What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Choose GST compliance software by matching it to your registrations, return obligations, transaction mix, invoice volume, accounting system and review process—not by choosing the product with the loudest “GST compliant” label. List what your business must file, test each candidate with real records through a complete prepare-review-correct-submit cycle, confirm e-invoice and e-way-bill needs from current official guidance, and compare the full annual cost, support, controls and data portability before you commit.
Start with your GST obligations, not a software shortlist
Small businesses can have very different compliance workloads. A trader selling only within one state has a different data flow from a business making inter-state sales, exporting, selling through an e-commerce operator or issuing frequent credit notes. The software that suits one may create unnecessary work for another.

- Returns you are required to furnish, their filing frequency and the person who reviews and submits them.
- Whether you sell to registered customers, unregistered customers, or both.
- Inter-state sales, exports, advances, credit notes, debit notes and e-commerce transactions in your books.
- Approximate monthly and annual invoice and purchase-document volume.
- How transactions enter your records today: manual entry, spreadsheet, point-of-sale system, accounting software or an ERP.
- Whether e-invoicing applies to your entity and turnover history, and whether e-way-bill work is part of the same process.
- Who needs access: owner, bookkeeper, accountant, tax practitioner, branch staff or an approving manager.
Also identify the person accountable for the final filing. A tool can prepare data, but a responsible person still has to inspect it, resolve exceptions and submit the return through the applicable route.

Understand the official ways to prepare GSTR-1
The GST Portal identifies three preparation modes for GSTR-1. Your software choice should make one of these modes reliable for your business rather than forcing you into an unfamiliar process.
| Preparation mode | How data enters the process | When it can fit |
|---|---|---|
| Online entry on the GST Portal | Users enter or edit invoice and adjustment details directly in the portal. | Lower volumes or businesses comfortable with portal-based work. |
| GST Returns Offline Tool | Users prepare data in the GST Returns Offline Tool and upload the resulting file to the portal. | Businesses that need spreadsheet-like batch preparation without a full commercial system. |
| Third-party ASP application through a GSP | An application prepares GST data and exchanges it with the GST system through the GSP ecosystem. | Businesses that need accounting integration, automation, multiple users or a consolidated workflow. |
These are preparation routes, not a guarantee that any particular vendor supports every return, connector or filing action. During evaluation, ask exactly which returns can be prepared, which can be filed from the application, and which steps still require the GST Portal.
Separate bookkeeping, return preparation and filing
Many buying mistakes come from treating “GST software” as one function. In practice, you may be choosing several linked capabilities:
- Transaction capture: recording sales, purchases, taxes, parties, place of supply and document adjustments.
- Bookkeeping: maintaining ledgers, inventory or receivables in an accounting system.
- Return preparation: transforming those records into the tables and summaries required for a return.
- Reconciliation: comparing your records with portal-populated or supplier-provided information and resolving differences.
- Submission: sending the return through the available route and preserving acknowledgement details.
- Evidence and retention: keeping source documents, correction history, exports and filing records accessible to the people responsible.
A product can be strong in one layer and weak in another. For example, a billing tool may create invoices but not provide a dependable review queue for return data. An accountant-led workflow may handle unusual transactions well but offer little automation for a high-volume sales operation. Score each layer separately.
Check whether e-invoicing applies before you buy
E-invoicing is not the government portal creating every invoice for a business. It is the submission of an already-created standard invoice to an Invoice Registration Portal (IRP) for authentication and generation of an Invoice Reference Number (IRN). The authenticated information can then flow to GST and e-way-bill systems.
The IRP mandate page describes a phased timeline that reaches the ₹5 crore aggregate annual turnover tier, effective August 1, 2023. That figure is a timeline fact, not a universal answer for every taxpayer today. Applicability depends on turnover in preceding financial years and on entity type, and the rules can change. Verify the current position on the official portal for each GSTIN before configuring software.

Where e-invoicing applies, test whether the candidate can:
- Send the invoice data you create to an IRP in the required format.
- Receive and store the returned IRN and QR information with the original document.
- Handle rejected submissions with an understandable error and a correction path.
- Prevent duplicate submissions or clearly identify a resubmission.
- Reconcile IRP results with your books and with data later populated into the relevant GSTR-1 tables.
- Pass the information needed for e-way-bill generation when that process applies to the transaction.
The GST Portal states that e-invoice details are drawn from the IRP and auto-populated in specified GSTR-1 tables; those details can be edited in the portal. Your review process therefore still matters even when data is imported automatically.
“E-invoices created on one software can be read by another, allowing interoperability and help reduce data entry errors.” — National Informatics Centre, Government of India, project page last updated June 2, 2026.
Interoperability helps only when your implementation preserves identifiers, tax values and document relationships. Ask a vendor to demonstrate an export and re-import, not just a slide showing an integration logo.
Match the software to your transaction patterns
Registered and unregistered customers
Confirm that the workflow distinguishes business-to-business documents from supplies to unregistered customers and applies the required place-of-supply and tax treatment. Use sample invoices for each customer type during the trial.

