The right coworking plan is the one that matches your team’s busiest shared day, privacy needs, and willingness to commit—not simply the plan with the lowest advertised price. Count how many people need seats at the same time, identify work that requires calls or confidential conversations, then compare like-for-like quotes for shared desks, dedicated desks, and private offices at the exact location. Confirm seat-sharing rules, included facilities, access hours, taxes, room charges, and the process for adding or removing people before signing.
Prices vary sharply by city, building and contract length. The figures below are provider-listed examples accessed in 2026, not market averages; ask each operator for a current written quote.

Start with simultaneous attendance, not total headcount
A six-person team may need only two seats on a normal day, or all six seats every Tuesday. Those are different purchasing problems. The number that drives a desk plan is concurrent attendance: how many people must be able to work in the space on the same day and during the same time window.

Build a normal-day and busy-day count
Review the next four to eight weeks of schedules, not just an idealized hybrid policy. For each day, record the expected number of people who will be onsite. Mark recurring peaks such as planning meetings, client visits, onboarding, or release days. Your plan should cover the busy pattern you genuinely expect, while avoiding permanent capacity for a rare event that could be handled with a day pass or meeting-room booking.

| Question | What to record | Why it affects the plan |
|---|---|---|
| Who needs a physical desk? | People who cannot work effectively from home, plus any visiting staff who need a seat | Prevents paying for seats that are rarely used |
| What is the normal concurrent count? | Highest number present on an ordinary workday | Helps size a flexible or dedicated-desk membership |
| What is the busy concurrent count? | Highest predictable overlap, such as a weekly team day | Shows whether you need more reserved seats or occasional overflow access |
| Are attendance days fixed? | Named days, rotating schedules, or unpredictable drop-ins | Determines whether a reservation or hot-desk model is practical |
Decide whether people may rotate through seats
Do not assume that one membership can be shared by several employees on different days. The reviewed provider material does not establish a universal sharing rule. Ask the operator to state in writing whether a quoted desk count is also the permitted user count, whether named users can be changed, and whether rotating employees need separate memberships. A plan that appears large enough by seat count may still breach its user limit.
How many coworking desks do you need?
Use this working formula:
Required simultaneous seats = busy-day attendance + seats for visitors or support staff who must be onsite.
If your team has four employees but only two normally attend, start by pricing two flexible memberships and a way to add temporary access. If all four routinely collaborate in person, price four seats or an office whose stated capacity is at least four. Keep a small buffer only when the operator confirms that unused seats can be shared or reduced without a costly commitment.

Hot desk or shared coworking access
A hot desk is a non-permanent workstation in shared space. It suits irregular attendance, independent work and teams that mainly need a professional place to work occasionally. The All Access coworking membership described by WeWork, for example, provides drop-in access to shared lounges and hot desks rather than a permanently enclosed room.
Before choosing it, ask whether you can reserve a workstation, what happens when the location is full, and whether your employees may attend on the same day under one account. Open seating can be productive for focused work but is a weak fit for frequent confidential calls or a team that must sit together.

Dedicated desk
A dedicated desk reserves a workstation in a shared office. It gives each user a consistent place for monitors, equipment and personal routines, while retaining a more social environment than a private office. Some operators include storage or meeting-room credits; others charge separately. Confirm the exact desk location, locking or storage arrangements, access hours and the number of named users.

A booth or shared private office can cover a limited number of hours for calls, interviews or sensitive work without paying for a full-time enclosed room. Workcentral lists private work booths, while 75 Park Coworking lists shared private offices in monthly hour blocks. Ask how hours are booked, whether unused hours roll over, how far ahead rooms can be reserved and whether several employees can use the allocation.
Private office
An enclosed office is generally the strongest fit when the team needs regular co-location, confidential conversations, equipment that should remain in place, or a predictable team area. The trade-off is a higher fixed commitment and less tolerance for unused capacity.
Provider definitions differ. WeWork’s official FAQ describes its product this way: “A private office is a fully enclosed, lockable room with 24/7 access reserved exclusively for you and your team.” Treat that as WeWork’s stated definition, not a promise that every operator offers 24/7 access or a lockable room. Confirm those features for the specific address and agreement.
Day pass or occasional access
A day pass is useful when attendance is infrequent, a distributed team is testing in-person work, or you need overflow for a short event. 75 Park Coworking explicitly offers day passes for people who are not ready to commit. Ask whether a pass guarantees a desk, includes meeting-room time, permits guests and can be applied toward a later membership.

Choose the privacy level your work actually requires
List the tasks your team performs and classify each as open, semi-private or private. Routine laptop work may be fine in a lounge. Client calls, hiring interviews, financial discussions and work covered by a confidentiality agreement may require a phone booth, bookable room or lockable office.

Separate phone privacy from meeting capacity
A plan can include phone booths but still lack enough rooms for a four-person workshop. Ask how many booths and meeting rooms exist at the location, whether reservations are included, how many hours or credits come with each membership, and what overage costs. Request the booking rules in writing, including cancellation windows and peak-time restrictions.
Check sound, screens and visitor handling
Tour the actual address at the hours your team will work. Listen for noise, inspect whether desks support your monitors and confirm that guests can wait, sign in and join meetings without disrupting shared users. Reception, mail handling and secure storage may matter more than a stylish common area if your team receives documents or equipment.
Verify every included facility
Do not treat a feature shown elsewhere on an operator’s website as included in your quoted membership. Ask for an itemized schedule covering:
- Internet type, expected availability and support process
- Printing allowances, per-page charges and color-print restrictions
- Mail and package acceptance, notification and collection rules
- Lockers, cabinets or other storage, including size and access
- Meeting-room credits, booking priority, room capacity and overage rates
- Furniture, monitors, phone booths and accessibility features
- Reception, guest registration and after-hours entry
- Kitchen, restrooms and cleaning arrangements
Have the operator attach this list to the quote or membership agreement. It prevents a low headline rate from being offset by essential add-ons.
Compare total cost using the exact location and term
Compare the whole team’s monthly outlay, not a single advertised seat price. Include required memberships, additional users, deposits or setup fees, taxes, room bookings, printing, storage, and any discount that depends on a longer commitment. The relevant calculation is:
Total monthly cost = membership charges + required add-ons + expected usage charges + taxes and fees.

