An unwanted or flimsy giveaway consumes budget and materials without delivering lasting value.
First decide whether to give attendees a bag
A bag is useful when people need to carry registration materials, sponsor inserts, a water bottle, a notebook, or other event essentials. But a giveaway is not automatically valuable: attendees may already have a bag, prefer digital materials, or simply not want another tote. IAAPA advises organizers to consider everyday usefulness, likely lifespan, quality, recipient preference, and tote saturation. The University of Liverpool also recommends considering the resource and disposal impacts of merchandise, including the option of giving no merchandise at all.

Use feedback from previous events to test the assumption. Ask what attendees actually used and whether they would want another bag; Kane County and the University of Liverpool both recommend seeking audience feedback. If a bag does not fit attendee routines, consider reducing the printed materials or offering a bag only to people who need one.
Size capacity and comfort around the event
Start with a list of what the bag is expected to hold: registration materials, sponsor inserts, a bottle, a notebook, or anything else attendees are likely to collect. Then consider how long people will carry it and whether they will also have luggage, a coat, or another bag. There is no universal conference-bag size established by the available guidance; the right capacity depends on the event kit and route.

For trade-show use, PPAI attributes this advice to Jennifer McFadden, communications director at BAG MAKERS, Inc.: “Look for higher GSM material for greater durability, and wide adjustable shoulder straps for comfort.” GSM refers to material weight per square metre, but the cited advice gives no universal GSM threshold. Ask suppliers for the actual weight and construction, and assess strap width and adjustability against the expected load and carry time.
Compare materials and construction, not just labels
Kane County offers broad comparisons among common bag materials, but they are not product-specific lifecycle assessments. A material name alone cannot tell you how a particular bag will hold up or what its full environmental impact is. Confirm the exact fiber, construction, and sourcing with the supplier.

When possible, examine a sample. Check seams, handles, the bag’s actual dimensions, and whether it stays comfortable with a realistic load. Ask how the print holds up to ordinary use; a durable body does not help much if the branding quickly cracks or fades.
Choose branding that does not expire with the event
Attendees are more likely to keep using a bag if its design works beyond the conference. The University of Liverpool recommends limiting customization and avoiding event dates. Consider a restrained organization mark or evergreen design rather than a large event name, year, or sponsor panel that makes the bag feel outdated or unsuitable for everyday use. IAAPA’s advice also makes recipient preference and willingness to carry the branding part of the decision.

Weigh cost against useful life and impact
Compare the delivered cost with the likely usefulness of the bag, the number left over, and how long recipients may keep using it. MPI suggests cost per impression as one planning lens, but that calculation depends on an explicit estimate of reuse and visibility; it should not be presented as a measured result. The reviewed guidance does not establish a bag-specific reuse rate or lifespan, so avoid treating an assumed number of future uses as fact.
Resource impact matters alongside price. Liverpool recommends asking whether merchandise is needed and how it is made. A more durable option is not automatically the better choice if attendees will not use it; the relevant comparison is between the specific product, its expected use, and the materials and production involved.

- What are the delivered dimensions, material weight, strap style, and expected capacity?
- Can you provide a sample that can be checked with a realistic load?
- How are the bag and its branding produced, and what evidence supports any environmental claims?
- How durable are the seams, handles, and print under ordinary repeated use?
- What customization, lead time, and bulk minimum apply to this specific order?
Record attendee feedback after the event and use it to decide whether to order again, change the design, or skip bags next time. Kane County and the University of Liverpool both recommend feedback as part of making better merchandise decisions.