Inter-state sales and exports
Test place-of-supply fields, tax selection, export documentation and any adjustment workflow. A system that works for local sales may not expose the fields your accountant needs for cross-border or inter-state records.

Credit notes, debit notes and advances
Enter an original invoice, create a related adjustment, and inspect how the software carries the relationship into return data. Check whether corrections remain traceable instead of silently overwriting the original record.
E-commerce transactions
If an operator or marketplace is involved, use representative settlement and invoice data. Ask how the system records the operator relationship and how differences are surfaced during reconciliation.
Test integration instead of trusting a connector list
GSTN describes the GSP ecosystem as supporting integration with taxpayers’ existing ERP and accounting systems. That describes an ecosystem capability, not a verification of any particular vendor’s connector.
For your actual accounting or ERP system, test:
- Which objects move in each direction: invoices, purchases, credit notes, tax payments, ledgers, inventory or only summarized return data.
- Whether the connection is real-time, scheduled or file-based.
- How failed imports, duplicate records and changed invoices are identified.
- Whether tax codes, customer identifiers, document numbers and dates map correctly.
- What permissions and credentials are required, and how access is revoked.
- Whether an accountant can work from an export if the integration is unavailable.
Request a sample export in a usable format and open it outside the application. Portability is a practical safeguard: if you change providers, you should be able to take your transaction history, return files, identifiers and correction records with you.
Run a complete trial with representative records
A polished dashboard proves very little. Use the same test pack for every candidate and make the vendor show the full path from source record to filed return.
- Assemble the test pack. Include local and inter-state sales, registered and unregistered customers, purchases, a credit note, a debit note, an advance, an export or e-commerce example if relevant, and at least one intentionally malformed record.
- Enter or import the records. Use the method your staff will actually use after purchase. If you rely on an accounting system, test the live connector or the exact import template.
- Inspect tax and document fields. Check GSTIN validation, place of supply, tax rates, invoice numbering, dates, taxable values and links between original invoices and adjustments.
- Trigger an error. Submit a record with a missing or invalid field and observe whether the message identifies the cause and shows how to correct it.
- Prepare the return. Generate the relevant return data and compare totals with an independently checked worksheet or ledger extract.
- Reconcile portal-populated information. Where applicable, compare imported or auto-populated details with your records and record the treatment of mismatches.
- Review and approve. Have the person who normally checks returns sign off in the system. Test whether preparer and approver roles can be separated.
- Export and submit through the intended route. Confirm what happens inside the application and what must still be completed on the GST Portal or another official interface.
- Preserve the evidence. Download the return data, acknowledgement, error log and correction history. Confirm that another authorised user can retrieve them later.
Repeat the cycle after changing one transaction. You are looking for predictable recalculation, visible version history and no unexplained changes to previously approved data.

Evaluate review, reconciliation and accountability controls
Compliance risk often appears between preparation and submission. Ask the vendor to demonstrate the controls below with your test pack:
- Role-based access for data entry, review, approval and filing.
- A queue showing unreviewed, rejected, amended and ready-to-file records.
- Side-by-side comparison of books, imported data and portal-populated data.
- Reason codes or notes for overrides and manual edits.
- Timestamped activity history that identifies the user making a change.
- Locking or approval controls that prevent accidental edits after sign-off.
- Backup, restoration and account-recovery procedures.
- Access for an external accountant without sharing the owner’s password.
Do not assume automation removes the need to file. The GST Portal states that taxpayers required to furnish GSTR-1 must file it even when there was no business activity in the tax period. Your process must therefore support a nil return decision and its approval, not just transaction-heavy months.

