How to Choose Cybersecurity Services for a Farm or Agricultural Business

By Freedom251 Team · · 12 min read

The right cybersecurity service for a farm starts with an inventory, not a package. List the farm’s business software, devices, cloud accounts, remote connections, machinery, sensors and control systems; rate what would happen if each were unavailable or changed; then require providers to address those specific risks, including recovery and coordination with equipment vendors.

1. Inventory every system before requesting a quote

A provider cannot scope useful work from the word “farm” alone. A grain operation with office laptops and cloud accounting has a different exposure from a dairy with automated milking, a greenhouse with environmental controls, or a processor connected to customer portals. Build a current inventory and give the same version to every bidder.

Map ordinary business technology

Record email, payroll, accounting, tax, banking, file storage, collaboration tools, websites, point-of-sale systems, printers, smartphones, laptops, desktops, Wi-Fi equipment, internet routers, backup devices and cloud subscriptions. Include who administers each service, where data is stored, the contract owner, renewal date and a second person who can recover the account if the primary administrator is unavailable.

Map farm technology and operational technology

List tractors, combines, telematics units, GPS guidance, variable-rate controllers, irrigation pumps, grain-drying systems, refrigeration, climate controls, cameras, access systems, sensors, programmable logic controllers and farm-management software. Note whether each device is connected to the internet, a local network, a cellular service or a vendor portal. Include model, software or firmware version, physical location, safety implications, maintenance window and the manufacturer or dealer responsible for support.

#1 Best Overall

NIST describes operational technology (OT) as programmable systems or devices that interact with the physical environment or manage devices that do. That definition may apply to a controller or connected machine even when the farm does not operate a traditional industrial control room. NIST states that “Cybersecurity risk management is an important factor to ensure the safe and reliable delivery of the goods and services provided and supported by OT.”

Capture dependencies and access paths

For every item, identify upstream dependencies: electricity, cellular connectivity, an internet service provider, cloud identity, a dealer’s remote-support account, a software-as-a-service platform or a shared administrator password. Document seasonal workers, contractors, accountants, agronomists, equipment dealers and software vendors who can sign in. Record whether access is individual or shared, whether multifactor authentication (MFA) is available, and how access is removed when a person leaves.

Inventory field Example entry Why a provider needs it
System and owner Payroll platform — office manager Defines accountability and recovery authority.
Location and connection Irrigation controller — north well, cellular gateway Shows physical reachability and network dependencies.
Remote access Dealer portal, named accounts, MFA available Determines identity, logging and vendor-access controls.
Operational effect Loss stops watering; unsafe change could damage equipment Sets monitoring, change-control and recovery priority.
Support party Equipment dealer; manufacturer escalation Prevents a security change from voiding support or disrupting warranty obligations.
Backup or replacement Controller configuration exported monthly Shows whether restoration is actually possible.

2. Turn the inventory into a risk-based scope

Ask what failure would cost operationally

For each system, answer four questions: What is the consequence of losing availability during planting, harvest, milking or a weather event? What could happen if data were altered rather than merely stolen? Which safety, environmental, animal-welfare, food-safety or contractual obligations are involved? How quickly must service return, and what manual workaround exists?

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use those answers to classify systems as critical, important or routine. A payroll laptop may be important but recoverable within several days. A controller that regulates ventilation or refrigeration may require a documented fallback measured in hours. The classification should drive monitoring priority, backup frequency, response authority and restoration testing; it should not be inferred from the device’s purchase price.

Separate business IT from physical operations

Business IT services can often be patched or isolated with little effect on machinery. OT systems may have narrow maintenance windows, old software, proprietary protocols or vendor restrictions. Ask the provider to maintain two related scopes: office and cloud IT, and farm OT or connected equipment. The scopes can share identity, logging and incident-response processes, but changes to physical systems need equipment-specific approval and safety precautions.

Define exclusions before signing

Write down systems the provider will not scan, monitor or modify. Common exclusions include dealer-managed telematics, unsupported legacy controllers, personal devices, remote sites without network connectivity and software owned by a cooperative or processor. An exclusion is acceptable when it has an assigned owner and compensating action. It is dangerous when it is hidden in a statement of work and discovered during an incident.

