Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Fix the driver behind crashes, sound loss and screen glitches3Clear out junk files and repair common Windows errorsConfigure Workday AI as a governed security principal, not as an unrestricted automation account. Start by confirming that the tenant is entitled to the required AI capability, then give the agent a named owner, a documented purpose, and only the domain, business-process, report, task, and integration permissions its job requires. At runtime, keep data access in the represented user’s security context, require human approval for consequential actions, and review the resulting audit trail.
The exact security groups, policy values, approval chains, and available setup tasks are tenant-specific. Workday’s Agent Security, AI administrator, Agent-Ready Tools for Data, and Responsible AI documentation define the control surfaces; your tenant configuration determines the concrete membership and routing.

What Workday AI permissions control
Workday AI permissions determine three separate things that should not be conflated:
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →- What the agent can read: employee, organization, compensation, recruiting, time, absence, or other business data exposed through a tool or report.
- What the agent can do: search, calculate, draft, submit, update, approve, launch a business process, or call an integration.
- Whose authority the action uses: the employee represented by the agent at runtime, or a separately configured service or integration identity where the feature supports one.
Workday states that agent permissions rely on domain and business-process security policies and security groups. An AI agent therefore does not bypass ordinary Workday authorization. If the underlying policy or group configuration is too broad, the agent is too broad; if it is incomplete, an otherwise valid agent task can fail.

Treat those controls as part of the security design, not as optional documentation.
Before you configure anything: verify tenant prerequisites
Confirm the subscription and product entitlement
Workday’s AI administrator setup documentation says the availability of the relevant setup task can depend on the organization’s subscription service agreement and product entitlements. The documentation distinguishes UMSA and MSA arrangements and notes that applicable product requirements must be satisfied before setup. The task can be completed once per tenant.
- Check the organization’s current agreement and entitlement information in Workday Community.
- Open the tenant’s administrator interface and search for the AI administrator setup task named in the current Workday documentation.
- Record which AI features, agent capabilities, and data tools are actually enabled. Do not assume that entitlement to one feature enables every agent or tool.
- Identify the administrator who is authorized to perform the one-time tenant setup and later security activation.
- Capture the tenant, preview or production status, and date of verification in the implementation record.
If the setup task is missing, stop before changing security policies. A missing task may indicate an agreement, entitlement, tenant-version, or administrator-permission issue rather than a configuration mistake.

Entitlement answers whether a capability is available. It does not answer whether an agent should be allowed to read a particular field, initiate a process, or complete an approval. Make those decisions in a use-case control record before granting access.
- Use-case name and business owner.
- Agent name and technical identity.
- Permitted tasks and explicitly prohibited tasks.
- Data objects, fields, populations, and organizations in scope.
- Read-only operations versus write or action operations.
- Approval thresholds, escalation contacts, and emergency stop procedure.
- Retention and review requirements for activity records.
Establish the agent identity, owner, and purpose
Create an explicit agent inventory entry
Workday’s Agent System of Record is the place where agent definitions and configuration are managed. Workday’s governance guidance says each agent should have a clear identity, purpose, and owner. Use those as required inventory fields rather than relying on a display name alone.
| Inventory field | What to record | Why it matters |
|---|---|---|
| Agent identity | Unique name, environment, feature, and technical identifier shown by the tenant | Lets administrators distinguish this agent from similarly named assistants, integrations, or test instances. |
| Purpose | One-sentence job description and a list of allowed tasks | Provides the boundary against which every requested permission can be tested. |
| Owner | Named business owner and named technical/security owner | Creates accountability for approvals, incidents, and periodic review. |
| Data scope | Objects, fields, worker populations, organizations, and reports | Prevents a broad role from being mistaken for necessary access. |
| Decision class | Low-impact assistance, operational action, or consequential decision support | Drives the required level of human review and monitoring. |
| Lifecycle status | Draft, test, active, suspended, or retired, with dates | Stops abandoned agents from retaining active authority. |
Document prohibited behavior
Write negative requirements as well as positive ones. For example, an agent that explains a payslip may be allowed to read the represented worker’s payroll information but prohibited from changing pay, approving a compensation event, or disclosing another worker’s record. A recruiting assistant may draft a candidate communication but be prohibited from making a final selection.
These boundaries are implementation requirements, not assumptions about universal Workday defaults. Validate each one in the tenant and in the relevant feature documentation.

