How to Collaborate on Freeform Boards Across iPhone, iPad, and Mac

To use the same Freeform boards on your iPhone, iPad, and Mac, sign in to the same Apple Account on each device and turn on Freeform in iCloud. To work with other people, open a board, tap or click Share, choose who can access it and whether they can view or edit, then send an invitation. Shared changes are stored in iCloud, and collaborators who have the board open can see edits as they happen.

This guide covers the setup, current operating-system requirements, invitation and permission choices, management controls, and the checks to make when a board or collaboration invitation is missing.

How Freeform collaboration is organized

Freeform uses iCloud for two separate jobs:

  • Personal synchronization: your boards appear on your own Apple devices when they use the same Apple Account and Freeform is enabled in iCloud.
  • Shared collaboration: a board owner invites other people and chooses whether they can only view the board or also make changes.

Apple describes the iCloud arrangement this way: “With iCloud, your Freeform boards stay up to date on all your devices and you can collaborate on boards with friends, family and colleagues.” See the iCloud Freeform guide for Apple’s account and synchronization instructions.

The board remains in the owner’s iCloud account. Participants receive access to that board; they do not get a separate copy that consumes their iCloud storage. If the owner stops sharing, the board is removed from participants’ Shared category, while the owner keeps access.

This ownership model matters when a project changes hands. A participant can contribute content, but access is still governed by the owner’s sharing settings. If the owner removes a person or stops sharing, that person’s access ends even if they previously opened the board. Keep an independent copy of important material only when your organization’s policy permits it; Freeform’s sharing controls do not transfer ownership of the iCloud board.

Requirements by task and device

Do not treat every Freeform requirement as one blanket version rule. Apple lists one scope for using Freeform with iCloud and a slightly newer Mac requirement for viewing or editing shared boards.

Task Apple’s stated requirement What it means
Use Freeform with iCloud iOS 16.2 or later, iPadOS 16.2 or later, or macOS 13 or later Use these minimum versions when setting up your own boards across devices.
View or edit a shared board iOS 16.2 or later, iPadOS 16.2 or later, or macOS 13.1 or later The Mac minimum is macOS 13.1 for shared-board viewing or editing.

Apple’s version guidance is documented in its Freeform iCloud setup guide and Mac sharing guide. The exact buttons and menu placement can differ between iOS, iPadOS, and macOS releases, so look for the board’s Share control even if its surrounding layout is different.

For full collaboration, Apple’s iPad instructions also require every participant to be online, signed in to an Apple Account, have Freeform enabled in iCloud, and have two-factor authentication set up. When the invitation is sent through Messages, iMessage must be enabled for both the inviter and invitees.

These requirements apply to the person opening or editing the shared board, not just to the owner. A participant can be using a different Apple device from the owner, but that device still needs a supported operating system and the required account and iCloud configuration. A current iPhone does not compensate for an unsupported Mac, and an invitation sent successfully does not bypass two-factor authentication.

Set up your own boards across iPhone, iPad, and Mac

On iPhone or iPad

  1. Open Settings.
  2. Tap your name at the top to open your Apple Account settings.
  3. Tap iCloud.
  4. Find Freeform in the list of apps using iCloud.
  5. Turn on the Freeform switch.

Repeat this on every iPhone or iPad that should show the same boards. The devices must be signed in to the same Apple Account. A device that is signed out or has Freeform disabled in iCloud cannot access your iCloud boards.

On Mac

  1. Open System Settings.
  2. Select your name in the sidebar.
  3. Open iCloud.
  4. Turn on Freeform.

Apple’s navigation labels differ slightly between macOS 15 or later and macOS 14 or earlier, but the setting is in your Apple Account’s iCloud app list. The official iCloud instructions show the version-specific paths.

Confirm synchronization before inviting anyone

Open Freeform on each device and check that the same board appears. Create a small test change on one device, then allow time for iCloud to synchronize and check another device. If the board is absent, stop at the troubleshooting section rather than sending invitations from a device that is not correctly connected to iCloud.

