Use this order whenever you want a cleaner AI-assistant account without sacrificing useful work: identify conversations worth keeping, archive anything you only want out of the main list, export and verify the conversations that must survive outside the service, then delete only what you have deliberately accepted losing. “Clear history” can mean hiding a chat, removing it from your account view, or requesting deletion from provider systems; those actions have different consequences.
The instructions and retention periods below are documented for ChatGPT, Claude, and Gemini Apps. Menus, plan eligibility, regional terms, and workspace controls can change, so check the current help page for your exact account before taking an irreversible action.

What “clear chat history” actually means
AI services use several different operations that are often described with the same word. Knowing which outcome you want prevents the most common mistake: deleting a conversation when archiving or exporting would have solved the problem.

Hide a conversation from the main list
Archiving removes a chat from the regular sidebar or chat list while keeping it in your account. It is the right choice when the list is distracting but you may need the conversation later. In ChatGPT, archived chats remain searchable and can be unarchived.

Delete the account-visible conversation
Deletion removes the conversation from the history you can see and normally cannot be reversed through the assistant or its support team. A provider may then schedule backend deletion, but that is a separate process with stated exceptions and a delay.
Request broader removal
Files, saved instructions, memories, projects, connected-app data, and account records can live outside the chat thread. Deleting a conversation does not automatically remove every associated record. Broader cleanup requires reviewing each store and, when appropriate, deleting the account or the original connected data.
The safe four-stage cleanup workflow
- Inventory what matters. Search your history and mark conversations containing decisions, source material, code, prompts, personal records, or instructions you may reuse. Do not rely on memory alone; old chats often contain the only copy of a final answer or attachment reference.
- Archive first when the goal is organization. Move low-priority but potentially useful chats out of the main list. Because archiving is reversible in ChatGPT, it is a safer first action than deletion. Other assistants may use different labels, so confirm whether their “hide” control preserves the conversation.
- Export before any destructive action. Request the service’s account export, wait for it, download it while signed into the requesting account, and open the archive. Confirm that the conversations and files you care about are actually present. An export that has not been checked is not a backup.
- Delete selectively. Remove only chats that you are willing to lose and handle related files, memories, projects, or connected services separately. If you need a clean account immediately, delete in batches only after the export has been verified.
Make a keep/archive/delete list

Exporting and verifying a backup
An account export is intended to give you a copy of account data, not a magical restore point. Processing can take hours or days, the download link can expire, and a deleted chat cannot be reconstructed from an export requested afterward.

- Request the export before deleting or bulk-clearing anything.
- Use the same account, sign-in method, region, and workspace in which the conversations were created.
- Download the archive promptly. ChatGPT states that its export link expires 24 hours after delivery.
- Open the ZIP and locate the chat-history data; do not assume that receiving a ZIP means every desired conversation is included.
- Search for several known conversation titles or distinctive phrases and check the dates.
- Confirm that any important attachments, project references, or metadata you need are present or separately copied.
- Store the archive where access is controlled and encrypted. A local removable drive can be used, but it is not automatically secure; loss, theft, malware, and unencrypted backups remain risks.
Keep the export only for as long as your retention policy requires. It may contain far more personal or confidential material than the few chats you intended to preserve.

These policies are service-specific, not an industry-wide standard. A work or education workspace may impose administrator retention rules that differ from consumer settings.
ChatGPT: archive, export, then delete
Archive a single chat
- Open your chat history.
- Open the conversation’s more-options menu.
- Select Archive.
The chat leaves the regular sidebar but remains saved and searchable. To manage it, open Settings > Data controls, where you can view archived chats, unarchive one, or delete it.

Archive or delete everything
ChatGPT provides controls to archive all chats or delete all chats. Treat “delete all” as a one-way operation: the bulk action cannot be undone. Archive all is appropriate when your objective is a blank-looking sidebar rather than data destruction.

- Open Settings > Data controls and request an account export.
- Wait for the delivery message. OpenAI says processing can take up to 7 days and the export is delivered by email or SMS.
- While signed into the requesting account, download the ZIP before the link expires 24 hours after receipt.
- Inspect the archive and verify the conversations you need before deleting anything.
The export includes chat history and other relevant account data, but it cannot restore a conversation that was already deleted.
Delete one ChatGPT conversation
- Open chat history and locate the conversation.
- Use the conversation’s more-options menu and choose Delete.
- Confirm the deletion.
The conversation is removed from the account view immediately. OpenAI says it is then scheduled for permanent deletion within 30 days, except where data has already been de-identified and disassociated or where security or legal obligations require longer retention. Neither ChatGPT nor Support can restore a deleted chat.
Review ChatGPT data outside the thread
Deleting a chat does not delete a file that remains in ChatGPT’s Library. Open the Library and remove files separately if they are no longer needed. Likewise, deleting the ChatGPT conversation does not delete source data held by a connected app; clean up the original service when broader removal is required.
Temporary Chat is not a way to preserve an existing conversation. Temporary chats do not appear in history unless saved, may be retained for up to 30 days for safety, and become regular chats if saved.
Claude: deletion, export, search, and memory
Delete conversations
For consumer Claude Free and Pro accounts on the web, open Chats and tasks, select one conversation or multiple conversations, and choose the delete control; confirm when prompted. On iOS and Android, deletion is available from the chat list or from the open conversation. Commercial products have separate guidance, so a Team or Enterprise user should follow the organization’s instructions rather than assume the consumer path applies.

