If the vehicle carrying goods changes, update Part B of the existing GST e-way bill before the goods move again. Enter the vehicle or transport-document details for the next leg, along with the current place, state and reason. If a submitted invoice, destination or other bill field is wrong, Part B is not the remedy: the official E-Way Bill System FAQ says to cancel the bill (when cancellation is still permitted) and generate a new one with corrected details.
First decide what actually changed
The correct action depends on whether the physical conveyance changed or the bill itself contains incorrect information. These are separate workflows in the Indian GST e-way bill system.

A route change by itself is normally handled by keeping Part B aligned with the next actual movement. The official material describes no separate, general “edit route” function. If the change also means a different vehicle or mode, update the corresponding Part B details before that leg begins. If the new route implies a different destination or other bill fact, treat that as a bill-correction issue rather than a vehicle update.

What Part B does and why the timing matters
Part B records the conveyance used to move the consignment. The official FAQ says an e-way bill should always show the vehicle actually carrying the goods. For a transfer from one conveyance to another, Central Goods and Services Tax Rules, 2017, Rule 138(5) requires the transporter to update conveyance details on the common portal before the transfer and further movement.

That requirement applies at every transshipment leg. A truck can carry goods from the consignor to a hub, a second truck can take them onward, and a rail, air or ship leg can follow. Each time, the latest Part B information should correspond to the conveyance that has the goods at that point. Do not wait until delivery or until an inspection is under way to record a replacement vehicle.
Part B updates do not restart the validity clock. Validity begins when the first Part B entry is made: the first vehicle entry for road movement or the first transport-document number for rail, air or ship. Later vehicle entries change the movement record but do not grant a new period.
How to update a vehicle number in Part B
Use the e-Way Bill System portal’s vehicle or transport-detail update action. The exact menu label can change as the portal is updated, but the operation is the Part B update for an existing, active bill.

Confirm that the goods are still moving under the same bill and that its validity has not expired.
- Confirm who is authorized to update it. If no transporter is assigned, the generator can update Part B. If a transporter is assigned, the assigned or current transporter is the party expected to update it. When a bill has been assigned onward to another transporter, the latest assigned transporter updates the conveyance details for its leg.
- Open the Part B vehicle or transport update. Select the existing e-way bill rather than generating a duplicate merely because a truck changed.
- Enter the current place and state. The API field names are
fromPlaceandfromState. Use the place where the goods are being transferred or where the next movement starts, not the original consignor address unless that is still the actual location. - Select the reason. Provide the applicable reason code and explanation. The API identifies
reasonCodeandreasonRem; use the explanatory field to describe a breakdown, transshipment, route-related operational change or another genuine cause. - Select the current transport mode. The mode must match the next conveyance: road, rail, air or ship. Do not retain a road vehicle number when the goods have moved to a rail wagon, aircraft or vessel.
- Enter the movement identifier. For road movement, portal validation requires the vehicle number in
vehicleNo. For rail, air or ship, the API requires the relevant transport-document number and date rather than a road vehicle number. - Submit and retain the result. Check that the update is accepted and that the bill displays the new Part B details. Keep the acknowledgement or updated bill record with the consignment documents.
- Repeat for every later leg. If another conveyance is used before delivery, perform another Part B update before that transfer and further movement.
The system validates that the bill is active and within its validity period. A rejected update should not be ignored: verify the bill status, assignment, validity date, mode and identifier format before the goods continue.
Who can update Part B?
Responsibility follows transporter assignment, not simply who happens to know the vehicle number.

- No transporter assigned: the e-way bill generator may update Part B.
- Transporter assigned: the assigned or current transporter updates the vehicle or transport-document details.
- Assignment transferred: if the bill is assigned to another transporter, the latest assigned transporter updates Part B for the movement it controls.
Coordinate the update before loading or handover. A consignor may know that a truck has broken down, but an assigned transporter may be the account authorized to change the bill. If access or assignment is wrong, resolve that portal issue before the replacement vehicle proceeds.

Vehicle breaks down en route
Stop the affected movement at a safe location, arrange the replacement conveyance, and update Part B with the replacement vehicle before the goods continue. Use the breakdown as the reason and enter the current place and state. The existing e-way bill remains the movement document if its other details are correct and it is still valid.
Goods are moved between trucks
For a hub, warehouse or cross-dock transfer, update Part B before the goods leave in the second truck. The rule expressly places the update before transfer and further movement. If the goods are split or consolidated, check whether the consignment structure itself still matches the bill; a mere conveyance change is not permission to alter an incorrect invoice or destination.
Several legs use several vehicles
Part B can be updated repeatedly as needed, provided the bill remains within its original validity and each entry reflects the vehicle carrying the goods for that leg. The fact that a previous vehicle number remains in the history does not make the update invalid; the operational requirement is that the current conveyance be recorded before onward movement.
What to do when the route changes
A driver may be diverted by a road closure, congestion, weather, a checkpoint or an operational decision. The official guidance does not describe a separate general route-edit field. Instead, keep the bill’s conveyance information current and update Part B for any new vehicle or mode used on the changed route.

