How to Connect an All-in-One Printer to Wi‑Fi

To connect an all-in-one printer to Wi‑Fi, open its Wireless, Network, or Setup menu and run the wireless setup wizard, select your network, and enter the Wi‑Fi password. If the printer has no touchscreen, use the manufacturer’s setup app; if both the printer and router support WPS, you can use the WPS button method instead. The exact labels and button sequence depend on the printer model.

What you need before starting

Gather these items before opening the printer’s network settings:

As an Amazon Associate I earn from qualifying purchases.

  • The printer powered on: Keep it close enough to the router to receive a reliable signal during setup.
  • Your Wi‑Fi network name (SSID): Know the exact network you want the printer to use, especially if several networks are visible.
  • The Wi‑Fi password: You will normally enter it on the printer’s display or in the manufacturer’s app.
  • The printer’s exact model number: Menu names, button combinations, and supported setup methods vary by model. Keep the model’s setup guide available.
  • A phone, tablet, or computer when required: App-based setup needs a device running the manufacturer’s software and connected to the intended network.

Do not begin with WPS unless the particular printer and router or access point both support it. WPS is an optional route, not a universal printer feature.

Choose the setup method that fits your printer

Method Best fit What you do Important limitation
Wireless Setup Wizard Printers with a touchscreen or full control panel Open Wireless, Network, or Setup settings, select the network, and enter its password Menu names differ by model
Manufacturer app Models that support guided setup, particularly printers without a touchscreen Put the printer into Wi‑Fi setup mode if required, add it in the app, and follow the prompts App availability and setup-mode behavior are model-specific
WPS push button A printer and router that both advertise WPS support Start WPS on the printer, then press the router’s WPS button within the required window Button order and timing vary; HP specifies two minutes for its documented procedure
Wi‑Fi Direct Direct printing when the normal network cannot provide printer access Connect directly to the printer’s Wi‑Fi Direct network using the printer’s instructions It is an alternative for direct printing, not the same as joining the printer to your regular LAN

For a touchscreen model, start with the wizard. For a model without a touchscreen, check the manufacturer’s app. Use WPS only after confirming compatibility in the documentation for both devices.

Method 1: Connect from the printer’s touchscreen

The labels below describe the common workflow. HP’s documented path uses the Setup, Network, or Wireless menu and a Wireless Setup Wizard; other manufacturers may use equivalent names. See HP’s Wi‑Fi network setup instructions for that example.

  1. Wake the printer and open its settings. Tap or select Setup, Network, Wireless, or a similarly named menu.
  2. Start the wireless wizard. Choose Wireless Setup Wizard or the equivalent option that searches for nearby networks.
  3. Select your network. Choose the SSID for the home or office network you intend to use. Do not select a guest network unless you understand its device-isolation restrictions.
  4. Enter the Wi‑Fi password. Use the on-screen keyboard and submit the password. If the printer offers a character-case or symbol keyboard, use the controls shown on its display.
  5. Wait for the result. Leave the printer on the setup screen until it reports a successful connection or shows its wireless status. Interrupting the process can leave the printer in setup mode without joining the network.
  6. Record the result. Note the network name shown by the printer and whether its wireless indicator is steady or otherwise marked as connected. You will use that status when checking the connection from a computer or phone.

If your menu labels do not match

Do not assume that a menu named Network contains the same options on every brand. Look for the concepts—wireless settings, network setup, or a setup wizard—then open the guide for the exact model. A model-specific guide is also the authority for whether the printer supports WPS or requires an app.

Method 2: Use the manufacturer’s setup app

An app can guide setup when the printer has limited controls or no touchscreen. The general process is to place the printer in Wi‑Fi setup mode, add it in the manufacturer’s app, and follow the guided prompts. The app may ask for the network name and password and may transfer those settings to the printer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Install the official app for the printer’s model. Use the manufacturer’s current setup software and confirm that the app recognizes your exact model.
  2. Restore or start Wi‑Fi setup mode if requested. Some apps cannot find a printer that is already configured for another network. Use the model’s instructions to return it to setup mode before trying the app again.
  3. Open the app’s add-device flow. Choose the option to add or set up a printer, then select the detected printer or enter the model when prompted.
  4. Choose the intended Wi‑Fi network. Select the SSID and enter its password in the app. Keep the phone or computer near the printer while the transfer takes place.
  5. Wait for confirmation in both places. The app should report completion, and the printer should show a connected wireless status or equivalent message.

