Use a simple beginning, middle, and close
- Beginning: establish the audience’s situation, question, or business problem.
- Middle: show how the service, process, or idea addresses that situation.
- Close: give one specific next step and tell viewers where to take it.
Write the intended action before you write the scenes. That prevents a common failure in explainer videos: a polished ending that leaves viewers unsure what to do.
Prepare source material
Gather approved product names, process steps, URLs, legal wording, screenshots, brand colors, logos, and any terminology the audience must see exactly. A practical prompt pattern
Write a prompt that identifies the viewer and outcome, for example: Create a clear explainer for small-business owners who need to submit an expense report. Explain the three required steps, use plain language, include the deadline stated in the source text, and end by directing viewers to the internal expense portal. Do not add policies that are not in the source.
When using a URL or document, check that the source is accessible and current. A public page may contain navigation text, old terminology, or marketing claims that do not belong in the video. Copy the generated script into your review notes so changes can be tracked against the approved source.
Inspect the Go draft immediately
- Read the entire script without watching the visuals. Mark unsupported claims, missing steps, jargon, and repeated ideas.
- Watch with the sound off. Confirm that the visual sequence still communicates the basic progression through captions, labels, and action.

Arrange scenes so each answers the question raised by the previous one. Put the most important benefit or instruction where viewers will encounter it early enough to matter. Remove decorative scenes that delay the explanation. If a step depends on a condition, show that condition before the action.
Pass 2: Edit the script and on-screen text
Use short sentences and concrete verbs. Keep narration and captions complementary instead of displaying a paragraph while a narrator reads the same paragraph. Spell product names, numbers, dates, and URLs exactly as approved. Replace generic AI phrasing with the language your customers or employees actually use.
Pass 3: Replace mismatched visuals

Pass 4: Set timing and transitions
Give viewers enough time to read labels and understand a new visual before changing scenes. Align important movement with the narration rather than using constant animation. Pause briefly after a key instruction and before the final call to action. Preview the timeline repeatedly because a small timing change can alter the meaning of a scene.

6. Record or generate narration that matches the visuals
Choose a voice and delivery appropriate to the audience and subject. A compliance or safety explanation generally needs a measured pace; a short product introduction can be more energetic. Whatever voice you use, prioritize intelligibility over performance.
- Read the script aloud before finalizing it; awkward phrases are easier to find by speaking than by scanning.
- Pronounce acronyms, names, and technical terms consistently.
- Keep essential information in captions as well as narration so the message does not depend on sound.
- Do not let music or sound effects mask speech, especially on mobile speakers.

8. Make the explainer understandable and accessible
Accessibility is part of the explanation, not a final decoration. Use readable text sizes, strong contrast, and captions that remain on screen long enough to read. Avoid communicating a required distinction only through color. Describe visual relationships in the narration when viewers need them to understand the process.
Test the video at the size and distance where it will actually be watched. A label that is legible in the editor may be unreadable in a learning-management-system player or a presentation window. Ask someone unfamiliar with the subject to explain the video back to you; misunderstandings reveal missing context better than another internal reread.

9. Review the complete cut before exporting
Use a structured review so factual, editorial, and technical problems are not mixed together.
Content review
- Is the audience obvious from the first scene?
- Does every claim come from an approved source or a clearly labeled example?
- Are steps in the correct order, with prerequisites and exceptions included?
- Does the final scene state one clear action and destination?
Visual and audio review
- Do visuals show what the narration says?
- Are captions synchronized and free of spelling errors?
- Are transitions, gestures, and sound effects helping rather than distracting?
- Does the ending remain on screen long enough for viewers to act?
Stakeholder review
Send reviewers a specific checklist instead of asking whether they like the video. Assign one person to factual accuracy, one to brand and legal requirements, and one to audience clarity when possible. Record decisions in one place and make a final pass after every approved change.
10. Export for the destination

The generated script is inaccurate
Return to the approved source and mark every unsupported sentence. Rewrite the affected section in plain language, then regenerate only if doing so saves time; otherwise edit the script directly in Studio. Have the subject-matter owner approve the replacement.
The video feels generic
Replace template wording, characters, and settings with details from the real customer or process. Add one concrete example, the actual interface label, or the exact next step. Generic decoration cannot substitute for specific information.
The video is too long
Remove repeated benefits, secondary background, and scenes that do not change the viewer’s understanding. Keep prerequisites and exceptions that prevent a wrong action. If the message still needs more time, split it into a short overview and a focused follow-up.
Viewers miss the call to action
Make the action visible in the narration, on-screen text, and final frame. Use one destination and keep the final scene on screen long enough to read. Do not introduce a new benefit after the action; it competes with the instruction.
