To connect warehouse, transportation, and order data for AI, start with a shared data contract—not a machine-learning model. Your warehouse-management system (WMS), transportation-management system (TMS), order platform, enterprise resource planning (ERP) system, carriers, and trading partners must agree on what each product, location, organization, order, shipment, and event means. They also need compatible identifiers, formats, exchange methods, timestamps, and ownership rules.
A reliable sequence is to map system ownership, align master data, normalize identifiers and values, separate business transactions from visibility events, select interfaces that fit your partners, and validate the resulting data with operational scenarios. GS1 standards can provide building blocks for those agreements, but GS1 does not prescribe one architecture and adopting a standard alone does not create end-to-end integration or guarantee better AI results.

Why AI integration is a data-contract problem
An AI model can only join and interpret the records exposed to it. If one system calls a product “SKU-481,” another uses a supplier’s item code, and a third identifies the same item by a barcode, a model may treat one physical item as several unrelated entities. The same problem occurs when “delivered,” “received,” and “proof of delivery” are used as interchangeable statuses even though they describe different observations or business actions.

For an AI use case, document at least these contract elements for every field:
- Meaning: the business definition, including whether a value is planned, estimated, observed, or confirmed.
- Identifier: the key used to identify the object, party, location, order, shipment, or event.
- Owner: the system or organization authorized to create and correct the value.
- Format and units: data type, code list, measurement unit, precision, and allowed values.
- Time semantics: event time versus transmission time, time zone, daylight-saving treatment, and clock requirements.
- Exchange mechanism: API, EDI message, file, event stream, or another agreed interface.
- Operational expectations: delivery latency, ordering, retry behavior, deduplication key, retention, and audit trail.
Without these agreements, adding a data lake or a model can merely make inconsistent records available at larger scale.
Which systems and records must be connected?
Begin with an inventory of systems rather than a list of software features. Record which application creates, updates, and confirms each business object and operational milestone.
| Domain | Typical records to inventory | Questions to answer |
|---|---|---|
| Orders and commerce | Customer orders, order lines, promised dates, cancellations, allocations | Which system is authoritative for order state and requested quantity? |
| Warehouse execution | Receipts, put-away, picks, packs, inventory balances, holds, warehouse movements | Which records represent physical handling, and which are administrative adjustments? |
| Transportation | Loads, routes, bookings, carrier assignments, tender responses, appointments | Which system owns the planned movement and which owns execution status? |
| Carrier and partner visibility | Departures, arrivals, exceptions, scans, temperature or other sensor observations | Is the value an observation from a partner, an internal estimate, or a confirmed milestone? |
| ERP and finance | Products, suppliers, customers, locations, invoices, purchase orders, returns | Which master-data values must remain synchronized with operational systems? |
| Proof and compliance | Receipt confirmation, signatures, certificates, inspection results | What evidence is required to mark a transaction complete? |
For each object, name a system of record and list the local identifiers it uses. Then create a mapping to shared identifiers. Preserve the source identifier as an attribute instead of overwriting it; that makes joins explainable and supports correction when a source system changes.
Separate master data, transactions, and visibility events
These three categories are related, but they should not be modeled as one undifferentiated stream.
| Category | What it describes | Warehouse, transport, and order examples | AI integration concern |
|---|---|---|---|
| Master data | Relatively stable descriptions and identifiers | Item identity, packaging hierarchy, organization, warehouse, dock, customer, carrier | Different codes or stale attributes cause records to be joined incorrectly. |
| Transaction data | A business action or commitment | Order, order response, dispatch advice, receipt confirmation, transport plan, invoice | Messages need consistent line, quantity, status, and reference semantics. |
| Visibility-event data | An observation or state change at a point in time | Pick completed, pallet loaded, vehicle departed, shipment arrived, temperature observed | Events need object references, event time, location, business context, and duplicate handling. |
GS1’s architecture identifies master-data alignment as a design principle for consistent transaction exchange. Align products, parties, and locations before trying to reconcile orders or shipment messages. A transaction can refer to a product code correctly only if every participant can resolve that code to the same item.