HP’s setup-mode timing is model guidance, not a universal rule

HP says its Wi‑Fi setup mode remains active until a connection is made or two hours pass. If an HP app cannot find the printer after that period, restore Wi‑Fi setup mode and begin the guided process again, following HP’s setup instructions. Do not apply the two-hour period to every manufacturer; other models can use different timers or reset procedures.

Method 3: Connect with WPS

WPS can avoid typing a long Wi‑Fi password, but it works only when the specific printer and router or access point support WPS. The activation sequence is model-specific. HP, Brother, Epson, and Canon publish different menu paths for their supported models.

  1. Confirm compatibility. Check the printer’s model guide and the router’s controls for WPS support. If either device lacks WPS, use the wireless wizard or app instead.
  2. Start WPS on the printer. Use the printer’s WPS or push-button setup command. HP documents printer-side WPS steps in its WPS guide.
  3. Activate WPS on the router. Press the router’s WPS button or use its WPS control within the time specified by the printer’s instructions. HP’s documented procedure allows two minutes.
  4. Wait for the connection result. The printer should show a connected status if the exchange succeeds. A blinking or error indicator means the process may not have completed.

Brand-specific examples of the menu path

  • Brother touchscreen models: A documented route is Settings → All Settings → Network → WLAN → WPS. The exact availability depends on the model. See Brother’s one-push WPS instructions.
  • Epson models covered by its manual: The documented path is Network Connection Settings → Router → Push Button Setup (WPS). Refer to the model’s manual for its on-screen prompts.
  • Canon MG5320: Canon provides a model-specific WPS procedure in its MG5320 support article. Other Canon models can use different controls.

Do not press the router’s WPS button first unless your model instructions explicitly say to do so. The required order and time window are part of the device-specific procedure.

Verify that the printer really joined Wi‑Fi

A setup screen closing is not enough by itself. Confirm the result on the printer:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Check the wireless icon, wireless light, or network-status message.
  • Look for a clear connected or successful message rather than a blinking or error state.
  • From a computer or phone on the same ordinary Wi‑Fi network, open the printer’s add-device or print dialog and see whether the printer appears.
  • If the printer is not found, first compare the network name shown on the printer with the network used by the computer or phone. Then check the password and repeat the appropriate setup route.

Brother’s WPS guidance specifically treats a displayed connection error as evidence that the machine did not connect successfully. Status wording differs among models, so use the message shown by your printer and its manual’s explanation.

Troubleshoot a failed Wi‑Fi setup

The printer cannot find the intended network

  • Confirm that the router is powered on and that you selected the intended SSID rather than a similarly named network.
  • Move the printer closer to the router during setup so the initial connection is not interrupted by a weak signal.
  • Restart the printer’s wireless setup process and scan again.
  • If the model uses an app, restore Wi‑Fi setup mode before asking the app to search again. HP documents this recovery step for cases in which setup cannot find the printer or a previous connection was lost.

The password is rejected

  • Re-enter the password carefully using the printer’s on-screen keyboard or app.
  • Check that the selected SSID is the one associated with that password; homes and offices often expose more than one network name.
  • If the wizard repeatedly rejects the credentials, stop and consult the exact model’s setup instructions rather than guessing at a different button sequence.

WPS times out or reports an error

  • Confirm that WPS is enabled and supported by both the printer and router.
  • Start WPS on the printer and then activate the router within the model’s stated window. HP specifies two minutes for its documented process.
  • Use the printer’s wireless wizard or manufacturer app if WPS is absent, disabled, or unsuccessful.
  • Check the printer’s status indicator after the attempt. A connection error means the printer did not complete the join.

The app cannot find the printer

  • Place the printer back into Wi‑Fi setup mode if the app requires that state for a new connection.
  • Keep the phone or computer and printer near the router while the app transfers settings.
  • Confirm that the app is for the exact printer model and that the phone or computer is using the intended network.
  • For HP printers, retry within the documented setup-mode period or restore that mode after it expires; HP says the mode ends after a connection or two hours.

The printer connects but computers cannot print

Check whether the printer joined a guest network. HP cautions that guest-network restrictions can prevent devices from reaching the printer over the network, even when the printer appears connected. Move the printer and client device to the regular network when permitted. If the network must remain isolated, HP identifies Wi‑Fi Direct as an alternative for direct printing; follow the printer’s instructions to enable and use it.

