Keep the citation with the original image and explain what the image cannot establish on its own.
Use a citation that lets readers trace the screenshot
A useful template is:
Author or organization. “Page or post title.” Website or platform, full URL. Captured [date and time, time zone]; accessed [date]. Screenshot by [collector, if relevant]. Archived copy: [timestamped archive URL, if available].

- Identify the page. Record the page or post title, author or publishing organization when known, website or platform, and the full URL as displayed. Retain any path or parameters needed to distinguish the page.
- Record access and capture details. Note the date you accessed the live page and the date and time you captured it, including the local time zone. They may differ. When practicable, include the URL and date and time in the screen capture itself. The Scientific Working Group on Digital Evidence (SWGDE) recommends documenting the URL sequence and access details; its guidance says, “All available information displayed should be included in the screen capture such as URL and date and time.”
- Identify who made the capture. Include the screenshot creator when relevant. If someone else supplied the image, say so rather than implying that you captured it yourself.
- Preserve the original file. Keep an unaltered original. If you crop, blur, highlight, or annotate a copy, label it as edited and document what changed and why. Do not let an edited version be mistaken for the original capture.
- Link to an archive or saved record when possible. Give the timestamped archive URL and archive date separately from the live-page citation. If the capture method produced a saved or harvested web record, describe the method and capture date too.
- Verify the claim and context. Find the original source where possible and check whether the page supports the claim being fact-checked. Compare versions or independent reporting when available; a genuine screenshot can still be paired with an inaccurate description.
- State the image’s limits. Describe what is visible and avoid implying the image proves more than it shows—for example, that it includes the entire page, that the page looked the same earlier or later, or that the file is authentic.
Choose the right record to cite

When available, cite the live page and archived or saved record distinctly. They document different things: the live URL identifies the source consulted, while an archive URL points to a particular preserved capture. The UK National Archives’ guidance for archived government pages recommends identifying the original publication or document and site, the archive date and timestamped URL, and the access date.

Why a screenshot is not a full web-page record
A screenshot is useful evidence of a visible display, but it is static. It does not preserve all page content, metadata, links, or functionality. The National Archives and Records Administration (NARA) describes web preservation approaches that can include point-in-time snapshots accompanied by a site map. Its federal-records guidance requires permanent web-content transfers to retain hypertext functionality; a static screenshot is not accepted for that purpose. Those are records-management requirements for federal records, not a universal rule for private fact-checks.
For consequential work, retain relevant capture notes and additional collection material when available, rather than presenting the screenshot as a complete copy of the page. SWGDE’s recommendations address investigative online-content acquisition; they should not be treated as a universal legal rule.

Capture a screenshot with a traceable context
For a manual capture, open the exact public page, confirm the address bar shows the intended URL, and record the capture date, time, and local time zone in your notes. Include the URL and timestamp in the image when practical, without obscuring the page content you need to document. Save the unaltered file, then make a clearly labeled working copy if you need annotations. Add the citation and archive link to the fact-check alongside the image.

Common citation mistakes to avoid
- Giving only a screenshot filename. Add the page identity, full URL, capture timestamp and time zone, and access date so readers can trace the source.
- Using the archive link as if it were the live URL. Identify the original page and archived capture separately.
- Leaving out the capture date. A page can change; a timestamp indicates which observed state the image documents.
- Presenting an edited image as untouched. Preserve the original and label crops, highlights, blur, or other edits.
- Treating the screenshot as proof of the whole page or its authenticity. State the scope of what is visible and corroborate the claim against its original source and context.
- Calling an archive or screenshot legally admissible by default. The cited guidance does not establish a cross-jurisdiction legal rule. For a proceeding, consult appropriate legal guidance for that jurisdiction.
Frequently Asked Questions
Should I include both the date accessed and the screenshot capture date?
Yes, particularly if they differ: the access date records when you consulted the page, while the capture timestamp records when the image was made.
Is there one required citation style for screenshots of public web pages?
The guidance cited here does not establish a universal style. Follow your publication’s house style and retain the identifying and capture details in the template.