Grant least-privilege access through Workday security
Map the agent’s work to security domains and business processes
Begin with the smallest useful operation and map it to the Workday security policy that protects it. The Agent Security administrator guide identifies domain security policies, business-process security policies, security groups, report and task permissions, and integration considerations as relevant control surfaces.
- List every read operation the agent needs, such as retrieving a worker’s organization, checking an absence balance, or reading a report result.
- List every action operation separately, such as submitting a request, launching a business process, updating a field, or invoking an integration.
- For each operation, identify the Workday domain or business process that controls it.
- Determine which security group or groups provide the required access and whether membership is role-based, user-based, supervisory, or organization-based in your tenant.
- Remove permissions that are convenient but not required. Do not grant an entire functional area when a narrower domain, report, task, or process permission is sufficient.
- Record the policy, group, and permission changes in the use-case control record.
Exact group composition cannot be inferred from public documentation. The same agent purpose can require different groups in different tenants because organizations, supervisory structures, custom reports, and business-process routing differ.
Keep read authority and action authority separate
Use distinct design decisions for reading data and changing data. Read access can still expose sensitive information, but action authority creates additional risks: an erroneous update, an unintended process launch, or an irreversible downstream integration.
| Control choice | Recommended default | When to add stronger controls |
|---|---|---|
| Read access | Only the fields, records, populations, and reports needed to answer the user’s request | Add masking, narrower organizations, or human review when data is highly sensitive. |
| Draft or recommendation | Allow the agent to prepare an answer or proposed change without committing it | Use this for unfamiliar, high-impact, or difficult-to-reverse operations. |
| Action-taking permission | Grant only the specific task or business process required | Require approval, dual control, or a transaction threshold for consequential actions. |
| Integration call | Limit the integration operation, payload, destination, and execution context | Require additional monitoring and a documented rollback path. |
Review incomplete policy grids before activation
The AI administrator task presents domain security policies and security groups for configuration. Workday’s guide instructs administrators to address incomplete grids, review policy changes, and activate pending changes. Treat an incomplete grid as a deployment blocker, not as an invitation to fill every blank with a broad group.
- Open the AI administrator task in the authorized tenant.
- Review every displayed domain, business-process policy, and security-group row.
- Resolve missing or incomplete entries using the least-privilege mapping for the use case.
- Compare the proposed state with the current state and have the security owner review the difference.
- Test the agent with representative users and data conditions before activation.
- Activate only after the reviewer confirms that the pending changes are intentional.
Activation requires permission on the Security Activation domain. If the activation control is unavailable, use the tenant’s established security-administration process; do not work around it by assigning unrelated elevated access.
How Workday AI agents access employee data
Use the represented user’s security context
Workday’s Agent-Ready Tools for Data documentation says queries follow the same security and permissions that apply to the person the agent acts for. The agent should therefore be tested as the represented user, not only as an administrator or implementation account.
For each representative role, test both allowed and denied cases:

Record the expected result, actual result, data returned, and security context. A successful administrator test does not prove that ordinary users receive the intended restriction.
Understand the Agent Gateway and Agent System of Record
Workday describes the Agent Gateway as checking tool calls against authorization, rate limits, and business rules. The Agent System of Record registers agent identities, skills, and activity. These controls complement, rather than replace, domain and business-process security.
When troubleshooting a denied or unexpectedly allowed query, inspect the entire path:
- Which agent identity made the request?
- Which user was represented?
- Which tool or report was called?
- Which domain, business-process, report, task, or integration permission was evaluated?
- Did the Agent Gateway reject the call because of authorization, a rate limit, or a business rule?
- What data population and field-level conditions applied?
Delegated user context versus a separate service identity
Do not treat these as interchangeable. Delegated access uses the permissions of the person the agent acts for and is usually the safer default for employee-facing assistance. A separately configured service or integration identity may be appropriate for a controlled back-end process, but it can have a different and potentially broader authority boundary.
| Decision | Delegated or represented-user context | Separate service or integration identity |
|---|---|---|
| Authority source | The represented user’s Workday permissions | A separately configured identity and its assigned permissions |
| Best fit | Personal assistance and user-specific queries | Constrained system-to-system processing with an explicit owner |
| Main risk | Unexpected exposure if the user’s role is broader than the use case needs | Broad standing access that no individual user would normally possess |
| Required validation | Test multiple user roles and denied cases | Review identity ownership, credential lifecycle, scope, and integration controls |
The feature and tenant determine which identity patterns are available. Validate the actual runtime identity in the audit trail and current Workday documentation.

