The best CMMS is the one your technicians will use on every job and that gives supervisors a reliable record from request through closeout. Shortlist systems that connect work requests, work orders, preventive maintenance, assets, parts, inspections and reporting, then test the complete mobile workflow on real phones before signing. A low subscription price cannot compensate for missed preventive work, poor asset data or a field app that slows technicians down.
Use the guide below to compare leading options, understand CMMS versus EAM, estimate total cost and run an implementation that produces useful data instead of another unused database.

What a CMMS does for a maintenance team
A computerized maintenance management system (CMMS) is the operational system of record for maintenance. It turns an incoming request into a prioritized work order, assigns the work, records what happened in the field and preserves the result against the relevant asset and location. The same record can show labor, parts, readings, photos, approvals, downtime and follow-up actions.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
That continuity matters because maintenance decisions depend on context. A recurring failure is easier to diagnose when the technician can see the asset’s previous repairs, manuals, inspection results and parts used. A supervisor can distinguish a healthy backlog from an overdue critical job only when priorities, status history and due dates are consistent. Finance and operations can see cost and downtime without reconstructing events from email, paper forms and spreadsheets.
#1 Best Overall
- Read Before You Buy — No Video Output: These adapters support charging and USB 2.0 data transfer, but cannot transmit video signals. The minimum connected record
- Request intake: A requester portal, email-to-ticket option or mobile form captures the problem, location, priority and supporting evidence.
- Work order: The planner assigns an owner, target date, instructions, safety requirements and status transitions.
- Preventive maintenance (PM): Recurring, meter-based or condition-based tasks generate planned work and expose missed PM.
- Asset and location: Equipment hierarchy, criticality, manuals, service history and lifecycle cost stay attached to the right place.
- Parts and labor: Technicians record items issued or returned, time spent and outside services against the job.
- Inspection and evidence: Checklists, readings, signatures, photos and notes prove what was checked and what failed.
- Reporting: Managers can monitor PM compliance, backlog, response time, downtime, MTTR, MTBF, labor and cost.
Capabilities to compare before you compare vendors
Score every product against the same workflow rather than counting feature names. A module that exists but is difficult to configure or use in the field will not deliver its advertised value.
| Capability | What to verify in a demonstration | Why it affects results |
|---|---|---|
| Work-order control | Request portals, assignment rules, priorities, status history, approvals, labor and attachments | Creates one accountable path from request to closeout and prevents work from disappearing in inboxes |
| Preventive maintenance | Calendar, run-hour or meter triggers, condition triggers, reusable checklists, missed-PM views and automatic corrective work orders | Lets the team plan recurring work and prove whether it was completed on time |
| Asset and location model | Parent-child equipment hierarchy, QR/barcode identification, manuals, service history, criticality and lifecycle-cost fields | Gives technicians the right context and lets managers analyze failure and cost by asset |
| Inventory and parts | On-hand quantities, issue/return transactions, reorder points, suppliers and parts linked to work orders | Reduces stockouts and shows the material cost of each repair |
| Mobile field use | Fast job acceptance, status changes, photos, signatures, readings, checklists and offline behavior on the devices technicians actually carry | Field data is timely and accurate only when recording it is faster than postponing it |
| Inspections and compliance | Configurable pass/fail questions, required readings, escalation, audit trail and corrective-action links | Turns inspections into defensible records instead of unsearchable notes |
| Reporting and dashboards | PM compliance, backlog age, response time, downtime, MTTR, MTBF, first-time fix, labor and stockout views with export options | Shows whether the program is improving and where capacity or reliability is being lost |
| Integration and security | Open API, SSO, role permissions, audit logs, accounting or ERP connections, building-system and sensor integrations | Protects data, limits access and prevents duplicate entry as the operation grows |
| Implementation | Import tools, configuration help, training, migration assistance, support response and time to a live workflow | A good product still fails when the initial asset data and user habits are poor |
| Commercial model | Per-user versus per-account billing, requester seats, storage, add-ons, contract length and renewal changes | The quoted subscription may not equal the cost of the team you intend to deploy |
Why mobile execution is a buying requirement
Maintenance work happens beside equipment, not at a desk. A technician should be able to open a job, scan the asset, see the instructions and history, complete the checklist, attach evidence, record labor and parts, and close or escalate the work without re-entering notes later.
Test this exact technician path
- Receive or create a work order from a phone.
- Search for the location and scan a representative QR or barcode.
- Read the asset history, safety information and current instructions.
- Change status, start a timer or enter labor manually, and record a meter reading.
- Complete a required checklist, including a failed item that should create or link to corrective work.
- Take a photo, add a note and issue a part from inventory.
- Obtain a signature if your process requires one, then close the job or return it for approval.
- Repeat the test with weak connectivity and confirm what is cached, what queues for synchronization and how conflicts are handled.
Ask vendors to let your technicians perform the test, not just watch a sales presentation. Count taps, required fields and seconds spent waiting. Verify whether photos retain adequate resolution, whether readings accept the units you use and whether a user can resume a partially completed checklist.