Anthropic states that a deleted conversation disappears from conversation history immediately and is deleted from backend systems within 30 days. Projects and other account information are retained until separately deleted. Deleting the account is permanent and removes the ability to recover account or conversation data.
Export Claude data
- On the web app or Claude Desktop, open Settings > Privacy.
- Choose the export option and submit the request.
- Download and inspect the resulting data before deleting conversations.
The export control is documented for individual Free, Pro, and Max users. It is not available in Claude for iOS or Android. In Team or Enterprise accounts, only the organization’s Primary Owner can access exports, so ordinary members may need an administrator to preserve required records.
Use search and memory carefully
Claude can search previous conversations and can be asked to find or summarize a prior exchange. It cites the chats it references and offers a way to delete a specific conversation. That is useful for locating context before cleanup, but it is not a verified backup: feature availability depends on plan, rollout, and organizational settings. Incognito conversations are not saved to history or included in search. Review memory and search controls under Settings > Capabilities before assuming a detail will remain available.

Delete activity manually
Gemini Apps lets you manually delete chats and configure activity auto-delete. The available periods are 3 months, 18 months (the stated default), 36 months, or indefinite retention. These controls govern Gemini Apps activity; they do not automatically erase information stored by other Google services.
Export with Google Takeout
- Open Google Takeout while signed into the Google account used with Gemini Apps.
- Select the Gemini Apps information offered for export.
- Create the export and download it when Google makes it available.
- Inspect the files for the conversations or records you intend to retain before deleting activity.
Takeout is an export mechanism, not a guarantee that every related record is in one file. Preserve separately anything that appears in another Google product or account store.
Understand the human-review retention exception
Google says chats reviewed by human reviewers, and related data, are not deleted when a user deletes Gemini Apps activity; they may be retained for up to three years. Google also states that deleting Gemini Apps activity does not delete data saved by other Google services. Saved information or instructions can remain until you delete them. Therefore, a cleared activity list is not proof that every copy has been erased.

Files, memories, projects, and connected apps need their own pass
A conversation is only one record in a broader assistant account. Before declaring cleanup complete, inspect each applicable store:

- Projects and workspaces: Project instructions, source files, and shared membership can persist after an individual chat is deleted.
- Memory or saved information: Delete remembered preferences, saved instructions, or profile facts separately from chat history.
- Connected applications: Remove data from the original app when the assistant only displayed or indexed it.
- Exports and local copies: Delete obsolete ZIP files, downloaded transcripts, browser downloads, and backup copies under your control.
- Workspace administration: Ask the owner or administrator about retention, legal holds, e-discovery, and export permissions in managed accounts.
Common failure modes and how to recover
You deleted before exporting
Assume the chat cannot be recovered through the assistant. Check whether you already have a browser download, shared transcript, project copy, or local note, but do not expect a newly requested export to contain a conversation that was deleted first.
The export email never arrived
Check the account’s verified email or phone, spam and filtering rules, and whether you requested the export from the correct workspace. Do not delete chats while waiting. If the service imposes a delivery window, request support only after confirming that the request was submitted successfully.
The downloaded archive is incomplete
Compare it with several known chat titles and dates, then check separate file, project, memory, or connected-service stores. An archive may contain account data without reproducing the exact interface or every attachment. Preserve anything important through an additional, readable copy before deleting the source.
You used bulk delete by mistake
Bulk deletion is generally irreversible. Stop further cleanup, locate independent copies, and notify the workspace owner if the account is managed. For future housekeeping, archive in bulk and delete in small, verified batches.
A chat is gone from the list but data remains elsewhere
That result can be expected: visible-history deletion and backend erasure are different stages, and legal, security, de-identification, human-review, or connected-service exceptions may apply. Review the provider’s retention statement and the separate stores listed above.

Privacy and security precautions for retained copies
Exports often combine years of prompts, responses, uploaded documents, account identifiers, and metadata. Limit access to the people who need it, encrypt storage, use a strong account password and multi-factor authentication, and avoid leaving the ZIP in an unprotected downloads folder. If you copy selected chats into notes or documents, preserve enough surrounding context to understand dates, sources, and decisions; a fragment without its prompt can be misleading.
When a chat contains another person’s personal data, confidential business information, credentials, health details, or regulated records, apply the same retention and deletion rules you would use for the original document. Redact or securely delete unnecessary copies rather than exporting everything indefinitely.
What these controls do not prove
A disappearing sidebar entry does not prove immediate physical erasure from every provider system. ChatGPT and Claude each state a 30-day backend-deletion period with exceptions, while Gemini Apps documents a possible three-year retention period for chats reviewed by human reviewers. These are policy figures for the named services, not a universal AI standard, and they can vary by account, region, product edition, or workspace terms.
Likewise, search, memory, and export features should not be treated as interchangeable. Search helps you locate context; memory stores selected information under its own controls; export creates a downloadable account copy. Use each for its intended purpose, and verify the result before deleting the source.
Final cleanup checklist
- I identified the conversations, files, memories, projects, and connected data I need to keep.
- I archived chats that only needed to leave the main list.
- I requested an export before deleting anything important.
- I downloaded the export before its link expired and checked several expected conversations.
- I stored any retained copy securely and removed unnecessary duplicate copies.
- I deleted only the chats I accepted losing, in small batches where possible.
- I separately reviewed libraries, projects, saved information, memories, connected apps, and workspace records.
- I understand the provider’s stated deletion delay and exceptions for my account type.
The safest meaning of “clear history” is therefore deliberate housekeeping: archive for organization, export and verify for preservation, and delete only after you have checked every place the information may live.