Use the same Apple Account for all of your personal devices, even if one device is normally used for work and another for personal notes. Different accounts create separate iCloud libraries, so a board can appear to be missing when it is actually stored under another account. The account check should be the first step whenever only one of your devices lacks a board.

Share a Freeform board

You can share an existing board or create a new one first. The owner controls the audience and the capabilities granted to participants.

From iPhone or iPad

  1. Open Freeform and open the board you want to share.
  2. Tap the board’s Share control.
  3. Choose who can access the board. Depending on the available interface, select invited people only or an option that allows anyone with the link.
  4. Choose the participant capability: Can make changes or View only.
  5. Choose an invitation method, such as Messages or Mail, and send the invitation.

Apple’s iPad guide explains the process in Share Freeform boards and collaborate on iPad. The exact share sheet can vary with the installed operating system and the apps available on your device.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

From Mac

  1. Open Freeform and select the board.
  2. Click the Share button.
  3. Set the audience, such as invited people or anyone with the link, when that choice is offered.
  4. Set whether participants can view the board or make changes.
  5. Select an available delivery method and send the invitation.

Apple documents the Mac controls, including the link-sharing option, in Share a Freeform board on Mac. Do not assume the Mac and iPad share panels have identical wording; use the control presented by the device you are holding.

Before sending, pause to verify both choices in the share panel. The audience setting determines who can reach the board, while the capability setting determines whether those people can change it. Sending a link with editing enabled is a materially different decision from sending an invitation to named people with view-only access.

Choose the right audience and permission

Sharing has two independent decisions: who receives access and what those people can do. Keeping them separate prevents a broad link from accidentally granting editing rights.

Audience setting Use it when Control to check
Only people you invite You know the participants and want the narrowest audience. Review the participant list and remove anyone who no longer needs access.
Anyone with the link You need to distribute access through a link rather than naming each person. Protect the link and review its permission setting; possession of the link determines who can request access under that setting.
Capability What the participant can do When it fits
View only Open and inspect the board without making changes. Use for review, presentations, or reference material.
Can make changes Add, edit, move, or otherwise change board content. Use when the group is jointly building the board.

Apple also provides controls for managing whether participants may invite other people where that option appears. If a board contains sensitive planning or client material, use invited people only, grant editing only to contributors, and review the participant-management setting before sending the invitation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

View-only access answers a common need: someone can inspect the board without being allowed to edit it. It does not make the board public or anonymous; the person still needs access through the invitation or link setting. Conversely, invited-people-only access does not make a board read-only. Always inspect both controls instead of relying on one to imply the other.

What collaborators see and how changes sync

Shared-board changes are saved in iCloud. Apple says collaborators who have the board open can see edits in real time; its iPad guide states, “When you collaborate with others on a shared Freeform board, you can see edits as others make them.” This is an online collaboration workflow, not an offline file-transfer process.

Each participant should therefore remain online while opening the invitation and working on the board. If someone is offline, has not completed account setup, or has Freeform disabled in iCloud, they may be unable to open or fully collaborate on the board until those conditions are corrected.

Real-time visibility also depends on having the board open. A collaborator who has closed Freeform should not be expected to see a change until they reopen the board and iCloud can update it. If two people are checking a board during a meeting, have both open the same board rather than relying on a previously viewed screen or a downloaded image.

Drawing and handwriting on iPad

An Apple Pencil is optional. Freeform on iPad supports drawing and handwriting tools, but a Pencil is an input choice rather than a sharing requirement. You can collaborate without one. If you plan to use a Pencil, verify compatibility with the specific iPad model before buying or recommending a particular generation. Apple’s general Freeform starting instructions are at Get started with Freeform on iPad.