The printer lost a previously working connection

Use the model’s wireless recovery or setup-mode reset, then run the wizard or app again. HP documents restoring Wi‑Fi setup mode when a connection has been lost. Other manufacturers use different reset controls, so avoid applying HP’s button sequence to another brand.

Do you need extra equipment?

For the normal setup described here, the printer’s built-in controls or the manufacturer’s software, plus an existing Wi‑Fi router or access point, are sufficient. There is no generally required purchase of a new router, range extender, USB printer cable, or separate setup accessory. Check the model guide before buying anything: a different piece of hardware will not fix an incorrect SSID, password, setup mode, or guest-network restriction.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A range extender can change network coverage in a particular building, but it is not a standard requirement for connecting an all-in-one printer. Likewise, Wi‑Fi Direct is a connection option supplied by some printers for direct printing; it does not mean you must buy another device or that the printer has joined the regular local network.

Which method should you use?

  1. Have a touchscreen? Start with the built-in Wireless Setup Wizard because it lets you select the SSID and enter the password directly.
  2. No touchscreen or an app-supported model? Use the manufacturer’s guided app, placing the printer in Wi‑Fi setup mode first if requested.
  3. Both devices support WPS? WPS is an optional shortcut; follow the exact printer instructions and the router’s timing window.
  4. Is the network a guest network? Expect possible device-to-device restrictions. Use the regular network when appropriate, or consider Wi‑Fi Direct for direct printing.

Final connection checklist

  • The printer is powered on and within practical range of the router.
  • You selected the correct SSID and entered its password.
  • You used the printer’s own wizard, its official setup app, or a confirmed WPS procedure.
  • The printer shows a connected wireless status rather than a blinking or error state.
  • A computer or phone on the same network can see the printer.
  • If setup failed, you restored setup mode where required and retried the model-specific procedure.

Frequently Asked Questions

Can I connect an all-in-one printer without a touchscreen?

Usually, use the manufacturer’s official setup app. Put the printer into Wi‑Fi setup mode if the app requires it, add the exact model, select the SSID, enter the password, and wait for confirmation from both the app and the printer.

Do my printer and router both need WPS?

Yes. WPS works only when the particular printer and router or access point support it. The activation order and time limit are model-specific; HP’s documented procedure gives two minutes to activate the router after starting WPS on the printer.

Why does the printer show connected but not appear on my computer?

Compare the printer’s displayed network name with the network used by the computer. A guest network may isolate devices even when the printer is connected. Use the regular network when allowed, or follow the printer’s instructions for Wi‑Fi Direct printing.

How long does HP Wi‑Fi setup mode last?

HP says its Wi‑Fi setup mode remains active until the printer connects or two hours pass. If the app cannot find the printer after that, restore HP’s Wi‑Fi setup mode and run the guided setup again. This timing should not be assumed for other brands.

What should I do when the app cannot find my printer?

Confirm that the app matches the exact model, restore Wi‑Fi setup mode if required, keep the printer and phone or computer near the router, and verify that the device is using the intended network. Then repeat the add-device process.

What does a connection error on a Brother printer mean during WPS?

Brother’s guidance treats the displayed connection error as an unsuccessful connection. Check WPS compatibility, follow the exact touchscreen path for your model, retry within the required window, or use the wireless wizard or manufacturer app instead.

Can I use Wi‑Fi Direct instead of joining my home network?

Wi‑Fi Direct can provide direct printing when guest-network restrictions or other network limits prevent normal access. It is not the same as connecting the printer to the regular local network, so use the printer’s model-specific Wi‑Fi Direct instructions.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

What information should I have ready before setup?

Have the powered-on printer, the exact SSID and Wi‑Fi password, the printer’s model number and setup guide, and a phone, tablet, or computer if the manufacturer’s app is required.

The Bottom Line

Use the printer’s Wireless Setup Wizard when it has a touchscreen, the manufacturer’s app when it relies on guided software, or WPS only when both devices support it. Select the correct SSID, enter the matching password, and wait for a confirmed wireless status.

If setup fails, restore Wi‑Fi setup mode where required, follow the exact model instructions, and check for guest-network isolation. Verify that a computer or phone on the same ordinary Wi‑Fi network can see the printer before treating the setup as complete.
