Excel has no universal built-in “Insert Barcode” command. You create a barcode by choosing the right symbology, preserving the source value as text, and using an add-in, an encoder with a barcode font, a VBA generator, or a separate label workflow. For most people making a list of internal IDs, an Excel barcode add-in is the simplest reliable option; Excel for the web usually needs a web-compatible image service instead.
Do not treat a barcode font as a complete generator. The encoder must add the structure required by the symbology, and the finished symbol must be scanned from the final printout—not merely judged by how it looks on screen.
Choose the barcode type before opening Excel
A barcode format is part of the data requirement, not just a visual style. Ask who will scan it and where it will be used.

Prepare the Excel data safely
Most barcode failures begin before generation. Excel may change an identifier while importing or entering it.
Keep identifiers as text
- Select the source column, such as
A2:A100. - Choose Home > Number Format > Text before entering or importing values.
- For a single value, a leading apostrophe also preserves the literal text:
'001234567890. - Recheck imported files; changing the display format after Excel has already converted a value does not restore lost digits.
Long numeric strings can become scientific notation such as 4.51E+11, and leading zeros can disappear. IDAutomation documents these Excel conversion problems and recommends text formatting or a leading apostrophe: IDAutomation Excel integration.
Use separate source and barcode columns

- Keep one identifier per row.
- Remove accidental spaces and hidden characters unless they are intentionally encoded.
- Keep human-readable text in its own cell or beneath the symbol.
- Confirm that the chosen symbology accepts the letters, punctuation, spaces or Unicode characters in your data.
Barcode software encodes the underlying cell value, not necessarily the value you think the cell is displaying.
Easiest method: use an Excel barcode add-in
An add-in is usually the best choice for beginners, lists, linked barcodes and label sheets. TEC-IT’s TBarCode Office provides an illustrated example: it supports individual symbols, lists, cell-linked output, Code 128, UPC/EAN, GS1-128 and QR Code through the Excel Add-Ins tab and TBarCode Panel. Create one barcode
- Install the add-in and open the workbook in desktop Excel.
- Open Add-Ins > TBarCode Panel.
- Select the destination cell.
- Choose the required type, such as Code-128, UPC/EAN, GS1-128 or QR code.
- Enter the data or select its source cell.
- Set available dimensions and parameters, then choose Insert Barcode.
- Scan a printed test before producing a batch.
Generate a list or link a symbol to a cell
- Select the cells containing the source values.
- Open the panel and select the barcode type.
- Choose Insert Barcode for the list.
- For a dynamic result, select the barcode, choose Link to Cell, and select the source cell.
- Change the source value and verify that the symbol updates.
Linked updating is a feature of the particular add-in, not a native Excel property. Add-ins can be blocked by company policy, and recipients without the same add-in may see a different workbook.

Alternative: a barcode font plus an encoder
A font turns specially encoded characters into bars; it normally cannot convert arbitrary input into a valid Code 128, UPC/EAN or GS1 symbol by itself. A working font solution needs:
- the matching barcode font;
- an encoder or formula that adds start, stop, check and symbology-specific characters; and
- the font installed on every computer that displays or prints the workbook.
One vendor-specific Code 128 example is:
=Code128(A2)
Apply the matching Code 128 font to the formula result. The function name and font name are not universal; a formula from one package will not work with an unrelated font. IDAutomation’s documented VBA/font workflow is aimed at Windows desktop Excel and older versions, including Excel 2007–2016; it should not be assumed to work in Excel for the web or every Mac installation. - Install the vendor’s font.
- Install or import that vendor’s encoder.
- Put the raw value in
A2. - Enter the vendor’s encoder formula in
B2. - Apply the matching barcode font to
B2. - Resize without distorting the symbol, add human-readable text separately, and scan the printout.
“Just install a barcode font” fails when start/stop characters, check digits or supported character rules are missing. Font-based files are also fragile to share: the matching TrueType or OpenType font must be installed locally on each workstation.

A native generator embeds barcode-generation functions in a desktop workbook and can output images, shapes or other formats. IDAutomation documents support for locally installed Excel 2007 and later on Windows and Excel 2016 and later on Mac with VBA support. Its generator is not compatible with Excel for the web because it requires VBA: IDAutomation Native Barcode Generator manual.
For example, its Code 128 function is:

A documented QR Code example is:
=IDAutomation_NXLS_QRCode(A3,3,,,,,,,4)
Installation involves extracting the generator files, opening the supplied macro-enabled workbook, and optionally activating an add-in through File > Options > Add-ins. Save macro-enabled workbooks as .xlsm where required. Users may see security warnings, need to enable content, or experience slower sheets when thousands of images or shapes are generated.

Excel data to printed labels: use Word mail merge
Microsoft supports a different workflow in which Excel supplies the records and Word creates the barcode label. It is useful for Avery-style sheets or one barcode per merged record, but the barcode object lives in Word rather than Excel. Microsoft’s instructions are at Add barcodes to labels.
- Prepare and name the Excel data range.
- In Word, choose Mailings > Start Mail Merge > Labels and select the label vendor and product.
- Choose Mailings > Select Recipients > Existing List, then select the workbook.
- Insert a barcode field into the first label.
- Choose Mailings > Update Labels, then Preview Results.
- Print a test sheet and scan it.
Microsoft’s field-code pattern is:

Excel for the web and Mac: check compatibility first
- Excel for the web: desktop VBA and many legacy add-ins do not run in the browser. A web-compatible image or streaming integration, such as an
IMAGE-based service, is a separate solution and sends data to an external dependency. Review IDAutomation’s integration options. - Mac: compatibility depends on the product and Excel version. IDAutomation documents Excel 2016 and later with VBA support; fonts still must be installed. Some workflows recommend EPS or BMP output for transfer between platforms.
- Microsoft 365: identify whether you are using the desktop subscription app, Excel for the web, Mac Excel or a managed installation where add-ins and macros are disabled.
Print and scan the finished barcode
A technically valid symbol can fail after resizing, printing or placing it on a label.
- Print at the intended final size and do not stretch the image non-proportionally.
- Keep the blank margin, or quiet zone, around the symbol; do not put borders, text or graphics inside it.
- Use strong contrast, normally dark bars on a light background.
- Test the actual printer, label stock and scanner used at work.
- Scan several samples at different orientations and distances. A phone app is useful for QR Codes; a handheld scanner is essential for the operational test.
- Keep human-readable data beneath or beside the symbol where the workflow requires it.
Quiet-zone defaults vary by barcode type and generator; see the IDAutomation generator manual. A successful decode proves only that a scanner read the symbol—it does not prove that a UPC/EAN, carrier label or regulated identifier is legitimately assigned or compliant.

Troubleshooting common failures

Choose Code 128 for many internal alphanumeric identifiers, but do not use it to bypass a retail, carrier or industry specification. For an occasional QR Code, a separate QR generator may be simpler than installing Excel software. A paid tool can render a symbol; it cannot assign a valid UPC/EAN or replace operational validation.
Frequently Asked Questions
Can I create a barcode in Excel for the web?
Not with desktop VBA or many legacy add-ins. Use a web-compatible image or streaming integration, and consider whether sending identifiers to an external service is acceptable.
Is changing a cell to a barcode font enough?
Usually not. Most symbologies require an encoder that adds start, stop and check information before the matching font renders the result.
Why does my barcode scan on screen but fail on paper?
Printing can change scale, contrast and the quiet zone. Print at final size on the actual label stock, preserve proportions and test with the operational scanner.