CMMS or a full EAM?
A CMMS is usually the better starting point when the immediate problem is executing and measuring maintenance: requests, work orders, PM, inspections, assets, parts and technician productivity. It can support a single site or multiple locations without requiring every department to adopt a large enterprise suite.
Consider an enterprise asset management (EAM) program when maintenance is inseparable from a broader asset lifecycle: capital planning, procurement, contract management, financial depreciation, engineering change control, regulatory governance and complex portfolios spanning many business units. An EAM may include CMMS functions, but it generally carries more governance and implementation effort.

Questions that indicate EAM scope
- Must the system manage capital projects, purchasing, depreciation or disposal as well as maintenance?
- Do several business units require separate policies, approval chains, currencies or legal entities?
- Are engineering documents, warranties, contracts and lifecycle decisions managed in one governed repository?
- Do building systems, production controls, sensors or an ERP need coordinated, two-way integration?
If the answer to most of these is no, a focused CMMS with a capable API may deliver value sooner. If the answers are yes, include EAM-capable products in the evaluation and budget for governance, integration and change management rather than treating the project as a simple ticketing deployment.
Pricing and total cost of ownership
CMMS pricing is not comparable until you normalize the user model. Some vendors bill each named user, some charge per account or workspace, and some separate requester access from technician or planner seats. A free tier or trial can reduce evaluation cost without predicting the production price.
| Cost element | What to ask |
|---|---|
| Licenses | Is billing per user, concurrent user, account, site or workspace? Are requesters free? Are contractors and read-only users counted? |
| Feature tiers | Are API access, SSO, advanced reporting, automation, offline use, inspections or inventory modules restricted to higher plans? |
| Implementation | What is included for data mapping, configuration, migration, testing, training and launch support? |
| Data and integrations | Are storage, API calls, document retention, sensor connections or ERP connectors billed separately? |
| Support | Which channels and response times apply, and is a named success or implementation contact included? |
| Contract and renewal | What is the term, payment schedule, renewal increase, cancellation notice and export process? |
| Internal effort | How many hours will planners, supervisors, IT and technicians spend cleaning data, testing and training? |
Build a three-year comparison using the same assumptions: technician count, planner and supervisor seats, requester volume, sites, storage, integrations, implementation services, training and expected renewal. Record promotional prices separately from recurring list prices. Vendor prices and plan limits are volatile; obtain a dated quote and keep the quote with your approval record.

QR asset labels: a small accessory with operational impact
QR labels connect the physical plant to the digital record. A technician scans a code on a pump, air handler, vehicle or room and opens the correct asset history, instructions, inspection or request form. Teamwork CMMS explicitly describes printing QR labels that pull up an asset’s full history and open a work order from a phone; other platforms may support a similar flow.
Recommended Free Tools
Deploy labels without creating identification errors
- Establish one asset naming convention and a unique identifier before printing.
- Attach the code to the equipment record only after checking location, parent asset and criticality.
- Choose labels for the environment: adhesive strength, abrasion, chemicals, heat, moisture, sunlight and cleaning agents matter.
- Place the code where it can be scanned safely without removing guards or entering a hazard zone.
- Scan a sample with the phones used by technicians, including gloves or low-light conditions if relevant.
- Keep a controlled replacement process so a damaged label cannot silently point to the wrong asset.
Labels complement the CMMS; they do not fix duplicate assets, incomplete history or weak permissions. A scan should open a record that has useful instructions and current ownership, not merely a blank form.
Implementation playbook
Launch one representative workflow first. A small, measured pilot exposes data and usability problems while they are still inexpensive to correct.
- Map the current process. Document who may submit, prioritize, assign, approve, defer and close work. Include emergency work, contractor jobs, inspections and parts requests.
- Set data standards. Clean asset names, locations, parent-child relationships, criticality, meters, manuals, warranty fields and PM templates before importing. Decide which historical records are truly useful; importing every inconsistent spreadsheet row can reduce trust.
- Choose a pilot. Select one building, production line or campus containing both reactive and preventive work, several asset types and at least one inventory workflow.
- Configure roles and forms. Create separate experiences for requesters, planners, technicians, supervisors and administrators. Make safety questions, readings and evidence mandatory where the risk requires it.
- Run the phone test. Use actual devices and connectivity conditions to execute the complete technician path, including a failed inspection item and a corrective work order.
- Validate reports. Compare PM due and completed counts, backlog age, labor, parts and downtime against a manually verified sample. Fix definitions before publishing dashboards.
- Train by role. Give requesters a short intake exercise, planners an assignment and priority exercise, technicians field scenarios and supervisors a review-and-approval exercise.
- Measure adoption weekly. Watch unassigned requests, stale statuses, PM completion, missing labor or parts and mobile synchronization errors during the pilot.
- Scale deliberately. Add locations in waves, publish naming standards, maintain a change log and assign an owner for configuration and data quality.
- Protect your exit. Before signing, test data export, API access, SSO, permissions, audit logs, support escalation and the process for ending the contract.
KPIs that make the system useful
Start with a small set that managers can act on. Define each metric in the system before comparing sites or months.
- PM compliance: The share of scheduled preventive tasks completed within the permitted window.
- Backlog age: Open work grouped by age and priority, with critical overdue work visible.
- Response time: Elapsed time from request submission to acknowledgement or assignment.
- Downtime: Lost operating time attributed to an asset or event.
- MTTR and MTBF: Mean time to repair and mean time between failures, calculated from consistently recorded start, stop and failure events.
- First-time fix: Jobs completed without a repeat visit or linked corrective follow-up.
- Parts stockouts: Work delayed because a required item was unavailable.
- Labor and maintenance cost: Internal time, parts and external services tied to assets, locations or work types.
There is no authoritative cross-vendor benchmark for average CMMS return on investment, downtime reduction or implementation duration. Do not convert an individual vendor claim, testimonial or review score into a universal promise. Establish your baseline during the pilot and compare your own results over time.