The classification is a local governance decision. Workday does not provide one universal approval chain for every tenant and use case.
Define an approval matrix
| Operation type | Possible default | Required decision record |
|---|---|---|
| Read or summarize | May proceed automatically within represented-user permissions | User, agent, data scope, and result context |
| Draft a change | Prepare but do not commit | Proposed values, source data, and initiating user |
| Low-impact reversible action | Automatic execution only after testing and owner approval | Action, policy evaluation, and reversal method |
| High-impact or irreversible action | Human approval before commit | Reviewer identity, decision, rationale or comments, and timestamp |
| Exception or policy violation | Stop and escalate | Exception reason, escalation destination, and resolution |
Build review and escalation paths
- Show the human reviewer the proposed action, relevant source data, affected person or population, and the agent’s explanation or confidence information available in the feature.
- Give the reviewer explicit choices to approve, reject, edit, request more information, or route to a specialist.
- Set a response deadline appropriate to the process. Define what happens when the deadline expires; do not silently convert a missed review into approval unless that behavior has been explicitly approved for a low-risk use case.
- Route exceptions to a named owner, such as HR, payroll, security, legal, or the process administrator, based on the issue.
- Provide a documented stop or suspension procedure that can prevent further agent actions while an incident is investigated.
- Test the normal, rejected, edited, timed-out, and escalated paths before activation.
Human approval must be meaningful. A reviewer who cannot see the proposed change, affected data, or reason for the recommendation is not exercising effective control.
Keep override authority explicit
Document who can override an agent recommendation, who can cancel a queued action, and who can suspend the agent. Separate business approval from technical emergency authority where practical. An emergency suspension should not require the same agent that is being investigated.

