Choose the tool that fits your accounting system first, then match its forecast horizon, scenario controls, update process and plan limits to the decisions you actually make. A native feature in QuickBooks or Xero can cover a short-range view. A dedicated service such as Float or LivePlan may be a better fit when you need a rolling 13-week plan, longer forecasts, multiple scenarios or a business plan that connects financial projections with operating assumptions.
The product pages reviewed here describe vendor features, not independent accuracy tests. Prices, integrations, plan limits and regional availability can change, so verify the current offer for your edition and country before subscribing.

Start with the accounting system you already use
Your forecast is only as useful as the data feeding it. Begin by writing down the accounting platform, edition and region used by the business. Then check whether the forecasting product supports that exact connection, rather than assuming that support for a similarly named product or country is equivalent.
QuickBooks users
Intuit describes its QuickBooks Cash Flow Planner as using connected bank-account history to forecast recurring income and expenses. Its interface can show projections for the next 30 and 90 days and let you test a possible purchase, investment or additional income without changing the actual records. Confirm that Cash Flow Planner is included with your specific QuickBooks subscription and available in your region; the documented feature is not a promise of identical availability for every edition.

Xero users
Xero’s United States cash-flow page describes a visual view of money coming in and going out over the next month, with scenario planning such as modeling a late customer payment. Because that description is specific to Xero US, check the equivalent feature set for the country and subscription in which your business operates.
When an add-on makes sense
Float documents connections to QuickBooks Online and Xero and says it brings in invoices, bills and transactions. LivePlan describes connecting to QuickBooks and Xero, importing a spreadsheet or entering data directly. An add-on is worth considering when your native tool stops at a short horizon, lacks the scenarios you need, or does not give the reporting and collaboration workflow your team requires.
- Verify the exact accounting edition and connection method.
- Find out whether bank feeds, invoices, bills and transactions all sync, or only selected data.
- Ask what happens when an account is disconnected, a chart-of-accounts code changes or an imported value is corrected.
- Check whether the connection is read-only or can write anything back to the accounting ledger.
Match the forecast horizon to the decision
“Cash-flow forecast” can mean tomorrow’s bank balance, a 13-week operating plan or a multi-year model. Select the shortest horizon that answers the decision, then make sure the software can show enough detail at that range.
| Decision | Useful horizon | What to verify |
|---|---|---|
| Can payroll and supplier payments clear? | Daily to one month | Bank-feed freshness, payment dates and a way to adjust timing. |
| Can the business manage a seasonal quarter? | Rolling 13 weeks | Weekly buckets, recurring items and an easy rolling update. |
| Should we hire, buy equipment or take on a contract? | Several months to 12 months | Scenario copies, one-time costs, financing and changed revenue assumptions. |
| What funding or strategic plan is sustainable? | One year or longer | Monthly assumptions, multiple cases, exports and a clear audit trail. |
Float’s pricing page lists an Essentials plan with a 13-week cash-flow feature and 12-month forecasts. Its integration page separately describes a visual cash position up to 36 months ahead, updated daily. Those statements describe different pages and may refer to different plan capabilities, so verify the horizon included in the tier you would buy rather than treating 36 months as an Essentials entitlement.
Do not select a long horizon merely because it appears in a feature list. A 36-month view built from weak sales assumptions can create false confidence. For a weekly liquidity decision, the ability to move a payment by seven days and see the effect is usually more valuable than an attractive annual chart. For a lender or board plan, monthly periods, documented assumptions and exports may matter more than daily detail.
Test the scenarios you are likely to face
A forecast becomes a planning tool when you can change an assumption without overwriting the base case. Before choosing software, list three decisions you may need to test this year:
- A major customer pays 30 days late.
- A new employee starts earlier than planned.
- A vehicle, machine or software purchase is brought forward.
- Sales fall during a slow season.
- A new contract or price increase adds income.
Then reproduce those cases in a trial or demonstration. Look for the ability to create a named copy, change only the relevant assumption, compare the result with the base case and restore the original. Also check how many scenarios the plan allows and whether scenarios can be exported or shared with an accountant.

Float’s Essentials pricing page lists eight scenarios. LivePlan describes creating multiple forecasts for best- and worst-case situations. QuickBooks Cash Flow Planner describes testing potential purchases, investments and income without editing actual records. Xero’s US page gives late payments as an example of scenario planning. These are vendor-described capabilities with different interfaces and horizons; the number of scenarios alone does not tell you which product is more suitable.

