and yearly. The control is named Repeat on the web, Recurrence in classic Windows, and begins as Does not repeat on Mac. After choosing a frequency, specify the pattern and the dates when the series starts and ends.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
Pattern Typical use What to verify
Daily A daily focus block or routine reminder Whether the interval is every day or a longer number of days, and the end date
Weekly A weekly staff check-in or exercise session The weekday or weekdays and the series start and end dates
Monthly A monthly report or bill reminder The intended day or monthly position and the end of the series
Yearly An anniversary or annual renewal reminder The month, day, and date range

Use a descriptive title that still makes sense when viewed in a list of occurrences. Put changing information, such as a room number or a one-time agenda, in the individual occurrence rather than encoding it permanently in the series title.

Plan the series before you save it

Choose the first occurrence as the anchor for the entire schedule. Enter the correct start and end times, then select the recurrence family that matches the real-world rule. A daily pattern is appropriate for a routine that repeats by day interval; a weekly pattern should identify the weekday or weekdays; a monthly pattern should identify the intended day or monthly position; and a yearly pattern should identify the month and day. The available choices can vary slightly by Outlook client, so read the preview or date range before committing the series.

Always set a recurrence range. The start date determines the first occurrence, while the end date prevents Outlook from continuing the series beyond the period you intend. If the schedule changes later, do not use a one-occurrence edit to represent a permanent change. Use This and all following events when that option is offered, or edit the complete series when the rule should apply to every date.

For meetings, review the attendee list, location, description, and time zone before sending. A personal appointment can be corrected quietly with Save; a meeting change creates a communication obligation because attendees need an invitation or update. A clear subject and stable series details also make it easier to identify the correct occurrence when several dates are visible.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Edit a recurring appointment without changing every date

Open the event and choose Edit. Outlook then asks which part of the recurring item you intend to change. The wording differs by client, but the scopes have the same meaning:

Scope shown by Outlook Result Use it when
This event, Just this one, or Edit occurrence Changes only the selected occurrence One date needs a different time, location, notes, or status
This and all following events Changes the selected occurrence and every later occurrence, where the client offers this option The schedule changes from a particular date forward
All events in the series, Edit series, or The entire series Changes the complete recurrence The rule or details should apply to every occurrence

Choose the scope before changing the date, time, location, or recurrence rule. If you select the entire series when only one date was wrong, you will overwrite the other occurrences; if you select one occurrence when the schedule really changed, later dates will remain on the old pattern.

Save an edited appointment

For an appointment you own, select Save or Save & Close, depending on the Outlook client. The selected scope determines which dates are rewritten.

Send an edited meeting update

For a meeting, select Send, Send Update, or the equivalent command after choosing the scope. This notifies attendees of the changed occurrence or series. If you are an invitee rather than the organizer, do not edit the organizer’s meeting expecting everyone else’s calendars to change; ask the organizer to issue the update.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Understand the date-movement limitation

Classic Outlook warns that a single occurrence cannot always be moved across another occurrence. Microsoft’s calendar guidance states: “You cannot change the date and time of a recurring item if doing so skips over an earlier or later instance of the item.” See the full limitation at Change an appointment, meeting, or event in Outlook. If a one-off move conflicts with the recurrence order, keep the occurrence in its position and adjust its details, or change the series from the point where the schedule actually changes.

This planner journal is definitely a life saver, helping you stay focused on your tasks throughout the week. Use this notebook to simplify your life and organize your day for maximum efficiency.

Delete an occurrence, the remaining series, or the entire series

Deletion uses the same scope concept as editing. Select the item in Calendar and choose Delete for an appointment. Outlook presents the available range choices:

  • This event or Delete occurrence: removes only the selected date.
  • This and all following events: removes the selected date and every later occurrence while preserving earlier ones.
  • All events in the series: removes the entire recurring appointment.

Confirm the choice rather than closing the dialog. In the light version of Outlook, equivalent commands may be labeled Delete occurrence, delete all repetitions from a given date forward, or delete all repetitions. Microsoft’s light-version instructions are at Manage your calendar in the light version of Outlook.

Cancel a recurring meeting

If you organized the recurring item as a meeting, choose Cancel instead of ordinary Delete. Select the same scope—one occurrence, this and all following events, or the entire series—add an optional message, and select Send. Sending the cancellation tells attendees which meeting dates are no longer valid.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If you are an attendee, removing the meeting from your own calendar does not cancel it for other participants. Decline or remove your copy according to your Outlook client, and contact the organizer if the meeting itself must be canceled.