Manage a board after it has been shared

The owner can change access after sending an invitation. Open the shared board’s management controls and use the participant or sharing options to:

  • Change permissions for everyone.
  • Change permissions for an individual participant.
  • Add participants when the current sharing setup allows it.
  • Remove a participant.
  • Stop sharing the board altogether.

Changing a participant from editing to viewing is useful when a review phase is complete. Removing one person does not require revoking everyone else’s access. Conversely, stopping sharing ends access for participants and removes the board from their Shared category, but it does not delete the owner’s board.

On iPad, Apple notes that the board itself is stored only in the owner’s iCloud account. Participants’ iCloud storage is not charged for the items in that shared board.

Review access after a project milestone, not only when the board is first created. A temporary contributor may no longer need editing rights, and a link that was appropriate for a small group may need to be replaced with invited-people-only access. If the interface offers a setting for participant invitations, limit that ability when you want the owner to approve every additional person.

Troubleshoot a board that does not appear on your own device

Work through these checks in order:

  1. Check the Apple Account. Open the device’s Apple Account settings and verify that it is the same account used on the device where the board exists.
  2. Check iCloud Freeform. On iPhone or iPad, go to Settings > your name > iCloud and turn on Freeform. On Mac, go to System Settings > your name > iCloud and turn on Freeform.
  3. Check the operating system. For personal iCloud use, Apple lists iOS 16.2, iPadOS 16.2, or macOS 13 or later.
  4. Open Freeform again. After correcting the account or iCloud setting, reopen the app and check the board list.

If the account and iCloud switch are correct but synchronization still does not complete, the Apple setup pages do not identify a single universal cause. Continue with ordinary account and network checks appropriate to your device rather than assuming that the board was deleted.

Compare more than the board thumbnail. Open Freeform’s board list and look for the board under the expected category, then open it to see whether recent content is present. A board that appears on one device but not another usually points first to account selection, the iCloud switch, or operating-system support. Do not create a replacement board until those checks are complete, or you may end up with two versions of the same project.

Troubleshoot a shared invitation or missing collaboration access

For a board owned by someone else, use the stricter shared-board checks:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Use iOS 16.2 or later, iPadOS 16.2 or later, or macOS 13.1 or later for viewing or editing a shared board.
  • Make sure the device is online.
  • Confirm that you are signed in to an Apple Account.
  • Turn on Freeform in iCloud.
  • Set up two-factor authentication.
  • If the invitation was sent through Messages, make sure iMessage is enabled for both the inviter and the invitee.

Ask the owner to confirm that the invitation was sent to the account or contact method you are using and that your permission is still active. The owner can review participants, change your access level, resend an invitation when available, or remove and re-add you. Apple’s Mac and iPad sharing instructions provide the relevant controls in the Mac guide and the iPad guide.

These checks address the account, iCloud, version, authentication, and messaging conditions Apple identifies. They are not a complete diagnosis for every network, Apple Account, or invitation error; an organization’s account policies or a temporary service issue can require additional support.

If you received a link but see the board without the expected editing controls, ask the owner to verify your capability setting rather than assuming the link is broken. If you cannot see the board at all, have the owner confirm whether the board is still shared and whether you were removed. A stopped share removes the board from participants’ Shared category while leaving the owner’s board intact.

A practical collaboration setup for mixed Apple devices

For your own work across devices

  1. Update each device enough to meet Apple’s iCloud Freeform requirement.
  2. Sign in to the same Apple Account on the iPhone, iPad, and Mac.
  3. Enable Freeform in iCloud on all three devices.
  4. Open one board on each device and make a small synchronization check before relying on it for a meeting or project.

For a small working group

  1. Have every participant complete the online, Apple Account, Freeform-in-iCloud, and two-factor-authentication requirements.
  2. Create or open the board on the owner’s device.
  3. Share it with invited people only unless a link-based audience is genuinely needed.
  4. Give contributors Can make changes and reviewers View only.
  5. Use the board-management controls to remove people when their work ends.