Ask whether a scenario can change timing as well as amount. A late receipt should move into a later period, not simply reduce revenue. A hire should include salary, payroll taxes, benefits and the start date. A purchase may require a deposit, financing proceeds and later installments. If the software cannot represent those mechanics, you may need a clearly labeled manual adjustment or spreadsheet model alongside it.
Understand how actuals update the forecast
Ask two separate questions: how often connected actuals refresh, and how the software compares those actuals with the plan. A daily sync may be adequate for a monthly forecast but too slow when a business makes same-day payment decisions. Conversely, a frequent sync does not help if the system cannot explain why actual cash differs from the forecast.
Questions to ask during a trial
- When did the last bank, invoice and bill transaction appear?
- Can you force a refresh, and is there a stated delay?
- Can a user enter a known payment or receipt that has not reached the accounting system?
- Does the product preserve the original forecast while replacing only actual periods?
- Can you see a variance by week, month, account or category?
- What is the correction process when an imported transaction is misclassified?
Float says connected accounting data updates daily and describes syncing invoices, bills and transactions from Xero and QuickBooks Online. LivePlan describes refreshed actuals and actual-versus-forecast tracking. Treat those statements as product descriptions: test the timing and variance detail with representative data before relying on them for a payment decision.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Clarify the boundary between accounting actuals and forecast assumptions. If a bank transaction is imported twice, a transfer is treated as income, or an invoice is posted without a realistic collection date, the output can be wrong even when the connection is functioning. A useful system lets you identify the source row, correct or exclude it, and see which future periods changed.
Compare the main approaches
| Approach | Best starting point | Documented capabilities | Questions still to verify |
|---|---|---|---|
| QuickBooks Cash Flow Planner | A QuickBooks business needing a near-term view inside its accounting workflow. | Connected bank-history forecasting; 30- and 90-day views; tests for purchases, investments and income without editing actual records. | Subscription and regional availability, supported accounts, refresh timing and export options. |
| Xero cash-flow tools | A Xero US business wanting a visual one-month view and basic what-if planning. | Money-in and money-out visualization; late-payment scenario example. | Features outside the United States, plan inclusion, scenario depth and longer horizons. |
| Float Essentials | A small business that needs a dedicated rolling cash plan and several cases. | QuickBooks and Xero integrations; eight scenarios; 13-week cash flow; 12-month forecasts on the pricing page. The integration page describes a visual position up to 36 months and daily updates. | Which horizon and limits apply to the selected tier, currency, billing frequency and current price. |
| LivePlan | A business combining forecasting with broader planning or lender-facing documents. | Start from scratch, describe the business, enter data, import a spreadsheet or connect QuickBooks/Xero; refreshed actuals and actual-versus-forecast comparison; multiple best- and worst-case forecasts. | Current plan limits, connection details, scenario count, exports and whether its planning workflow is more than your cash-only need. |
If your books are on Sage Intacct or another platform, do not infer support from a vendor’s general integration language. Float’s page lists Sage Intacct as coming soon, so confirm the current status before building a buying decision around it. For any other accounting system, determine whether a supported connector, spreadsheet import or manual workflow is practical and repeatable.
Check plan limits and the real subscription cost
Do not compare products using a single headline price. Record the complete commercial terms for the plan you would actually use:
- Currency and country of the billing account.
- Monthly price versus the effective monthly cost of annual billing.
- Number of entities, users, collaborators or connected accounting files.
- Revenue, transaction or data-volume limits.
- Scenario count and maximum forecast horizon.
- Included onboarding, support, exports and historical data.
- What happens when a trial ends or a limit is exceeded.
Float’s pricing page displays different currencies and monthly and annual billing amounts. Those figures are regional plan listings, not a universal price. Recheck the current page at checkout and calculate the recurring cost in the currency your business uses. LivePlan, QuickBooks and Xero can also vary by edition, country and billing arrangement, so compare like-for-like plans rather than the cheapest entry tier.

Scan for outdated or missing drivers - takes under a minuteDriver Scan →Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Include the cost of keeping the process running. A cheaper subscription that requires weekly spreadsheet cleanup, duplicate data entry or paid onboarding may cost more in staff time. Conversely, a larger plan is difficult to justify if the business only needs a 30-day view and one user. Write down the minimum acceptable horizon, scenario count and number of collaborators before comparing prices; otherwise a sales discount can steer you toward a plan that does not solve the actual problem.

