Compare software companies on the same fiscal-period basis, calculate reported revenue growth and GAAP margins yourself, then examine operating cash flow and each company’s specifically defined free-cash-flow measure. Keep ARR, billings and adjusted margins in separate columns. The comparison is only as fair as the period alignment, accounting labels and non-GAAP reconciliations behind it.

Start with a like-for-like comparison

A software-company comparison can become misleading before you calculate a single ratio. Companies may close their fiscal years on different dates, report quarterly figures alongside annual figures, or use similar labels for measures that are defined differently. Establish the comparison basis first and disclose it in your worksheet and final conclusion.

Choose one time basis

The cleanest starting point is each company’s latest complete fiscal year. Record the fiscal-year end date for every company. If one company’s fiscal year ends on December 31 and another’s ends on a different date, say so rather than calling both periods “2025” without qualification. A trailing-12-month comparison can also work, but use the same trailing-period method for every company.

Do not compare one company’s full fiscal year with another company’s quarter. If you use quarterly data, align the number of quarters and identify the exact quarter-end dates. A growth rate can look unusually high or low when the periods do not cover the same seasonal pattern.

Define the metric before collecting the number

Write the precise label beside every figure: reported revenue, subscription revenue, annual recurring revenue (ARR), billings, gross profit, GAAP operating income, non-GAAP operating income, operating cash flow or free cash flow. “Growth” by itself is not a sufficient description.

Keep a source column that identifies the annual report, earnings release or investor-relations page and the period covered. This prevents a later calculation from silently mixing a reported annual figure with an adjusted quarterly figure.

Use a comparison worksheet

  • Fiscal-year end date and period length
  • Reported revenue and prior-period reported revenue
  • Company-reported recurring-revenue measures, with their definitions
  • GAAP gross profit and revenue
  • GAAP operating income and revenue
  • Any non-GAAP operating or gross-margin figures, with reconciliation details
  • Net cash provided by operating activities
  • Free-cash-flow amount and the company’s stated calculation
  • Material changes in product, service or geographic mix that affect interpretation

Measure revenue growth without confusing revenue, ARR and billings

Calculate reported revenue growth

For a year-over-year comparison, use:

Revenue growth (%) = (current-period revenue − prior-period revenue) ÷ prior-period revenue × 100

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Apply the formula to the same revenue line for both companies and use the same period length. Label the result as reported revenue growth. Do not substitute ARR growth or billings growth into that column.

When several years are available, calculate each year’s growth and note whether it is accelerating, slowing or fluctuating. A single high growth rate does not establish a durable trend, particularly when the company has changed its reporting period or acquired a business.

Keep ARR separate

ARR is a recurring-revenue indicator, not a replacement for recognized revenue. Companies can define ARR differently—for example, by including or excluding certain contract types, usage components or recently signed commitments. Copy the company’s definition and reporting date beside the ARR figure.

Use ARR to add context to reported revenue: it may indicate the contracted recurring base, while revenue reflects the amount recognized under accounting rules during the period. The two measures can move at different rates without either number being wrong.

Keep billings separate from revenue

Billings generally describe amounts invoiced or contractually billed during a period. DocuSign explains in its fiscal 2025 annual-report disclosure that customers often pay annually in advance while revenue is recognized over time; that timing is why the company presents billings as an additional operating indicator. Billings and revenue therefore should not be treated as synonyms.

If one company reports billings and another does not, retain the billings figure as a separately labeled disclosure. Do not create a cross-company “billings growth” comparison unless both companies define and report the measure on a comparable basis.

Read growth alongside the underlying period

For every growth number, state whether it is annual or quarterly, the fiscal-year end date, and whether it is reported revenue, ARR, billings or another company-defined measure. This simple labeling prevents a recurring-revenue metric from being mistaken for accounting revenue.

Separate gross margin from operating margin

Gross margin and operating margin answer different questions. Gross margin describes the economics remaining after the costs included in gross profit. Operating margin goes further by including operating expenses such as those reflected in operating income. A company can have a high gross margin and still report a low or negative operating margin while it invests heavily in operations.

Calculate GAAP gross margin first

Use:

GAAP gross margin (%) = GAAP gross profit ÷ GAAP revenue × 100

Use the same reporting basis for both companies. If one company’s product or service mix differs materially from the other’s, explain that mix difference rather than treating the margin gap as an execution score by itself. Gross-margin comparisons are most informative when the revenue lines and cost-of-revenue classifications are consistently labeled.

Calculate GAAP operating margin

Use:

GAAP operating margin (%) = GAAP operating income ÷ GAAP revenue × 100

Operating margin shows how much of each revenue dollar remains after operating expenses under generally accepted accounting principles. Compare the direction over time: an improving margin can indicate operating leverage, while a declining margin may reflect deliberate investment, pricing pressure or a change in mix. The ratio alone does not identify the cause; read the accompanying expense and management explanations.