Use the AI agent audit trail
Workday’s Agent Security guide identifies a View AI Agent User Audit Trail report. It distinguishes actions performed “By User” from actions performed “On Behalf Of User.” That distinction is essential when investigating whether an individual directly performed an action or an agent acted through the individual’s authority.
At minimum, an operational review should be able to establish:
- The represented user and the agent identity.
- Whether the action was by the user or on behalf of the user.
- The tool, report, task, business process, or integration involved.
- The data or record population affected.
- The permission and policy context used.
- Whether the action was proposed, approved, rejected, edited, executed, or stopped.
- The reviewer, escalation, override, or error associated with the action.
- The timestamp and environment.
Schedule risk-based reviews
Assign a named owner for recurring audit review. Review frequency should reflect the use case: low-impact assistance may need periodic sampling, while an agent that can affect pay, employment, access, or sensitive records warrants more frequent review and targeted exception analysis.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Sample both successful and denied activity. Look for unusual data breadth, repeated authorization failures, unexpected tools, actions outside normal hours, repeated overrides, and changes in represented-user roles. Preserve enough context to reconstruct the decision without relying on the agent’s conversational transcript alone.
Best Value
Token and credential considerations
Workday’s current Agent Security setup guide describes product-specific token lifetimes. First-party Authorization Code grant tokens are valid for up to 60 minutes. Third-party agent tokens are described as valid for four hours, and the third-party expiry is currently not customizable. These values are implementation details that can change; verify them in the current guide and tenant before designing session, refresh, or incident-response procedures.
Use the documented lifetime when deciding how quickly to revoke access after an ownership change, agent suspension, or suspected compromise. Token expiry does not replace security-group removal, agent deactivation, integration credential rotation, or review of already completed actions.
Testing plan for a tenant rollout
Functional and authorization tests
- Can the agent complete every documented allowed task?
- Does it refuse each prohibited task?
- Does a user see only the records and fields available to that user without the agent?
- Does a manager’s scope stop at the intended supervisory or organizational boundary?
- Do report, task, and integration permissions behave as expected?
- Do policy changes take effect only after the authorized activation step?
Adversarial and edge-case tests
- Ask for another worker’s data using indirect wording.
- Request a prohibited action after a permitted read operation.
- Test a user whose role or organization changes.
- Submit incomplete, contradictory, or unusually large input.
- Force an approval rejection, timeout, escalation, and reviewer edit.
- Attempt repeated calls to observe rate-limit and business-rule behavior.
- Verify that a suspended or retired agent cannot continue initiating actions.
Evidence to retain
Keep the approved permission map, security-group and policy changes, test identities, expected and actual outcomes, approval-matrix decision, activation record, owner sign-off, and unresolved exceptions. This evidence lets a later reviewer distinguish a design decision from an accidental permission grant.
Monitoring and change management after go-live
Workday’s Responsible AI practices describe risk assessment, transparency, human oversight, fairness and efficacy testing, scheduled monitoring, traceability, and change management. Apply those practices whenever the use case, model or feature, data scope, user population, or approval workflow changes.
Reassess after specific changes
- A new Workday AI feature, tool, model, or tenant release.
- A change to domain or business-process security policies.
- A new security group, organization hierarchy, or report.
- A change in the represented-user population.
- A new write operation, integration, or downstream system.
- A change from draft assistance to automatic execution.
- An incident, unexplained denial, unexpected disclosure, or approval bypass.
Use a change record that identifies the new risk, affected permissions, test results, approvers, activation date, and rollback or suspension method. Retire obsolete agents and remove their groups, tokens, integrations, and scheduled reviews rather than leaving dormant authority in place.
Common configuration failures and fixes
The AI setup task is unavailable
Check subscription arrangement, product entitlement, tenant eligibility, administrator permissions, and the current Workday setup documentation. Do not infer that a missing task is caused by a security-group error until those prerequisites are confirmed.
The agent can read too much data
Verify the represented user, domain policies, report and task permissions, organization scope, and security-group membership. Test with a lower-privilege user and remove broad permissions that are not required for the stated purpose.
Free tools Windows power users keep installed
One-click scans. No signup required.
The agent can read data but cannot complete an action
Read and action authority are separate. Inspect the business-process policy, task permission, integration permission, routing configuration, and any Agent Gateway business rule or rate limit. Grant only the missing operation, then retest the approval and audit path.
An action executes without the expected review
Check whether the operation was classified as assistive, operational, or consequential; whether the approval route is attached to the correct business process; and whether the test used the same represented-user role as production. Suspend the action-taking capability while the routing and override controls are corrected.
The audit record is ambiguous
Use the View AI Agent User Audit Trail report and confirm that the agent identity, represented user, action type, tool, and approval event are captured. Review the Agent System of Record registration and any integration logs needed to connect a tool call to the resulting Workday transaction.
Quick Recap
A practical implementation checklist
- Verify UMSA or MSA arrangement, product entitlement, tenant eligibility, and setup-task availability.
- Create the agent record with a unique identity, purpose, business owner, technical owner, scope, and lifecycle status.
- List allowed reads, allowed actions, prohibited actions, data populations, and affected decision classes.
- Map each operation to the required domain, business-process, report, task, integration, and security-group permission.
- Configure incomplete policy grids with least privilege and obtain security-owner review.
- Activate pending changes through an administrator with Security Activation permission.
- Test representative users, denied cases, organization boundaries, role changes, and edge conditions.
- Define approval, rejection, edit, escalation, timeout, override, and emergency-stop behavior.
- Confirm that Agent Gateway checks, Agent System of Record registration, and represented-user data access behave as intended.
- Review the View AI Agent User Audit Trail report and verify “By User” versus “On Behalf Of User” distinctions.
- Set monitoring frequency, review ownership, retention, and change-triggered reassessment.
- Record sign-off, unresolved exceptions, rollback steps, and the date of the next control review.