Use a representative trial or demo
A generic demonstration can hide the problems that matter most: an unusual chart of accounts, overdue invoices, seasonal sales or a second bank account. Prepare a small, anonymized data set that includes a normal month and a difficult month.
- List the decisions. Write the payment dates, hiring plan, purchases and sales changes you want to test.
- Connect or import safely. Use a supported test connection or spreadsheet copy. Do not alter the production ledger merely to evaluate a tool.
- Reconcile a known period. Compare the opening cash, receipts, payments and closing cash with your accounting records.
- Build a base case. Keep assumptions visible: recurring payroll, rent, taxes, debt service, customer terms and supplier terms.
- Create stress cases. Delay a large receipt, add a hire and move a purchase. Check whether each change is isolated and reversible.
- Observe a refresh. Note the last-sync time, what changed and whether actual periods are clearly marked.
- Export the result. Confirm that the owner, accountant or lender can receive a readable report or spreadsheet.
- Test correction. Fix a deliberately misclassified or mistimed item and record how the forecast responds.
Use the same test script for every finalist. Record setup time, number of manual adjustments, scenario creation steps, refresh delay and export quality. Ask the person who will maintain the forecast—not only the buyer—to complete the exercise. Their experience is the best check on whether the process will survive a busy month.
Set up a forecast that people will maintain
Separate actuals, committed items and assumptions
Mark transactions that have already occurred as actuals. Keep signed invoices, scheduled payroll and approved purchases as committed items. Put uncertain sales, discretionary spending and timing estimates in assumptions. Mixing those categories makes a precise-looking forecast difficult to interpret.
Free tools Windows power users keep installed
One-click scans. No signup required.
Use realistic payment timing
Revenue is not cash until the customer pays. Enter customer terms, the historical delay that matters to your business and the date a payment is likely to clear. Apply the same discipline to supplier bills, tax payments, payroll and annual renewals.
Review on a fixed cadence
Choose a weekly review for a 13-week operating forecast or a monthly review for a longer planning model. At each review, record the largest variances, update only the assumptions that changed and preserve the prior forecast if the software supports versions. A tool that is theoretically powerful but takes too long to maintain will be abandoned.
Assign ownership before launch. One person should be responsible for checking the sync, entering approved changes and publishing the new base case; another person can review major assumptions. Keep a short change log showing what moved, why it moved and who approved it. This prevents a forecast from becoming an unexplained collection of edits.
Common failure modes and fixes
The connection is available, but the data is incomplete
Check whether the product imports bank transactions only or also invoices and bills. Confirm the date range, account mapping and treatment of transfers. If a critical source is missing, use a documented manual adjustment or spreadsheet import and label it clearly.
Recommended Free Tools
The forecast looks too optimistic
Review customer payment timing, recurring expenses, taxes, debt repayments and one-time annual costs. Build a downside case with delayed receipts and unchanged fixed costs. Do not “fix” the result by changing actual historical entries.

