A useful brand style guide tells every contributor exactly how your organization should look and sound on its website, social profiles, campaigns and downloadable materials. It goes beyond a logo file, color swatches and font names: it documents approved choices, context, hierarchy, spacing, accessibility requirements and examples of correct and incorrect use.
Build the guide around the channels your team actually publishes to, connect each rule to ready-to-use assets, and assign an owner who can keep the document current. The result is a practical source of truth that a new employee, contractor or agency can follow without asking the original designer to interpret every page.

What a brand style guide should accomplish
A brand style guide is a set of visual and verbal rules for presenting one recognizable identity across different touchpoints. Shopify describes guidelines as a way to standardize public presentation across visual and verbal choices, including websites and social media. W3C’s brand standards similarly document logo, color, typography and imagery rules for internal and external use.
Your guide should answer five questions for a contributor:
#1 Best Overall
- Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. Except for standard USB webcams (which use USB data only), they are not compatible with HDMI/DisplayPort cables, video-capable USB-C hubs, or docking stations with video output.
- Convert USB-A Ports to USB-C: Designed to connect USB-C earphones, cables, flash drives, card readers, and other USB-C accessories to standard USB-A ports. Plug-and-play with no drivers or software required.
- Aluminum Alloy Housing: Built with a sturdy aluminum alloy shell that aids in heat dissipation and protects against daily wear and scratches. Designed to maintain a stable and secure connection.
- Compact & Travel-Friendly: The ultra-compact design allows the adapter to stay plugged into your device without blocking adjacent ports or adding bulk, reducing wear and tear on your original USB ports.
- 12-Month Warranty: Backed by a 12-month manufacturer warranty for peace of mind. Designed to meet strict quality control standards for reliable everyday performance.
- Which assets and versions are approved?
- How should those assets be combined, sized, spaced and placed?
- What should the brand sound like in a headline, caption, error message or customer reply?
- How do the rules adapt to each website and social format?
- Where are the current files, who approves changes and how can a contributor request an update?
A PDF that only displays a logo and a palette is an identity reference, not a working guide. The useful part is the usage instruction: a preferred logo on a light background, a minimum clear space, a hierarchy for headings, a caption formula, an accessible color pairing and an example post showing all of those decisions together.
1. Define the audience, scope and source of truth
Write the first page for the people who will use the rules, not for the person who created them. List whether the guide serves an internal marketing team, product and support staff, contractors, agencies, partners or all of these groups. State which materials are covered now and which are outside scope.
List the channels and formats
Make an inventory such as:
- Marketing pages, blog articles, landing pages and forms on the website.
- Navigation, buttons, alerts, account screens and transactional messages if your team controls them.
- Social profile images, cover graphics, feed posts, short-form video covers, stories and paid-ad variants.
- Email headers, presentation decks, downloadable documents, event signage or support templates when those are part of your public presence.
Record the dimensions or technical constraints that matter for each channel. A social avatar may need a simplified mark at a small square size, while a website header can use the full lockup. A guide that names a channel but never demonstrates its actual format leaves contributors to guess.

Identify the source of truth
Choose one maintained location for the guide and one linked asset library. Give files descriptive names, include the file type and intended use, and remove obsolete variants from the contributor-facing folder. For example, brand-logo-horizontal-dark.svg is more useful than logo-final-2.svg.
Put the guide’s owner, version number and last-updated date near the beginning. Link each downloadable asset or template from the rule that explains it. If a contractor receives only a logo file, they should still be able to find the full guide and the current color and type specifications.
2. State the brand foundation briefly
Give contributors enough context to make decisions without turning the guide into a long strategy document. Summarize the organization’s purpose, primary audience, positioning and the qualities the brand should convey. Keep each statement practical.
Turn abstract qualities into choices
Words such as “friendly,” “expert” or “bold” are useful only when they lead to observable behavior. Translate them into instructions:

Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEScan for outdated or missing drivers - takes under a minuteDriver Scan →- Clear: use direct sentences, descriptive headings and one primary action per screen.
- Approachable: prefer familiar words and contractions where appropriate; avoid unexplained jargon.
- Precise: name the product, audience or outcome rather than relying on vague superlatives.
Include a short “when in doubt” test. A contributor might ask whether a headline is understandable to a first-time visitor, whether a visual is recognizably yours without the logo, or whether a call to action states what happens next.
3. Build a complete logo system
Document the approved logo files and the situations in which each one is allowed. Include the full wordmark, symbol or monogram, horizontal and stacked lockups, one-color versions and reversed versions only if they have been approved.
Specify placement and clear space
Define a measurable clear-space rule around the logo, using a repeatable unit such as the height of a letter in the mark. State the minimum display size for print and digital contexts when the mark becomes difficult to read. Explain preferred placement in a website header, social profile image, footer, presentation cover and campaign graphic.