How to choose identifiers that survive system boundaries
Choose one shared identifier strategy for each entity class, then document translations for systems that cannot use it natively. Important classes include:
Recommended Free Tools
- Products and trade items: distinguish an item from a case, pallet, or other packaging level; record quantity and unit-of-measure conversions.
- Locations: distinguish a legal address, facility, warehouse, zone, dock, and delivery point when those distinctions affect planning or events.
- Organizations and parties: distinguish manufacturer, seller, buyer, carrier, broker, consignee, and service provider.
- Logistics units: identify the specific pallet, carton, container, or shipment unit when events are captured at that level.
- Orders and shipments: retain source order numbers and line numbers, and create stable cross-system references for split, merged, backordered, or returned shipments.
- Events: assign an immutable event or deduplication key so retries do not create a second physical occurrence.
When an order line is split across two shipments, do not copy the original quantity into both records. Link each shipment line to the original order line and represent the allocated, shipped, delivered, and returned quantities separately. This preserves the relationships an AI model needs for fulfillment, exception, and demand analysis.
What GS1 standards contribute
GS1 standards are useful interoperability components, not a turnkey integration platform.
EPCIS and CBV for visibility events
EPCIS is GS1’s flagship data-sharing standard for supply-chain visibility. Its event model is designed to answer what object or process was involved, when it occurred, where it occurred, why it occurred in business terms, and how it was observed or carried out. The standard supports sharing within one organization and across trading partners. The Core Business Vocabulary (CBV) supplies definitions for values used with EPCIS.
The EPCIS and CBV 2.0 release is identified by GS1 as June 2022. The EPCIS/CBV Implementation Guideline 2.0 is identified as March 2023. The page lists sensor-data capabilities, certification details, JSON and JSON-LD representations, REST APIs for event capture and query, and GS1 Digital Link URI support. Those features can make event data easier to exchange with modern services, but each implementation still has to define access, authorization, partner agreements, and operational reliability.

Do not treat an EDI order or dispatch notice as a substitute for every operational event. An order says what was requested; a dispatch message says what a party reports sending; an EPCIS event can record that a particular object was observed at a location and time. A useful integration can carry references between all three without collapsing their meanings.
GS1 System Architecture
The current GS1 System Architecture describes the standards system and its components, but it explicitly does not define one system architecture that every end user must implement. Organizations may combine GS1 standards with other standards and interfaces. The versioned architecture source identifies version 12.0.0 as October 2024.
A practical implementation sequence
The following sequence is implementation guidance for connecting WMS, TMS, order, ERP, and partner data. It is not a mandatory GS1 process.
- Select one operational outcome. Define the decision the AI system must support, such as identifying late inbound shipments, explaining order-fulfillment exceptions, or estimating arrival risk. Specify measures, acceptable latency, and which users will act on the output.
- Map ownership and boundaries. List every source and destination. For each field and event, record the authoritative producer, permitted consumers, correction process, and whether the value is planned, estimated, observed, or confirmed.
- Profile current data. Measure missing identifiers, duplicate records, invalid codes, inconsistent units, timestamp offsets, impossible quantities, and status values that cannot be mapped. Keep source samples and error counts so remediation can be tracked.
- Normalize shared reference data. Align product, packaging, location, party, carrier, and unit-of-measure definitions. Establish cross-reference tables for local keys. Version code lists and retain effective dates when a definition changes.
- Map transaction messages. Define order, response, dispatch, receipt, transport-planning, and execution messages. Specify line-level references, quantity semantics, partial fulfillment, cancellation, returns, and correction messages.
- Map visibility events. Define event types, object scope, event time, recording time, location, business step, disposition, sensor values, source, and deduplication key. Use CBV values where applicable and document any extensions.
- Choose exchange mechanisms. Use APIs, EDI, files, event interfaces, or a combination based on the capabilities of source systems and partners. Set retry, replay, ordering, authentication, and rate-limit behavior before production.
- Build a canonical contract and mappings. A canonical model can reduce repeated translations, but it must preserve source values and provenance. Store mapping versions so an AI result can be traced to the original record and rule set.
- Test real operational scenarios. Replay normal receipts, split orders, short picks, rerouted loads, late carrier updates, returns, cancellations, and duplicate transmissions. Compare the integrated record with warehouse and transport evidence.
