How to Choose Which Meetings an AI Notetaker Can Access

By Freedom251 Team · · 9 min read

Set your AI notetaker’s default to the narrowest scope that still helps you. For most people, that means manually selected meetings, followed by an event-by-event review of exceptions, recurring series, calendar connections and join timing. Turn on individual events only when recording is appropriate.

Choosing whether the bot may join is separate from deciding who may later see the recording, recap or transcript. Configure both controls, then check your organization’s notice, confidentiality and retention requirements before relying on automatic recording.

Start with the access decision, not the recording result

An AI notetaker can have permission to enter a meeting without giving every participant permission to read what it produces. Treat the setup as two independent decisions:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Join permission: which calendar events the bot is allowed to enter and record.
  • Post-meeting permission: who can open the recording, AI recap or transcript after the meeting.

A narrow join rule limits accidental capture. A separate sharing rule limits accidental disclosure. Changing one does not reliably change the other.

Choose the narrowest useful default

Otter documents five default categories. The exact choices can depend on account configuration, but the scope of each category provides a useful comparison when evaluating any notetaker.

Default rule What it generally covers Best fit
Meetings with a video link Calendar events that contain a supported video-conference link People who want broad automation and accept frequent review
Meetings you host Events for which your connected account is the host Users who mainly need notes from meetings they run
Internal meetings Events identified as internal under the service’s workspace and domain rules Organizations that want routine internal documentation
External meetings Events identified as involving outside domains under the service’s workspace rules Users who need customer or partner calls captured, subject to policy
Meetings I manually select Only calendar events that you explicitly toggle for auto-join Privacy-first use, sensitive work or irregular schedules

Otter says the internal and external categories are available to Workspace users with a business domain. If your account does not show a category, do not assume an equivalent filter exists behind another label.

Why manual selection is the safest starting point

Manual selection creates an allow-list: no meeting is recorded unless you act on that event. It avoids common surprises such as a bot entering a confidential appointment because the event happened to include a video link, or joining a customer call simply because you were listed as host.

Use a broader default only when the administrative cost of reviewing events is greater than the risk of capturing them. A host-only rule is a practical middle ground for managers who run many internal sessions. A video-link rule is the broadest and requires the most careful calendar hygiene.

Set up a manual-selection workflow

  1. Connect the correct calendar account. Confirm that the notetaker is connected to the Google or Microsoft calendar that actually contains your meetings. A connection to a secondary account can make the event list look incomplete or apply rules to the wrong schedule.
  2. Open the notetaker’s auto-join settings. Select the option labeled similarly to “Meetings I manually select” when it is available. Save the setting before changing individual events.
  3. Review the upcoming-event list. Open the calendar view supplied by the notetaker and inspect titles, organizers, guest domains and conference links. Do not rely only on the event title; a harmless-looking recurring title can include sensitive guests.
  4. Enable only appropriate events. Toggle auto-join on for each meeting that may be recorded. If the service offers a note or consent prompt, complete it according to your organization’s process.
  5. Check the event again after saving. Verify that the toggle shows the intended state and that the event uses a supported meeting platform. A calendar event can exist without a usable join link.
  6. Repeat the review after calendar changes. Adding a video link, changing the organizer or moving an event can alter how a service classifies it. Reopen important events instead of assuming their previous state remains valid.

Understand event-level overrides

Changing a global default does not necessarily reset decisions you previously made for individual events. Otter states that manually changed event choices remain in effect when the default is changed. This is useful for exceptions, but it can also leave an old permission active months after you forgot why it was set.

Audit saved exceptions

  • After changing the default, sort upcoming events by date and look for toggles that differ from the new rule.
  • Review old exceptions before a sensitive meeting series resumes.
  • When transferring ownership of a calendar or notetaker account, clear exceptions that were created for the former owner’s workflow.

Keep a simple internal convention, such as enabling recordings only for events whose title includes an agreed marker. The convention is not a security control, but it makes manual audits faster.

Handle recurring meetings as a separate permission

Recurring events are the most important exception to check individually. Otter says that enabling auto-join for one occurrence enables it for the rest of that recurring series. A single click can therefore authorize future meetings that later acquire different participants or subject matter.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Before enabling one occurrence

  • Open the series details and inspect the end date or recurrence count.
  • Check whether the organizer expects confidential discussions in some occurrences.
  • Confirm that every occurrence uses the same supported conference link.
  • Ask whether the entire series should be recorded or only selected dates.

When only one date should be recorded

Do not enable the series-level control. Select the individual occurrence if the calendar and notetaker expose separate instance controls. If the product offers only a series toggle, leave auto-join off and use a one-time manual start where supported.

Change settings early enough for the bot to join

Otter recommends changing its auto-join setting at least 30 minutes before the event. This is an operational recommendation for that service, not a universal guarantee for every product. Apply the same habit to other notetakers, then verify their current help guidance.

Last-minute changes are risky because calendar synchronization, bot scheduling and meeting-platform admission happen on separate systems. For high-value meetings:

  3. Check that the start time and time zone match the calendar.
  4. Keep a human note-taker or recording plan if the summary is business-critical.

