In OneNote 2007, collaboration starts from the Share menu. You create a notebook in a server location or shared folder, send colleagues its file link, and let everyone open and edit the same notebook. OneNote saves and synchronizes co-authored changes when each participant can reach that shared storage.
What OneNote 2007 collaboration supports
Office OneNote 2007 provides two related ways to work with other people:
- Shared notebooks: A notebook is stored on a server or shared folder. Team members receive a file link or invitation and work in the same notebook.
- Live Sharing Session: A session started from the Share menu lets participants join an active collaborative meeting.
Microsoft’s OneNote for Team Collaboration guide describes the shared-notebook model this way: “No matter where each colleague is geographically located, everyone can view and edit pages of a notebook at the same time.”
How to create a shared notebook
- Open OneNote 2007 and choose Share on the menu bar.
- Select Create Shared Notebook….
- Enter a name for the notebook in the New Notebook Wizard.
- Choose whether to place it on a server or in a shared folder.
- Specify the shared location, then complete the wizard.
The wizard prepares an email message containing the notebook’s file link. Send that message only to people who already have permission to reach the server or shared folder; the link itself does not replace storage permissions.

How to send access to teammates
Send the notebook link
With the shared notebook open, choose Share > Send Shared Notebook Link to Others…. OneNote prepares a message for your team. Confirm that the path points to the intended shared location and that recipients can authenticate to that server or file share.
Check access before a meeting
- Verify that every participant can open the shared folder or server path in Windows.
- Confirm read and write permissions, not merely read access.
- Test opening the notebook from a participant’s computer before the collaboration session.
- Keep the shared location available throughout the meeting; synchronization cannot complete while it is unreachable.
Can two people edit at the same time?
Yes. OneNote 2007 shared notebooks are designed for simultaneous editing. Microsoft’s period guidance says co-authored notes are saved and synchronized automatically so each user can receive the team’s latest changes. Synchronization still depends on a working connection to the shared server or folder and on valid permissions.

Use Recent Edits to catch up
- Open the shared notebook.
- Open the History ribbon.
- Choose Recent Edits.
- Select a period such as Today, Yesterday, or Last 7 Days.
OneNote then highlights changes made during the selected period, which is useful when several people have edited different pages.
When to use Live Sharing Session
Choose Share > Live Sharing Session when you want a temporary, active collaboration session rather than simply distributing a notebook location. Participants still need the access details and network connectivity required by the session. For ongoing project notes, a shared notebook is usually the more durable arrangement because the notebook remains in the agreed server or folder.

How to stop sharing
To end the shared-notebook arrangement, choose Share > Stop Sharing Notebook…. Before stopping, tell collaborators where any final copy will live and make sure pending edits have synchronized. Stopping sharing changes the notebook’s collaboration setup; it does not provide a modern cloud-sharing link.
OneNote 2007 and Outlook task synchronization
Microsoft’s Office OneNote 2007 sales material documents synchronization of tasks between OneNote 2007 and the Microsoft Office Outlook 2007 or Outlook 2003 messaging and collaboration client. Treat this as a legacy integration: confirm the Outlook version installed on each computer, the account configuration, and the permissions needed for task updates before relying on it for a team process.

Will a OneNote 2007 notebook work in OneNote for the web?
Do not assume it will. Current Microsoft documentation lists OneNote 2007 .one notebooks among the formats not supported by OneNote for the web. Desktop collaboration through a server or shared folder is therefore different from browser-based co-authoring.
Plan a migration carefully
- Identify whether the team must work in a browser or can continue using a compatible desktop OneNote client.
- Keep an untouched backup of the original
.onefiles. - Check Microsoft’s current conversion and import options for the destination OneNote edition before moving the live notebook.
- Test section structure, attachments, links, permissions, and synchronization with a copy before switching the team.

Troubleshooting a shared notebook
A colleague cannot open the link
- Have the colleague connect to the organization’s network or VPN if required.
- Check the exact server or shared-folder path and confirm the account has permission.
- Send a new link after correcting the location rather than moving the notebook without notifying users.
Changes are not appearing
- Confirm both users are working in the shared copy, not separate local copies.
- Check network connectivity and available permissions on the shared location.
- Allow synchronization to finish, then use History > Recent Edits to locate the latest changes.
The team wants browser access
Because Microsoft lists OneNote 2007 .one notebooks as unsupported in OneNote for the web, choose a supported desktop client or test a documented conversion path before promising browser access.