Interface comparison at a glance

Outlook interface Create recurrence control Typical completion command Scope wording when editing or deleting
Outlook on the web / Outlook.com Repeat Save for an appointment; Send for a meeting This event, This and all following events, or All events in the series
Classic Outlook for Windows Recurrence in the Options group Save & Close for an appointment; send for a meeting Equivalent occurrence, following-events, and series choices
Outlook for Mac Does not repeat changes to a frequency Send when attendees are added; save for a personal event Equivalent one-occurrence, following-events, and series choices
Light Outlook Equivalent recurrence controls Equivalent save or send commands Delete occurrence, delete repetitions from a date forward, or delete all repetitions

The labels are different, but the decisions are the same in every interface: choose a recurrence rule, choose a scope when changing or deleting, and finish with the command appropriate to an appointment or meeting. When moving between clients, compare those five points rather than looking for an identical button layout.

Common problems and the precise fix

The recurrence option is missing

Open the item in the full event or appointment editor rather than trying to modify it from a compact calendar preview. Look for the client-specific label: Repeat on the web, Recurrence in classic Windows, or Does not repeat on Mac.

You changed one date but every date moved

You probably selected Edit series or The entire series. Reopen the original series and choose This event, Just this one, or Edit occurrence before saving the one-off correction.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You expected future dates to change, but they did not

Editing a single occurrence affects only that date. Reopen the occurrence and select This and all following events if your client offers it, or edit the complete series when every date—including earlier ones—must follow the new rule.

Attendees did not receive the change

An appointment is private to your calendar. For a meeting, use Send when creating it and Send Update (or the equivalent send command) after editing. A change saved only to your calendar is not a meeting update for attendees.

You cannot change the organizer’s meeting

Only the meeting organizer controls the meeting details for attendees in classic Outlook. Ask the organizer to edit the series or occurrence and send an update. If you only need a personal change, adjust your own calendar view or response instead of altering the shared meeting.

A moved occurrence conflicts with another occurrence

Outlook may block a date and time that would skip over an earlier or later instance. This is a documented recurring-item limitation. Keep the occurrence in its sequence, change the series from the correct point forward, or remove and recreate the affected schedule when that is the only way to represent the real dates.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

You deleted the wrong scope

Stop and check whether the dialog offered an occurrence, following-events, or series choice. If earlier dates remain, you selected a forward-only option; if every date disappeared, you selected the entire series. A personal series can be created again with the original pattern and range, while a meeting organizer should recreate it and send a new invitation if the canceled series is still needed.

The event looks different on another device

Different Outlook clients use different labels for the same recurrence behavior. Compare the control name—Repeat, Recurrence, or Does not repeat—and then confirm the scope offered when you edit or delete. Do not assume that a button labeled Save sends an attendee update; meetings require the send command.

A safe workflow for recurring calendar changes

  1. Identify whether the item is your appointment or an organizer-owned meeting.
  2. Open the specific occurrence that needs attention.
  3. Decide whether the change applies to one occurrence, that occurrence and later events, or the entire series.
  4. Choose the matching scope before editing the fields.
  5. Review the resulting dates and attendees.
  6. Use Save or Save & Close for an appointment, and Send, Send Update, or Cancel for a meeting.

This sequence prevents the two most damaging mistakes: changing every occurrence when only one was wrong, and changing only one occurrence when the schedule actually changed for the future.

Quick checklist before you finish

  • Is the item an appointment for you or a meeting with attendees?
  • Did you select the correct daily, weekly, monthly, or yearly rule?
  • Are the first date, time, time zone, and recurrence range correct?
  • When editing, did you choose one occurrence, following events, or the entire series intentionally?
  • When deleting, did you confirm the same scope rather than dismissing the prompt?
  • If attendees are involved, did you send the invitation, update, or cancellation?

How do I change this date and all future dates?

Open the relevant occurrence and choose This and all following events when Outlook offers that scope. Then edit the time, details, or recurrence and save it, or send the meeting update.

How do I edit the entire recurring series?

Open the event, choose All events in the series, Edit series, or The entire series, change the rule or details, and select Save. For a meeting, send the update so attendees receive the change.

How do I delete one recurring appointment?

Select the occurrence, choose Delete, and select This event or Delete occurrence. Earlier and later occurrences remain.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I cancel a recurring meeting for everyone?

If you are the organizer, choose Cancel, select the occurrence, following-events, or entire-series scope, optionally add a message, and choose Send. Deleting your attendee copy does not cancel the meeting for other participants.

Why did Outlook stop me from moving an occurrence?

Outlook may prevent moving a recurring item when the new date and time would skip over an earlier or later occurrence. Keep it in sequence, change the series from the point where the schedule changes, or recreate the affected schedule if necessary.

Can an attendee edit the organizer’s recurring meeting?

The organizer controls meeting details for attendees. An invitee can change their own response or calendar copy, but should ask the organizer to edit the occurrence or series and send an update for everyone.

The Bottom Line

Outlook recurring appointments are controlled by two choices: the recurrence pattern and the change scope. Create the schedule with Repeat, Recurrence, or Does not repeat; then choose the occurrence, following events, or entire series whenever you edit or delete. Use Save for your own appointment, and Send, Send Update, or Cancel for an organizer-owned meeting.