Show the logo on the backgrounds contributors will actually encounter: light, dark, colored, photographic and crowded backgrounds. If a background reduces legibility, require a different approved variant or a controlled field behind the mark.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsShow correct and incorrect use
Use paired examples with short captions. Correct examples might show the mark at the prescribed size with clear space and an approved color. Incorrect examples should demonstrate common mistakes:
- Stretching, squashing, rotating or altering the proportions.
- Changing colors, adding effects or placing the mark over a busy image.
- Rebuilding the logo with a substitute typeface.
- Combining the symbol and wordmark in an unapproved arrangement.
- Using an outdated campaign or partner lockup after it has been retired.
W3C’s standards note that not every logo example is permitted for external use. Make that distinction explicit for your own system: label files “approved for public use,” “internal only” or “do not distribute,” rather than expecting contributors to infer the difference.
4. Create a color system that works in context
List color values in the formats your contributors need: HEX for web interfaces, RGB for screens, and CMYK or spot specifications when print production is in scope. Give every color a role instead of presenting an undifferentiated palette.
Assign roles and hierarchy
A practical system may include:
- Primary colors: the colors most associated with the brand and used for major surfaces or emphasis.
- Supporting colors: secondary backgrounds, illustrations and campaign variation.
- Neutral colors: page backgrounds, body text, borders and muted information.
- Functional colors: success, warning, error and informational states, with non-color indicators as well.
State where each color may appear. A vivid accent that works for a button may be too strong for a full-page background; a pale tint that works behind a card may not provide enough contrast for text.
Check accessibility before approving combinations
Do not assume that a brand color is accessible because it looks legible in a design file. Check text and interactive-element combinations against the applicable current WCAG requirements for the text size, weight and state. Test normal, hover, focus, disabled and visited states where relevant.
Never use color as the sole way to communicate meaning. Pair a red error state with an icon, a text label and an explanation; pair a chart color with a legend or direct labels. W3C accessibility guidance emphasizes predictable interfaces and alternatives that do not depend on one sensory characteristic.
Document a decision table
| Use | Approved treatment | Check before publishing |
|---|---|---|
| Body text | Dark neutral on a light background, or the documented reverse pairing | Contrast remains sufficient at the actual font size |
| Primary button | Brand accent with a defined text color and visible focus state | Text and focus indicator remain distinguishable in every state |
| Status message | Functional color plus icon and plain-language label | Meaning is clear without seeing the color |
| Photography overlay | Approved overlay or solid text field when an image is busy | Text stays readable across the full crop |
5. Define typography for real content
Name the type families, weights and styles that are approved, then show how they are used in a hierarchy. Include headings, body copy, labels, navigation, buttons, captions, quotations, numbers and code when those elements appear in your products.
Set hierarchy and behavior
Specify the level of each heading, relative size, line height, maximum line length and spacing before and after. Explain how emphasis works: for example, use weight for importance and italics only for a documented editorial purpose. Include a sample page or component so contributors can see the hierarchy in context rather than as isolated letters.

Plan for unavailable fonts
Document a fallback stack for browsers, office software, social editors and other environments where the preferred typeface cannot load. GOV.UK’s brand guidance provides an example of explicitly directing contributors to fallback fonts. State whether a fallback is acceptable for all content or only for internal documents and platform-native posts.

Check that the fallback preserves character support, punctuation, numerals and approximate text length. A substitute with a very different width can cause a button label to wrap or a social graphic to overflow.
6. Set rules for photography, illustration and graphics
Describe the visual choices that make imagery recognizable even when the logo is absent. W3C’s brand standards treat image tone and treatment as part of the identity, and your guide should do the same when imagery carries meaning.
Photography direction
Define subject matter, point of view, lighting, composition, color treatment and inclusion requirements. Explain whether images should feel documentary, polished, energetic, quiet, close-up or wide. Show examples of acceptable crops for a website hero, profile card, square social post and vertical story.