Put adjusted margins in a separate line

Non-GAAP gross and operating margins are company-defined presentations. They can be useful for understanding the view management wants investors to consider, but they are not interchangeable across issuers. Record the exact label, the reconciliation and every material exclusion described in the filing or earnings release.

A filing cited in the source material presents a 75% gross margin, a (10)% GAAP operating margin and a 14% non-GAAP operating margin for 2025. The difference between the negative GAAP result and positive adjusted result is precisely why the labels must remain visible. The same table reports a 12% free-cash-flow margin for 2025. These are reported examples for the stated years ended December 31, 2025, 2024 and 2023, not software-sector targets.

Another investor-relations disclosure reports an 80% non-GAAP gross margin and a 24% non-GAAP operating margin. Those figures should be used only with the company’s own scope and current reporting context; they are not directly comparable with a GAAP margin or with another company’s adjusted margin until the definitions and reconciliations have been reviewed.

Compare operating cash flow before free cash flow

Start with operating cash flow

Net cash provided by operating activities is the cash-flow statement measure to place beside revenue and margins. It reflects cash generated or consumed by operations under the company’s accounting presentation. Compare the amount, the trend and its relationship to reported earnings and revenue.

Operating cash flow can differ substantially from profit because of working-capital timing and non-cash items. That difference is information, not an error to smooth away. Review the cash-flow statement and management’s explanation before attributing the gap to business quality.

Free cash flow is not standardized

Free cash flow is a non-GAAP measure in the examples used here. Its calculation varies, so never assume that two identically titled figures are equivalent.

DocuSign’s fiscal 2025 annual-report disclosure states: “We define free cash flow as net cash provided by operating activities less purchases of property and equipment.” Under that definition, free cash flow deducts capital spending on property and equipment from operating cash flow.

Snowflake’s quarterly-results disclosure describes free cash flow as operating cash flow reduced by purchases of property and equipment and capitalized software-development costs. Because the second definition deducts an additional investment category, the resulting margin may not be comparable with DocuSign’s measure even if both companies call it free cash flow.

Calculate free-cash-flow margin only after checking the definition

When the company supplies a free-cash-flow amount and definition, calculate:

Free-cash-flow margin (%) = company-defined free cash flow ÷ reported revenue × 100

Put the definition beside the percentage. A free-cash-flow margin that excludes capitalized software development can look different from one that deducts only property and equipment. Retain operating cash flow as a separate reference so the reader can see how much the deductions change the result.

Interpret cash generation against investment needs

Strong operating cash flow with a lower free-cash-flow margin may reflect substantial investment in property, equipment or capitalized software. Conversely, a high free-cash-flow margin does not automatically mean a company is growing faster or investing more effectively. The useful question is whether the cash profile fits the company’s growth strategy and the definition used to calculate it.

A side-by-side framework you can reuse

Axis What to line up Questions to ask
Revenue growth Same fiscal-year or trailing-period basis; reported revenue growth separated from subscription measures Is growth accelerating or slowing? Is the figure revenue growth, ARR growth, billings growth or another company-defined measure?
Gross margin GAAP gross profit divided by revenue for the same period Are the gross-margin figures calculated on a consistent basis? Is product or service mix different?
Operating margin GAAP operating income divided by revenue; non-GAAP operating margin shown separately Does operating performance improve over time? What exclusions produce the adjusted figure?
Cash generation Operating cash flow and the company-defined free-cash-flow measure What deductions are included? How does cash flow compare with reported revenue and investment needs?
Disclosure quality Metric definition, reconciliation and fiscal period Can the same calculation be applied to both companies, or should the numbers remain separately labeled?

Examples of reported figures and their labels

The following figures illustrate how to preserve accounting labels and scope. They are reported examples, not benchmarks or a ranking of software companies.

