Gmail, Google Drive, and Google Photos use one shared Google Account storage pool. When that pool is full, Gmail can stop sending and receiving mail, Drive can block uploads and new files, and Photos can stop backing up. Google describes up to 15 GB for a personal account, but promotions, account type, family sharing, and Google One subscriptions can change the amount.
Start by checking which service is consuming the quota. Then delete only items you have reviewed, empty the relevant trash folders, and allow up to 48–72 hours for a large cleanup to appear in the storage total.

Check the shared quota before deleting anything
Open Google Storage Manager while signed in to the account whose Gmail is affected. The usage breakdown shows how much space Gmail, Drive, and Photos are using and provides links to service-specific cleanup tools. This prevents a common mistake: deleting Drive files when Gmail attachments or Photos videos are actually responsible for the full quota.

Google says that when the account reaches its limit, you cannot upload or create files in Drive, send or receive emails in Gmail, or back up photos and videos to Google Photos. Accounts that remain over quota for two years may have content become eligible for deletion; Google says it will provide at least three months’ notice before content becomes eligible. That policy makes a full account more than a temporary Gmail inconvenience, so treat the warning as a reason to review the account rather than ignoring it.
Choose the cleanup route that fits your goal
| Route | What it can recover | Reversibility | When the result appears |
|---|---|---|---|
| Delete Gmail messages and attachments | Space used by selected mail and attachments | Recoverable from Trash until permanently deleted | After trash is cleared and Google’s accounting refreshes |
| Delete Drive files | Space used by files you own or qualifying copies | Recoverable from Drive Trash until permanently deleted | Usually after Trash is emptied; large deletions can take 48–72 hours to register |
| Delete Google Photos items | Space used by qualifying backups, especially large videos | Photos Trash can retain items for 30 days unless you delete permanently sooner | After permanent deletion and the storage system refreshes |
| Download files, then remove cloud copies | Cloud quota while retaining a local archive | Cloud copy is recoverable only while in the service’s Trash | After deletion and storage accounting update |
| Add Google One storage | More shared capacity without deleting files | Files remain in the account; subscription terms apply | When the paid capacity is active |
Deleting is free but irreversible after permanent removal. Google One is the alternative when preserving everything is more important than reducing the account’s contents; availability and pricing depend on the account and region. Compare each option by asking five questions: does the item actually count, how much space will it recover, can you undo the action, how long might the total take to refresh, and would you rather delete or pay to keep the data?
Free space in Gmail
Large attachments are usually the fastest Gmail targets. In Gmail’s search box, run each query separately, inspect the results, and select only messages you no longer need. Gmail storage is attached to messages, so deleting one large thread can release more space than clearing hundreds of short messages.
Find large messages
- Search
has:attachment larger:10Mto find messages with attachments over 10 MB. - Search
filename:.pdf larger:5Mto focus on PDF attachments over 5 MB. - Search
older_than:2y has:attachmentto find messages with attachments older than two years. - Open important results before deleting. Save invoices, legal records, family photos, or other required attachments outside Gmail if you need a long-term copy.
- Delete the messages you have approved, then open Gmail’s Trash and review it before choosing the permanent-delete command.
Search operators can be combined with terms you recognize, such as a sender, subject, or date range, to make review safer. For example, narrow a large-attachment search to one vendor or project instead of selecting every match. A query is a way to build a candidate list, not a command to erase all results.
Review mail before permanent deletion
Look for messages that contain the only copy of a receipt, contract, tax document, travel record, or personal photograph. If an attachment matters, download it and open the downloaded file before deleting the email. Keeping a local copy does not itself reduce the cloud quota; the message must still be removed, and the relevant trash must eventually be cleared.
Gmail Spam and Trash continue to count toward storage until their contents are permanently cleared. Emptying either folder is potentially irreversible, so do not treat the folder as disposable without checking it. If you delete a message but leave it in Trash, the quota may not fall yet. Clear Spam as well as Trash when you have confirmed that no legitimate message was misclassified.
Free space in Google Drive
Drive’s Storage view lists files from largest to smallest. Open Drive, choose Storage in the left navigation, and work from the top of the list. Large videos, old exports, disk images, compressed archives, and duplicate project files often provide more reclaimable space than many small documents.
Review and remove large files
- Open the Storage view and note the owner, file type, and last-modified date of each large item.
- Open or download anything that may be needed later. If you download an archive, verify that it opens before deleting the cloud copy.
- Delete obsolete exports, duplicate copies, and files you no longer own responsibility for.
- Open Drive Trash, inspect the contents, and permanently delete only what you are certain you do not need.
Work in batches that you can audit. After each batch, note roughly what was removed and from which account. That record helps if the storage number takes time to change or if you need to restore one item from Trash.
Drive does not provide a built-in automatic duplicate finder. Google’s guidance is to sort by name and look for identical names, “(1)” suffixes, or “Copy of” variants. Compare the files before deleting: similar names do not prove identical content. Check the file type, size, modified date, and contents so that the newer or authoritative version remains.