Document line weight, corner shape, perspective, level of detail, color use and rules for combining icons with text. State whether contributors may recolor, crop or animate an illustration. Include a small set of approved icons or a link to the maintained library instead of encouraging people to download arbitrary substitutes.
Write image descriptions as part of the process
Explain who writes alternative text, where it is entered and what makes it meaningful. Describe the image’s purpose, not its file name or decorative details. If an image is purely decorative, mark it as such in the implementation method used by your website or platform.
7. Define voice, messaging and editorial behavior
Visual consistency is only half of a recognizable presence. Document how the brand speaks in headlines, body copy, social captions, support replies and calls to action. Shopify identifies voice and messaging as core guideline elements; W3C’s web-writing guidance adds practical rules for clear, concise and structured content.
Describe voice with contrasts
Use three or four qualities and show what each means in practice. A useful entry has a preferred behavior, an example and a boundary:
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
| Voice quality | Use | Avoid |
|---|---|---|
| Helpful | “Choose a plan, then invite your team from Settings.” | Vague encouragement without a next step |
| Confident | State what the product does and what it does not do | Unqualified claims or inflated superlatives |
| Human | Use plain words and acknowledge the reader’s situation | Forced jokes, slang or unexplained technical terms |
| Concise | Put the essential action first | Long introductions before the useful information |
Record editorial conventions
Decide how to handle product names, capitalization, numerals, dates, abbreviations, punctuation, inclusive language and technical terminology. Add a preferred-terms list for words that are often inconsistent, and note terms that should not be used.
For the web, require unique and informative page titles, headings that reveal structure and link text that describes its destination. “Read the pricing details” is more useful than a series of links labeled “Learn more.” Give contributors a pattern for instructions: state the action, identify the control by its visible label and explain the expected result.
Separate voice from campaign tone
A seasonal campaign can be more playful or urgent without becoming a different brand. Mark temporary campaign rules as an overlay with an owner and end date. The permanent guide should remain the baseline for accessibility, terminology and recognizable visual elements.

- Please Note: To reach 10Gbps speed, keep the cable under 3.3 ft. For USB A Male to USB C adapters, try flipping the USB C connector. USB C Male to USB A adapters support bidirectional 10Gbps transfer within 3.3 ft
8. Apply the system to your website
Show the identity in the pages and components your team produces, not only in abstract swatches. Include annotated examples of a homepage or landing page, article template, navigation, form, button, card, alert and footer.
Make components predictable
Use consistent names and visual treatments for repeated interactive elements. A primary action should look and behave like the same action elsewhere; a secondary action should not unexpectedly become the dominant control. W3C accessibility principles note that predictable appearance and behavior help people navigate without being disoriented.
Document responsive behavior: what happens to the logo lockup on a narrow header, how navigation collapses, which heading sizes change, how cards stack and where imagery crops. Include keyboard focus, error, loading and empty states so the guide covers functional moments as well as polished screenshots.
Use content examples, not filler text
Replace placeholder text with realistic headings, labels and messages. A contributor needs to see whether a two-line heading is acceptable, how a long product name wraps and whether a button remains understandable when translated or read by assistive technology.
9. Adapt the system to social media
Social channels impose different crops, character limits, native controls and publishing workflows. Keep the identity recognizable while adapting the format rather than forcing a website layout into every post.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Profile and account elements
Specify which logo variant belongs in the avatar, how the mark is centered inside a circular crop and what belongs in the cover or header image. Provide a safe area so important text does not disappear behind platform controls. State how often profile graphics should be checked after a platform changes its crop or dimensions.
Feed posts and campaign graphics
Provide templates for the recurring formats your team uses: square or landscape announcements, vertical stories, quote cards, product demonstrations and event reminders. Each template should include type hierarchy, margins, logo placement, image treatment and a text-length limit. Show one finished example with its caption and alt text, then provide an editable version with clearly named layers.
Captions, replies and short-form video
Give contributors a caption structure such as context, useful detail and one clear action. Explain how hashtags, mentions, emojis and platform-specific conventions fit the voice. For video, specify opening title treatment, on-screen text, caption style, safe areas and a transcript or equivalent text alternative. The visual system should survive when a viewer watches without sound.
The Office for National Statistics service manual offers an example of applying brand color rules and accessible combinations to social graphics. Use that kind of channel-specific demonstration for your own organization rather than assuming a website palette transfers unchanged.
10. Build accessibility into every rule
Accessibility belongs beside the visual and editorial specifications, not in a separate appendix that contributors overlook. The guide should explain what to do and where to do it.