Check calendar and account prerequisites

Access rules are only as reliable as the data the service can read. Before troubleshooting a missed or unexpected join, verify:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • The connected calendar is the account that owns or receives the event.
  • The service has permission to read event details, not just free/busy status.
  • The event contains a supported meeting link and the link has not expired.
  • Your account satisfies any host, guest-domain or business-workspace condition used by the selected filter.
  • The event was not created in a calendar the service cannot access.
  • The meeting time was not changed after the bot scheduled its join.

Otter documents both Google and Microsoft calendar connections and notes that account-dependent join rules can affect which events qualify. Treat a missing event as a connection or classification problem before assuming the bot is malfunctioning.

Control who can see the output

Once a notetaker is allowed to join, configure distribution separately. In Microsoft Teams, organizers can set access to recordings, AI recaps and transcripts for:

Access choice Who receives access Use when
Everyone All participants covered by the meeting’s sharing model The meeting is routine and broad visibility is intended
Organizers and co-organizers The organizer group Notes contain planning, personnel or commercially sensitive material
Specific people Named individuals selected by the organizer Only a defined project team needs the output

Teams documents “everyone” as the default in the described setting. Other permission mechanisms can still apply, including changes made during the meeting and links that are shared separately. Review the actual file or recap permissions after the meeting rather than assuming the meeting option is the only gate.

Ask what administrators can do with external bots

Individual settings may be overridden by organization policy. Microsoft documents Teams controls that let administrators detect external meeting bots, identify them to organizers, place them in the lobby and require organizer approval before they join. Availability and exact behavior depend on the tenant’s configuration.

If a bot repeatedly waits in the lobby or is rejected despite a correct event toggle, ask the administrator:

  • Are external bots detected and labeled?
  • Is organizer approval required for every meeting?
  • Are certain domains or bot identities blocked?
  • Does the policy apply differently to internal and external meetings?
  • Are recordings, recaps or transcripts retained under a central policy?

Do not try to bypass an approval workflow. An administrator’s block can be an intentional confidentiality control.

Use a decision rule for common meeting types

Internal team stand-ups

If your organization permits routine internal recording, a host-only or internal-meeting default can reduce manual work. Keep one-off personnel, performance and incident discussions excluded through event-level overrides.

Customer and partner calls

Use manual selection unless every external participant has been notified and your policy allows recording. External filters can be useful for a sales workflow, but they may capture calls where a customer objects or where contractual restrictions apply.

Executive, legal or personnel meetings

Leave the default off and enable only after the organizer confirms that recording is appropriate. For recurring executive series, never assume that a previous approval covers every future occurrence.

Large conferences and training sessions

Review the expected audience and output distribution. A broad “everyone” sharing option can expose a transcript beyond the people who attended, especially when links are forwarded.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Troubleshoot an unexpected recording

  1. Check the event toggle. Look for a saved manual exception that overrides the current default.
  2. Inspect recurrence. Determine whether another occurrence enabled the full series.
  3. Identify the active calendar account. A second connected account may have supplied the authorization.
  4. Review the selected default. A video-link or host rule is broader than manual selection.
  5. Check organization policy. An administrator may permit or require an external bot even when your personal preference differs.
  6. Review sharing links. The recording may be visible because a file or recap link was shared separately.

After removing access, document which rule caused the join. Otherwise the same exception can recur at the next meeting.

Troubleshoot a bot that did not join

  • Confirm the event was enabled at least 30 minutes before the start when using Otter’s auto-join behavior.
  • Check that the event has a supported video link and the meeting was not moved to a different time zone.
  • Verify that the connected calendar account can expose the event details.
  • Check whether you are the host or whether the selected filter requires a host or domain condition you do not meet.
  • Look for a lobby or approval requirement in the meeting platform.
  • Ask an administrator whether external bots are blocked or restricted by tenant policy.

Apply a privacy and compliance checklist

No single legal rule covers every jurisdiction, service or meeting context. Before enabling a notetaker, confirm the requirements that apply to your work:

  • Participants receive the notice required by your employer and local law.
  • The organizer knows that an automated participant will join.
  • Confidential, regulated or privileged discussions are excluded unless specifically approved.
  • Retention and deletion periods are documented for recordings, recaps and transcripts.
  • Sharing is limited to the people who need the output.
  • External guests understand whether their speech, screen and identifying information will be processed.
  • Employees know how to request correction or deletion when your policy provides that right.

When a participant objects, stop the recording or leave the bot out rather than treating the default setting as consent.

A practical policy you can adopt

For most individual users, the following policy balances usefulness and control:

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Set the default to manual selection.
  2. Review every enabled event and all recurring series.
  3. Make changes at least 30 minutes ahead when using Otter’s auto-join workflow.
  4. Set post-meeting access independently, using the narrowest audience that can do the work.
  5. Ask the administrator about external-bot detection and approval in managed Teams environments.
  6. Recheck exceptions whenever your calendar, role or organization policy changes.

This approach makes the permission to enter a deliberate choice, while preserving automation for meetings where recording is clearly expected.
