Tell the operator which field is wrong, provide the accurate replacement, and include a current byline, employer biography, or outlet page when available. Cision, Muck Rack, and Prowly each use different workflows, and a correction submitted to one service will not automatically change copies held elsewhere.
Before you submit anything: identify the record
Search for your name in the media database and open the specific record that contains the error. Copy the complete profile URL, not just a search-results link. Note the database name, the date you checked it, and every inaccurate field. A record may contain several independent errors—for example, an old outlet, an outdated email address, and a beat you no longer cover.

Make a short comparison list before contacting support:
- Current listing: the exact value shown in the profile.
- Correct information: the replacement value you want published.
- Evidence: a current employer biography, author page, outlet staff page, or relevant byline URL.
- Requested outcome: correction of specific fields, removal of the whole profile, or both.
Provider instructions do not make an external proof link universally mandatory, but it helps the research team identify the correct person and assess a change. Send only information reasonably needed to identify the record and verify the correction; do not attach unrelated sensitive documents.

Choose the right remedy
A correction and a removal request are different. If the database should continue listing you but has an incorrect role, outlet, beat, email, language, or career history, ask for a field correction. If you do not want a profile in the service at all, make an explicit removal request. Some providers expose both choices in the same form; others route them through separate privacy contacts.

Legal rights and response obligations vary by jurisdiction and facts. A privacy notice can explain a provider’s process, but it does not guarantee that a particular request will be granted in every country or situation.
Correcting a Cision profile
Use the US update, add, or remove form
Cision’s US Update/Remove Media Profile form lets you select “Update an existing profile,” “Add a new Profile,” or “Remove an existing profile.” For an inaccurate listing, choose the update option and identify the profile precisely.
The form requests professional identifiers and profile details. Depending on the fields presented, be prepared to supply:
- your name and email address;
- work telephone number;
- job title and media outlet;
- social-media profiles;
- outlet country and languages;
- outlet URL;
- career history;
- beats or topics; and
- pitch preference.
Use the fields to state the correction rather than submitting a general complaint. For example, identify the old outlet and the current outlet, or distinguish a former job title from your present title. Include the profile URL and a verification link in any free-text area.
Cision says information submitted through the form may be used to update or create a profile in its database, sister companies, and affiliates that are accessed by public-relations clients. Review that disclosure before sending personal information and provide only what is needed for your request.
Use Cision’s privacy or regional route when appropriate
Cision’s Cision GDPR – Data Privacy Notice – Journalists and Other Influencers describes routes for updates and removal through its global research teams or regional forms. It lists [email protected] for profile amendment or removal requests.

If your record is handled through the UK service, Cision’s Journalist Services page provides a profile form and lists [email protected] for UK media updates. State that you are requesting a correction to a journalist profile, include the exact profile URL, and specify the fields to change. Regional handling can differ, so use the route matching the record or your request’s context.
Correcting a Muck Rack profile
Claim and manage the profile when you want ongoing control
Muck Rack encourages journalists to claim their profile so they can control the information shown to communications professionals. Its official Journalist Profiles Help Center collection covers claiming or creating a profile, verification, and profile management.
Claiming is useful when the profile is yours and you expect details to change over time. Follow the Help Center’s current claiming and verification instructions, then review the available profile-management controls. Correct each inaccurate field and check the public-facing result after saving.
Claiming a profile is not the same as requesting deletion. If you do not want the listing to exist, use the privacy or removal route instead.

Muck Rack’s Journalist Privacy Notice directs requests to correct personal information to [email protected]. The company may ask you to verify your identity through email or social accounts. Include the profile link and explain exactly what should be corrected.
The notice describes access, correction, restriction, deletion, portability, and certain objection rights. The scope of any legal right depends on applicable law and the facts of your request, so phrase the message accurately rather than asserting that a particular outcome is guaranteed.
For removal of an unclaimed profile, the notice says to contact [email protected] and provide the profile link. Make the requested result unambiguous: correction of named fields, removal of the unclaimed profile, or a privacy-rights request.

Correcting a Prowly media contact
Report the outdated contact from the contact card
Prowly documents a reporting workflow in How to report that contact is out of date. Open the journalist’s contact card in the media database and select “Ask for an update.”