- Operate and improve. Monitor failed messages, duplicate events, latency, reconciliation differences, schema changes, and data-quality thresholds. Give operations a way to quarantine, correct, replay, and audit records without silently deleting history.
Choosing an integration topology
There is no universal ranking among these approaches. Select based on semantic consistency, partner requirements, latency, recoverability, ownership, and auditability.
| Approach | Where it fits | Advantages | Risks and controls |
|---|---|---|---|
| Point-to-point interfaces | A small number of stable systems with limited partners | Fast to start and closely matched to each endpoint | Mappings multiply as systems grow; centralize identifier, version, monitoring, and replay documentation. |
| Integration platform | Several WMS, TMS, ERP, and partner interfaces needing transformation and routing | Shared monitoring, retries, adapters, and mapping governance | A platform can move inconsistent semantics faster; enforce a canonical contract and ownership rules. |
| Shared data platform | Cross-domain analytics, historical modeling, and many downstream consumers | Common history, lineage, and reusable datasets | Batch copies may be too slow for operational decisions; preserve event time, source provenance, corrections, and access controls. |
A hybrid is common: transactional interfaces preserve business-process exchange, event interfaces carry operational observations, and a governed analytical store combines both for model training and monitoring.
Making the connected data usable for AI
After integration, create model-ready relationships rather than a flat export. A shipment record should be traceable to its order lines, logistics units, route or load, origin and destination, planned milestones, observed events, and relevant product and party master data.

Useful feature groups
- Order context: requested quantity, promised date, priority, split status, cancellation, and order age.
- Warehouse context: inventory availability, pick completion, pack completion, hold reason, and facility or zone.
- Transport context: planned departure and arrival, carrier assignment, route, appointment, and tender response.
- Event history: elapsed time between milestones, missing expected events, repeated scans, reroutes, and exception transitions.
- Master-data context: item dimensions and handling attributes, location relationships, party roles, and packaging level.
Keep planned, estimated, and observed timestamps in separate fields. Deriving “minutes late” from an estimated arrival while labeling it as an observed delay creates leakage and can make a model appear more capable than it is. Preserve the source and calculation definition for every derived feature.
GS1 Finland explains that AI depends on structurally high-quality, consistent, machine-readable data and that identification keys can help link records across products, organizations, certifications, events, and history. This is a rationale for investing in identifiers and data quality, not a guarantee that standards will improve a particular forecast or classification result. See GS1 Finland’s overview of artificial intelligence and GS1 standards.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Validation, reconciliation, and failure handling
Validate the integration against physical and business reality. A message that passes schema validation can still describe the wrong item, location, quantity, or time.
- Identity checks: every product, party, location, order, shipment, and logistics-unit reference resolves to one current definition or an explicitly versioned historical definition.
- Quantity checks: ordered, allocated, picked, shipped, received, returned, and cancelled quantities reconcile according to documented rules.
- Sequence checks: a receipt cannot precede dispatch unless the source documents a correction or a different process; late-arriving events must be handled without rewriting history invisibly.
- Duplicate checks: retries with the same event key do not create a second physical event.
- Latency checks: measure event time to arrival time and distinguish source delay from integration delay.
- Completeness checks: expected milestones and required fields are present for the relevant process and partner.
- Reconciliation checks: compare integrated orders and shipment status with WMS and TMS control totals, then investigate differences rather than masking them.
Route failures to a quarantine queue with the original payload, error reason, mapping version, and retry state. Provide replay after correction. Never “fix” a bad identifier by silently replacing it; preserve the source value and record the correction.
Data capture is necessary but not sufficient
GS1 architecture workflows can include people, sensors, and back-end systems such as ERP and WMS. Barcode or RFID readers and printers capture identifiers and observations, but they do not by themselves solve cross-system semantics or application integration. A reader may correctly capture a code while the receiving application assigns it to the wrong packaging level or location.
Design the capture layer with the same contract as software interfaces: identify the object, record where and when it was observed, associate it with the relevant process, and transmit the value with provenance. Sensor data also needs units, calibration or quality indicators where required by the use case, and a clear distinction between a measurement and a derived status.