Common failure modes and fixes
Technicians close jobs in batches at the end of the shift
Reduce required fields to the information needed for safety, history and measurement; improve mobile speed; allow voice or photo notes where appropriate; and have supervisors review lagging entries weekly. If offline work is common, choose a platform whose synchronization behavior has passed your field test.
Preventive maintenance exists but is still missed
Check whether schedules use the right calendar, meter or condition trigger, whether asset meters are updated, and whether overdue work is visible to a named owner. Link failed checklist items to corrective work instead of burying them in notes.
Reports disagree with one another
Standardize status definitions, clock rules, downtime categories and what counts as a completed PM. Restrict dashboard editing and document each KPI’s formula.
The asset register becomes untrusted
Assign data ownership, enforce naming and location rules, remove duplicates before import and require an asset scan or verified selection before work can be closed. Review orphaned parts, manuals and PM templates during the pilot.
The subscription looks cheap but the rollout is expensive
Recalculate using every user category, implementation service, integration, storage, training hour and renewal assumption. A per-account offer can be economical for a large technician group, while a per-user offer may suit a small team with many occasional requesters; the answer depends on your actual mix.

A practical selection decision
- Write the non-negotiable field workflow and compliance requirements.
- Score each candidate from one to five on work orders, PM, assets, inventory, mobile, inspections, reporting, integrations/security, implementation and commercial fit.
- Reject any product that fails a safety, audit, identity or offline requirement, regardless of its score elsewhere.
- Run the same pilot data and technician scenarios in the remaining products.
- Calculate three-year total cost with current quotes and documented assumptions.
- Select the platform with the strongest adoption and data-quality evidence, not simply the longest feature list.
Frequently Asked Questions
Can a very small team start with a free CMMS tier?
Yes, if the tier covers the records and mobile actions you need and allows a clean export later. MaintainNow advertises a free Basic plan for up to three users, but verify current limits, retention, support and upgrade pricing before treating it as a production commitment.
How much history should we migrate?
Migrate active assets, open work, useful PM templates, current manuals, critical failure history and parts that affect decisions. Archive inconsistent legacy records separately rather than importing duplicates that technicians will not trust.
What does offline support need to cover?
Define the exact tasks performed without connectivity: opening assigned jobs, viewing instructions, completing checklists, entering readings, taking photos, recording labor or parts and closing or synchronizing work. Test conflict handling and queued updates on real devices.

One free scan finds every outdated or missing driver and matches the right update for your exact hardware.Free scan · exact hardware matchAre requester seats different from technician seats?
Often. Some products provide free or lower-cost requester access while charging for technicians, planners or named users. Model each role separately and ask whether contractors, supervisors and read-only users count toward the bill.
When should QR labels be replaced?
Replace a label when scanning is unreliable, the identifier is ambiguous, the equipment moves, or the surface no longer supports adhesion. Update the controlled asset record at the same time so a replacement code cannot point to stale or duplicate data.
What should we verify before signing a multi-year contract?
Obtain written terms for renewal pricing, cancellation notice, data export, API and SSO access, storage, support response, implementation deliverables, security controls, permissions, audit logs and any limits on sites or users.