Understand ownership and shared folders
Shared files generally count against the owner’s quota, not the person who merely views or receives them. However, a copy you make, files you add to someone else’s shared folder, or files transferred into your ownership can count against your quota. Check ownership before assuming that removing a shortcut or leaving a shared folder will free space.
Deleting a shortcut only removes your shortcut; it does not remove the underlying file owned by someone else. Conversely, a file you upload into a shared folder can still use your quota if you own it. If ownership was transferred to you, include that file in your Storage view and confirm that another owner does not need it before deleting.
Recommended Free Tools
Free space in Google Photos
Use Google Photos’ or Google One’s storage-management tools to review suggested cleanup categories. Google identifies blurry photos, screenshots, and large videos as common candidates. Videos are often the largest individual items, but do not delete a memory merely because the tool labels it as large.
Check whether the photos actually count
Backup quality and date matter. Original quality backups count toward quota. Storage saver (formerly called High quality) and Express backups made on or after June 1, 2021 count when they meet Google’s storage rules. Qualifying Storage saver/High quality or Express backups made before June 1, 2021 do not count. Deleting those older, non-counting photos will not create room for Gmail.
This cutoff means that the oldest-looking item is not automatically the best target. First identify whether it uses quota, then compare its size with other qualifying items. If a suggested group consists mostly of non-counting older backups, choose a different category instead of expecting a storage reduction that cannot occur.
Because Google’s categories and controls can change, open each suggested group and verify the dates, backup quality, and items selected. If an item is already excluded from quota, retain it unless you have another reason to remove it.

Delete Photos items safely
- Open the storage-management suggestions and choose a category such as blurry photos, screenshots, or large videos.
- Review the proposed selection individually. Deselect anything you want to keep.
- Delete the approved items, then open Google Photos Trash.
- Review Trash before permanently deleting. In the described cleanup flow, Photos items remain there for 30 days unless restored or permanently deleted earlier.
Permanent deletion removes the recovery path. If you are uncertain, leave the item in Trash while you confirm that another copy exists. Remember that a device gallery or a downloaded folder may contain a copy, but you should verify that copy opens and is complete before erasing the cloud version.
Empty the right trash folders
Deleting a file usually moves it to a service-specific Trash folder rather than immediately releasing quota. Check Gmail Trash and Spam, Drive Trash, and Photos Trash separately. Review each folder first, because emptying it can permanently remove content.
Do not empty every trash folder automatically after a few deletions. If you are testing whether a cleanup helped, you can first wait for the service’s normal accounting behavior, but items left in Trash may continue to count. Permanent deletion is the point at which the content is no longer recoverable through that service.

Use the trash controls for the service that held the item. Clearing Drive Trash does not clear Gmail Trash, and clearing Photos Trash does not remove Gmail messages. A complete cleanup may require all three checks if Storage Manager shows usage in more than one service.
Wait for Google’s storage total to refresh
After deleting a large number of files, Google says its systems can take up to 48–72 hours to update storage accurately. This is an estimate, not a guarantee that every account changes at the same moment.
If Gmail is still blocked immediately after a major cleanup, do not repeat risky deletions simply because the displayed number is unchanged. Wait through the update window, then reopen Storage Manager and check whether another service, Trash folder, or category still consumes the quota. A small cleanup may also fail to resolve the problem if a single large video, mailbox, or Drive archive remains.
Take a screenshot or note of the original usage breakdown if you are troubleshooting. After the waiting period, compare each service rather than looking only at the combined total. This can show that one category fell while another category was the real cause of the continuing limit.
What to do if you need to keep the files
Google supports downloading files before deleting their cloud copies. You can export important Gmail attachments, Drive folders, or Photos items to a computer or other storage, open a sample of the downloaded files to verify the archive, and then remove the cloud originals. A local external drive is optional; it is not required for ordinary account cleanup.

Troubleshoot a Gmail quota problem that remains
The usage breakdown points to Gmail
Run the attachment searches, remove unneeded messages, and permanently clear Gmail Trash and Spam. Recheck after the 48–72-hour update window if the deletion was large. If the mailbox still dominates the breakdown, repeat the search with another size threshold or a narrower sender/date combination and review the largest remaining threads.
The usage breakdown points to Drive
Use Storage view, inspect the largest files, verify ownership, and clear Drive Trash. Removing a shortcut or leaving a shared folder may not affect your quota if you did not own the underlying file. Look specifically for copies you created and files transferred into your ownership.