Step-by-step method for a fair company comparison

  1. Set the period. Choose the latest complete fiscal year for each company, or choose a matched trailing period. Write down every fiscal-year end date and do not mix annual and quarterly results.
  2. Collect reported revenue. Record current and prior-period revenue from the same statement line, then calculate year-over-year growth with the standard formula.
  3. Capture recurring indicators separately. Add ARR, subscription revenue, billings or other recurring measures only under their exact labels. Copy the company’s definition and measurement date.
  4. Calculate GAAP gross margin. Divide GAAP gross profit by GAAP revenue for the chosen period. Check whether cost-of-revenue classification is consistent enough for a meaningful comparison.
  5. Calculate GAAP operating margin. Divide GAAP operating income by GAAP revenue. Examine the trend over multiple periods instead of relying on one year.
  6. Add adjusted margins as supplemental lines. Record non-GAAP gross or operating margins only after reading the reconciliation. List the exclusions and never replace the GAAP result with the adjusted result.
  7. Record operating cash flow. Use net cash provided by operating activities and compare its direction with revenue, operating income and working-capital movements.
  8. Rebuild free cash flow from the stated definition. Confirm which deductions are made. For one company that may mean purchases of property and equipment; for another it may also include capitalized software development costs.
  9. Calculate the cash margin. Divide the company-defined free-cash-flow amount by reported revenue and keep the definition in the same row as the percentage.
  10. Write a trade-off conclusion. Identify where growth, gross margin, operating margin and cash generation are stronger, weaker or changing, then state which accounting or definition differences limit the comparison.

How to read the trade-offs

High growth with a negative GAAP operating margin

This profile can occur when a company is expanding sales capacity, research activity or other operating functions faster than revenue. Do not label it automatically as either good or bad. Check whether revenue growth is accelerating, whether the adjusted margin excludes material costs, and whether operating cash flow supports the investment.

High gross margin with modest operating margin

The company may have attractive economics after direct costs but substantial operating expenses. Compare the operating-margin trend and the expense categories that explain the difference. Gross margin alone cannot show whether the overall business is becoming more efficient.

Positive adjusted margin with negative GAAP margin

The gap is a signal to inspect the reconciliation. A positive adjusted figure is not a substitute for the GAAP result, and the same adjustment may not be made by a competing company. Present both numbers and explain the exclusions rather than selecting the more favorable one.

Strong operating cash flow with lower free cash flow

This pattern can indicate meaningful purchases of property and equipment or capitalized software development. Compare the investment deduction with the company’s stated growth and infrastructure needs. The right interpretation depends on the definition and on whether the spending is recurring or unusually high.

Revenue growth that differs from ARR growth

Recognized revenue follows accounting timing, while ARR is a company-defined recurring-revenue snapshot. A divergence can reflect contract timing, renewals, usage components or changes in the definition. Investigate the disclosure before calling one measure “more accurate.”

Common comparability traps and how to fix them

Different fiscal calendars

Trap: comparing a calendar-year result with a fiscal year that ends months later.

Fix: show the exact end dates and use matched annual or trailing periods. If perfect alignment is impossible, state the limitation prominently.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Annual versus quarterly data

Trap: using a full-year revenue figure for one company and a quarter for another.

Fix: compare the same number of months and identify the period length in every table row.

ARR presented as revenue growth

Trap: placing ARR growth beside reported revenue growth without a label.

Fix: give each metric its own row, definition and measurement date.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Adjusted margins treated as GAAP

Trap: quoting a non-GAAP operating margin as though it were operating income divided by revenue.

Fix: calculate the GAAP margin independently, place the adjusted figure below it, and summarize the reconciliation.

Free cash flow assumed to be universal

Trap: comparing two free-cash-flow margins without checking deductions.

Fix: retain operating cash flow, reproduce each company’s stated formula and identify whether capitalized software development costs are deducted in addition to property and equipment purchases.

One metric used as the verdict

Trap: declaring a winner from growth, gross margin or free cash flow alone.

Fix: evaluate the four profiles together: growth, gross margin, operating margin and cash generation. Then explain the trade-off and the evidence limits.

What the disclosures can and cannot prove

The figures in company filings can support a disciplined comparison, but they do not establish a universal “good” growth rate, gross-margin target, operating-margin target or free-cash-flow margin for the software industry. The examples above come from particular companies, periods and definitions.

Non-GAAP information also has stated limitations. A filing cited in the source material warns that similarly titled non-GAAP measures may be calculated differently and should not be considered in isolation or as substitutes for GAAP information. Treat that warning as part of the data, not as boilerplate to skip.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

If two companies’ disclosures do not permit the same calculation, leave the figures separately labeled rather than forcing a ranking. A transparent “not directly comparable because the definitions differ” is more useful than a precise-looking percentage built from incompatible inputs.

How to write the final comparison

Lead with the matched-period result: identify which company grew faster on reported revenue and whether that conclusion changes when recurring measures are considered. Next, contrast GAAP gross and operating margins, then show adjusted margins with their exclusions. Finish with operating cash flow and each company’s defined free-cash-flow measure.

A strong conclusion describes direction and trade-offs rather than declaring a universal winner. For example, one company may combine faster reported growth with a negative GAAP operating margin, while another may show slower growth and stronger current cash generation. State which definitions make the comparison less certain and what additional disclosure would resolve the uncertainty.