- Open the contact card for the person whose information is wrong.
- Choose Ask for an update.
- Select the reason that matches the problem, such as a changed name, outlet, email, or role.
- Enter the correct field value and any other relevant information.
- Submit the report and save a screenshot or confirmation for your records.
Prowly says it evaluates user feedback daily. It also says certain updates can take up to a few weeks and that it will email you when the contact has been updated. Those statements describe the documented reporting process; they are not a universal deadline for every type of change.
The documented route is for users reporting a contact. It does not establish that every journalist can directly self-edit a Prowly profile, so use the reporting action rather than assuming an account-level edit control exists.
What to include in a correction request
A precise request reduces back-and-forth and helps a research team distinguish you from another journalist with a similar name. Include:
- Subject line: identify it as a journalist-profile correction and include your name.
- Profile URL: paste the exact page address.
- Field-by-field changes: show the current listing and the accurate replacement.
- Verification link: provide a current outlet biography, author page, staff page, or byline where practical.
- Requested result: say whether you want correction, removal, or a privacy-rights review.
- Reply address: use an email address that lets the provider verify you and contact you.
Keep the request limited to the record at issue. If the database has several profiles for you, list each URL separately rather than assuming one correction will update all records.

[name]Adapt the wording to the provider’s form. If you are asking for deletion rather than a field change, replace the field list with a direct statement that you want the profile removed and include the profile URL.
After submitting: document and verify the result
Keep an audit trail
Save the submitted form, email, confirmation screen, ticket number, and date. Record the profile URL and the exact changes requested. This prevents you from having to reconstruct the request if the database asks for clarification or if you need to follow up.

Check the public record
When the provider says the update is complete, reopen the profile URL in a private browser window or while logged out. Confirm each requested field, not just the headline name and outlet. Check whether an old email, beat, social account, or career entry remains.
Follow up without creating duplicate requests
If the provider gives a ticket number, reply in the same thread. For Prowly, the published guidance says some updates can take up to a few weeks; allow that stated window before sending a status request unless the error creates an urgent safety or privacy concern. The reviewed Cision and Muck Rack materials do not state a general correction service-level time, so ask for an estimated review date rather than promising yourself a fixed deadline.

If ordinary profile controls do not solve the problem, use the provider’s privacy contact and explain that you already attempted the standard correction route. Include the earlier submission date and reference number.

Media databases are separate operators. Correcting a profile in Cision does not demonstrate that a Muck Rack or Prowly record has changed, and a provider’s update does not automatically propagate to services that maintain their own records.
Use a separate checklist for each service:

Do not treat the table as a ranking. It records the documented mechanisms and limitations for these three services, not a universal comparison of all media databases.
Common problems and how to resolve them
The provider cannot find the profile
Recheck the URL, spelling, and database name. Send the full profile address and a screenshot showing the incorrect field. If the profile is behind a login, describe the navigation path that reaches it and provide the public identifier or outlet page.
The correction request is too broad
“Everything is wrong” gives the reviewer no reliable edit instruction. Break the request into fields: old outlet, new outlet; old title, new title; old email, new email. State which values should remain unchanged.
You receive a verification request
Respond through the same official channel and provide only proportionate proof. Muck Rack’s privacy notice specifically says it may verify identity through email or social accounts. For other providers, follow the instructions they give rather than sending sensitive identity documents unsolicited.
You want deletion but asked only for an edit
Send a new, explicit removal request or reply to the existing ticket clarifying the desired outcome. Cision’s form distinguishes “Remove an existing profile” from updating one, and Muck Rack distinguishes correction from removal of an unclaimed profile.
The old information still appears elsewhere
Check whether you are viewing a different database, a duplicate profile, an archived page, or a downstream copy. Record each separate URL and submit a request to the operator that controls it. One provider cannot confirm changes made by another.
Privacy and jurisdiction considerations
Requests involving access, correction, restriction, deletion, portability, or objection may be treated as personal-data requests. The applicable process depends on where you live, where the provider operates, and the facts of the listing. The provider’s privacy notice is the correct place to find its stated route, but it is not a substitute for jurisdiction-specific legal advice.
Describe the minimum facts needed to process the request. Avoid sending passport scans, private addresses, unpublished contact details, or unrelated correspondence unless the provider specifically requests appropriate verification through an official channel.
Final verification checklist
- Exact database and profile URL identified.
- Every incorrect field listed with its replacement value.
- Current verification link included where useful.
- Correction versus removal outcome stated clearly.
- Provider’s official update, claim, report, or privacy route used.
- Submission confirmation and date saved.
- Updated profile checked while logged out.
- Separate requests prepared for other databases or duplicate records.
The reliable process is therefore database-specific: identify the record, use the operator’s documented channel, provide exact field-level changes, preserve proof of submission, and verify the result independently. For Cision, start with its update form or privacy contacts; for Muck Rack, claim and manage the profile or contact its privacy team; for Prowly, report the outdated contact through “Ask for an update” and allow for the provider’s stated review window.