Rank #2
Yubico - Security Key C NFC - Basic Compatibility - Multi-Factor authentication (MFA) Security Key and passkey, Connect via USB-C or NFC, FIDO Certified
  • POWERFUL SECURITY KEY: The Security Key C NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.
  • WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key C NFC secures 100 of your favorite accounts, including email, password managers, and more.
  • FAST & CONVENIENT LOGIN: Plug in your Security Key C NFC via USB-C and tap it, or tap it against your phone (NFC) to authenticate. No batteries, no internet connection, and no extra fees required.
  • TRUSTED PASSKEY TECHNOLOGY: Uses the latest passkey standards (FIDO2/WebAuthn & FIDO U2F) but does not support One-Time Passwords. For complex needs, check out the YubiKey 5 Series.
  • BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.

3. Require a practical baseline for business systems

Identity and access

Require unique accounts, least-privilege administration and MFA for email, file storage, accounting, payroll, administrator consoles and remote access. CISA’s business guidance states, “Require MFA wherever possible,” and advises using the strongest available method. A physical FIDO2 security key can be a phishing-resistant option for compatible accounts, but compatibility is account-specific; treat it as an implementation choice rather than a universal farm purchase.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Set a joiner–mover–leaver process. New seasonal workers should receive only the access needed for their assignment. Role changes should trigger a review, and departures should disable accounts, sessions, VPN credentials, dealer portals and shared passwords on the same day. Keep emergency administrator access in a controlled process with logging and periodic testing.

Patch and protect endpoints

The service should maintain an inventory of laptops, desktops, mobile devices and servers, report unsupported operating systems, apply security updates within agreed time windows and use endpoint protection that can isolate a compromised device. Ask how updates are staged so that a patch does not interrupt harvest operations or a specialized application. For OT, the provider should coordinate testing with the manufacturer instead of forcing an office-style update schedule.

Reduce phishing and account takeover

Require secure email configuration, spam and malware filtering, domain-protection controls where supported, staff reporting instructions and a tested process for suspicious payments or changed bank details. Training should be short, recurring and relevant to seasonal hiring. The provider should explain how it will investigate a reported message, search for similar messages and reset sessions if a credential was entered.

Use logging and monitoring that someone acts on

Ask which events are collected: sign-ins, privilege changes, MFA failures, new forwarding rules, endpoint detections, remote-access sessions, firewall events and changes to critical equipment accounts. CISA recommends enabling and centralizing relevant logs, setting alerts, reviewing them, protecting logs and retaining them under policy. Get written monitoring hours, alert severity definitions, notification channels, escalation contacts and the response actions included in the fee. “24/7 monitoring” is meaningless unless the contract states who investigates and who can authorize containment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Protect data with tested backups

Back up accounting, payroll, farm-management data, configuration files, customer records, email and critical machine settings according to their recovery priorities. Keep copies protected from ordinary administrator credentials, and document retention periods. A backup is not evidence of recoverability until a provider restores a representative file, application and, where safe, a controller configuration. Record the recovery time objective, the recovery point objective, the person authorized to declare recovery and the manual process used while systems are unavailable.

Yubico - YubiKey 5 NFC - Multi-Factor authentication (MFA) Security Key and passkey, Connect via USB-A or NFC, FIDO Certified - Protect Your Online Accounts
  • POWERFUL SECURITY KEY: The YubiKey 5 NFC is the most versatile physical passkey, protecting your digital life from phishing attacks. It ensures only you can access your accounts
  • WORKS WITH 1000+ ACCOUNTS: Compatible with popular accounts like Google, Microsoft, and Apple. A single YubiKey 5 NFC secures 100+ of your favorite accounts, including email, password managers, and more
  • FAST & CONVENIENT LOGIN: Plug in your YubiKey 5 NFC via USB and tap it, or tap it against your phone (NFC), to authenticate. No batteries, no internet connection, and no extra fees required
  • MOST SECURE PASSKEY: Supports FIDO2/WebAuthn, FIDO U2F, Yubico OTP, OATH-TOTP/HOTP, Smart card (PIV), and OpenPGP. That means it’s versatile, working almost anywhere you need it
  • PRIMARY & SPARE KEYS: Just like having a spare house key, we recommend buying two YubiKeys - one for daily use and one as a spare. That way you’ll never get locked out of your accounts

4. Evaluate a provider’s operational-technology capability

Discovery without disruption

Ask how the provider discovers connected equipment and proprietary protocols without active scanning that could stop a controller. Passive network observation, manufacturer documentation, configuration exports and interviews may be safer than aggressive testing. Require a written approval process for any scan, firmware change or configuration alteration, including rollback instructions and an emergency stop contact.