For a review or presentation

  1. Set the audience to the people who should receive access.
  2. Choose View only to prevent accidental edits.
  3. Confirm that recipients can open the board before the review begins.
  4. Switch permissions only if the group later needs to edit.

For a mixed-device meeting, test the exact combination participants will use: for example, an iPad owner, a Mac editor, and an iPhone reviewer. This catches version or account problems before the live session. Keep the owner available to adjust permissions, since participants cannot grant themselves editing rights or restore access after being removed.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Privacy and access decisions to make before sending a link

A link is convenient, but it changes the access model: anyone who obtains the link may be able to reach the board under the selected setting. For a board with private notes, personal information, or confidential work, invite specific people instead and inspect the participant list after sharing.

Also check the editing permission independently. A tightly limited audience with editing enabled still lets every invited participant change the board. A broad audience with view-only access limits edits but does not make the contents private. Treat audience and capability as two separate decisions every time you share.

When a board includes both draft material and material ready for review, changing one person’s capability can be safer than changing the entire audience. The owner can keep the participant list intact while moving an individual from Can make changes to View only, then restore editing later if needed.

Freeform collaboration checklist

  • Same Apple Account on every device that should show your personal boards.
  • Freeform enabled in iCloud on each of those devices.
  • iOS 16.2, iPadOS 16.2, or macOS 13 or later for iCloud Freeform use.
  • macOS 13.1 or later when viewing or editing a shared board on Mac.
  • Participants online, signed in, and using Freeform with iCloud enabled.
  • Two-factor authentication configured for each participant.
  • iMessage enabled for both sides when Messages is used for the invitation.
  • Audience selected deliberately: invited people or anyone with the link.
  • Capability selected deliberately: view only or can make changes.
  • Participant list and invitation permissions reviewed after sharing.
  • Owner confirms that the board remains shared and that each participant can open it.
  • Access is reviewed again when a contributor’s role or the project’s privacy needs change.

Frequently Asked Questions

How do I share a Freeform board between my iPhone and Mac?

Sign in to the same Apple Account on both devices, turn on Freeform in iCloud on each, and confirm that the board appears on both. To involve another person, open the board, select Share, choose the audience and either View only or Can make changes, then send the invitation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Can someone view a Freeform board without editing it?

Yes. Set the participant capability to View only when you share the board, or change an existing participant to View only in the board’s management controls. View-only access still requires the person to meet Apple’s account, iCloud, operating-system, and authentication requirements.

Why can’t I see my Freeform board on another device?

Check that the device uses the same Apple Account as the device containing the board and that Freeform is enabled in iCloud. Also verify the operating system meets Apple’s minimum of iOS 16.2, iPadOS 16.2, or macOS 13 for personal iCloud Freeform use, then reopen Freeform.

Why can’t I open or edit a shared Freeform board?

For shared boards, check the stricter requirements: a supported system, an internet connection, an Apple Account sign-in, Freeform enabled in iCloud, and two-factor authentication. If Messages delivered the invitation, iMessage must be enabled for both the inviter and invitee. Ask the owner to verify your invitation and permission.

What happens when the owner stops sharing a board?

The board is removed from participants’ Shared category and they lose access. The owner keeps the board in the owner’s iCloud account. Stopping sharing does not delete the owner’s board or charge participants’ iCloud storage for its contents.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do I need an Apple Pencil to collaborate in Freeform?

No. Apple Pencil is optional input for drawing and handwriting on an iPad. Sharing and real-time collaboration do not require one. If you choose to buy a Pencil, check compatibility with the exact iPad model rather than assuming every generation works.

The Bottom Line

Use the same Apple Account and enable Freeform in iCloud on every personal device. For shared work, confirm the supported operating system, online connection, Apple Account, Freeform iCloud setting, and two-factor authentication for every participant. Then choose the audience and editing capability separately, review participants over time, and use View only whenever people need to inspect a board without changing it.