The usage breakdown points to Photos
Prioritize qualifying large videos and other suggested items. Confirm backup quality and whether the item predates June 1, 2021, because older qualifying Storage saver/High quality or Express backups may not use quota. Do not assume that deleting many older, excluded photos will restore Gmail capacity.
The number has not changed yet
Confirm that the relevant Trash folder was emptied, then allow up to 48–72 hours for large deletions. Avoid deleting additional irreplaceable content while the accounting system catches up. Reopen Storage Manager after the waiting period and identify which service still accounts for the remaining usage.
The account is managed by an organization or family plan
The “up to 15 GB” personal-account description may not apply. Google Workspace, family or group arrangements, promotions, and paid subscriptions can use different limits and administrators. Follow the quota shown in Storage Manager for the affected account. If an administrator controls the account, account-level cleanup or a plan change may require that administrator’s action.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Keeping Gmail usable after cleanup
- Use Gmail’s attachment-size searches periodically instead of waiting for the account to become full.
- Remove obsolete Drive exports and duplicate copies after confirming the canonical file.
- Review Photos’ large-video and screenshot suggestions, but verify backup quality and dates before deleting.
- Keep essential records in a separately verified archive if you intend to remove their cloud copies.
- Monitor Storage Manager rather than local computer disk indicators; they measure different resources.
- Check all three trash locations after a cleanup, but permanently clear only content you have reviewed.
The safest order is to identify the service using the quota, review its largest reclaimable items, preserve anything important, permanently clear only the trash you have checked, and wait for Google’s storage accounting to update. If deletion would put needed files at risk, adding Google One storage avoids that trade-off.

Do Gmail, Drive, and Photos really share the same storage?
Yes. They draw from one Google Account pool. A full pool can affect Gmail sending and receiving, Drive uploads and file creation, and Photos backups, even when only one service appears to contain the largest files.
Is every personal Google Account limited to exactly 15 GB?
No. Google describes up to 15 GB for a personal account. Promotions, account type, family or group arrangements, and Google One subscriptions can change the allowance. Use Storage Manager for the quota that applies to your account.
Will deleting photos from before June 1, 2021 free Gmail space?
Not necessarily. Qualifying Storage saver/High quality or Express backups made before June 1, 2021 do not count toward quota. Deleting them will not create capacity unless those items use storage for another reason.
Why did deleting files not immediately lower the total?
Deleted items may remain in a service’s Trash and continue to count until permanently cleared. After a large deletion and trash cleanup, Google says the accounting update can take up to 48–72 hours.
Does leaving a shared Drive folder free space?
Usually not by itself. Shared files generally count against the owner. A copy you make, a file you add to someone else’s shared folder, or a file transferred into your ownership can count against your quota, so check ownership and copies.

Can I solve the problem without deleting anything?
Yes. Google One adds shared capacity for Gmail, Drive, and Photos. It is a paid alternative for people who want to keep their files; availability and pricing depend on the account and region.
How long do deleted Photos items remain recoverable?
In the described cleanup flow, Photos items remain in Trash for 30 days unless restored or permanently deleted sooner. Review the Trash before using the permanent-delete control.
Could Google delete my content if I stay over quota?
Google says content may become eligible for deletion after an account remains over quota for two years, with at least three months’ notice before eligibility. Keeping the account below its limit or adding capacity avoids that long-term risk.

Frequently Asked Questions
What should I delete first to make room in Gmail?
Check Storage Manager first. Then target the service using the most space: large Gmail attachments, the largest Drive files, or qualifying large Photos videos. Empty only the reviewed trash folders afterward.
Why is Gmail still full after I emptied Trash?
Large deletions can take up to 48–72 hours to appear in Google’s storage accounting. Recheck Storage Manager after that window and confirm that Spam, Drive Trash, and Photos Trash are not still using quota.
Will deleting a Google Photos screenshot always help?
Only if the screenshot counts toward quota. Backup quality and date matter; qualifying Storage saver/High quality or Express backups made before June 1, 2021 do not count.
Is Google One required to restore Gmail?
No. You can free space by deleting qualifying content and permanently clearing reviewed trash. Google One is an optional paid way to keep the files and add shared capacity.
The Bottom Line
Use Storage Manager to find the real source of the full quota, remove only reviewed large items, clear the matching Trash folders, and wait up to 48–72 hours for the total to refresh. If the files matter more than the cleanup, Google One adds shared Gmail, Drive, and Photos capacity without deleting them.