A scenario overwrote the base case
Restore the saved base forecast if versioning exists. Otherwise export the base before every major change and use a naming convention such as “Base—April” and “Late receipts—April.” Confirm how the product handles shared edits before giving collaborators access.
The horizon on the sales page does not match the plan
Ask the vendor to identify the exact tier, feature name and billing region that provides the horizon you need. Float’s separate 13-week, 12-month and up-to-36-month descriptions illustrate why this check matters.
Price changes after an annual commitment
Read the current order terms for renewal pricing, taxes, currency conversion, cancellation and data export. Keep a copy of the plan description and the invoice for your records.
The forecast is technically correct but ignored
Reduce unnecessary categories, show the next cash pinch point prominently and schedule the review around an existing management meeting. A concise weekly view that prompts a decision is more useful than a detailed model nobody opens.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Data security and accuracy questions
The available product descriptions do not establish comparative forecast accuracy, independent security ratings or privacy guarantees. Before connecting financial accounts, review each vendor’s current security, privacy, retention and contract documentation. Ask who can access the data, how access is revoked, whether exports can be deleted and how an incident is communicated. These checks are separate from feature fit and should be completed before production data is connected.
Also ask about permissions for owners, accountants and other collaborators. Confirm whether a user can edit assumptions, connect accounts, export data or only view reports. If the software cannot meet your access-control or retention requirements, keep the forecast in a controlled spreadsheet or choose another product rather than weakening internal controls.
A practical decision rule
- Choose a native QuickBooks or Xero feature when your decisions are short range, the documented regional feature is sufficient and you want minimal setup.
- Choose a dedicated cash-planning service when you need a rolling 13-week view, more explicit scenarios, longer planning or a separate collaboration workflow.
- Choose a planning-oriented product such as LivePlan when the forecast must sit alongside operating assumptions, business-plan content or lender-facing reports.
- Reject any option that cannot connect to your accounting edition, refresh often enough for your decisions, preserve a base case or stay within your budget and plan limits.
Make the final choice from a written test: one representative connection, one base forecast, three stress cases, one refresh and one export. That process reveals more about suitability than a feature checklist alone.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteImplementation checklist after you subscribe
- Confirm the subscribed tier, billing currency, renewal date and cancellation terms.
- Connect only the accounts needed for the forecast and document the connection owner.
- Set opening cash balances and reconcile them to a known accounting date.
- Map recurring payroll, rent, taxes, debt service, customer receipts and supplier payments.
- Create and save a clearly labeled base case before adding scenarios.
- Set a weekly or monthly review appointment and assign a backup owner.
- Export the first approved forecast so you have a reference copy.
- Review the first two refreshes for duplicates, missing items and unexpected category changes.
Revisit the product when your business changes materially—for example, when you add an entity, switch accounting editions, take on debt or need lender reporting. A tool that fit a 30-day cash question may not fit a 12-month hiring plan, and a plan that fit one user may not fit a growing finance team.

Frequently Asked Questions
Should a small business start with QuickBooks or Xero’s built-in forecasting?
Start with the native feature if your accounting edition and region include the documented cash view and your decisions are short range. Intuit describes 30- and 90-day projections, while Xero’s US page describes a one-month view and a late-payment scenario. Move to an add-on when you need a rolling 13-week plan, longer horizons, deeper scenarios or a separate collaboration workflow.
What forecast horizon do most small businesses need?
Use the horizon tied to the decision: daily to one month for imminent payroll and supplier payments, 13 weeks for operating liquidity, several months to 12 months for hiring or purchases, and a year or longer for funding and strategic plans. Verify that the exact subscription tier—not just the vendor’s general page—includes that horizon.
How many scenarios should forecasting software support?
There is no universal number. List the cases you will actually test, such as late receipts, a hire, a purchase and a slow season, then check whether the plan supports them as separate, reversible copies. Float’s Essentials pricing page lists eight scenarios; LivePlan describes multiple best- and worst-case forecasts, but the interfaces and limits differ.
How often should actual cash data refresh?
Match refresh frequency to the decision. Daily updates may be suitable for a rolling operating view, while a same-day payment decision may require a manual refresh or adjustment. Float describes daily updates; LivePlan describes refreshed actuals and actual-versus-forecast tracking. Test the real delay with representative data.
Can I use forecasting software without connecting a bank account?
Some workflows support direct entry or spreadsheet import. LivePlan describes entering data directly or importing a spreadsheet, in addition to QuickBooks and Xero connections. Confirm how you will maintain actuals, opening balances and corrections if you choose not to connect an account.
What should I verify before paying annually?
Check the billing currency, monthly equivalent, renewal price, taxes, cancellation terms, entity and user limits, scenario count, forecast horizon, exports, support and what happens when a trial or limit ends. Regional prices and plan features can change, so save the current order terms and invoice.
Is a longer forecast automatically better?
No. A longer horizon is useful only when assumptions are documented and maintained. For near-term liquidity, accurate payment dates and weekly buckets can matter more than a 36-month chart. Choose the shortest horizon that answers the decision, then extend it when your planning process requires it.
The Tool Desk
Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →What if my accounting platform is not QuickBooks or Xero?
Check for an exact supported connector, spreadsheet import or a repeatable manual workflow. Do not assume compatibility from a general integration list. Float’s page lists Sage Intacct as coming soon, so confirm its current status before relying on that connection.
The Bottom Line
Bottom line: Choose the smallest, regionally available plan that connects cleanly to your accounting system and passes a real test: one base forecast, three stress scenarios, a refresh, a correction and an export. Native QuickBooks or Xero tools may be enough for short-range visibility; Float or LivePlan may justify their cost when you need longer horizons, multiple cases or a broader planning workflow.