- What You Get: Anker 332 USB-C Hub (5-in-1), welcome guide, our worry-free 18-month warranty, and friendly customer service.
Text and interface requirements
- Check contrast for text, icons, controls and focus indicators against the applicable current WCAG requirements.
- Do not communicate status, category or urgency through color alone.
- Use real text instead of embedding essential words in an image.
- Keep headings in a meaningful order and make labels specific.
- Provide visible focus treatment and ensure interactive controls have understandable names.
Images, audio and video
- Write concise, purpose-based alternative text for informative images.
- Mark decorative images appropriately so assistive technology can skip them.
- Provide synchronized captions for spoken video and a transcript when the format or context requires it.
- Describe important visual information that is not available in the audio track.
W3C’s “Writing for Web Accessibility” advises using simple language and formatting appropriate to the context. Treat readability as part of the brand experience: a distinctive voice is not a reason to make instructions obscure.
11. Package assets and templates for handoff
A rule is only useful if the person applying it can obtain the correct file. Create an asset index with the file name, format, intended use, owner and date checked. Include editable source files where contributors are expected to make changes, plus export instructions for web and social use.
Use a predictable folder structure
An example structure is:
brand-guide/n logos/n colors-and-type/n photography/n icons-and-illustration/n website-components/n social-templates/n editorial/n archive/
Keep the archive separate from the active folders and label retired material clearly. Do not let multiple “final” files circulate in email or chat. If your team uses a design library or content-management system, link the library from the guide and explain the permission needed to use it.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
12. Assign ownership and maintain the guide
Name a person or team responsible for the guide, the asset library and approvals. Define who can make routine corrections, who approves a new logo or color, and how contributors submit a change request.
Use versioning and change notes
Record a version number, publication date and a short change log. A contributor should be able to tell whether a template is current without comparing files manually. When a change affects existing pages or scheduled posts, state the migration action and deadline.
Review when conditions change
There is no universal review interval. Revisit the guide when the identity changes, a new channel is adopted, a typeface or asset library is replaced, accessibility requirements change, or repeated contributor questions reveal a missing rule. A lightweight quarterly check can be useful for active teams, but the trigger should be the organization’s workflow rather than an arbitrary calendar promise.
13. Choose the right guide format
A single long PDF is not always the most usable format. Compare possible formats against the work your team needs to do:
| Format | Strength | Risk | Best use |
|---|---|---|---|
| Web-based guide | Searchable, linkable and easy to update | Can drift if permissions or ownership are unclear | Distributed teams and frequently changing assets |
| Structured PDF | Easy to distribute and preserve as a dated version | Links and examples can become stale | Formal handoffs, procurement or partner packages |
| Design-library documentation | Rules appear beside live components and templates | May be inaccessible to external contributors | Product and marketing teams working in a shared design system |
| Short quick-reference sheet | Fast for routine social or campaign production | Too little room for governance and edge cases | Paired with a complete guide for daily publishing |
Evaluate any template or platform on five axes: coverage of visual and verbal identity, fit with your actual channels, presence of examples and ready-to-use assets, treatment of accessibility, and clarity about ownership and maintenance. These are practical evaluation criteria, not a published scoring standard.
14. A step-by-step production workflow
- Collect existing material. Gather current logos, color values, type licenses, templates, high-performing pages, social profiles and recurring content questions.
- Choose the audience and channels. Write the contributor list and inventory the website, social formats and other covered materials.
- Draft the foundation. Record purpose, audience, positioning and the few qualities the identity should convey.
- Approve the visual system. Select logo variants, clear-space and size rules, color roles, accessible combinations, typography hierarchy and imagery direction.
- Write the verbal system. Define voice, terminology, capitalization, calls to action, link wording and examples of preferred and prohibited language.
- Build channel examples. Annotate representative web components, profile graphics, feed posts, stories, video covers and captions.
- Add accessibility instructions. Document contrast checks, non-color cues, alternative text, captions, transcripts, headings and focus states.
- Connect the assets. Link the current files and templates, remove obsolete versions from active folders and explain export settings.
- Test with an uninvolved contributor. Ask someone who did not create the guide to produce a page or post. Record every question they ask; each repeated question is a candidate for a clearer rule or example.
- Publish and govern. Add the owner, version, change-request route and review triggers, then announce where the source of truth lives.
15. Pre-publication checklist
- The guide names its users, covered channels and source-of-truth location.
- Logo variants include context, spacing, size, background and misuse examples.
- Colors have roles, values and approved combinations rather than a list of swatches only.
- Typography includes hierarchy, weights, licensing considerations and fallbacks.
- Imagery, illustration and icon rules include examples and cropping guidance.
- Voice guidance includes examples, terminology and web-writing conventions.
- Website and social examples use real formats and show how the system adapts.
- Contrast, non-color cues, alternative text, captions and transcripts are addressed.
- Assets and templates have clear names, current links and an archive for retired files.
- An owner, version, last-updated date and change procedure are visible.
- A contributor who was not involved in creating the guide can complete a typical task without interpretation.
