Connect an AI event scout either through your AI platform’s built-in connectors or directly to providers such as Google Workspace and Microsoft 365 through their APIs. Before authorizing anything, decide whether it needs to search or read information only, or also create and change events or send messages: those are different permissions and risks.
Choose a connector or a direct API
A prebuilt connector is usually the quickest route when your AI product supports the services and actions you need. A direct provider API makes sense when you need custom search or change-handling logic, but your implementation must handle authorization, permissions, freshness, and provider-specific limits.

Whichever route you choose, assess six distinctions before connecting an account: read-only lookup versus write actions; access delegated by a user versus administrator-approved or application access; repeated searches versus change notifications; supported providers and account types; where queries and retrieved data are processed; and operational limits.

Authorization is more than switching on an integration. OAuth scopes and provider permissions determine what the scout can access or change. Google advises choosing the narrowest scope that supports the feature; some scopes may require OAuth app verification. Google’s scope guidance.

- Calendar lookup: Identify whether the scout needs to list calendars, search or retrieve events, or see event details.
- Email and message access: Decide whether it needs to search metadata, read message content, or receive notifications about new or changed messages.
- Changes and outbound actions: Treat creating or editing events, RSVP actions, deleting events, and sending messages as separate capabilities from finding information. Enable only the actions the workflow needs.
- Access model: Confirm whether the integration acts with a signed-in user’s delegated access or uses application-level permissions approved by an administrator. These models can expose different data and have different oversight requirements.

With a prebuilt connector
In an AI product that offers a Google Calendar connector, use that product’s connection flow and review its requested access before authorizing the account. Check the connector documentation for the specific actions and OAuth scopes; a product’s “Google Calendar” label alone does not establish that it can perform every read or write action.

With the Workspace Events API
For a custom scout, Google’s Workspace Events API provides subscriptions and change notifications for supported Workspace applications. Its REST reference includes operations to create, delete, get, list, patch, and reactivate subscriptions. Workspace Events API reference.
- Choose which supported event types the scout needs to receive.
- Configure OAuth scopes that correspond to those event types, using the narrowest scopes that still support the feature.
- Implement subscription management and the logic that handles notifications, including any required recovery or reactivation behavior.
- Check whether the selected event type and method support user authentication, app authentication, or require administrator approval; support varies. Google’s authentication and scope guide.
Google’s documentation describes Chat event types, including message-created and message-updated events, with corresponding scopes. This establishes a Google Workspace option for those events, not equivalent notification support across every messaging provider.

Connect Microsoft 365 and Outlook
Search events through Microsoft Graph
Microsoft documents an API request that searches events in the signed-in user’s primary Outlook calendar. Its example asks for up to 25 results; that is an example page-size parameter, not a global result cap or a guarantee that every match will be returned. Account for the endpoint’s documented limitations when designing the scout: it does not support delegated-mailbox search, the total value describes results on the returned page rather than all matches, and event sorting is not supported.

Use an Outlook connector
The documented Gemini Enterprise Outlook connector supports Outlook mail, calendars, and contacts through Microsoft Graph v1.0. Its permissions differ between delegated federated search and application-permission ingestion; the page also describes supported locations, tenant mapping, throughput limits per node, and Exchange Online mailbox constraints. Connect messaging apps
Google Cloud’s Gemini Enterprise connector catalog lists Google Chat, Microsoft Teams, and Slack as product-specific examples. Connector availability does not mean that every AI product, edition, or account supports the same services or actions. Gemini Enterprise connector catalog.

Check both whether the connector is available for your edition and what it can actually do: search conversations, read message content, send messages, or monitor changes. For Google Chat event subscriptions, review the supported event types, OAuth scopes, authentication options, and any administrator approval requirements in Google’s Workspace Events API scope guide.
Check privacy, account eligibility, and administration
- Review query routing: Google’s Outlook connector documentation warns that federated queries may be sent to enabled third-party search backends. Requests may include parts of the query and conversation history, may be linked to the user’s identity, and are subject to those services’ terms and privacy policies. Connector privacy and permissions details.
- Verify tenant and mailbox conditions: Confirm administrator approval, tenant policy, supported mailbox hosting, and product-edition eligibility. Connector permissions and availability can depend on these factors.
- Make action boundaries visible: A suggestion is not a calendar change, and a draft is not a sent message. Tell users which actions the scout can complete and require confirmation where appropriate for consequential writes or outbound messages.
- Keep permissions reviewable: Document which scopes and permissions support each feature so access can be narrowed when a feature is removed.
For Google Workspace business accounts, connector availability and authentication can also depend on the Business edition and configuration. Check Google’s current guidance on connecting Google apps and third-party data.
Keep event results fresh and verify searches
When a provider supports subscriptions and change notifications, they can inform a scout that source data has changed without relying only on repeated manual searches. Google’s Workspace Events API documents this option for supported Workspace applications. The sources cited here do not establish equivalent notification support for every calendar, email, or messaging service; where notifications are unavailable, the integration may need to query again.

Microsoft’s documented event search has page-specific result counts and no event sorting. OpenAI’s Outlook Calendar help also cautions that results may omit matching events; it recommends adding a date range and distinguishing details such as the event title, organizer, or attendees. Use precise prompts when checking the scout, for example: “Show meetings from yesterday between 1 pm and 5 pm” or “Find my sync with the design team.” If a result is missing, narrow the date range or add distinctive event details, then check whether the account and calendar searched match your expectations.