Governance questions to resolve before production
The standards cited here do not provide a complete security, privacy, retention, or access-control prescription for your organization. Resolve those requirements with the owners of each system and the rules that apply to your data.
- Which partners may see item, order, location, event, or sensor details?
- How are credentials, certificates, keys, and API permissions issued and revoked?
- How long must raw messages, corrected records, and model features be retained?
- Which fields contain personal, commercially sensitive, or regulated information?
- How are schema and code-list changes announced, tested, versioned, and rolled back?
- Who can approve a master-data correction that changes historical joins?
- How will a model prediction be traced to source events and the contract version used?
Common symptoms and practical fixes
| Symptom | Likely cause | Fix |
|---|---|---|
| Orders cannot be joined reliably to shipments | Local order numbers, split lines, or reused identifiers | Create stable cross-system references; retain original order and line IDs and model splits explicitly. |
| Inventory appears negative or inflated | Mixed units, packaging levels, duplicate receipts, or timing differences | Normalize units and packaging hierarchy; enforce idempotency and reconcile control totals. |
| Every carrier uses a different status | Uncontrolled local code lists and no event semantics | Map statuses to documented business steps and dispositions; preserve the carrier’s original value. |
| Arrival predictions change when old data is reloaded | Late events overwrite history or planned values replace observations | Store immutable event history, correction records, event time, and ingestion time separately. |
| Real-time dashboards lag | Batch-only exchange or slow partner delivery | Choose an interface and latency target appropriate to the decision; do not label batch data as real time. |
| Model training data contains unexplained outliers | Missing location mappings, clock offsets, sensor errors, or duplicate events | Run profiling and scenario tests, quarantine invalid records, and retain provenance for every feature. |
An end-to-end example of the data contract
Suppose an order platform creates an order for 100 cases. The master-data service resolves the item, case packaging level, customer, and delivery location. The WMS allocates 100 cases, picks 96, and records a short-pick reason. The order system links those 96 cases to a shipment; the TMS plans a load and sends a dispatch transaction. A warehouse or carrier system then emits events for loading, departure, arrival, and receipt.
The integrated record should retain:
- the original order and line identifiers;
- the shared product, packaging, party, and location identifiers;
- ordered, allocated, picked, shipped, received, and short quantities with units;
- planned and observed milestones as separate values;
- shipment and logistics-unit references;
- event time, ingestion time, source, and deduplication key;
- the reason and evidence for the 4-case short pick; and
- mapping and contract versions used to interpret each record.
An AI system can then analyze the relationship between warehouse execution, transport progress, and order outcomes without guessing whether “96” means picked, shipped, or delivered. The model may still be wrong, and the data may still be incomplete, but its inputs and limitations are inspectable.
What to verify in a standards-based design
Before selecting an implementation, verify that each proposed interface and partner can support the semantics you need:
- Can the source and destination resolve the same product, party, location, and logistics-unit identifiers?
- Does the transaction format cover the required order, dispatch, receipt, transport, replenishment, or payment process?
- Can the event interface represent what, when, where, why, and how, including sensor or certification details where needed?
- Are JSON, JSON-LD, REST, EDI, or file interfaces supported by the systems and partners in scope?
- Can you replay, deduplicate, correct, and audit data without losing the original payload?
- Can the analytical layer distinguish event time, ingestion time, planned time, and estimated time?
- Are changes to identifiers, code lists, schemas, and partner agreements governed?
Use GS1 standards where their definitions and exchange mechanisms fit, and combine them with other standards or interfaces where your systems require it. The goal is an explicit, testable contract across organizations—not compliance with a label.
Bottom line: connect meaning before connecting models
Warehouse, transportation, and order data becomes usable for AI when the underlying systems agree on identities, definitions, ownership, transactions, and events. Align master data first; map business-process messages separately from visibility events; preserve source values and timing; and operate the integration with reconciliation, replay, and audit controls. GS1 EDI, EPCIS/CBV, and the GS1 architecture provide established building blocks, while the appropriate topology and implementation remain specific to your systems, partners, latency needs, and governance requirements.