Remote access and segmentation

The provider should map every path from the internet, office network, cellular gateway, dealer portal and vendor laptop to equipment. Ask whether remote sessions use named accounts, MFA, time limits, approval, recording or detailed logs. Segmentation or isolation may reduce the impact of an office compromise, but the design must preserve required machine-to-machine communication and vendor support. A bidder that promises one universal network layout without seeing the equipment is making an unsafe assumption.

Change management and safety

Require changes to be documented with purpose, risk, approver, maintenance window, test result and rollback plan. For systems affecting animals, crops, refrigeration, ventilation, water or chemical handling, include an operational subject-matter expert in approval. The cybersecurity provider should understand that availability and safe operation can outweigh immediate confidentiality in a control environment.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Coordinate with dealers and manufacturers

Ask who contacts the equipment vendor during an incident, how credentials are exchanged, what telemetry the vendor can access and how a disputed change is resolved. Obtain written permission for the provider to share necessary evidence with the manufacturer, while limiting data to what the incident requires. The goal is a joint recovery plan, not a contest over who owns the system.

5. Compare providers with the same written questions

Send an identical request for proposal and score written answers rather than presentation quality. The following criteria expose material differences:

Area Questions to ask Evidence to request
Relevant scope Will you cover our cloud accounts, endpoints, remote sites, connected devices and listed OT? What is excluded? Annotated inventory and scope diagram.
Assessment How are vulnerabilities, dependencies and business impacts prioritized? Sample findings format and remediation plan.
OT experience How do you assess farm equipment without unsafe scanning or unauthorized changes? Method statement, approval and rollback process.
Identity How will you implement MFA, seasonal-worker offboarding and vendor-account reviews? Access procedure and responsibility matrix.
Monitoring What is monitored, during which hours, and who acts on alerts? Sample alert, escalation tree and response commitments.
Incident response Who contains, preserves evidence, communicates and coordinates with dealers? Runbook, contact list and exercise schedule.
Recovery What is backed up, how often are restores tested, and who authorizes recovery? Backup map, test report format and recovery objectives.
Supplier security Which subcontractors can access our systems or data, and how are their incidents handled? Access list, security terms and notification process.
Practical fit What support hours, travel assumptions, response times, term and exit help apply? Service-level schedule and transition plan.

Score evidence, not promises

Use a simple 0–5 score for each criterion: 0 means unanswered, 1 means a generic claim, 3 means a specific process with an owner, and 5 means a process supported by a relevant example, deliverable or measurable commitment. Weight OT safety, incident response and recovery more heavily when a failure could stop production or create a hazard. Keep the bidder’s written assumptions beside the score so a low price cannot hide a narrow scope.

Yubico - Security Key NFC - Basic Compatibility - Multi-Factor Authentication (MFA) Key, Connect via USB-A or NFC, FIDO Certified
  • POWERFUL SECURITY KEY: The Security Key NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.
  • WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key NFC secures 100 of your favorite accounts, including email, password managers, and more.

  • BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.

6. Put deliverables and responsibilities in the contract

A useful agreement names the systems, locations, accounts and equipment covered; the assessment method; deliverables; remediation responsibilities; monitoring hours; incident escalation contacts; backup and recovery duties; subcontractors; exclusions; data ownership; retention and deletion; and the process for adding new equipment or software.

Separate work performed by the cybersecurity provider from work left to the farm, internet provider, equipment dealer or software vendor. State who buys licenses, who applies patches, who approves downtime, who owns configuration backups and who pays for emergency travel or after-hours work. Define notification timing for provider or subcontractor incidents and require assistance when the contract ends, including export of logs, configurations, inventories and documentation in a usable format.

7. Test incident response and business continuity

Insist on a written incident plan before an emergency. It should cover suspected ransomware, stolen credentials, fraudulent payment instructions, a compromised dealer account, manipulated sensor data and loss of a cloud service. Name primary and alternate contacts for the farm, provider, insurer, legal counsel, law enforcement, equipment dealer and critical software vendor.

Decide authority in advance

Specify who may disable an account, disconnect a network segment, stop remote vendor access, shut down a machine or restore from backup. In OT, an automatic containment action can create a physical risk, so the runbook should identify actions that require an operator’s confirmation.

Exercise the plan

Run a tabletop exercise during a noncritical period. Walk through detection, verification, communications, manual operations, evidence preservation, dealer coordination and restoration. Record decisions that were unclear, unavailable contacts and missing configuration files, then assign owners and deadlines. Repeat after major equipment, software or staffing changes.