Cloud service
A cloud workflow can help a distributed team and an accountant access the same records, but confirm internet dependence, outage procedures, data export and account recovery. Ask where backups are kept and how long records remain available after cancellation.
Local installation
A locally installed application may suit a business with unreliable connectivity or strict internal access rules. Check update distribution, multi-user access, backup responsibility and whether current GST rule changes are delivered promptly.
Portal plus offline tool
The GST Portal and GST Returns Offline Tool can be appropriate when volumes are manageable and the business wants to avoid a full application. Establish who maintains templates, validates uploads and retains the prepared files.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteAccountant-led workflow
An accountant can own preparation and filing while the business supplies source documents and approves results. Define hand-off dates, access rights, correction responsibilities and how the business receives a complete copy of its records.
Best Value
Compare total cost, not the entry plan
Current comparable prices and plan limits were not established in the available official material, so obtain written, date-stamped quotes from each vendor. Calculate the cost for a realistic year of use, including:
- Number of users, GSTINs, branches or entities.
- Invoice, purchase and transaction-volume limits.
- E-invoice, e-way-bill, reconciliation or API add-ons.
- Accounting or ERP connector fees.
- Data migration, implementation and training.
- Priority support or filing-period assistance.
- Storage, backups and access to historical records.
- Taxes, renewal increases and cancellation or export charges.
Ask what happens if your volume doubles or you add a GSTIN. A low first-year price can become expensive if the next tier requires a disruptive migration or if essential review features are reserved for an add-on.
Question vendors about support and rule changes
GST workflows and portal behaviour can change. Before signing, get clear answers to these operational questions:
- How are tax-rule, return-schema and portal changes communicated?
- How quickly are critical filing-period defects acknowledged and resolved?
- Is support available by chat, email, phone or an accountant-facing channel?
- Can support staff access your data, and under what permission and audit process?
- What is the recovery process after a failed upload, duplicate IRN or portal outage?
- How are corrections documented when a return has already been prepared or approved?
- What files and identifiers will you receive if you leave?
Treat every answer as a contract question. Save the current plan description, service terms, support commitments and export specification with your procurement records.
Use a weighted decision scorecard
After testing, score each candidate against the factors that matter to your business. A simple 0-to-5 scale works: 0 means the requirement is absent, 3 means it works with manual effort, and 5 means it works reliably in the tested workflow. Give the highest weight to obligations and review controls, not cosmetic features.
| Category | Evidence to record | Decision question |
|---|---|---|
| Obligation fit | Returns, GSTINs and transaction scenarios successfully handled | Does it cover every obligation we actually have? |
| Data capture | Import results, field mapping and error handling | Can staff enter or import records without rekeying? |
| Return workflow | Prepared tables, edits, reconciliation and approval trail | Can the responsible reviewer understand and correct the result? |
| E-invoice fit | IRP submission, IRN/QR storage and rejection recovery | Does it support our present applicability and volume? |
| Integration | Connector behaviour, schedules, duplicate handling and exports | Will it work with our accounting system and remain portable? |
| Controls | Roles, audit history, backups and accountant access | Can we prove who reviewed and changed data? |
| Support | Named channels, response commitments and update process | Can we get help during a filing deadline? |
| Total cost | Written annual quote including add-ons and migration | Is the full cost predictable as usage grows? |
Keep notes from the same test scenarios for every product. A score is useful only when it is tied to observed behaviour, not a sales promise.
Warning signs that should stop a purchase
- The demonstration uses only sample invoices and avoids your adjustment or export cases.
- The vendor says “GST compliant” but will not identify supported returns, versions or filing steps.
- There is no clear way to correct a rejected record or trace who changed it.
- The application cannot export usable transaction and filing records.
- Integration is described as available, but no one will test your accounting system.
- The price excludes the users, GSTINs, volume or add-ons you need for ordinary operation.
- Support and update responsibilities are not documented.
- The workflow assumes every return contains transactions and offers no controlled nil-return process.
When a professional adviser is the better choice
Software selection cannot determine every legal obligation from a generic checklist. Consider involving a qualified GST practitioner or filing adviser when your business has unusual place-of-supply questions, exports, complex adjustments, multiple registrations, marketplace arrangements or a change in entity structure. Ask the adviser to document the assumptions, records required, review responsibility and hand-off back to your business. No adviser can replace your obligation to retain records and approve the return, so keep access to the underlying data.
Recommended Free Tools
A practical buying sequence
- List GSTINs, returns, transaction types, volumes and responsible people.
- Verify current e-invoice applicability for each relevant taxpayer using official guidance.
- Choose the operating model: portal, offline tool, integrated application or accountant-led process.
- Shortlist candidates that explicitly support your accounting system and required workflows.
- Run the same representative test pack through each candidate.
- Have the actual reviewer inspect, correct, approve, export and submit a test cycle.
- Obtain a written total-cost and support proposal, including migration and cancellation terms.
- Document the chosen process, owners, filing calendar, backup location and recovery steps.
- Re-test after major GST or portal changes and before expanding volume or adding a GSTIN.
The right choice is the one your team can operate consistently: records enter once, exceptions are visible, a qualified person reviews the result, filing evidence is retained and the data remains usable if the software changes.