Do not conclude that one plan is automatically cheapest per person. Break-even depends on attendance, overlap, local prices, included credits, taxes and the rules for adding or sharing seats.

Use arithmetic only as an illustration
At Workcentral’s listed rate, three dedicated desks would be S$1,050 per month before taxes and extras. A listed S$1,380 private-office suite could be higher or lower in effective cost depending on its permitted capacity and included rooms; the suite’s exact terms must be confirmed. At Hunt Street Station’s listed rate, four hot desks would total $636 per month, while four dedicated desks would total $1,100–$1,300, with the stated six-month commitment. These calculations do not establish which option is better: a team may value privacy, storage or guaranteed seats more than the difference in price.
Currency differences also make direct comparisons between Singapore-dollar and dollar-denominated examples inappropriate. Compare plans within the same location and currency, then account for taxes and contract conditions.

Access and operating hours
Distinguish membership access from staffed-service hours. A plan may allow entry outside reception hours, while printing support, guest registration or room assistance operates only during staffed periods. Confirm whether access is 24/7, limited to business hours, restricted on weekends or tied to a specific building.
Notice, cancellation and renewal
Ask for the exact notice period, automatic-renewal language, early-termination charges and billing date. WeWork notes that pricing varies by location, size and commitment, with specific notice and cancellation terms in its membership agreement. Treat those agreement terms—not a sales summary—as controlling.

Changing team size
Small teams change quickly. Ask how to add a person, remove a person, swap a named user, increase capacity for one month, reduce seats at renewal, or move to another address. Confirm whether changes take effect immediately or only after a notice period, and whether a new deposit or setup fee applies.
Relocation and service interruptions
If the location becomes unsuitable, find out whether you can transfer memberships to another building, use a network location, or receive a credit during closures. Network access is not guaranteed to be interchangeable between sites; the particular address and plan control.
Evaluate the commute and building, not just the brand
A theoretically cheaper plan can cost more in lost time and missed collaboration if it is difficult to reach. Compare the exact address, public-transport route, parking, bicycle access, security procedures and elevator hours for every likely user. Visit during arrival and meeting times to assess noise, crowding and desk availability.

Follow a six-step selection process
- Write down normal and busy attendance. Record the number of people who need desks at the same time and identify predictable peaks.
- Mark privacy-dependent work. List calls, interviews, confidential discussions and collaboration that require booths, rooms or an enclosed office.
- Request like-for-like quotes. Ask the same operator for flexible desks, dedicated desks and a private office where available, using the same seat count and term.
- Compare inclusions and access. Check internet, printing, mail, storage, furniture, meeting credits, guest rules, booking limits and building hours.
- Test uncertainty cheaply. If attendance or culture is unclear, ask about a day pass, trial or short-term option before accepting a long commitment.
- Get change procedures in writing. Confirm how to add seats, reduce the plan, rotate users, relocate or end the agreement, including notice dates and fees.
Which plan is right for common small-team situations?
Irregular hybrid attendance
Start with hot desks or day passes when people attend sporadically and can work independently. Reserve a meeting room for the few days that require collaboration, and confirm that simultaneous drop-ins will not exceed the location’s capacity.
Predictable team days
If most employees come in on one or two fixed days, compare the cost of dedicated desks with flexible memberships plus room bookings. Dedicated desks are valuable when equipment stays onsite or the team must reliably sit together; otherwise, a reserved block of hot desks may provide enough consistency.
Call-heavy or confidential work
Price booths, meeting-room credits and private offices together. An inexpensive open plan can become costly if every confidential call requires an add-on room. Ask for peak-time availability rather than relying on the existence of booths in a brochure.
Fast growth or uncertain hiring
Favor a plan with clear expansion and contraction rules. A private office may work if the agreement lets you add seats or move to a larger room without paying overlapping commitments. If those terms are unclear, begin with flexible access and reassess after measuring actual attendance.
Common mistakes and how to avoid them
- Buying for total headcount: Size the plan for simultaneous attendance and verify whether rotating users are allowed.
- Assuming a feature is included: Put rooms, printing, storage, mail and guest access in the written quote.
- Ignoring access restrictions: Confirm entry hours, staffed hours, weekend rules and building security separately.
- Comparing currencies or cities as if they were equivalent: Compare competing plans at the same address and in the same currency.
- Choosing a long term for a temporary need: Price a day pass, trial or short term first when attendance is unproven.
- Overlooking renewal dates: Calendar the notice deadline and ask what happens if you miss it.
- Assuming a network means every site is available: Confirm which locations and amenities your specific membership permits.
- Failing to plan for change: Ask in advance how seats are added, removed, swapped or relocated.
Make the decision with a written comparison
Put each finalist on one page with the same fields: permitted users, simultaneous seats, access hours, privacy options, included facilities, meeting credits, monthly total, taxes and fees, commitment length, notice period, renewal date, and expansion or contraction rules. Have the operator confirm every non-obvious field by email or in the agreement. Choose the plan whose real-world capacity and contract behavior match your team’s attendance pattern; only then use price as the tie-breaker.