8. Use public guidance to improve your buying decision

CISA’s small and medium business resources cover phishing avoidance, passwords, MFA, software updates, logging, backups and encryption, and list no-cost cyber-hygiene scanning resources. Availability and eligibility can change, so verify the current terms on CISA’s official resource pages. Use these materials to establish a baseline and to challenge a provider that proposes expensive tooling while leaving basic controls unfinished.

CISA also publishes a small-business fact sheet and supplier-assessment guidance. Ask bidders how they protect their own administrative accounts, screen and supervise subcontractors, limit support access, handle customer data and notify clients after a third-party incident. A provider that cannot explain its own dependency chain should not be trusted to map yours.

9. Judge cost and service fit without chasing the cheapest quote

Prices are not comparable when scopes differ. One quote may include only endpoint software; another may include an inventory, OT assessment, monitoring, response labor, backup testing and dealer coordination. Normalize each proposal into one-time assessment work, recurring monitoring, remediation projects, licenses, travel, emergency response and exit assistance.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Consider the farm’s staffing pattern. A provider that works only business hours may be unsuitable for a distributed operation that runs nights during harvest, while a full 24-hour service may be unnecessary for systems that can be safely isolated. Ask about remote support for distant fields, cellular outages, severe-weather access, language needs for seasonal staff and the response time for a critical event. Request references from organizations with similar equipment and operating constraints, not merely another small office.

10. Follow a staged implementation plan

First 30 days: establish control

  1. Approve the inventory owner and collect systems, accounts, vendors, connections and recovery dependencies.
  2. Disable former-worker accounts, replace shared administrative passwords and enable MFA on email, cloud storage, finance and remote access.
  3. Confirm that backups exist, are protected from ordinary administrator access and have a named restoration owner.
  4. Set an incident contact tree and preserve the current equipment and network documentation before making changes.

Days 31–90: address the highest risks

  1. Complete the provider’s assessment and rank findings by operational impact, exploitability and recovery difficulty.
  2. Fix exposed remote access, unsupported endpoints, weak administrator accounts and missing logging first.
  3. Agree with dealers on approved maintenance windows, remote-support controls and configuration-backup procedures.
  4. Test restoration of priority data and conduct a tabletop incident exercise.

Ongoing: keep the scope current

  1. Review alerts, access lists, supplier accounts and backup reports on a defined schedule.
  2. Reassess before planting, harvest, major software upgrades, ownership changes or new connected equipment.
  3. Measure overdue patches, MFA coverage, critical-alert response time, successful restore tests and unresolved high-risk findings.
  4. Renew the service only after comparing delivered work with the contracted scope and updating exclusions.

11. Avoid common selection mistakes

  • Buying a generic bundle first: Tools cannot compensate for an unknown asset list or unassigned recovery responsibility.
  • Assuming every connected device needs the same control: A sensor, office camera and irrigation controller have different safety, availability and vendor constraints.
  • Ignoring supplier access: Dealer and software-vendor accounts can be powerful entry points; include them in MFA, logging and offboarding reviews.
  • Confusing a backup job with recovery: Require documented, observed restores and configuration recovery.
  • Accepting “24/7” without definitions: Specify monitoring coverage, human response, escalation deadlines and included actions.
  • Letting a provider change OT without approval: Require an operator-approved window, test plan and rollback path.
  • Leaving seasonal labor out of the design: Temporary access, shared devices and rapid turnover need explicit controls.
  • Choosing on price alone: Compare normalized scope, exclusions, response commitments and transition assistance.

12. Final selection checklist

Before signing, the farm should be able to answer “yes” to each applicable item:

  • We have a named inventory owner and a current list of business IT, cloud services, connected equipment and vendor access.
  • We know which systems can affect physical operations, safety, animals, crops, food handling or contractual delivery.
  • Each bidder received the same scope and identified exclusions in writing.
  • The selected provider supplied assessment deliverables, prioritized actions and an ownership matrix.
  • MFA, especially the strongest compatible method, is planned for email, administrators, remote access and supplier accounts.
  • Monitoring, alert handling, evidence preservation and escalation contacts are contractually defined.
  • Backups, restoration tests, recovery authority and manual continuity procedures are documented.
  • OT changes require equipment-aware approval and coordination with dealers or manufacturers.
  • The provider disclosed subcontractors, dependencies, data handling and exit assistance.
  • We scheduled a tabletop exercise and a review after major operational changes.

The best cybersecurity service is therefore the one that matches the farm’s actual dependency map, protects both office systems and physical operations without unsafe assumptions, and stays accountable through detection, response and recovery. Start with the inventory, compare written evidence, and make every unresolved risk visible in the contract.