When the route change involves a new movement leg, record the current place and state and the reason in the Part B update. For example, if a truck is replaced at a diversion point, the replacement truck is the vehicle that must be entered. If the same truck takes a different road but remains the conveyance, there may be no vehicle-number change; retain documents explaining the operational diversion and ensure the bill’s destination and other submitted details are still accurate.
A route diversion does not authorize changing the consignee, delivery address, invoice particulars or consignment value through Part B. If those submitted fields are wrong, follow the cancellation-and-regeneration process instead.
Changing the mode of transport
When goods move from road to rail, air or ship, update Part B to the latest mode and use the identifier required for that mode. The GSTN API validation distinguishes the identifiers:

The mode and identifier should describe the next actual movement, not a planned leg that has not yet received the goods. If the cargo returns to road transport later, make another update with the road vehicle number before that road leg begins.
Validity: changing a vehicle does not buy more time

- Validity begins with the first Part B entry.
- Validity expires at midnight on the last day.
- Later Part B entries do not recalculate or restart validity.
For example, replacing a truck halfway through a journey records the replacement truck but does not create a fresh 100-kilometre day. Monitor the original expiry while arranging a breakdown recovery or transshipment.
How to request an extension for an exceptional delay
An extension is different from a vehicle update. The official FAQ describes extensions for exceptional circumstances such as a natural calamity, law-and-order problem, transshipment delay or vehicle accident. The transporter carrying the consignment when validity is expiring normally requests the extension. If no transporter is assigned, the generator may be able to make the request, subject to the portal’s current validation.
- Open the eligible e-way bill before or at the point the portal permits an extension request.
- Select the extension function and state the exceptional reason accurately.
- Enter the current place, the distance remaining and the current Part B details.
- Submit the request and confirm whether the portal grants the extension.
- Keep the approval or updated validity information with the movement documents.
An extension should not be used to conceal an ordinary planning delay or to replace a required Part B update. Check the live portal and applicable rule text for timing and eligibility because technical options and validations can change.

The official E-Way Bill System FAQ is explicit: “If there is a mistake, incorrect or wrong entry after submission of the e-way bill, then it cannot be edited or corrected. Only option available is cancellation of eway bill and generate a new one with correct details.”
Use this route for an incorrect invoice or document number, wrong consignee or destination, incorrect product or value, or another submitted field that is not merely the identity of the next conveyance. Do not try to force a bill correction through Part B.

- Check the bill’s current status and whether it has been verified in transit.
- If cancellation is permitted, cancel the incorrect bill within the applicable window. The general FAQ states 24 hours from generation; confirm the live portal and current rules for the specific bill.
- Correct the underlying invoice or transport information before generating the replacement.
- Generate a new e-way bill with the corrected details and the actual initial conveyance.
- Give the new bill number to the transporter and retain the cancellation and replacement records.
A bill verified in transit cannot be cancelled under the cited rule framework. If the 24-hour period has passed or verification has occurred, obtain advice on the particular consignment from the responsible tax professional or authority rather than creating an unlinked duplicate.
The under-10-kilometre exception
Rule 138(5) includes an exception for movement under 10 kilometres within a State or Union territory from the transporter’s place of business finally to the consignee’s place of business. The exception is narrow. It applies only when the stated facts match the rule; it should not be generalized to every short local trip, every warehouse transfer or every vehicle change. When in doubt, update the conveyance details before movement.
Common failure points and fixes
The portal rejects the vehicle update
- Confirm that the bill is active and still valid.
- Check whether a transporter is assigned and whether the logged-in account is the authorized generator or current transporter.
- Verify the vehicle number format and the selected transport mode.
- For rail, air or ship, enter the transport-document number and date rather than a road vehicle number.
- Ensure the current place and state describe the transfer point or starting point of the next leg.
The old vehicle still appears
Review the bill’s latest Part B entry rather than an earlier history record. Previous entries remain part of the movement history. The critical check is that the latest accepted entry matches the vehicle currently carrying the goods.
The bill expired during a breakdown
Do not assume that entering a replacement vehicle extends validity. Check whether the exceptional-circumstance extension function is available and submit the reason, current place, remaining distance and current Part B details through the eligible account.
The destination changed after dispatch
A destination change is not simply a vehicle-number correction. If the submitted bill fields no longer describe the transaction, determine whether cancellation and a new bill are legally and technically available. Part B should not be used to rewrite the underlying invoice or consignee information.
A transporter refuses to update the bill
Because assignment controls update authority, confirm which transporter is currently assigned. Ask the assigned party to make the update before onward movement, and preserve written instructions, breakdown records and handover details in case the timing is later questioned.
Pre-departure checklist for every changed leg
- Identify whether the change is only a conveyance change or an incorrect bill field.
- Confirm the e-way bill number, active status and original expiry.
- Confirm the generator, assigned transporter or latest assigned transporter who can update Part B.
- Record the actual current place and state.
- Select the correct reason code and provide a concise explanation.
- Select the mode that will be used for the next leg.
- Enter a road vehicle number, or the required rail, air or ship transport-document number and date.
- Submit and verify the latest Part B entry before transfer and further movement.
- Repeat the update for every later conveyance change.
- If an exceptional delay threatens expiry, request an extension through the portal rather than assuming a vehicle update changes validity.
- If any invoice, destination or other submitted bill field is wrong, stop treating the issue as a Part B change and assess cancellation and regeneration within the permitted window.
Key distinctions to remember
The official FAQ’s practical rule is straightforward: the e-way bill must identify the vehicle actually carrying the goods. A changed vehicle, breakdown or transshipment is therefore handled by updating Part B on the existing bill. A wrong submitted bill detail cannot be edited; when cancellation is available, cancel and generate a corrected bill. Every conveyance update must be made before the goods transfer and continue moving, and none of those updates restarts the bill’s validity period.
